MBM Online Community Training Sheet 1: Accessing the MBM Online Community Step 1: Get a login There are two ways to get a login to the MBM Online Community: 1. Send an email to admin@mbm.asn.au requesting a login 2. Go to the login screen for the Online Community and request a login there. a. Click on the following link; Online Community (Make sure you save this site as a favourite). b. Click on Sign Up c. Fill in the required information and click Submit After doing step 1 or 2 you will receive an email directing you to read and agree to our User Guidelines. Once you have done this you will be sent a login and password to the Online Community Step 2: Login to the Online Community To login to the Online Community go to the site mentioned in Step 2a above, type in your login and password and click the Login button. This will take you to your Home screen. For more information on how to use the Online Community click on HELP in the top right hand corner of your screen OR contact admin@mbm.asn.au or call 9677 0133 1

MBM Online Community Training Sheet 2: Updating your Profile (Privacy Settings) Whenever you login to the Online Community the first thing you ll see is your Home Page. From here you can navigate to different parts of the Online Community. Viewing and Updating your Profile From your home Page: 1. Click on Go to My Profile. From here you can view and update the information stored about you and your family. But today we want to look at just one part of the profile your Privacy Settings. 2. Click on Update Privacy. a. Scroll down to the Heading Listed. If the unlisted button is marked it means that even though your details are stored in the system no-one else can see them. So click on the button marked listed. b. Now that your details are viewable by others in the church you can fine tune this. Read through the following items and decide exactly who you want to be able to see each specific detail Church Leaders, Friends, Fellow Group Members, Everyone. ( An explanation of these privacy levels is back at the top of this Update Privacy page.) It would be great if you can make most of your details viewable by everyone (meaning everyone in the MBM). 2

MBM Online Community Training Sheet 3: Updating your Profile Basic details In Training Sheet 2 we showed you how to update your privacy settings in your profile so that other people can see the information you want them to see. In this Training Sheet we want to show you how to update other information in your profile. From your Home Page: 1. Click on Go to My Profile. From here you can view and update the information stored about you and your family. 2. Click on Edit Profile. From this new screen you can update all your stored information. One of the most important things to update is your Date of Birth. Without a birth date you show up as 0 years old. This makes it harder when sending emails to the adults in our church to make sure you are included. To update your Date of Birth: Scroll down to the Heading Date of Birth and fill in your date of birth. Remember that you have already selected who can see this information. (If you haven t already set your privacy settings please see Training Sheet 2.) Note that other information such as Gender, Marital Status, Anniversary, Allergies, Email and contact numbers can also be updated while in this page. In the next Training Sheet we ll look at some of the other pages of your profile that you can update. 3

MBM Online Community Training Sheet 4: Inserting your Photo One of the really great things about the Online Community is being able to remind yourself of what people look like. So it s really helpful to others if you add your photo to your profile. To do this you will need a photo of yourself saved on your computer. (The best format is jpeg and the best ratio is 2:3 ratio but other ratios will work fine.) After logging in (see Training Sheet 1): Step 1: Click on Go to My Profile Step 2: The click on Profile Step 3: Next to the word Photo click on Choose File. (Note: If you already have a photo but wish to change it this button will say Browse.) A list of your computer s folders will appear. Select the folder containing your photo, then double click on the photo you want to appear in the Online Community. Step 4: Click on save at the bottom of the screen. It may take a while so please wait while it is processing. Once it is uploaded your photo will appear. MBM Online Community Training Sheet 5: Address, Serving and Social Your address details are important. Sometimes we mail out letters, or we may have a church member who needs a lift and we need to find people in their suburb to ask if they are willing to help. Remember that you have privacy settings in place to control who can see this information (See Training Sheet 2). After logging in (see Training Sheet 1): Step 1: Click on Go to My Profile (see Training Sheet 3) Step 2: Then click on Profile (see Training Sheet 3) Step 3: Click on the tab in the blue bar Address. Update your address details if they are incorrect or missing. In the box for City please put your suburb. Step 4: Click on the tab in the blue bar Serving Select the words that best describe you, if you want to select more than one see the tip just under your name. Step 5: Click on the next tab in the blue bar; Social. Select or fill in the boxes. Step 6: Click on Save at the bottom of the page when you ve finished. You can return to these steps and change any of these details any time you wish. Just remember to click on Save when you finish. 5

