2 Tufts University Our catalog has Nearly 500,000 ebooks Over 100,000 streaming media titles In 120 collections From 40 providers Not counting journals!

3 So Many Vendors Electronic resources are available from many different providers A given title may be included in packages from several vendors A catalog should include links to the item at all providers the library subscribes to

4 Provider-Neutral Approach A common catalog policy: Each unique e-resource has a single record in the catalog The record includes one or more URLs, one for each provider giving access Requires consistent control numbers for overlaying, e.g. OCLC numbers

6 The Problem If you load Collection B, then Collection A, overlaying on OCLC number: URLs for Collection B may be lost! If you overlay-protect 856 field: Obsolete URLs for Collection A may be unintentionally preserved!

7 WorldShare Metadata WorldShare is designed for the providerneutral approach WorldShare provides a single record for each title in your WorldShare collections The record includes URLs for every WorldShare collection selected

8 Problem solved? Problem solved only if all your OCLC records for e-resource collections come from WorldShare Still a problem if the catalog includes both WorldShare and non-worldshare OCLC records for e-resource collections

9 Problem Restated Need to: Delete obsolete URLs for the loaded collection AND Preserve URLs for other collections AND insert new URLs for the loaded collection (Treat WorldShare as a single collection)

10 A Solution Insert the new URLs into a different field (other than 856) Clean up the old URLs Move the new URLs back to 856 fields

11 Step 1 Before loading the records into the ILS: Add text to the 856 fields (subfield $3, $z, or $x) identifying the set For this purpose, count WorldShare as a single set (e.g. use $x WorldShare) Change 856 fields into 859 fields MarcEdit is a good tool for this

13 Step 2 Load the records into the ILS with a customized load profile: Overlay on the OCLC number Make sure 859 fields will be copied into the record Overlay protect the 856 field to preserve existing URLs

15 Step 3 After loading the records into the ILS: Gather the loaded records into lists for batch editing in the ILS Delete 856 fields which match the loaded set Change 859 fields to 856 fields

17 Finished Works with any combination of record sets, as long as they have a consistent control number to overlay on Requires 1-2 batch edits to the file before loading 2 batch edits in ILS after loading
