Purpose The purpose of this document is to describe the functionality of Inventory Dashboard page Objective Vending operators who work with product maps can manage their inventory online based on MDB. In addition of displaying current product inventories in each bin of each machine, online inventory management shows how many units of each product must be restocked in order to bring the inventory back up to default level.

Machine Inventory A key feature is the ability to generate pick lists displaying missing inventory in each bin of each machine. These pick lists tell restocking agents how many items of each product are missing. With this information, the agents can visit only machines where inventories are low and in need of restocking. Without this option, agents only find out if the machine needs restocking when they physically arrive at the machine. In addition to intelligent route planning, this feature lowers the amount of inventory to be loaded into each agent s vehicle because the needed amounts are known in advance. This results in more efficient use of the organization s inventory as well as reducing transit spoilage. Get familiar with Inventory Dashboard From the main menu, click on Operations and then choose Inventory Dashboard, In order to learn about the different features on the Inventory Dashboard Ctrl + Click on them or scroll down: Search Options Parameters viewing options Thresholds Sales rating

Once an operator been searched, the operator s machines will appear in the machines data section, in order to learn more about the different fields, Ctrl + click on the box below or scroll down: Pick/Source Alerts Stock level Products data Once right-clicking on specific machine a context menu will appear, in order to learn more about the context menu Ctrl + click on the box below or scroll down: Context menu

Search options Enter search criteria as desired. Operator (Area/Route/Location) Leave blank or select highest hierarchical level for system-wide results. To narrow the search parameters, enter the actor name in the Area/ Route/ Location search field, once the actor name is inserted, it will auto-complete to the actors available that match the entered name: Or click on. A small pop-up window will appear from which you can select your desired hierarchical level such as an area, route etc.

Search Enter machine number to limit results to just that one machine. Leave blank for all machines. Machine Group To narrow the search parameters, select the desired machine group from drop down list (snack, cold drinks, etc.) Once you entered the details of the desired machines, click on the button:

Managing Inventory The requested results will appear directly below the search criteria. In addition to the basic machine information, the results also show how many items were sold, sales since last visit, stock level (in percentages) and whether this machine has alerts that need tending. Parameters viewing options To change which details to display click display:, then you can choose which parameters you would like to Each line could display different parameters to the user s choise: 1. The example above shows that this specific machine is showing on the 1 st line, Op Code of the product, 2 nd line how many products are missing and par (capacity), 3 rd line is the product s name.

For the example above shows that this specific machine is showing on the 1 st line PA Code of the product, 2 nd line shows how many of this products are currently in the machine and V2V sales (sales since last visit), 3 rd line is the product s name. Pick/Source Relates to whether the data source is in the form of DEX files or MDB. This way, operators who uses can use the new Inventory Dashboard and decide whether they want to use DEX files or MDB. In order to choose the source: go to machine s page or right-click on the desired machine->view Machine: On the machine s general information tab choose whether it s live transaction (MDB) or DEX/DDCMP (DEX):

Features Sales rating is a function where each operator can set standards regards sales, the system will grade the machine with stars according to the machine s performances with respect the operator standard, that way the operator will have better visual perspective of sales performance by machine:

Thresholds Is used to set a bar, once that bar is passed, the product bin will be painted red. For example: If the Threshold is set for 50 (in percentages), once the product s missing value will pass 50% of the capacity the bin will be painted red. The operator can decide what is the bar for him, then he would be able to see which product has passed that bar and require restocking: Alerts This tab is use to indicate on a machine s condition, for example: a user set a V2V alerts that indicate when the machine didn t had cash & cashless sales over then the specified amount of time, the icon will turn to, and while the cursor will be positioned on the icon it will specified on which alerts has been turned on: Stock level This tab is use reflect the current stock level (if the source is set on MDB) or according to last DEX: The stock level that show in the example above is for the whole machine including whole of it products

Context Menu While right clicking on a specific machine, a quick click menu appears, in this menu the user can choose to edit machine s product map, generate pick list, visit machine s page, visit last sales page and else: Inventory levels can be adjusted manually by right-clicking on the machine, then choosing Edit Product Map:

There, the product s values could be altered manually: For each product, click on the value which you like to alter, enter the amount of items added or removed and press enter, to change the In Hand value, increase the Missing value and apply the changes so the In Hand column could update. Once finished updating the inventory levels, press apply changes or save changes. The new feature also includes the possibility to create a new product/group in the Edit Product Map popup. Once pressing the button entering the new product s name and group, apply changes and the product will add to products group without having to enter the product map on machine s page or products on administrations. While creating a new product, or updating the fields of existing products, the corner of un-applied field will be paint in red, every red corner refer to a field that was altered and not saved yet:

Once creating a new product/product group via Edit Product Map, the product will appear in the products management, the new product will be created with the values that he was created with although there are other values on Administrations->Products that are not available in the Edit Product Map such as retail price, pre-paid card price etc: Click On Update Visit in order to set your last visit on a specific date: There, choose the desired date on which the last visit will be set, the visit relates to V2V sales, alerts and stocking:

Click on Pick List to generate/delete full and partial pick list: Note: For explanation on how using Pick lists please see Working with Pick Lists Click on View Machine/Show Last Alerts/Show last Sales in order to open page as pop-up: Exporting basic machine information The operator can also print the basic machine information, how many items were sold during the requested period as well as how much money were counted in the cashbox. For exporting the file select the desired format from the list: Choose the desired format by checking the machine, click for Excel file, or for CSV file, or for PDF file including pick list (if exist):

The file with the machine information will appear immediately. Working with Pick Lists Pick Lists display the amount of on-hand and missing items in each bin so that restocking agents know in advance what needs to be filled. In the example above, the Product Pick column refer to how many of this products are missing, On Hand refer to how many present and Par is capacity (Par-Product Pick=On Hand). Note: Pick List stays active until a new pick list will be generated.

Complete pick list To generate a complete pick list (containing all the machine products), click on the checkbox on the left side of the machine line and click on the button or right click on the machine a choose Pick List: Then select which functions would be applied on the Pick List: The Minimum Pick option apply minimum pick logic into the pick list, that way the pick list will contain only products that were at least as the minimum pick value. If the box will not be checked the pick list will contain all products. Adjust pick with online transactions gap option allow for operators that uses DEX data to receive the transactions gap in MDB so the picklist will be precise and up to date for the current time. Add products based on statistics option, allow for operator who generate his picklist early in the day and get to his machine only later that day, to forecast based on statistics on which products will be sold in the

time interval between the picklist creation and the restocking of the machine, the operator will set the time the he is planning to get to the machine and pick list will consider and forecast the products that will be sold by then. Partial pick list Partial pick lists only show products specifically chosen by user. A list of all the machine products will appear in the pop-up page. Select specific products by clicking on the check box on the left of each product line. Click on the button, the pick list generated will only show the selected products.

Restock button If machines are restocked according to the pick list, the inventory levels can automatically be adjusted by pressing the designated button located on the cashless device in the machine. Note: in order to configure button to fill machine by pick list, enter machine page->general tab->device features->choose which BT press (long or short) will initiate a full machine by pick list, in case of partial pick list the button press will fill only the products on the partial pick list:
