9 Preface Welcome to Release 11i.6 of the Oracle E-Business Performance Management Framework and Performance Management Viewer User Guide. This guide describes how to implement and use the Oracle E-Business Performance Management Framework and Performance Management Viewer. Database Administrator The Database Administrator installs and configures the Oracle database and maintains database access controls. This person provides consultation on performance and is responsible for monitoring the growth and fragmentation of the production database, and for ensuring database backup and recovery. System Administrator The System Administrator is responsible for administering the development system. This person s responsibilities include: Ensuring that hardware is correctly configured Installing, configuring, and maintaining operating and development software Ensuring that the system is backed up daily Designing and maintaining system security, for example, establishing system accounts ix

10 The system administrator provides you with first line support for problems you may encounter with the development system, and ensures that faults are quickly rectified. They may perform the setup and initial maintenance of the production system, or advise your operational staff on these tasks. The system administrator works with the project team to optimize system performance, install packaged applications environments, and convert data. Technical Specialist The Technical Specialist is responsible for designing, developing, unit testing, implementing, and maintaining the custom extensions for Oracle Applications. These extensions include, but are not limited to, interfaces, automated data conversions, reports, forms, and enhancements. Required Knowledge This guide requires that you have a detailed technical understanding of the following products and tools. Oracle Warehouse Builder This guide assumes you have a working knowledge of the following: The principles and customary practices of your business area. Oracle E-Business applications and relational database concepts. If you are not familiar with either the Oracle E-Business applications or relational database concepts, Oracle suggests that you attend one or more of the training classes available through Oracle Education Services or Oracle University. 15 Do Not Use Database Tools to Modify Oracle Applications or Enterprise Data Warehouse Data Oracle STRONGLY RECOMMENDS that you never use SQL*Plus, Oracle Data Browser, database triggers, or any other tool to modify Oracle Applications or Enterprise Data Warehouse tables, unless we tell you to do so in our guides. Oracle provides powerful tools you can use to create, store, change, retrieve and maintain information in an Oracle database. If you use Oracle tools such as SQL*Plus to modify Oracle Applications data, you risk destroying the integrity of your data and you lose the ability to audit changes to your data. Because Oracle Applications and Enterprise Data Warehouse tables are interrelated, any change you make using an Oracle Applications form can update many tables at once. When you modify data using anything other than Oracle Applications forms, you might change a row in one table without making corresponding changes in related tables. If your tables get out of synchronization with each other, you risk retrieving erroneous information and you risk unpredictable results throughout Oracle Applications. When you use Oracle Applications forms to modify your data, Oracle Applications automatically checks that your changes are valid. Oracle Applications also keeps track of who changes information. If you enter information into database tables using database tools, you may store invalid information. You also lose the ability to track who has changed your information because SQL*Plus and other database tools do not keep a record of changes. xv

18 Overview of E-Business Overview of E-Business In becoming e-businesses, organizations have streamlined their internal processes to win new customers and to gain a larger share of their existing customers business. New, internet-enabled, enterprise application suites and electronic market places are reducing inefficiencies across supply chains while providing new opportunities to improve customer relationships. As organizations adopt these new solutions, the need to make decisions faster has also increased. To remain competitive, every organization must empower more people to make informed decisions, without the need for long approval or review cycles. To meet this challenge, organizations must provide the relevant business information and analysis tools that every manager or project team needs to quickly understand what is happening, to be able to analyze alternatives, and to take action. E-Business applications are available to provide the data and analysis required to make these decisions, but most business intelligence products are not integrated with operational systems. Because the business processes underlying source applications are always changing, traditional business intelligence applications cannot easily gather the necessary data or transform it into useful management information. Oracle E-Business provides a simple and powerful framework for delivering information, from internal applications and external sources, to users across the enterprise. With E-Business applications, everyone has immediate access to accurate and timely data to make faster and more informed decisions, which leads to a positive impact on bottom line results. 1-2 User Guide

