4 Menu Items - Category NEW CATEGORY: This screen allows the user to add a new category to the menu. Users must add a category title, select a parent category to where the category of the item belongs, and select a color code that adds a color to the category. This reflects on the front end of the Sienna POS Menu buttons. User then selects a status which changes the category to active or inactive from the dropdown list. Users can also add comments on the category in remarks field. The button appears in special times only can be applied when wanting a category for certain days of the week or a specific date range. Category title, Parent Category, Color Code, and Status are all mandatory fields. When finished select submit, or if you decide to start over select the clear button. Users can also select the times the category will appear on the days that are selected. 3
5 MANAGE CATEGORIES: This screen allows the user to manage categories. Users can view the categories through keyword/status search filter. Clicking on clear button will display the entire category list. Users can delete the category from here by selecting the category and click on the delete button. Note: Categories can be deleted only if there are no menu items in the system assigned to the category. We recommend making the category inactive instead of deleting. EDITING CATEGORIES: Users can edit the category and can change the required fields. By selecting on the category wanted for editing, and selecting the edit icon. The button appears in special times only can be applied when wanting a category for certain days or a certain date. Category title, Parent Category, Color Code, and Status are all mandatory fields. When finished select submit, or if deciding to start over select clear. APPEARS IN SPECIAL TIMES ONLY: When selecting Appears in special times only, choose what day(s) of the week the new category is going to appear. Then enter the dates that users would like this category to be available through. The option of choosing never expires is also available. Lastly, select the times that users would like this category to be available. Selecting the days of the week, selecting date range, and selecting time range is all mandatory to do when applying a category for special times. 4
6 NEW ITEM: This screen allows the user to add a new item and assign the item to a category and/or subcategory. Users must add fields that have a red asterisk following the field name *. They must add the items name, price, quantity (if Turn on inventory is Yes in default settings/pos tab) and an optional description. The user must select a category. Selecting a sub-category is optional. The items status is given the default value of Active. Users can browse and upload a thumbnail image for the item to appear on the main POS screen. Users can select to allow fractional quantities (wings for example), selecting the item as a Favorite will flag the item to appear on the Main POS screen. Flagging the item as taxable will result in the item being taxed, the percentage listed in the Default Settings/POS Tax % field. Flagging the item surcharge and/or discount fields will result with the item having the surcharge and/or discount amount applied by using check buttons. In the default settings the surcharge and/or discount amount can be added in the Default Settings/POS Default Surcharge and/or Default Discount field by selecting yes in the Apply Surcharge/Discount field. When the user selects the Check Box if they want to hold values entered when adding new items the previous credentials entered will hold for the next Item being added. By clicking submit the changes reflect on front end of the application. For example, This feature is popular for adding.25 cents to drinks that are all flagged with the surcharge when a band plays. 5
7 MANAGE MENU: In this screen, the user can view the entire item list, clicking on the name of an item will display an option to edit the particular item details. The user can update the required fields such as the item name, category, sub category, price, quantity, thumbnail, status, and description. Just by clicking in the field item name, price, or description users can select, delete and write whatever the users would like to change the item name, price, or description to. The category, sub category, and status field are all selected by drop down boxes. The quantity can be edited by selecting adjust. A box will then appear on the screen and users will click the scroll box and choose whether the adjustment is going to be discarded or added, enter the new quantity, the reason, and hit submit. For a new thumbnail select browse beside it and then select a new image that users would like for the item. The Search Item bar allows users to type in the item they are looking to manage instead of scrolling through all of the items. Making changes to any of the textboxes such as allow fractional quantities, adding an item to be a favourite, making an item taxable, applying a default surcharge, applying a default discount, and printing in the kitchen is also available. Changing the barcode value, stock count alert, and condiment category is also possible. Make sure to hit the update button when finished. When managing the item, it is also possible to delete the item simply by hitting the delete button. 6
8 STOCK OUT ITEMS: This screen allows the user to view the stock out item details like item name, category, sub-category, status, invoice, billing, last sold, last month and current month. User can select the stock out items list through category/sub-category/item/status and also combination of any select options. Clicking the clear button will provide the entire list of stock out items. TOP SELLING ITEMS: This screen allows the user to view the graphical overview of the entire system. The user can view the graphical representation of sales per day, most popular items of the month, most popular items of this year, the most popular category of the month, the slowest moving category of the year, and sales per customer. It is also printable. 7
