4 1.0 Introduction The Financial Transaction Tax Declaration and Reconciliation system for Monte Titoli provides a solution to allow you (Accountable Parties) to report and reconcile all monthly financial tax declarations for submission to the Italian Tax Authorities. The system has been devised to account for the following features: The diagram below provides an overview of the data workflow from Accountable Parties to the Italian Tax Authorities via Monte Titoli and the UnaVista system. NB. This diagram is subject to update to include Non Resident (NR) entities.

5 2.0 Monte Titoli Financial Transaction Tax Declaration Reporting and Reconciliation The Monte Titoli Financial Transaction Tax Declaration (FTTD) Reporting and Reconciliation application provides users with a comprehensive reporting mechanism for validation, submission and storage of financial transaction tax declarations submitted by Monte Titoli staff on behalf of their clients (Accountable Parties) to the Italian Tax Authorities. Key features of the MT FTTD solution include: The ability to accept data in a variety of formats Thorough validation within a pre-agreed set of validation rules The opportunity to reconcile Accountable Party submitted reports against data held by Monte Titoli This guide describes the functionality available to users through the UnaVista application. 2.1 Browser Settings The following browsers are supported: Microsoft Internet Explorer (version 6 and above) Google Chrome (version 2 and above) Firefox (version 3 and above) Users of Internet Explorer 8 and above may find it beneficial to have compatibility mode switched on. For optimum system performance, the following settings are recommended: 2.2 Screen resolution at least 1280x1024 The Dashboard requires Adobe Flash version 8 and above List of Abbreviations This guide uses a number of abbreviations, a list of which can be found below: Accountable Party (AP) Monte Titoli (MT) Financial Transaction Tax Declaration (FTTD) Italian Tax Authority (ITA) 2.3 Access Monte Titoli Financial Transaction Tax Reporting and Reconciliation System The MT FTTD Reporting and Reconciliation system is a hosted solution that is fully accessed via your internet browser. There is nothing to be downloaded or installed on your computer to make the system work. To access the MT FTTD Reporting and Reconciliation system you will need to have been given access by your Monte Titoli representative as part of the onboarding process. Once your contract has been signed, MT staff will create your user rights for accessing the system.you will automatically receive your login credentials via an auto-generated email sent from UnaVista. Once you have received the email containing the link and password for accessing UnaVista then you should navigate to the UnaVista site and enter these credentials and click Login.

6 2.4 Logout of Monte Titoli Financial Transaction Reporting and Reconciliation System To logout of the MT FTTD Reporting and Reconciliation system simply click File Logout at anytime. All your edits will be saved automatically. When you login next time, all your data will be included in the system.

7 3.0 Navigating the System On logging into UnaVista you will be taken to the home page. The left-hand pane contains the Navigation Settings and Folders panels. The right-hand pane will display the news window by default on logging in, and the folder content when opened. 3.1 Navigation Settings The Navigation Settings panel has the following user functions: 3.2 Import Data Folders The Folders pane displays the data folders available to you in the system. As an AP user, you will only see a Reports folder. Each folder (except Tax Declaration Aggregates) contains two clickable columns that open to show data in the right hand screen when clicked. To learn more about the contents of a folder column hover your mouse over a column number to see a tool tip definition. All subfolders and their functions are discussed in chapter 4. 3.3 Right-hand Screen The right-hand screen displays the News/Welcome screen on logging in and when a user opens a folder by clicking a numbered column, the records and drill-down views will be displayed there.

8 3.4 News This tab displays any updates or news from the UnaVista team. 3.5 Dashboard If configured, the dashboard displays the pre-set charts giving a snapshot of data in the system. 3.6 Folder Data On clicking a folder, the right-hand pane displays the data as a list of records (sometimes referred to in the documentation as a clusterlist). Alongside the folder titles in the folder tree, there are one or two columns corresponding to a category within the folder. Hover your mouse over the column number to view a description of the contents. Click the column number to display the records in the right-hand pane. 3.7 Data Drilldown You can view related data for a record by using the Drilldown feature. From most data lists, right-click a record and select Drilldown to view a breakdown of the data. The drilled down data appears in the panel below the record list. In some cases, there are three standard drilldown tabs:

9 Audit Report a report of all workflow events for this transaction report All Data a list of the data fields in the report Attachments any attachments to the report. NB. In some cases there may be more drilldown tabs subject to the folder you are navigating. For example, if you were to navigate to the File Import History folder and select drilldown you would have the opportunity to view File Content Errors.

