4 1 Introduction eprotocol is a Key Solutions Protocol Management System (PMS) tool used to manage the submission, review and approval process for protocols used in a variety of research projects. The software helps eliminate application errors and improves collaboration and communication among research teams. This document focuses on the Committee Manager role in the eprotocol system application. This document explains the various functions the Committee Manager (CM) can perform once the module is enabled and the Committee Manager has access. The Committee Manager s primary function is reviewing submitted protocols for readiness for review. If a protocol is ready for review, the Committee Manager assigns the submitted protocol to a panel for review. If a protocol is not ready for review, the Committee Manager returns the protocol to the Investigator with comment about what needs to be changed. The Committee Manager can perform additional functions to support the preliminary review and assignment responsibilities: searching for a protocol, sending , and viewing non-active protocols. Separate eprotocol guides are available to personnel assigned to the roles of Principle Investigator, Manager, Site Administrator, Company Administrator and Reviewer. Key Solutions makes improvements to its software on a regular basis. This guide was developed referring to software version General Information This is the Note icon. It indicates information requiring special attention. This is the Warning icon. It indicates a problem that must be avoided. Table 1 - Common Acronyms and Definitions Encountered in this Guide Acronym Stands For Definition PI Principal Investigator The person responsible for creating, completing, and submitting a protocol. Protocol ID Protocol Identification Number A unique ID assigned to a protocol when it is created. This is used mainly for identification purpose, and it stays with the protocol throughout its lifecycle. 5 a principal investigator (PI) within a research organization where biological materials are research subjects. Manager Manager The person responsible for coordinating the review process (assigning reviewers, reviewing and forwarding comments to PIs, reviewing and returning responses to Reviewers from the PI, generating meeting agendas and meeting minutes, and approving protocols). PR Primary Reviewer The primary person requested to review a protocol submitted to the IBC. Comments cannot be forwarded to the PI for response until all the Primary Reviewers assigned for that protocol have provided their comments. PDF Portable Document Format An Adobe Acrobat file type utilized for attachments. SR Secondary Reviewer A committee member assigned a protocol for review, but others comments can be forwarded to the PI without receiving comments from the Secondary Reviewer(s). Table 2 - Color Coding Definitions Color Definition Light Brown No color The protocol is assigned for a Full Committee Review. The protocol is assigned for a Designated Committee Review or assigned to a Panel. Do not use the Back or Next buttons on your browser while using eprotocol, as this will result in you being logged out of the system. Instead, use the menu items found in the eprotocol module that you are working on. The chevron symbol to the far right of the category headings on the homepage is used to expand or collapse the category of protocol application that you are working on. Use the bread crumb links in the upper left-hand corner of each section to move up through the hierarchy of the eprotocol system. The links are so named because they show you exactly where you are and how to get back to where you were before. Version 1.2 Key Solutions Customer Use Only Page 2 of 35
6 1.2 Logging Into eprotocol If your institution uses Single Sign-on (SSO) this section does not apply. Before you begin, contact the Company Administrator to obtain the proper login credentials. Once you have your login credentials, go to your computer and open your browser (e.g., Firefox). It is important to deactivate the pop-up blocker for the smooth operation of eprotocol. Once you have finished those tasks, do the following: 1. Open the Key Solutions eprotocol web page (eprotocol-inst.keyusa.net) 2. Enter your login and password in the spaces provided on the far right of the page, as shown in Figure 1. This is your regular login. Figure 1: eprotocol Login 3. Click OK. If you forget your password, you can request a new one via the regular process. Once the password is reset, the Change Password window will pop up prompting you to enter a new password upon logging in. If the User ID and/or Password are incorrect, the message Login Failed Invalid User ID or Password is displayed. Version 1.2 Key Solutions Customer Use Only Page 3 of 35
7 2 Committee Manager Home IBC Committee Manager User Guide Within eprotocol IBC application, the Committee Manager is responsible for assigning a panel to the protocols and returning the protocols submitted by Investigator. When you login to the system as a Committee Manager the first page you are shown is the Committee Manager Homepage. The Committee Manager Homepage displays the functions in an easy access format, allowing you one-click access to each function. You can navigate to the homepage at any time by pointing to eprotocol>committee Manager or Committee Manager Home in the top left corner of the screen and clicking Committee Manager as shown Figure 2: Committee Manager. Figure 2: Committee Manager Sub menu Your name and your location (Lakeview) appear in the upper right-hand corner of the Homepage, as shown in Figure 3: Committee Manager Name and Institution/ Location. 8 Figure 3: Committee Manager Name and Institution/ Location Figure 4: Committee Manager Homepage The committees to which you are assigned appear on the dashboard as committee tabs (e.g., IBC, IRB, and IBC) as shown in Figure 4. Select the Committee tab to view the protocols for that committee. Please Note that whenever you want to view the protocol content click Protocol ID link. To sort the protocols in ascending/descending order in a column, click the Column Header. Please Note you can use the Show/Hide icons (up/down chevrons on the right side of the grey section headers) to view/hide the protocols list. Version 1.2 Key Solutions Customer Use Only Page 5 of 35