9 SALES REPORT: This screen in the Manager Reports allows the user to view the sales report from one date to the users date of their choosing, Sales Receipt, items, exceptions, amounts, and average sales. Users can select the sales report list through from date/ to date and also the combination of any select options. Clicking on the clear button will clear the date fields. Users can download and save the sales details by clicking download CSV. BARTENDER SALES REPORT: This screen allows the user to view the amount of money in each drawer that was used throughout the shift(s) of a bartender. It shows the cashiers name, start time, shift, open amount, receipts, withdrawals, and close amount. Users can search through dates to see previous reports. Users can also reset the drawers, delete a selected drawer report, and add new ones. Users can download the reports by selecting Download CSV. 8
10 DRINK SLIP REPORT: This screen allows the user to view drink slip details like date, drink slip type, drink name, status and status date. The user can select the drink slip report list through drink slip type/from date/to date and also combination of any select options. Clicking on the clear to clear the dates and drink slip type selected. Users can download CSV (comma delimited) file and/or print the drink slips report. CASH EXCEPTIONS: This screen allows the user to record cash exceptional details like date, drawer code, shift code, cashier, adjustment, amount, and reason. These details are the cash exceptions during physical count. Date by default shows the present day. 9
11 EXCEPTION REPORT: This screen allows the user to view the cash exceptional details like date, time, sale, amount, type of exception (tax, discount and void). Users can select the exception report through exception type/from date/to date and also combination of any select options. Clicking on the clear button will provide the entire exception report list. Users can download and save the required cash exceptional details by clicking download CSV. TIME REPORTING: This screen allows the user to view all users logging in and out of the system details. Including the date, users name, Log in-time and Log out-time. Clicking on the clear button will provide the entire user Log in/log out details. Users can download and save the details by clicking download CSV. 10
12 DAILY SALES SNAPSHOT: This screen allows the user to view current status of the system. Users can view the statistics of sales for a specific day, open tabs, most popular items, sales by table id, sales by server and Sales exceptions according to the date. OPEN TABS: This screen allows the user to view all tabs that have been open. It allows the user to also preview completed sales orders, print in the kitchen again, add or delete an item, void a sale, tax provide discounts, go back to the main point of sale screen, preview other tabs, or roll back the tab. This screen will only show the last 48 hours of sales. 11
13 HAPPY HOURS PRICING: In this window, users can view the entire item list, clicking on the name of an item will display an option to edit the particular item details. Users can update the special price of an item which will apply in happy hours and also update the price on day basis. By selecting the day of the week wanted, making it active or inactive, selecting the special price, selecting the date range for the special, and the times. Selecting the day of the week, the status, the special price, and times are all mandatory. An option to make it never expire is also available. The button that says Set all as Monday fills the rest of the week days to have the same happy hour as Monday s time. When finished entering all of the credentials click on update. X-REPORT: This screen allows the user to view current day or previous days status of the cash in the system. Users can view the category, sales, discount, surcharge, void, regular, happy hours, tax details of the present day. Users can download the report as a CSV file and/or print the report. X-Reports can be produced as many times as you wish during the day without resetting the days sales. Sienna Z s out every morning at 4am and a new business begins at 4:01am. 12
14 Z-REPORT: This screen allows the user to view current and/or previous days status of the cash in the system. Users can view the category, sales, discount, surcharge, void, regular, happy hours, tax details according to the date. Users can download the report as a CSV file and/or print the report.. Z-Reports can be produced as many times as you wish during the day without resetting the days sales. Sienna Z s out every morning at 4am and a new business begins at 4:01am. ADD USER: This screen allows the user to add a user by adding the name, pin number, role performed by the user and status of the user. The user has to add a pin number and remember the pin number to open the application as per the given permissions. City, State, Address, phone, and address are optional. Clicking on clear will clear the entered details without submission. Please note PIN numbers must be unique. No 2 users can have the same PIN #. 13
15 MANAGE USER: This screen allows the user to manage users and view names, roles, s addresses, phone numbers, cities, states, and statuses of the users. The user can view the user s details through keyword/status search filter. Clicking on clear button will display the entire users list. The user can edit the user and can change the required fields. To delete other users on this screen, select the user desired and select the delete button. MANAGE ROLES: This screen allows the user to add roles, edit roles, add permissions to a role, and delete a role. Users can view the all of the details of the roles such as user type, created date, created by, modified date, modified by, user count, rights assigned and status. In order to edit the role, the role of the user, user type, and status is mandatory. The user can view the role details through keyword/status search filter. 14