10 4.0 MT FTTD Reporting and Reconciliation Folders The MT FTTD Reporting and Reconciliation system contains the following folders: Reports Tax Declaration Aggregates an aggregation of all vaild tax declarations that you have uploaded. This is for reference purposes only. You can drilldown through the aggregates to see individual pieces of data. Tax Declaration Details shows all valid tax details (first column) and all cancelled / exceptions / late submissions (second column). From the first column you can manually create tax details and also cancel any existing tax details should you not wish to submit them to MT. Tax Receipts displays all tax receipts that match and tax receipts that do not match with the data that is entered by MT staff. File Import History displays all valid files that you imported (first column) and any exceptions (invalid files) in the second column. Accountable Party Details displays all valid Accountable Parties and any exceptions. In the first column (Valid) it is possible for you to create and edit certain existing Accountable Party information.

11 5.0 View and Search Reports The UnaVista interface provides users with functionality to view, search and filter reports. 5.1 Customise the data display You can customise how the reports appear in the right-hand pane for easier viewing. Column visibility, ordering, sorting, filtering all changes will remain to the user or that view even if you log out of the system. To undo any of the changes you make, click the Options button and select Reset View. Move or hide columns To move the columns, simply drag the column header and drop it in the position you wish to place it. To choose which columns to display, hover your mouse over the column heading to display the arrow; click the arrow to display the column context menu. Select the Columns option to display the columns available to this folder. Uncheck those you wish to hide or check those you wish to display. Sort data Click the column header to sort the data by that column. You will see a Sort symbol on the column title - with the arrow pointing up or down depending on the whether the data is in ascending or descending order. You can undo the sort by selecting Options - Reset View. Group by columns To group the data, hover over the column you wish to sort by until the arrow appears, click to display the context menu and select Group By This Field. To undo the grouping, open the context menu and uncheck the Show in Groups check box.

12 5.2 Field Filters To filter by a specific field value, right-click the value you wish to filter by and select Filter For [field value]. Column Filter The column filter allows you to filter by data strings or specific column values. To access the column filter: 1. Hover the mouse over the column title and select the down arrow that appears 2. Select Filters from the column options menu and either choose a value from the = drop-down list or type characters in the data string fields 3. To search for data where this column is blank, select the Blank check box 4. To search for non-blank fields in the column, select the Not Blank check box Add Custom Filter View This option creates a separate tab containing the filtered data. The tab is saved and will remain available to you even when closing and re-opening UnaVista. You can make this filter available to all users in your entity by clicking the Public Filter check box. 1. Access Filter view by navigating to Options - Add Filter View 2. Type a name for the filter 3. If you wish this filter to be public (can be viewed by other UnaVista users), select the Public Filter check box

13 4. Choose the field you wish to filter by, choose the operator (Equals, Greater than etc.), and select the value from the drop-down list 5. If you wish to link multiple filters, select AND or OR as required from the Logical Operator field 6. Click Filter to filter the view. This filter view will be displayed in addition to the default view whenever you open the folder. Filtering by Date fields If you wish to filter according to a date field, UnaVista has enhanced options to filter by date only, or by date + time. To filter data using the Today or Now options: 1. Open the relevant folder to display the message list 2. Select Options - Add Filter View to add a new filter (or Edit Filter View to edit an existing one) 3. Type a Filter Name and select a date field from the Field drop-down list. 4. Select an Operator 5. From the value field, click the calendar icon to display the calendar 6. In addition to the standard calendar, the following buttons are available: Today-1 - yesterday's date Today - Today's date Today+1 - Tomorrow's date Now-1 - Yesterday's date and time Now - Today's date and time Now+1 - Tomorrow's date and time 7. Choose the preferred date or use one of the buttons. If you wish to increase the offset on the Now- and Now+ buttons, move the slider to the right 8. Click Filter to save your filter. Public Filters If other users have created Public Filters, you can access them by selecting Options - Manage Public Filters. If you wish to remove the filter view, select the filter tab you wish to remove and click Options - Remove Filter View.

14 If you wish to remove all filter views for a given folder, select the original folder view tab and click Options - Remove All Filter Views. 5.3 Active Basket The Active Basket function allows you to create a custom selection of records and display them in a separate tab. The Export function can then be used to extract the data to a text file or Excel spreadsheet. To use the Active Selection Basket: 1. Select the check box beside the records you wish to display in the Active Selection Basket. 2. Click the Active Selection Basket button to add the records. 3. A new tab appears to the left of the active tab with a number corresponding to the number of records added to it. 4. Click the Active Selection Basket tab to view its contents. The basket will have all the buttons and functions associated with the original view. Remove records from Active Basket To remove data from the Active Selection Basket, select the check box beside the record and click the Remove from Active Selection Button.