9 2.1 Homepage Sections and Columns Committee Manager Homepage has two sections: IBC Committee Manager User Guide 1. Transactional Events: This section displays the new protocol submitted by the Investigators or assigned for a committee review by the Committee Coordinator. 2. In Preparation: This section displays the protocols which are yet to be submitted by the Investigators for a committee review. Each Section has the following form types sub sections: Please Note the form types are based on the selected committee (e.g., IBC New, Amendment, and Continuing Review). Table 3 Protocol Form Types on the Committee Manager dashboard Form Types New Amendment Continuing Review Explanation The protocols that are newly created are displayed. The revision forms for approved protocols to submit the revisions made after protocol approval are displayed. The forms for continuing or annual review of approved protocols which are approved for multiple years but need intermediate reviews on an annual basis. 10 Table 4 Committee Manager Homepage columns and their definitions Column Name Definition Transactional Events: Protocol ID Principal Investigator Protocol Event Status/Comments Panel A unique ID assigned to a protocol when it is created for identification purpose, and it stays with the protocol throughout its lifecycle - all the way to the archival. Name of the Principal Investigator for the eprotocol. The current stage of the eprotocol: 1. Receipt of Protocol: The protocol is received for committee review. 2. Panel Assigned: The protocol is assigned to panel to review. 3. Panel Reassigned: The protocol is reassigned to panel to review. The status of the protocol(e.g., Panel Assigned, Panel Reassigned, and Submitted) The name of the panel assigned to the protocol. You can also change the assigned panel using dropdown list and reassign the panel. In Preparation: Created On Form Type The date on which Investigator created the protocol is displayed in the column. The type of forms like New, Amendment, and Continuing Review. 2.2 Committee Manager Functions The two major functionalities of the Committee Manager are: 1. Assigning a Protocol to a Panel. 2. Returning a Protocol to the Investigator Assigning a Protocol to a Panel After reviewing the protocol, if you find the protocol has appropriate information, you can assign the protocol to a panel for the review process. 11 Navigate to the homepage at any time by pointing to the eprotocol>committee Manager or Committee Manager Home in the top left corner of the screen and clicking Committee Manager as shown in Figure 2. On the Committee Manager homepage (Figure 4) you can see the protocols which are not assigned to any panel with the protocol event Receipt of Protocol. Following are the steps to assign a protocol to a panel: 1. Select the checkbox next to the Protocol ID link with the protocol event Receipt of Protocol. 2. Select the name of panel from the Panel dropdown list, as shown in Figure Click the Assign Panel button. Figure 5: Selecting the panel A protocol is assigned to the selected panel, the Protocol Event changes to PANEL ASSIGNED. And displays a message Panel has been assigned for the protocol ID ( ). Figure 6: Protocol Assigned message When a protocol is assigned to the panel, an is sent to the Investigator Group and the Manager (cc) with all details. 12 The Committee Manager cannot edit the Protocol after assigning the panel Reassigning a Protocol to a Panel: You can reassign a protocol to a panel at any stage, even after Manager has assigned a protocol to reviewers. 1. Select the checkbox next to the Protocol ID link on a Committee Manager Homepage (Figure 4). 2. Select the name of a panel from the Panel dropdown list and click the Assign Panel button. A protocol is reassigned to the selected panel and the protocol event changes as PANEL REASSIGNED. When a protocol is reassigned to the panel, an is sent to the Investigator Group and to the previous and current Managers with all details View the Assigned Protocols: You can view a list of protocols assigned to the different panels. 1. Click the Assigned Protocols option (Figure 2) to open the Assigned Protocols page. 2. Click on the Protocol ID link to view the protocol details. 13 2.2.2 Returning a Protocol After reviewing the protocol, if you find the protocol fails to meet the mandatory requirements or does not include any requisite information, you can return a protocol to the Investigator. Navigate to the homepage at any time by pointing to the eprotocol>committee Manager or Committee Manager Home in the top left corner of the screen and clicking Committee Manager as shown in Figure Click the Protocol ID link on a Committee Manager homepage (Figure 4) to open the protocol form. This opens View/Edit confirmation dialogue box Shown in Figure 8. Figure 8: Clicking edit to open form 2. Click the Edit button to open the protocol application form. 3. Click the Return Notes in left side navigation. The Return Notes dialogue box pops up as shown in Figure 9. Figure 9: Return Notes in protocol Form 4. Enter the comments in Return Notes text box and click Save. The notes are saved below the return notes text box, as shown in Figure 10. Version 1.2 Key Solutions Customer Use Only Page 10 of 35
