2 QUOTATION FOR: SUPPLY, INSTALLATION & COMMISSIONING OF TWO (2) 50 COPIES (CPM) DIGITAL PHOTOCOPIER / MULTI-FUNCTION OFFICE EQUIPMENT FOR THE CENTRAL BANK OF KENYA ELDORET BRANCH A. NOTES TO ALL BIDDERS 1. The tenderer will be required to submit his quotation as per the attached specifications. 2. The quotation submitted shall be for the SUPPLY, INSTALLATION & COMMISSIONING work of the PHOTOCOPIER. 3. The quotations submitted shall be for the complete requirements /works and these specifications will only serve as a guide to the scope of requirements /works. Therefore, bidders are required to seek clarifications as necessary, and ensure they understand the scope of requirements /work clearly before submitting their bid. 4. All prices entered in the offers shall be inclusive of all Government taxes as applicable and no claims for lack of understanding or omission in this regard will be accepted after the award of the tender. Therefore, tenderers are requested to ask for clarifications where and if necessary. 5. The Bank will not be obliged to accept the lowest or any tender. 6 The tender will be a firm lump sum figure in currency of your choice, to cover all works. No variations will be accepted after award of tender. 7. Payment for the Photocopier will be done after the supply, installation & commissioning of the same. 8 The quotation shall remain valid for 90 days from the date of tender opening. 9. The warranty and free maintenance period (labour and parts) of the Photocopier should be stated but must not be less than twelve (12) months for the equipment. 11. Conditions for sale/installation/commissioning (if any) for the Photocopier should be given. 12. Full documentations/manuals for the Photocopier offered shall be submitted to the Bank after the award of the tender. 13. The bidder shall undertake to offer technical training for the Bank s Electronics Technicians /Engineers to enable them service/maintain the Photocopier. 14. The bidder shall provide an itemised current price list of standard / high frequency consumables and wearing parts. 14. The bidder shall append to the quotation, relevant brochures and an updated list of clients using the same/ similar equipment to that bided for. 15. The Bank shall not be obliged to disclose reasons for rejecting a bid either in whole or part. 2/9

3 16. Any form of canvassing shall lead to automatic disqualification of the bid. B. QUOTATION QUALIFICATION AND AWARD - STAGES / CRITERIA The received bids will be evaluated in three stages as detailed below: Stage 1: Compliance with Mandatory Requirements; Stage 2: The Technical Evaluation (Capacity to deliver); Stage 3: The Financial Evaluation (Quoted Price). I. Financial Evaluation (Price) Tenderers should note that only tenders that score above 65% on the Technical Evaluation will qualify to have their financial bids evaluated. Those scoring below 65% will not be evaluated and will be disqualified. 4. Lowest Evaluated Tender (LET) The Lowest Evaluated Tender (LET) that will be recommended for the award of the tender will be the one found to be the most competitive under the Technical and Financial (Price) Evaluation Criteria. 4/9