19 E-Business Architecture E-Business Architecture E-Business is designed to support a multi-tiered architecture. The first tier, the database tier, provides the foundation technology for E-Business. The database tier can be implemented as a transactional (OLTP) or a warehouse (OLAP) schema. The transactional schema provides users with real-time report data. The warehouse schema provides users with summarized data that supports more complex reporting and decision making. The type of schema you choose determines the type of content that is available to your users. The second tier, the applications tier, provides the load balancing and business logic for the E-Business. It processes requests from the third tier (client tier) and sends results from the database tier to the client tier. The third tier, the client tier, supports user activities such as reporting from the web, and administration. If you are installing Enterprise Data Warehouse (EDW), you are implementing the E-Business using the warehouse schema. 20 Overview of Performance Management Framework Overview of Performance Management Framework The Performance Management Framework (PM Framework) is a foundation technology of E-Business, a key component of Oracle Applications that enables managers to track performance measures." Performance measures are indicators that you can use to determine enterprise performance and success. E-Business provides a set of pre-seeded performance measures, such as Sales Revenue or Inventory Turnover. You can also create new performance measures to suit your specific business needs. For a complete list of pre-seeded measures, see Measure Content on page Each performance measure has a target value associated with it and can have up to 3 tolerance ranges defined. The target value and tolerance ranges are defined by your users. Each tolerance range can be associated with a different user list, as illustrated in the following table. Whenever a measure falls out of one or more of the defined tolerance ranges, the user group associated with that tolerance range automatically receives a notification. You can then set up workflows to automatically correct the problem. However, all alerts for performance measures that were released in Oracle Applications 11i.6 or higher must be scheduled and requested using E-Business Alerts. 21 Overview of Performance Management Framework Alerting Technology The Oracle Applications 11i.6 introduces a new method of processing performance alerts. This new method, called E-Business Alerts, centralizes the alerting mechanism. However, many of the pre-built measures that are provided in previous PM Framework or Oracle Applications releases only use Oracle Alerts technology. Therefore, PM Framework administrators can schedule alerts using both Oracle Alerts and E-Business Alerts technology. For a list of measures that work with either E-Business Alerts or Oracle Alerts, see "Measure Content" on page For Oracle Alerts measures, administrators may use technology which schedules Alerts to run using Oracle Alert Manager, which provides the Alert Manager responsibility. Please see the Oracle Alert User Guide for more details. The Alert User Guide provides a list of alert names. Measures that use the Oracle Alerts technology have the code for retrieving the actual and target values embedded in the individual alert. Generally, these alerts retrieve the values from a summary table. Note: Alerts that use the Oracle Alerts technology do not enable users to request or subscribe to an alert. For measures that use the E-Business Alerts technology, administrators can schedule alerts using the Schedule Alert program and the Performance Management Framework (Full Access) responsibility. If users attempt to schedule measures that require Oracle Alerts, instead of E-Business Alerts technology, an error message appears. There is one important difference between measures on Oracle Alerts technology and measures on E-Business Alerts. Measures that use Oracle Alerts have code built right into the alert that retrieves the actual value of the performance measure, and triggers a workflow notification. Measures that use E-Business Alerts technology have a database view that contains the actual values and use the Application Developer Common Module forms to register the view and database columns. 22 Overview of Performance Management Framework Data Sources For performance measures that us E-Business Alerts, the data can be retrieved from any source, as long as the performance information is contained in a database view. Oracle Applications 11i.6 contains pre-built measures and their associated database views. These views can provide information from an data warehouse or transaction system. For the 11i.6 release, the prebuilt performance measures use E-Business Alerts and all are based on the Oracle E-Business Enterprise Data Warehouse. Future releases will expand the prebuilt content to include data sourced directly from the transactional system. For performance measures that use Oracle Alerts, the data can be retrieved from any source that can be coded in the alerts. Pre-built measures retrieve data from the transactional system, usually from a summary database table. Example of How to Use PM Framework When enterprise performance does not meet predefined targets, you will receive workflow notifications, which can include links to related reports. You can respond immediately to the notifications either by sharing information with other responsibilities, or by taking corrective action. PM Framework provides a powerful corporate management framework for enhanced and timely decision-making by enabling you to measure and analyze enterprise performance. The following is an example of how to use PM Framework. ABC, Inc. is implementing PM Framework. The company decides on a list of measures that are important to their industry and their situation. This list contains some measures that are pre configured with Oracle Applications and some measures that need to be configured. In this example, the Revenue measure is already defined, while the Damaged Shipments performance measure needs to be configured. 1-6 User Guide

