Our Goals Teaching with Power Point October 14, 2003 Create a new presentation. Add text, graphics,charts, and tables. Apply transitions. Insert hyperlinks such as: http://www.hamline.edu Goals Continued What is the POINT? Deliver a slide show. Print presentation. What do you think of... Save a presentation in HTML or PDF. Ineffective by itself, effective depends on how and why. Design presentation for maximum effectiveness. HOW will the presentation be used? Preview of lecture. Printed for note taking. Projected in class for presentation. Out of class review. Viewed on line. WHY Use Power Point? Help students focus. Make content visual. Manage your media. Insert interactivity. Provide targeted illustrations. 1

Open a New Document Creating a Power Point Presentation From the File menu, choose New. or Click on the New Document icon on the far left end of the toolbar. Choose and Apply a Design Template Do one of the following: Start a new document, choosing From Design Template in the task pane. In the Format menu, choose Slide Design. At the top of the pane, select Design Template. Select which design you want. Add New Slides Click the cursor where you want to insert a slide. In the Insert menu choose New Slide. OR click the New Slide Icon on the right side of the tool bar. Insert a Slide Layout Apply Slide Templates Point to the slide layout you want applied to the new slide. Click on the arrow that appears. Select Insert New Slide. Click on Format and choose Slide Layout. Three types: Text Content Text and Content 2

Applying a Template Add Text to Slides Select a slide in normal, or multiple in slide sorter. Select the layout design. Click on the arrow that appears. Click on the slide in normal view and type. Type text in the outline tab of normal view. Pressing enter will give you a new slide. Choose Apply to Selected Slides. Tips for Text Don t overload slides! The rule of sixes. Choose fonts for legibility. Try the floor test. Text formatting to support information hierarchy. Inserting Objects onto a Slide The Insert menu. Icons on slides formatted with content layouts. Icons on the drawing tool bar. Insert a Picture From the Insert menu, select Picture, the choose one of the options presented. Add a Content Layout to the slide and click on the icon with a picture of a mountain. Click on the mountain icon in the Drawing Toolbar. Open the Insert menu and choose Chart. Add a Chart Click the Chart icon on the toolbar. Apply a content layout to a slide and click the chart icon. 3

Chart (Continued) Adding a Table to Slide A sample bar chart appears, along with a spreadsheet. Edit the data in the spreadsheet. During editing a Chart menu appears in the menu bar. Use this menu to change chart types and other options. Open the Insert menu and choose Table. Format a slide with a with a content layout and click the table icon. Click on the table icon on the toolbar. 1 2 3 4 5 6 7 8 9 10 11 12 13 14 15 16 Tables (Continued) Tips for Content If you choose one of the first two options, the Insert Table dialog box appears. Enter the number of columns and rows desired. To format the table, go to Format and choose Table. This brings up a dialog box that lets you format borders, fill, and text properties. Try to think of ways to present content visually. Explore Power Point s built-in graphic feature. Use a content layout template to size and position graphic elements. Draw on Slides The standard Microsoft drawing tools allow you to add shapes, lines, and text to slides. Go to the View menu. Select Toolbars. Select Drawing. Adding Notes to Slide To add notes to a slide, simple click in the Notes pane, below the selcted slide in Normal view. It should say, Click to add notes. Think about the purpose of your notes. Displaying your notes: Print out Notes Pages, in the Print Menu. Select Speaker Notes in the Slide Show View. 4

Add Slide Transitions From the Slide Show menu, choose Slide Transitions. In the Slides tab or in Slide Sorter, select what slide you want to apply the transition. Click on a transition title to apply it. On the Advance Slide option, you can choose to control your presentation with a mouse click or by timings. Add Animation to Text and Objects Slide Show menu, select Custom Animation. Highlight what you want to animate. The 3 E s. Select an effect. Click Play to preview. Tips for Movement Add Hyperlink to Slide Use movement sparingly and for a purpose. Keep transition consistent. Use animation to add interactivity to a presentation. Highlight the text on the slide that you want to turn into a link. Insert menu choose Hyperlink. Hyperlinks (Continued) On the left, select Existing File or Web Page. Place an address in the box. Add Action Buttons Insert menu, choose Picture, then Autoshapes. Click on Action Button icon. Select an action button format. Drag button onto slide. Click Ok to select the link. Select the slide. Click OK. 5

Tips for Links Add Narration Yes, you could lip-sync your entire presentation. Practice delivery Edit your buttons to match your slide design. On the Slide Show click Record Narration. Click OK. Narration cannot be edited, you must re-record it. Displaying Your Presentation Presenting a Power Point Click the Slide Show View icon in the lower left of the screen. Go to the View menu and choose Slide Show. Slide Show View In slide show view a single slide covers the entire screen. To advance to the next slide: Click the mouse button Press the spacebar Press the ENTER key Press the right arrow key Slide Show Menu Move between the previous or forthcoming slides. Reveal your notes. Set option for the pointer and screen display. 6

Access the Slide Show Menu Write on Slides Open the Slide Show menu Click on the icon on the lower left of the screen. Windows: Right-Click the mouse. Mac: Ctrl-Click the mouse. Select Pointer Options Select Pen Color When the menu disappears, click and drag on the slide to write. Your notes will disappear when you move to the next slide. Final Presentation Tip PRACTICE! PRACTICE! PRACTICE! Navigate your presentation. Especially IMPORTANT if you are using hyperlinks, animation or pen options. TEST THE TIMING Distributing a Power Point File Estimate 60 seconds per slide Allow time for Q & A Print Options Slides Handouts The most popular option (3 per page), provides a place for students to write down additional notes. Notes Pages Outline View To Print a File Under the File menu, choose Print. 7

PRINT WHAT? Slides- prints one slide per page. Handouts- chose to print 2,3,4,6, or 9 slides per page. Notes Pages- prints slide at top of page with notes beneath. Outline View- Prints outline of bulleted text on slides. SAVE AS A WEB PAGE From the File menu, choose Save As. The Save As dialog appears. Type a name for the file in the File Name field. Select Web Page from the Save as type drop-down menu. Click Publish or OK. WEB PAGE (Cont.) Locate the *.HTML file that you created. Upload the file to your website. REMEMBER to create a link on your website to the Power Point presentation. And also from the Power Point presentation to the main page. SAVE AS A.PDF From the File menu, choose Print. In the Printer Name drop-down menu, chose Adobe PDF Writer. Choose an option in the PRINT WHAT menu. **You can create a *.PDF of slides, notes pages, or a handout format. Click OK.