15 6.0 Import Data Once the UnaVista system has been prepared you can then begin importing data. It is simple to import data into the UnaVista system in order to quickly and easily run reporting which will be cross referenced with the MT data in preparation for submission to the Italian Tax Authority. Imports are loaded directly through the UnaVista interface. To import data files: 1. On the Navigation Settings pane, select the Import button. 2. Browse to the location of the file and select Open. NB. You must ensure the file name and file format meets the pre-agreed guidelines. Otherwise, the import will fail. Currently the files and formats are as follows: - ITA Standard File Formats: these filenames must start with the letters FTT - CSV manual uploads: these filenames must start with the letters NRFTT - Manual data entry For further information about manually creating a tax declaration on the UnaVista system please refer to chapter 7.2. 6.1 3. A progress bar will display showing the progress of the upload. 4. Once the file has fully uploaded, the data will be processed according to the workflow. File Processing Status Once imported, the status of the file is recorded in the File Import History folder. The file will be visible in the Valid folder (first column) if upload was successful or in the Exceptions folder (second column) if the upload was unsuccessful (or upload was successful but there are exceptions related to the file.). 6.2 Valid File Uploads AP users can check all valid data uploads by doing the following: 1. In the File Import History folder click the first column (Valid Files). The right hand pane will open to show all valid file uploads. 2. Right mouse click the imported file you wish to view and click Drilldown and select All Tax Declaration Details. The drilldown pane will open showing a breakdown of all the tax declaration details for the uploaded file. All valid files will automatically be included in the next submission to MT unless they are submitted after the deadline in which case they will be considered late payments. All valid file uploads from one AP will also be aggregated into one record visible in the Tax Declaration Aggregates field. You can access this information by clicking the first column of the Tax Declaration Aggregates folder in the Folders view.

16 6.3 File Upload Errors There are three types of errors that can occur during data upload: Content Errors - Errors in content such as non-matching records. File Errors Errors in file type and naming convention File Errors Manual CSV file upload errors 6.4 Checking for Upload Errors AP users can check for upload errors by doing the following: In the File Import History folder click the second column (Exceptions). The right hand pane will open to show all file exception errors. Right mouse click the imported file you wish to view and click Drilldown and select either File Errors or Content Errors. The drilldown pane will open showing a reason for the file upload error.

17 7.0 Tax Declarations Details View From the Tax Declarations Details folder AP users can: View all tax declarations that have been uploaded. (via column one) Manually create tax declarations (if you do not want to import a file as shown in chapter 6) (via column one) View cancelled tax declarations / late submissions and exceptions (via column two) Cancel tax declaration (via column one) You can access the Tax Declarations Details view by clicking the columns next to the folder Tax Declarations Details: Clicking the first column will open the Valid Tax Details table and clicking the second column will open the Cancelled / Late Submissions and Exceptions pane. 7.1 View Valid Tax Declarations To view all valid tax details that have been uploaded to UnaVista click the first column of the Tax Declarations Details Folder. The Valid Tax Details pane will open to show all valid tax details that you have uploaded to the system. NB. If there is a lot of data included within the folder then you can always use the filters to find the information you require. To learn how to use the filters please refer to chapter 5. 7.2 Manually Create Tax Declaration It may be necessary to manually create a tax declaration directly within the UnaVista system rather than importing a file. This process is done via the Valid Tax Details pane. To manually create a tax declaration: 1. From the folder pane click the first column of the Tax Declaration Details folder. The Valid Tax Details pane will open.

18 2. From the Valid Tax Details pane, click Create. The Create Tax Declaration form will open. 3. Complete the form, providing as much information as possible. NB. The Reportable Party Details box is mandatory. Once you select an Accountable Party Name from the dropdown list, the tax code (and, if applicable, Non Resident Entity ISO Code) will be auto populated in the form. 4. At the bottom of the form click Create to submit the form, Create & Another to submit the form and open a blank form to create another new tax declaration or Cancel to cancel your edits without saving and close the form. 7.3 Once you have created the form, if your entry is valid it will become visible in the Valid Tax Details pane. It will be matched against Monte Titoli data and subject to reporting and reconciliation. View Cancelled Tax Declarations / Late Submissions and Exceptions To view all cancelled tax declarations, late submissions and exceptions for your tax declarations click the second column of the Tax Declaration Details folder. The Cancelled / Late Submissions and Exceptions pane will open to show all tax declarations that have been cancelled, that have been submitted to Monte Titoli late or contain exceptions. Scroll your mouse to the far right of the screen to see the cancel flag, late report and cancelled user information.