23 Overview of Performance Management Framework To use each of these performance measures, the following must occur. Revenue Performance Measure 1. A system administration group determines the security access for the performance measure. For example, they might give the Plant Manager responsibility access to the Revenue performance measure at the plant and quarter levels, and give the Vice President responsibility access to the Revenue performance measure at the division and year levels. 2. The system administrator schedules the alerts, for example running the quarterly Revenue starting on April 5 and repeating every 3 months. 3. Users within ABC, Inc. enter target, tolerance range, and owner information. This information can be entered by a centralized performance group, or by the end users. For example. ABC plant has a revenue target of $3 million, with +/- range of 5% that is reported to the plant manager. 4. End users can start requesting alerts for the Revenue performance measure and they can configure their personal homepage to display the performance measure information. Damaged Shipment Performance Measure 1. A system administrator or developer configures this new measure. a. Identifying a database view that contains the relevant performance information. b. A system administrator creates the Damaged Shipment measure with the required dimensions and dimension level combinations, for example. The Damaged Shipments might use the Geography and Time dimensions. c. The administrator uses the Application Developer Common Module forms to link the performance measure to the relevant database view. 2. The measure is rolled out, following the same steps as described in the Revenue Performance measure above. Introduction 1-7

24 Overview of Performance Management Framework Performance Management Framework Components The following is a list of the components that comprise PM Framework. Definition components: The Application Developer Common Module is a metadata repository used for defining application common data. For E-Business we use the Application Developer Common Module in defining Performance Management Viewer (PM Viewer) reports and performance measures. This definition contains layout information for the reports and establishes the source of actual values for both the reports and performance measures. PM Framework contains a set of forms to define performance measures and the dimension levels. These forms allow administration users to assign the dimensions, security, corrective actions, and automated target retrieval. Note that a measure also needs setup in the Application Developer Common Module to enable the retrieval of actual values. For more information on defining new measures, please see the Oracle E-Business Performance Management Framework Performance Management Viewer Developer Guide. Responsibilities: The following responsibilities are used for setting up PM Framework: Performance Management Framework (Full Access), Performance Management Framework (Targets Access), BIS Super User. The following responsibilities contain PM Viewer reports: Purchasing - Enterprise Data Warehouse, Supply Chain - Enterprise Data Warehouse, and Manufacturing - Enterprise Data Warehouse. Data components: For E-Business reports and performance measures, a set of views are available on top of the data warehouse fact tables and transactional system summary tables. These views are optimized for use by the PM Viewer Reports and Performance Measures. PM Framework contains a set of windows for use in entering and maintaining target information on performance measures. This includes target values, tolerance ranges, and target owners. 1-8 User Guide

25 Overview of Performance Management Framework Performance Management Viewer: The PM Viewer architecture is comprised of the following technology stack: The thin client, also called the Web Browser, represents the Web browser in which you can view generated reports. The middle tier is known as the Web Application Server. This in turn includes the Web Listener, which communicates between the client and middle tiers; the Web Request Broker, which determines which PL/SQL cartridge should service a specific request; the PL/SQL Cartridge, which performs advance processing that might be required for report generation; and the E-Business Java Classes, which perform the tasks related to displaying graphs and charts. The database tier includes the Oracle database, as well as the stored PL/SQL procedures. The database tier includes the ICX, the PM Viewer, the AK data dictionary, views, and tables. Processing components: Through PM Framework, system administrators can schedule alerts, and target users can subscribe to the notifications. Once a system administrator schedules an alert, PM Framework sends notifications to target owners and updates data for presentation on the performance measure portlet. Note that previous versions of BIS used Oracle Alerts technology to achieve the alerting functionality. In this release, E-Business Alerts uses its own alerting technology. Introduction 1-9

