Corel Ventura 8 Introduction 1998 Anzai! Inc. Creating a New Document When you create a new document you can begin from scratch with a single blank chapter or you can use another document as a model. The model can be a copy of the document or a template that contains only the chapters, text files, and pictures files you want to use in the new document. To create a new, blank document: Do one of the following: Click the New button in the Standard toolbar. Select File, New. To create a document using a template: A template is an existing document stripped of some or all of its text and picture files. What remains is a shell made up of chapters, the stylesheet plus any drawn frames and graphic objects contained in the document.» Note: Any changes you make to the copy do not affect the original document.» Note: When you exclude a chapter, all its files are automatically excluded too. You can t include files in a chapter without also including the chapter. 1. Select File, New From Template. The New From Template dialog box appears. 2. Click a tab, then click the document icon on which you want to base the new document. 3. Do one of the following: Choose Open Copy and click OK. A copy of the selected document appears. Choose Create Template. Either click the document icon you want to use as a template or click Browse to locate the document on which you want to base a template. A dialog box appears with a list of the chapter components including text and picture files. Clear the check boxes next to the files you want to exclude from the new document. Click OK. Click on the New button in the Standard toolbar. 3. Observe the Title Bar. It displays the publication name as Publication x (e.g., Publication2). 4. Point anywhere on the page and observe the Status Bar. The page number in parentheses displays the page counter (e.g., page number that appears in the footer). Importing Text Into the Base Frame Graphic loaded in a drawn frame Text loaded in the base frame» Note: Files saved in certain file formats (e.g., Word 6/7/97, WordPerfect 6/7/8, RTF) can be opened in Corel Ventura as if they were publications. Special formatting such as alignment, page settings, and header/footers are preserved. You can open a text file by selecting File, Open and choosing one of the file formats in the Files of type box. You can import text files created in popular word-processing applications such as Microsoft Word, WordPerfect, and ASCII file formats. Importing text into the base frame automatically creates all necessary pages to display the complete text file. Text files that you import may either be embedded into the publication or linked to their source documents (similar to Corel Ventura version 5 or earlier). Maintaining an external link requires you to choose the Export On Save option in the Import Text dialog box. You can create a linked text file for any named text file in a publication as either ASCII, ANSI, or Rich Text Format (RTF). When you import a text file, some paragraph formatting such as custom tab settings, indents, margins, and headers/footers in the original word processed file are ignored. Simple character style attributes such as fonts, bold, italic, and underline are preserved in all text formats except ASCII. You can specify whether the text is to be added to the File List or inserted at the cursor location. Inserting text at the cursor location allows you to merge text files together. Preparing Text for Importing Documents created in word processors often include extra paragraph returns between paragraphs and two spaces after punctuation marks such as periods and colons. Since Corel Ventura contains typesetting controls, you should eliminate these extra spaces from your text files before you import them into the program. Else, you will have to manually delete these spaces within Corel Ventura. To automatically delete extra, empty paragraph returns you can add the line @PARAFILTR ON = (space required before and after the equals sign) at the beginning of the text file before importing it into Corel Ventura. 40 Section 4, Creating a New Publication

1998 Anzai! Inc. Corel Ventura 8 Introduction To import a text file:» Note: You can export text with or without the Corel Ventura markup codes by selecting File, Export Text. 1. Do one of the following: To place the file in the base frame or in a drawn frame, select the frame with the Pick tool. If you want the file to be added to the File list in the Property Bar for future frame placement, make sure no frames are selected. If you want the file to be placed at the cursor location, place the insertion point at the desired location. 2. Select File, Import Text or click on the Import Text button. The Import Text dialog box appears. 3. Access the desired folder where the text file is located. When the desired filename appears either select the filename and click Import, or double-click the filename. Section 4, Creating a New Publication 41