14 Figure 10: Saved Return Notes a. You can enter multiple notes by entering the comments in Return Notes text box and clicking save. b. You can modify the return notes by selecting a check box next to the Return Note and clicking Update button, the dialogue opens where you can modify the Notes and click Save. The notes are updated in Return Notes dialogue box. c. You can delete the Notes by clicking a checkbox next to the Return Notes and clicking Delete. Answer Yes to confirm the deletion. 5. Close the protocol form after giving Return Notes. 6. Now on Committee Manager Homepage, select a check box on far left corner of the screen and click the Return Protocol button. Click Yes on confirmation dialogue box to return the protocol. This returns a protocol to the Investigator group and disappears from the Committee Manager dashboard. The protocol reappears on Committee Manager dashboard with the protocol event as Receipt of Protocol, when the Investigator resubmits the protocol after making the required changes Viewing/ Deleting the Returned Protocols: If you want to view or delete the returned protocols: 1. Click the Returned Protocols option in the eprotocol> Committee Manager sub menu (Figure 2) on the top left corner to open the Returned Protocols page. 2. Check the check box on far left corner of the Protocol ID link and click Delete Protocol button. Answer Yes to confirm the deletion. Version 1.2 Key Solutions Customer Use Only Page 11 of 35
15 Figure 11: Deleting the returned protocols Viewing the Non-Active Protocols You can view the protocols which are not in active state. The non-active statuses are closed, withdrawn, expired, and not preapproved. 1. Click the Non-Active Protocols option in the eprotocol>committee Manager sub menu (Figure 2) on the top left corner to open the Non-Active Protocols page, as shown in Figure 12. Figure 12: Non Active protocols page This page shows the protocol details like PI, Status, Approval Date, last Approval Date etc. 2. Select the Status from the dropdown list, to view the respective protocols. Description of the protocol statuses: Status Closed Not Approved Withdrawn Expired Not Preapproved Description The protocol is closed by the IBC based on your request. It can be reactivated by the Panel Manager. The protocol is not approved by the Panel Manager. The protocol is withdrawn by the Panel Manager. The protocol has crossed the expiration date as no Continuing Review form was submitted for it. It can be reactivated by the Panel Manager. The protocol is not pre-approved. 16 2.2.4 Searching for a Protocol You can search for a specific protocol or a set of protocols that meet criteria you select, once you have found the desired protocol(s) you can open and review them by clicking the protocol ID link. To search for a Protocol: 1. Click the Search Protocol option (Figure 2) to open Search Protocol page, as shown in Figure 13. On this page, you will find several fields you can use in your search you can use one (for example, Protocol ID or Study Tittle) or several (for example, Principle Investigator, Sponsor, and Protocol Status). Depending on your organization the search fields may vary for what is shown here. Figure 13: Search Protocol page 2. Enter/Select any of the details/fields and click Search, the matching protocol(s) appear below the search criteria as shown in Figure 14. Version 1.2 Key Solutions Customer Use Only Page 13 of 35
17 Figure 14: Protocol Search Results To sort the protocols in ascending/descending order in a column, click the Column Header. You can use the Show/Hide icons (up/down chevrons on the right side of the grey section headers) to view/hide the protocol lists. 3. Click on the Protocol ID link to open the desired protocol. Use Clear to clear the search criteria entered and start new search. 4. If you want to save the Search Criteria to re-use in the future; a. Click Save on search protocol page. This displays Search Criteria text field, plus the Save, and Cancel buttons, as shown in Figure 15. Figure 15: Search Criteria textbox b. Enter the name you want to use in the future to refer to these search criteria in the Search Criteria text field and click Save. This saves the search criteria with the given name and adds the name to the Selected Search Criteria drop-down list, as shown in Figure 16. Version 1.2 Key Solutions Customer Use Only Page 14 of 35
18 Figure 16: Selected Search Criteria drop-down list 5. You can add other search criteria to the Selected Search Criteria drop down list, perform steps 2 thru 4. To view the list of protocol searches, click the Selected Search Criteria from the drop-down Sending an You can send mails to any user or restrict you list to people associated with a specific protocol. 1. Click the Send option (Figure 2) to open the Send page, as shown in Figure 17 where you can enter the required information and your message. As in the rest of the system, required fields are identified with a *, if you fail to enter information in one of those fields, the system displays an error message when you attempt to send the message by clicking Send. Please note whenever you want to close a dialogue box, you can click Cancel or the red X on the top right corner the box. 2. Selecting the Associate with Protocol checkbox displays the Committee Name dropdown list, the Protocol ID dropdown list, and the Display To dropdown list, as shown in Figure 18, below. 3. After selecting the Committee from dropdown list, the Protocol ID list is displayed in the dropdown. Version 1.2 Key Solutions Customer Use Only Page 16 of 35