MBM Online Community Training Sheet 6: Finding People at MBM You may have met someone at church you would like to call or email. If you know only their first name or someone else in their family you can still find them in the Online Community. Step 1: Click on the People tab. Step 2: Type a name in the box to find your person. AS you type the first part of their first name or last name a list of people will appear. Step 3: Click on the person s name you are looking for when it appears beneath the box. Their contact details should be visible beside their photo. If their name does not appear it means that they have not made themselves listed to the rest of MBM. See Training Sheet 2 (step 2a). Step 4: Click on Family for a list of their family members. You can then click on other family members for their details to appear. Click on Info or Involvement to learn more about this person. If there are no details there it means that they have not updated their profile, see Training Sheet 3. Step 5: If you are likely to be contacting this person regularly, add them to your friends list. While viewing their details click on Add to my friends list Remember that in Training sheet 2 we went through privacy settings and you may have set some of your details to be visible to friends only. Anyone you now make friend will see those details. Step 6: Click on Send email if you want to contact them by email. 6

MBM Online Community Training Sheet 7: Family Profile The Family Profile allows you to update some fields for all the members of your family at once rather than having to do them for each person. Viewing and Updating your Family Profile From your home Page: 1. Click on Go to My Profile. 2. Click on Edit family profile. From here you can view and update the information stored about you and your family. Use this page to change phone numbers or addresses for everyone in your family. The last box on this page asks you to select Listed or Unlisted. Unlisted is like a silent number. No one else in the church can see anything about you. Please choose to be listed. You can also add a family photo. This is different to individual photos stored for each family member. We would love you to add a family photo. The family photo will be the one used when we begin printing our Prayer and Contact booklet with photos. To add a family photo: a. First you will need a photo stored as a jpeg file. b. To add this photo to your Family Profile click on Choose File. Or you may click on Browse. This opens your computer s files. Go to the folder where your photo is stored. c. Double click on your chosen photo. 3. Click Save at the bottom of the page 7

MBM Online Community Training Sheet 8: Using the Calendar The Online Community Calendar shows all the events run at MBM. It can be used to find upcoming events, check times, find out where they re being held and to book in for the events. Home Page Calendar Your Home Page shows your personal calendar and a list of the next four events beside it. Note: the events listed here are not all the church events but only those for the various groups you belong to. To see a more detailed calendar you can click on the calendar or click on the Calendar tab at the top of the page. Detailed Calendar There are two different views of the Detailed Calendar: My Calendar, which shows all the events for the groups you belong to and Church Wide Calendar, which shows all the events open to the whole church. You can move between these displays by clicking on the buttons just above the calendar on the left-hand side. To get details on one of the events: 3. Click on the event. A small box containing some details of the event will appear. Click on the words more details in this box to get more information. 4. Your screen now shows more details on the event. From here you can email the event organiser for more information, see who else will be attending (if this event has used electronic registration), and indicate that you plan to attend. 5. To indicate that you will be attending: i. Click on the RSVP button. ii. Choose your reply (Yes, No or Maybe). iii. Optionally, add a comment (e.g. food allergy). iv. Indicate if you are bringing any guests. v. Click on the RSVP in the bottom right of the Reply message. You can change your response at a later date if necessary by redoing these steps. NB; not all events require you to RSVP, even though the RSVP button appears on all event details. 8

MBM Online Community Training Sheet 9: Sending messages to your group You can easily send an email to all members of a group you belong to when you are using the Online Community. Your message can be sent to all the members in your group or the leaders only. (Note: If you want to send a message to just one person please see Training Sheet 6.) On your Online Community home page all the groups you belong to are listed on the right side of the screen. (If you belong to a group and it does not show in this list please contact the office.) Select the group you want to send a message to. Select the messages tab to read any comments left by other group members. To create a message select the box NEW MESSAGES. (Note: If you are the group leader or assistant leader you have further options. You can allow your group members to respond directly to you, allow or disallow discussion on your comment and also attach files or photos for your group to view.) When using the Online Community please remember the user guidelines. It is to be used with care and courtesy for personal and friendly communication. Keep the online discussions and emails personal, positive and profitable. Please report any problems so a resolution can be found. Select all members or leaders only Enter the subject title Type in your message (If you are the group leader or assistant leader you have 4 message options you can use. )..When finished hit SEND 9