26 Overview of Performance Management Viewer Overview of Performance Management Viewer The Performance Management Viewer (PM Viewer) is a metadata driven reporting tool whose purpose is to provide an easy and consistent means to create and display reports for performance measures. It uses information from the PM Framework tables and views on top of actuals data (either OLTP or EDW) in order to determine what information to show and how to show it. PM Viewer uses the Oracle Web Application Dictionary (AK) as its metadata repository. PM Viewer uses AK Developer windows. These windows enable developers to simplify the report development process. Using PM Viewer, developers only need to define the report components in the AK Dictionary and specify the report data source. PM Viewer automatically generates a standard HTML report. If the report has a corresponding performance measure, the generated report displays the actual values compared to the target values. The data source view is the only custom development involved. Note: E-Business reports are designed to give executives a simple, high-level overview of corporate information. Thus, E-Business reports do not support some of the more complex features offered by other reporting products. The Performance Management Graph Portlet allows end users to display graphs from the PM Viewer reports. Users can customize this portlet and choose reports and parameters they want to display. The Performance Management List portlet enables user to view performance information from the personal homepage. Users can customize this portlet and measures and parameters they want to display. The actual values of the measure will display with red color coding, if the actual value falls outside of the tolerance range. The values of the measure are calculated whenever an alert is processed. The portlet also displays the target values and the time periods for each measure. PM Viewer lets users access a set of pre-built reports that are specifically tailored to intelligence users. 31 Overview of Implementing PM Framework and PM Viewer Setting Up PM Viewer To set up the PM Viewer, do the following: 1. On the warehouse, log into Oracle Applications using the System Administrator or equivalent responsibility. 2. Navigate to Profile > System. Perform a query to find the BIS: Servlet Base Path profile option. 3. In the Site field, enter a UR that points to the Apache port and the directory that contains the apps.zip file. For example, the URL corresponds to the following values. Subdirectory: servlets Server: ap100jvm.us.oracle.com Apache Port: 8726 running jserver configured to run the graph-generating servlet. Note: The class path in Apache should be set to pick up the directory containing the apps.zip file, which in turn contains the Perspectives For Java (PFJ) ewttdg classes and the BisGraph.class in the oracle.apps.bis.chart package. The Graph Servlet is compatible with JDK Versions and JDK offers improved performance over JDK Ensure that the DISPLAY parameter in the Apache configuration file jserv.properties is set correctly to point to the server that has Graphics enabled. For example; DISPLAY=yourHostName: 0 Ensure that java.compiler property is set to none. 4. Save your work. Implementing PM Framework and PM Viewer 2-3

32 Overview of Implementing PM Framework and PM Viewer Setting up PM Viewer User Profiles The PM Viewer introduces the concept of "Basic Users" and "Advanced Users" which need to be set up before running reports. These two PM Viewer user profiles differentiate users in their use of the PM Viewer scheduling feature. In this release, PM Viewer reports and portlets can be scheduled to run at any frequency you may desire. However, to facilitate this task, and also to reduce the number of concurrent requests which may be created, it is recommended that a PM Viewer power user, i.e., Advanced User, create default schedules and assign them to the reports so that when Basic Users run the reports and portlets, they see a frequency assigned to the reports and decide whether or not they want to subscribe to it. This process simplifies procedures for basic users, who do not need to spend time defining a frequency. To set up the PM Viewer User Profiles, do the following: 1. Log in Oracle windows using the System Administrator Responsibility. 2. For each user who will be creating default schedules and assigning them to reports, Set User Profile Option from PM Viewer to be "Advanced Users." 3. For all users who will only be navigating reports and viewing portlets, Set User Profile Option from PM Viewer to be "Basic Users." 33 Overview of Implementing PM Framework and PM Viewer Setting Up Profile Options Setting Up Users Once you configure Apache, you must set up your ICX profile options. To set up ICX profile options, do the following: 1. On the warehouse, log into Oracle Applications using the Application Developer Responsibility. 2. Navigate to Setup > Profile Options. 3. Set the ICX: HTML directory profile option to "OA_HTML/". 4. Save your work. Use Oracle Applications to assign appropriate Business System responsibilities to users who need access to PM Framework. For new users, you may also need to create user accounts. This is optional. Note that access to Portlets is based on the list of functions that each user has on their Preferences responsibility. For more information on how to set up Oracle Applications users, see: Oracle Applications System Administrator s Guide. Defining Additional Dimension Level Combinations Defining Target Security E-Business comes seeded with pre-built performance measures and a limited number of dimension level combinations. Using the Performance Measures window, system administrators can setup addition dimension level combinations as required. Note that the measures are based on source views that contain a certain subset of dimension levels. Therefore, Dimension Level Combinations will only work for dimension levels that exist in these views. See Chapter 3, "Using PM Framework and PM Viewer" for information on the measure dimension levels. Using the Performance Management Framework (Full Access) responsibility, system administrators can use the Set Target Security windows to associate responsibilities to the dimension level combinations. This controls your ability to update target information and view actuals on the PM Portlet. See Chapter 3, "Using PM Framework and PM Viewer" for information on how to define target security levels. 34 Overview of Implementing PM Framework and PM Viewer Scheduling Alerts Setting Target Information Using the Performance Management Framework (Full Access) responsibility, system administrators can use the Schedule Alert windows to schedule the frequency of the performance measure alerts. These concurrent requests send notifications to target owners when out of tolerance situations occur, update the actual values for display in the PM Portlet, and establish a notification schedule to which other users can subscribe. See the Oracle Applications System Administrator s Guide or Chapter 3, "Using PM Framework and PM Viewer" for information on how to schedule alerts. The Performance Targets window enables users with proper security to enter target values, tolerance ranges, and target owners, if you have security access, as described in the Security in PM Framework section on page 2-7. Without this information, the alerting system will not function. See Chapter 3, "Using PM Framework and PM Viewer" for information on how to set target information. 2-6 User Guide