16 ROLE PERMISSIONS: When clicking role permissions this allows the user to select what the person of that role is able to access whenever using the system. Clicking on the clear button will display the entire role details list. CASH DRAWERS: This screen allows the user to add, edit, and delete drawers. It views the entire cash and ticket drawer s details such as drawer code, status, and current balance. Users can view the cash drawer details through keyword/status search filter. Selecting on the clear button will display the entire cash drawer details list. We strongly suggest no customers ever enter this screen. We set your permissions so you do not have access to this screen when you begin using the system so you should not have access to the screen. 15
17 WITHDRAWAL REPORT: This screen allows the user to view the records of the cash movements such as dates, shifts, drawer codes, cashiers, managers, amounts through drawer/cashier/shift/from date/to date and also the combination of any select options. Clicking on the clear button will display the entire cash movement list. Clicking on new withdrawal will allow the user to withdraw cash from drawer only if the information is accurate and clicking on edit withdrawal will allow updating withdrawal details. DEFAULT SETTINGS: Never change unless consulting with Myers Integrated Systems, LLC. 16
18 TABLE LAYOUT: This screen allows the user to view table availability, allows change in the name of the seating arrangement, and updates the changes. DATABASE SETTINGS: Never change this screen without consulting with Myers Integrated Systems, LLC. 17
19 ACTIVATE PRODUCT: This pop-up will allow the user to activate our software only after generation of the key by entering the correct serial number. The key is provided to you from Myers Integrated Systems, LLC when you purchase the system. CHANGE PASSWORD: The user has the facility to change the password by entering the current password, creating the new one, and then finish by clicking update. TAX REPORT: This screen allows the user to view a tax report according to the date filter. Previous dates are also available to search through. This will show you the total amount of tax $ from items sold for the date range entered. If you do not flag items to be taxed, this report will not have any content. Downloading to CVS is also available. 18
20 PRACTICE MODE: This screen allows the user to practice the system application for the new users without disturbing the current application. When pressing the button Practice mode-off it will then turn it to say Practice Mode- on. We suggest NOT using Practice Mode as you may forget you are in practice mode and enter live sales. BUSINESS HOURS: This is where your business hours are set in Sienna. We default all of our customers to have each day begin at 4:01am and end the next calendar day at 4am. If you decide that you want to change these times, Please consult with Myers Integrated Systems, LLC before doing so. 19
21 TICKETS HOME: The user can add ticket sales and/or payouts from this screen by the customer s choice. Game Placement allows the user to put the games in whatever order they want. The Log shows the history of all of the activity that has been recently entered. Only the last 50 sale/payout/exchange entries can be viewed and/or changed/deleted. Fast add start will allow the user to quickly add sales for more than one game. Tally start allows the user to add more than one games sales and payout into the system and when finished the user selects Tally End and the system will let them know how much the customer is owed OR how much the customer owes. It also allows a fast selection of what type of bill is being used. Contact Myers Integrated Systems, LLC for information about the Drawing Kiosk. The load game icon allows the user to download games. 20
22 THE LOG: This shows the last 50 Ticket sales/payouts and/or exchanges entered into they system. Users can Edit or delete a Ticket sale/payout and/or exchange previously entered as long as they make the change before the entry rolls off from being one of the last 50 entries. TICKET ACTIVATE AND DEACTIVATE: Selecting the activate key allows tickets being activating by searching through the serial number for which ticket game the user would like to activate or deactivate, and selecting if the game is active or not, and it s status, once finished select update. This is how users put a game into play and/or Pull a game from play. 21
23 ADD GAMES: The user adds a new game from this screen by filling the information such as Ticket name, form name, ticket serial number, game play type, status, game type, cost per play, plays in game, cost of game, and total cost of game. All game details should be available from the games flare and/or from your Distributor. If the user has a scale they can enter the weight of the tickets by selecting Weight game and entering the Tare weight and Start weight of the game. To enter Gaming activity prior to your purchase of your Sienna POS Ticket system, Users can select close out this game, users can then enter the total payouts, prizes amount total, and select the games date in play, the date out of play and enter the tickets sold and total paid out amounts. When finished adding the games detail, select the add button. Sienna will keep all the values on the screen except for the serial # of the game. This will allow you to quickly enter games that have the same name but different serial numbers. To clear all fields select the Add Games button in the tool bar area. MANAGE GAMES: The user can update the games flare details from this screen. Users can view game details through Serial number and date search filter. An option is also available to show games that are closed or not yet closed. To edit a game, simply select any of the games fields and select Edit. 22