Using the blank document you created in the earlier exercise, click any white area outside the page. To select the base frame. Selection handles appear around the perimeter. 2. Select File, Import Text. The Import Text dialog box appears. 3. In the Look in box, scroll up and click on the C: drive icon. To access the root drive. Double-click the Corel folder. Double-click the Learn folder. The exercise files are located in the C:\Corel\Learn folder. 4. Double-click Intro. The file displays within the base frame. Note: If the text fails to appear on the page, click any white area outside the page. Click the down arrow in the File List of the Property Bar and click on Intro. 5. View all three pages. 1998 Anzai! Inc. Corel Ventura 8 Introduction About Stylesheets» Note: You can link stylesheets to several publications by dragging the stylesheet from the Navigator to the Library. Then, hold [Ctrl Shift] and drag the stylesheet from the Library to any page of the document. Stylesheets are an important part of Corel Ventura s formatting capabilities. Stylesheets contain a collection of paragraph tags and page tags that control the typographic and page layout settings for a publication. Every publication uses one stylesheet that controls the formatting of only that particular publication. When you create a new, blank document the default stylesheet is automatically applied. You can customize the stylesheet by creating new tags and editing current tags. You can also merge tags from other stylesheets. Stylesheets provide a fast and easy way to set up your document s design and formatting. It also maintains a consistent look for your documents. If linked or copied, the same stylesheet can be used over and over, making it easy to maintain consistency across publications. Using the Navigator The Navigator displays the contents of any opened documents using a tree-like structure similar to the Windows Explorer program. Choose the desired view from the list at the top of the Navigator window. The Publication Manager view shows the chapters, stylesheet, text, and picture files in the document. The other views show the document s table of contents, index, cross-references, page tags, and scripts. One of the uses of the Navigator is to determine the associated components of the publication and to provide a way to delete, rename, or move them to other publications. To load a new stylesheet: If you want to use an existing stylesheet of your own or one of Corel Ventura s professionally designed stylesheets (e.g., newsletters, flyers), you will need to import the stylesheet into the current publication. 1. Do one of the following: Select Publication, Import Stylesheet. In the Navigator, right-click on the desired publication and choose Import Stylesheet. 2. Click on the Corel Ventura document that uses the desired stylesheet and click Open. 3. Click OK to the Replace Prompt. Note that you cannot undo this operation. If the new stylesheet uses the same tag names as the original stylesheet, the formatting is automatically replaced. Working With Older Ventura Files Unlike older versions of Corel Ventura (version 5 and earlier), when you load a stylesheet from another publication there is no link to the original. Any editing changes to the tags does not change the tags in the publication from which the stylesheet originated. When you open a document from a previous version of Corel Ventura with more than one stylesheet attached, a conversion wizard guides you through the steps required to merge the stylesheets. 44 Section 4, Creating a New Publication

Observe the Paragraph Tag List in the Property Bar. Comments To place the insertion point. It displays the default tag called Body Text. Paragraph Tag List 3. Click the down arrow in the Paragraph Tag List and observe the other tag names. 4. Select Tools, VENTURA Navigator. 5. Observe that Publication Manager is listed at the top. 6. Double-click on Sample. To load this documents s stylesheet. 9. Click OK to the Replace prompt to confirm that this operation cannot be Undone. 10. Observe the stylesheet listed in the Navigator. 11. Minimize the Navigator docker by clicking the minimize button in the top left corner. This publication now uses the Book stylesheet copied from the Sample publication. 12. Click anywhere within the text. To place the insertion point. 13. Click the down arrow in the Paragraph Tag List and observe the other tag names. E.g., Chapter #, Chapter Title, Firstpar. Corel Ventura 8 Introduction Saving a Publication» Shortcut: Press [Ctrl S] to save the publication.» Tip: To save multiple Corel Ventura 7 documents as version 8, select Tools, Corel SCRIPT, Run/Manage Scripts. Run the 7to8Converter.CSC wizard. Select File, Save or click on the Save button to save the publication as a file on your system. Publication files will be saved with a.vp extension. You will only see the.vp extension if you have configured your Windows Explorer program to show the MS-DOS extensions. By default, the first chapter in a new publication is saved as Chapter1. If you re using the default stylesheet to format the document, it is saved as the same name as the publication. For example, if you save a publication as Annual Report, the stylesheet will be called Annual Report Style in the Navigator window. If you have loaded a previously created stylesheet, its name will be maintained but there is no link to any other publication using the same stylesheet. To save a publication for the first time: 1. Select File, Save or File Save As. The Save As dialog box appears. 