35 Security in PM Framework Security in PM Framework The following describes the security access required to use specific PM Framework features. Personal Homepage Security Performance Manager List Portlet PM List Portlet security is based on the security setup in PM Framework. Responsibilities are given access to certain dimension level combination. If you have these responsibilities, you will have access to the actual information on this portlet. Performance Management Framework Security Measure Definition The PM windows are available to users of the Performance Management Framework (Full Access) responsibility. These self-service windows enable users to define measures, dimension levels combinations, security, and additional information. These windows also enable user to schedule the alert for the performance measure. Typically, these windows are restricted to system administrators or power users. Target Information The Performance Target windows are available for users in either the Performance Management Framework (Targets Access) or the Performance Management Framework (Full Access) responsibility. Furthermore, users can only view or update target information for dimension level combinations, if they are given security access for one of the designated user responsibilities. For Target Information based on the data warehouse there is no organization level security. Implementing PM Framework and PM Viewer 2-7

36 Security in PM Viewer Notifications Security Security in PM Viewer The Worklist Portlet displays notifications that are generated by Oracle Workflow for all applications. If you are a target owner, or that are able to request alerts, you will have access to these notifications. The ability to request an alert is limited, based on the security setup in PM Framework. Note that once a notification is received by a user, that user can reassign the notification to other users without restriction. The following describes the security access required to use specific PM Viewer features. Personal Homepage Security Reports Security Performance Management Viewer Portlet (Graph or Table Format) Performance Management Viewer Portlet security is based on the user s set of responsibilities. Users can only view graphs or tables that are part of a report that the user s responsibility has access to. All reports are based on a database view. Therefore report developers can embed report security in the view. Performance Management Viewer Report Users access PM Viewer reports through a responsibility menu. For reports that are based on EDW, the report parameters and data security is based on EDW security. 2-8 User Guide

39 Overview of Defining Performance Measures Overview of Defining Performance Measures To define performance measures, two different user groups are involved. Administrators are responsible for setting up new performance measures, setting dimension level security, and scheduling alerts. Administrators must have some functional knowledge of the PM Framework. Users are responsible for setting targets for performance measures, setting up portlets, and requesting alerts. Users do not require previous knowledge of the PM Framework, because the application is self-service and includes instructional text. To define a PM Framework, the following steps must be performed in the order listed in the table below. Note that both users (administrator and end user) are involved in defining a new performance measure. The table below indicates which user must perform each step.. 41 Creating New Performance Measures Creating Target Function Fields for New Performance Measures (Optional) If you want to calculate or read the target value for a performance measure from the source database, you must create a target function field. If you do not create target function fields, users can manually enter target values for the performance measure. This step is optional and should be performed by an administrator. To create a new target function field, do the following: 1. Create a PL/SQL package and function. The function should take BIS_TARGET_PUB.Target_Rec as the IN parameter, and return a NUMBER. Discuss the functionality and logic of this package function with your executive user or functional lead. 2. Register your function as a form function in Oracle Applications by doing the following. a. Navigate to Application > Function using the Application Developer responsibility. b. In the form function field, use the PL/SQL package and function name that you created in step 1 as the form function name. c. In the Type field, enter BISTAR. For information on how to register a form function, see the Oracle Applications User Guide. Once you have created a new target function field, you can create a new workflow for the new performance measure.