19 7.4 Cancel Tax Declaration There may be instances where you wish to cancel a tax declaration that has been imported / created. NB. You will not be able to delete tax declarations that have already been submitted to the Italian Tax Authority. When you cancel a tax declaration it is deleted from the UnaVista system, it will not be included in any declarations that are sent to the Italian Tax Authority. The cancellation process is not reversible. Once you cancel a tax declaration it will only be visible in the Cancelled, Late Submissions and Exceptions folder. To access which please see Chapter 7.3 To cancel a tax declaration: 1. From the folder pane click the first column of the Tax Declaration Details folder. The Valid Tax Details pane will open. 2. Select a record by marking the checkbox and click Cancel. The record will move from the Valid Tax Details pane to the Cancelled, Late Submissions and Exceptions pane. The tax declaration will no longer be included in any reporting cycles with Monte Titoli.

20 8.0 Accountable Party Management As a Submitting Accountable Party, you may have many other Reporting Accountable Parties reporting to you. In UnaVista it is very easy for you to create additional Reporting AP s, edit certain information of current Reporting AP s and cancelling AP s (known henceforth as withdrawing AP s). All of these tasks are undertaken via the Accountable Party Details folder. The Accountable Party Details folder is divided into two columns. Clicking the first column will show all Valid AP s within your domain and clicking the second column will show all Exceptions.The exceptions folder shows all Accountable Parties that do not pass validation in UnaVista. 8.1 Create a Reporting Accountable Party To create a Reporting Accountable Party, do the following: 1. From the folder pane click the first column of the Accountable Party Details folder. The Valid Tax Details pane will open. 2. Click Create to open the Create Accountable Party form. The form will open containing two pre-populated fields which cannot be edited because the information relates to the Submitting AP 3. Populate the form as required (Some fields are greyed out as they are auto-populated system fields).

The person who will receive notification emails ISO code of the Non resident entity (if applicable) 4. At the bottom of the form click Create to submit the form, Create & Another to submit the form and open a blank form to create another new tax declaration or Cancel to cancel your edits without saving and close the form. 8.2 Edit Reporting Accountable Party Occasionally, you may need to edit some details of a Reporting Accountable Party. You can edit the following information only: Withdrawal Date The date that the Reporting AP will be removed from the system. Non Resident Entity ISO code Notification Email ID The email address that receives all UnaVista notification emails. All other major system edits or AP deletion will need to be completed via your MT Staff representative To edit Reporting AP information, do the following: 1. From the folder pane click the first column of the Accountable Party Details folder. The Valid Tax Details pane will open 2. Click the edit icon to open the edit window. The edit form will open:

22 3. Edit the Accountable Party information as required. NB. You can only update the Withdrawal Date (as discussed in chapter 9.3), Notification Email ID (The user who will receive all email notifications from the system) and Non Resident Entity ISO Code. 4. Click Save to confirm your edits and return to the Valid Accountable Party pane, Save & Next to confirm your changes and open the next Accountable Party in the list for editing or Cancel to reject your edits and return to the Valid Accountable Party pane without saving. 8.3 Your changes will now be reflected in the system. All other major system edits will need to be completed by your MT staff representative. Withdraw Reporting Accountable Party Accountable Parties are always fully deleted from the system when you withdraw a Reporting Accountable Party. No data is ever retained by the system except log information. To withdraw a Reporting AP, do the following: 1. From the folder pane click the first column of the Accountable Party Details folder. The Valid Tax Details pane will open. 2. Click the edit icon to open the edit window. The edit form will open: 3. Enter the Withdrawal Date and click Save. The Reporting AP will be withdrawn on the date you specify. From this date it will no longer be possible to process reports for this AP and they will not be able to log in to the UnaVista system.

23 9.0 Exporting Data You can always export data from the UnaVista system for your own reporting and monitoring purposes. All exports that are requested by AP users will be sent to users who have been assigned the Notifications Only user property. The system will generate an email containing the exported file. You can then adapt it to suit your needs as required. 9.1 Manual Export of Data All data in UnaVista can be manually exported in to a number of different file formats to suit your requirements. The file formats available to you are, *.pdf, *.xls, *.csv, *.txt. You can either export the data as you see it in the current view (if you have added a number of filters or changed the column order) or alternatively you can export the data in the default view which will generate the file in the default view (without including any filters or ordering that you may have applied to the data) To manually export data from UnaVista do the following: 1. From any active dashboard showing a list data click Options 2. Select Export Current View As and then the format type you wish to export (pdf, xls, txt or csv). NB. Select Export Default View As if you would like to export the data in an original view without including any filters or ordering conventions that you may have set.) 3. The file will generate and open in the format that you selected.

24 10.0 Email Notifications There are two types of emails that AP users will receive while working in UnaVista: Payment Notifications Emails Sent at beginning of payment submission period. Payment Reminder Emails Sent after the payment submission period (if payment has not been made by deadline)