24 RESET A GAME ACCIDENTLY PUT INTO PLAY: Go into the Manage Games screen under the Tickets tab, select closed games, then search for the game that was just made inactive. Once it is found select the game and then select edit. Once the edit window appears change the Yes in Close Out This Game to No, then make the Date In Play and Date Out Play have no dates. Then end with selecting Update. * After this process the game will no longer be on the Closed Game Report. * PULLED GAME ADJUSTMENT: In order to adjust a game in Pulled Game Adjustment, select the Tickets tab then select the Pulled Game Adjustment tab. In the search bar type in the serial number of the game desired, once entered and the game is on the screen, select edit. 23
25 VIEW OR EDIT TICKET SALES: To view Ticket Sales go to the Tickets tab then select Sales, on the sales screen where the Filter Game scroll bar is select the game type desired. In order to edit just select the edit button. Ticket Sales can also be removed and added on this screen. VIEW OR EDIT TICKET PAYOUTS: To view Ticket Payouts go to the Tickets tab then select Payouts, on the Payouts screen where the Filter Game scroll bar is select the game type desired. In order to edit just select the edit button. Ticket Payouts can also be removed and added on this screen. 24
26 MEMBER MANAGEMENT: This screen allows the user to add a new member, search through members by typing the ClubId or Name in the search bar, and edit them. When adding a member enter the name, first name, members phone, aeddress, state, city, birthday, zip, and comments. The membership tab will allow users to update and/or renew members membership. TYPE MANAGEMENT: This screen allows the user to edit, add, remove, or disable different types of memberships. When editing the membership types the user can select if it is active or inactive. This screen also allows users to edit the different terms, from the number, name, and date beginning and ending. When editing the user can edit the name, #, due amount, and if active or inactive. We suggest to add the year to each membership type, this way membership renewals can be tracked by the year. 25
27 MENU DASHBOARD: This screen contains buttons Point of Sale- This button takes the user to the screen to enter food/ drink sales. This is further explained on the following page. Ticket Bartender/ Shift- This is called the X report, which shows the ticket sales and payouts for each bartender. Ticket Z Report- This button is all of the ticket activity from all of the bartenders under one report. Bar Bartender/ Shift- Shows all of the sales the bartenders have made during their shift. Bar Z Report- Shows all of the activity of the bartenders summarized together. Update Menu- The update menu button allows the user to manage the menu items. Stock report clicking on this button leads to stock report window. Manager Reports- Manager reports contains a series of different reports such as Top Selling Items, Product Sales Report, Sales History Journal, Bartender Sales Report, POS Sales Report, Bartender Deleted Sales Report, Items Sold Details, Items Sold By Period, Items Sold By Category, Sales Order Removed, POS Order Details by Bartender, W2G Summary, Transactions By Date, Currently Open Games, Active Games, Sale/Payout Log, Manager Alert, Withdrawal Report, and Open Drawer Log. Help Manual- The help manual gives detailed directions on using the system. 26
28 POS Clicking on this button leads to POS front end where the user can take/enter new orders. Clicking on the new order button will open a pop-up to enter the details of the customer including the selection of a table # if they wish. Clicking on the food items icon will enter the name of the item in the ordered list. The left side of the window contains the ordered items list and an exception button to give exceptions (discount, tax, void) so that users can give exceptions from here, a pay button when the bill is paid and can take print. Clicking on the button will open a pop-up with tab details. Users when hitting on withdraw will open a withdraw amount and when hitting on open drawer it will open a drawer. Hitting on the Misc button will open a pop up where the user can add cost of the item for current usage. Hitting on print in kitchen will open printer to print the menu items. Users when clicking on the search button will open a pop-up to search a required item. Clicking on back office will allow the user to go to back end of the application. Clicking on table layout will allow the user to view the table availability and can also update the customer details. By clicking on go to tickets the user can quickly switch to the Ticket Home screen and enter Ticket activity. 27
29 UPDATING ORDER: By selecting on the order number on the top left of the screen, this box will appear. The user can then select the order type, which table, customer name, and there is an option to split the order into more than one. SPLITTING ORDER: Once selecting Split Into More this box appears, by selecting the plus sign it allows you to select on the items the user would like to put into a different order and drag it under the person who ordered it. The boxes at the top are where the customer s name is entered. Once done select save. 28
30 TRANSACTIONS: Once selecting Finance and then going to transactions users can Add, Enter, Modify, and Delete Small Games of chance transactions. W2G FORM: This is located under the Finance tab. Add, Enter, Modify, Print, and Delete W2G details. 29
