RooDocs Quick Reference Guide Welcome to RooDocs, the web-based application that gives the user, via the Internet, the ability to store and retrieve electronically archived documents from anywhere in the world. Using a standard Web browser (such as Microsoft Internet Explorer) you can easily manage documents within ImageSilo applications. Logging In Browse to https://login.imagesilo.com/ and login using your Entity ID, User Name, and Password. (Figure1) Entity ID: 9735 (enter the first time and then only after clear caches) User Name: The username assigned will be the same as your AC network username. Password: Temporary password will be sent via email. Users are required change their password on first login for security purposes. * First Time Use Only * Most faculty and staff on campus will need to utilize the web-browser version to view documents to minimize difficulties that are often experienced with different types of browsers and machines (i.e., PC, MAC). When you log in for the first time: 1. Navigate to System Settings > User Options > Document Viewing tab 2. Click on Use Browser-Based Viewer. Document Retrieval After logging in, select your project from the Available Projects tab on the left of the screen. (Figure 2) Click the desired Project to bring up the Search Screen (Figure 3). Projects will not be displayed if user access has not been granted by the Registrar s Office. Figure 2 The Search Screen for Student Records (Figure 3) is shown below. Best practice: Search by AC ID with the 0 (e.g., 011111). Also, search by name (e.g., LastName, FirstName).
RETRIEVAL TIP: Documents can be retrieved by using wildcards. For example, to retrieve a document with Benson in the name, typing in *bens* in the Name field would pull up all documents that contained the phrase bens in the index fields. Use of the AC ID requires a 0 before the 6-digit number or use of the wildcard, e.g., *777777. Use the Search Type to set or or and types of searches. Use the Sort By button to sort the result set. You may use multiple fields together to narrow down your search. Figure 3
Searching for Documents: 1. Enter Document Level Search Criteria (described on previous page) 2. Click the Search Button The Search Results screen is the default view that appears after submitting your query. The documents on this list are the documents that matched your search criteria. 1. To retrieve a document, double-click any field for that document. (See next section for details) 2. The function tabs* (figure 4) are used to perform specific functions such as Print, Email, and view or add Textual Notes. (Note: The System Security Admin must grant each function in order to utilize it.) 3. To sort the search result*, click on any column heading * The icons listed in the red and green areas are subject to system security, so not everyone may see all of the options viewed below. Figure 4 Note: The security administrator (Registrar s Office) will grant functions based on established business rules and document security protocols.
Viewing Images on the Web-Based Browser Double-clicking and field in the Search Results open the Document Viewer (Figure 5). Home tab view: Figure 5 Edit tab view: You can use the Home tab in the Toolbar to move through other documents from the Search Results, move through pages of the viewed document, and change the size of the image on the screen, In the Edit tab of the Toolbar, you can view and add Notes and annotations. The help button will give you details on all viewer functions (See Document Viewer Icons and Hotkeys).
Document Viewer Icons and Hotkeys Icons that are greyed out indicate the user does not have access to that functionality. Please note, these icons are only relevant for those using the ImageSilo Viewer not the Browser-Based Viewer (refer to * First Time Use Only * to review settings.