20 Figure 18: Associate with Protocol checkbox 4. Select Protocol ID and Display To from the respective dropdown lists. 5. To add recipients for mail in To, Cc, and Bcc fields, click the Add Recipients button to the right of the field. This opens add recipient dialogue box. a. Select the Protocols. This enables the related roles. b. Select the Roles and click Display. This lists the name of the users for selected role in Users column. c. Select the Users and click right Arrow. The users appear in Selected Users column, as shown in Figure 19: Add Recipients dialogue box. d. Click Add Selected Users. This adds users to the mail and closes the add recipients dialogue box. Figure 19: Add Recipients dialogue box There is a limit to the number of users you can send mail to at this time. This allows 4096 characters. 21 including the ; and a space; the maximum number of people in the to: list is: Enter Subject and Message in respective text fields. 7. To add any attachments, click Add. This opens Add Attachments dialogue box, as shown in Figure 20: Add attachments dialogue box. e. Click Browse, to add file. f. Enter file name in Attachment Name text field. Figure 20: Add attachments dialogue box g. Click Save. The dialogue box closes, and the attachment with details is displayed at bottom in Send Page. 8. Click Send. This sends an to added recipients. 23 4 Appendix B Getting Started Tips This section explains how to disable pop-up blockers in browsers. 4.1 Disabling Pop-ups IBC Committee Manager User Guide In order to have full access to eprotocol and perform your duties, you must disable pop-ups on your browser. This section includes how to disable the pop-up blocker for Mozilla Firefox, Internet Explorer, Google Chrome, and Safari Mozilla Firefox To disable pop-ups for Mozilla Firefox when you log in for the first time, perform the following tasks: 1. When you log in to eprotocol for the first time, two pop-ups appear (Figure 22). Click Options in the yellow bar located above the header. Figure 22 Allow Pop-ups dialog box 2. Click Allow pop-ups for (your institution s web browser) (Figure 23). Figure 23 Allow Pop-ups for your Institution 3. Then, click Quit on the Warning pop-up. 4. You will automatically be logged out. 24 To turn off the pop-up blocker from the Mozilla Firefox settings, perform the following tasks: 1. Click the Open Menu button located in the top-right corner of Mozilla Firefox (Figure 24). 2. Click Options (Figure 24). Figure 24 Options in Firefox Menu If you only want to allow pop-ups for eprotocol, follow Step 3 and Step 4. If you want to allow pop-ups for all websites and applications, skip to Step Click Privacy & Security in the left navigation pane and click Exceptions (Figure 25). When you log in to eprotocol for the first time, two pop-ups appear (Figure 28). Figure 28 Warning dialog box 2. Click the Options for this site dropdown menu located at the bottom of the screen. Then, select Always Allow (Figure 29). Figure 29 Always Allow for Internet Explorer 3. A Windows Internet Explorer pop-up appears. Click the X button (Figure 30). The web browser will expire. Click the Tools button located in the upper-right corner in Internet Explorer (Figure 31). Figure 31 Tools button 2. Click Internet Options in the Tools submenu (Figure 32). Figure 32 Internet Options in Tools submenu If you only want to allow pop-ups for eprotocol, follow Step 3 and Step 4. If you want to allow pop-ups for all websites and applications, skip to Step Click the Privacy tab in the Internet Options pop-up and click Settings (Figure 33). When you log in to eprotocol for the first time, a Warning pop-up and an icon in the web browser appears (Figure 36). To block pop-ups in the Google Chrome settings, perform the following tasks: 1. Click the Menu button in the top-right corner and click Settings (Figure 38). Figure 38 Menu and Settings button 2. 33 4.1.4 Safari To disable pop-ups in Safari, perform the following tasks: 1. When you log in to eprotocol for first time, a Warning pop-up appears. Do not click Quit (Figure 45). 34 4.2 Password Management Assistance This chapter explains how to reset a password. There are three ways to reset your password two are by using the Forgot Password button and the other is on the Homepage Forgot Password If you forgot your password and cannot log in, there are two ways to change your password without logging in. You may choose to change your password with your registered address (Option One) or directly in eprotocol (Option Two). We recommend using Option One. Option One. To change your password with your registered address, perform the following tasks: 1. Click Forgot Password on the eprotocol s log-in Page. 2. Select Click Here on the Forgot Password page (Figure 47). Figure 47 Click Here on Forgot Password page 3. Complete the asterisk fields and click Submit (Figure 48). An is sent to your registered address. Figure 48 Address Forgot Password page 4. In the , click the link to reset your password. Your default browser opens up with the Reset Password page. 35 a. When you reset your password, make sure you meet the minimum requirements or eprotocol will not accept your new password. The password must contain: At least eight (8) non-blank characters in length.