2. Do one of the following: To save the publication in the current folder, type a name in the File name box. If you want to save the publication in a different drive or folder, access the location in the Save in box. Then, type a name in the File name box. 3. Click Save.» Tip: The Notes and Keywords you add in the Save As dialog box appear when you right-click the publication in Windows Explorer and choose Properties. The file that is listed in the Title Bar will be updated. Exercise: Saving a Publication Steps to Follow Comments 1. Select File, Save As. The Save As dialog box appears. 2. Access the C:\Corel\Learn folder and type Ventura intro in the File name box. To name the publication. 3. Click Save. To save the publication in the Learn folder. 4. Maximize the Navigator docker and Observe the contents. It lists a BOOK stylesheet and a Chapter1 chapter. 5. Click the + sign beside Chapter1. It branches out to display the Intro text reference. Corel Ventura 8 Introduction 1998 Anzai! Inc. Paragraph Basics When you press the [Enter] key, paragraph breaks distinguished by a symbol, mark the end of each paragraph in a Corel Ventura document. A paragraph can be defined as any text between two return symbols. To see these return symbols, make sure you have activated the Show Tabs & Returns button in the Standard toolbar. To insert a paragraph break into your document: 1. Position the insertion point where you want to break the paragraph. 2. Press [Enter] to insert a paragraph break code. A symbol now separates the text into two paragraphs. Modifying Paragraph Tag Attributes» Caution: Make sure you select Paragraph Tag Properties and not Paragraph Properties. The latter changes only the selected paragraph and not all paragraphs using the same tag. There are two ways to modify a tag s attributes such as the font, point size, and style. Use either the Paragraph Tag Properties dialog box or Tag Window docker and change the settings as desired. Once the tag has been modified, all other paragraphs formatted with that tag change to match the settings you specified. Corel Ventura 8 Introduction To modify an existing tag:» Note: Using the Property Bar options changes only separate character attributes and not the properties of the paragraph tag. 1. Do one of the following: Click to place the insertion point anywhere within the paragraph that uses the tag, then select Format, Paragraph Tag Properties. Select Tools, Tag Window and click on the tag you want to modify. Either click the Tag Properties button or right-click and select Paragraph Tag Properties. 2. Choose the attributes as desired. 3. Click anywhere in the MicroSoft OLE paragraph. 3. Select Format, Paragraph Tag Properties. 4. Observe the dialog box s Title Bar to confirm that you are to change the Chapter # tag. Tagged as a Chapter # tag. The Paragraph Tag Properties dialog box appears. Always check to make sure you are altering the correct tag. 5. Scroll up the Font list and click on Arial. In the Size box, enter 40 points. In the Style list, click on Bold Italic. Click OK. 6. Click anywhere in the Memory Restrictions paragraph. 7. Select Format, Paragraph Tag Properties. 8. Select Arial, 18 points, Bold and click OK. 9. Go to page two and observe the other Major heading paragraphs Using Fractal Fills and Printing Using Windows. The paragraph changes to Arial, bold italic, 40 points. To place the insertion point. The Paragraph Tag Properties dialog box appears. The paragraph changes to Arial, bold, 18 points. The alignment of a paragraph determines its horizontal and vertical placement on the page or frame. Inter-line spacing Space above paragraph Space below paragraph» Note: This manual uses 14 points inter-line spacing and 14 points for inter-paragraph space. Space between lines is called inter-line spacing and is the distance from the baseline of one line of text to the next. As a rule of thumb, inter-line spacing is about 120% of the font size. For example, 10 point text would use 12 point inter-line spacing. Space above and below paragraphs as well as between paragraphs can be set. Setting space above and below sets space above the first line and below the last line in the paragraph. If you specify both, Corel Ventura uses the larger of the two to determine space between consecutive paragraphs. On the other hand, inter-paragraph spacing only adds space between paragraphs provided that they have identical settings for inter-paragraph space. In most cases, you will not need inter-paragraph spacing. Use the Above and Below space settings to control the amount of space between paragraphs, and set Inter-Paragraph space to zero. A fast and easy way to create a new tag is to find an existing one that has some of the attributes you want in your new tag and then add and remove formatting attributes. You can use the Tag Window dialog box if you need to add a new tag. To create a new tag: 1. Click within the paragraph to which you want to apply the new tag. 2. Select Tools, Tag Window and click on the New Tag button. 3. Type a name for the new tag. 4. Choose other options as desired. 5. Click OK. Tips on Creating New Tags Tips on creating tags are as follows: Use as few tags as possible in order to make the stylesheet manageable.
