3 Welcome to FileMaker Pro 8.5! The FileMaker Pro 8.5 family has just a handful of changes but with such impact that we think a version number like 8.9 would be more fitting. To save you time in writing your review, we have summarized only those features that are new since the previous major release, FileMaker Pro 8. If you re new to FileMaker we recommend you start with the FileMaker Pro 8 Reviewers Guide (PDF available at which has installation instructions and other information you ll need to get going. 4 Part 1: New features drilldown FileMaker Web Viewer control Summary The biggest and most exciting change in FileMaker Pro 8.5 is the new Web Viewer control. Now FileMaker solutions can incorporate information or applications via the Web on demand, including real-time content that s based on the information in your database. Possibilities include street maps based on a customer address field, shipping status based on a shipping number and stock performance charts based on a stock symbol. You can view virtually any type of content in the Web Viewer that you can view in a Web browser, including HTML, PDF, QuickTime, Java applets, Flash and SVG charts and PHP charting classes, fillable forms and, on Windows platforms, binary files such as Word or Excel files. The very first day that a new content type is available on the Web, you can include it in your FileMaker solution. Keep in mind that the Web Viewer does not entirely replace a Web browser because it does not provide browsing functions such as address bar, history, preferences, menus and so on. (You can, however, interact with the Browser, add browser navigation functions using the new Set Web Viewer script step, described later in this guide.) Key benefit Now FileMaker solutions can pull together real-time information from anywhere on the Internet as well as on the hard drive or local area network. FileMaker users save time because they can get the information they need from within FileMaker instead of having to open one or more browser windows. Developers save time, too, because the new Web Viewer in FileMaker Pro 8.5 makes it much, much easier to integrate databases with the Web. Adding the equivalent of a Web Viewer control in Microsoft Access would require the use of ActiveX a complex process even for experienced programmers. FileMaker Pro 8.5 makes it unnecessary to find out the syntax for a number of popular sites such as Wikipedia and others. This saves time for experienced FileMaker developers and also makes it possible for non-programmers to create FileMaker solutions that incorporate Web content. 4

5 Details In Layout mode, click the new Web Viewer button and draw a rectangular region in the layout where you want the Web content to appear. In the Web Viewer Setup dialog that appears automatically, specify the Web content that will appear in the Web Viewer. You can enter: - A fixed URL, such as " - A field from your database that contains a customer URL. - A URL that is based on data in one or more fields in your database. FileMaker Pro 8.5 calculates the URL expressions for popular data-driven Web sites including Wikipedia and others. For MapQuest Maps, for example, you are prompted to select the layout fields containing the address, city, state and postal code. For FedEx you are prompted to select the field containing the package tracking number. - Developers who want to point to another data-driven URL can enter the appropriate expression. They ll need to know the syntax that the Web site uses for its search string. Add navigational controls: go back, go forward, reset to the original URL, refresh or got to URL. 5

6 Where to Find This Feature In Layout mode, in the Layout Status area toolbar, select the new globe icon that appears between the tab and button objects. Click the Web Viewer button and draw a rectangle. When you release the mouse, the Set Web Viewer Object dialog box appears. Or In Layout mode, choose Insert menu > Web Viewer. Creative ideas for using Web Viewer There are virtually endless ways in which to benefit from using the new FileMaker Web Viewer. In addition to the suggestions below, please be sure to refer readers to the new FileMaker Web Viewer Gallery ( where cool URLs will be regularly posted for use. Documentation. Link to a Web page providing user instructions for your customized FileMaker solution. When you change the instructions, your users can see the new content immediately without having to distribute a new version of the solution. Maps. Add a map to a contacts layout. If you update your contact s address, the map will change, too, without taking any other action. Shipping status. Add package tracking to a sales or procurement layout. You can see up-to-date shipment status without leaving FileMaker Pro and without typing. Contacts. Street addresses, s and phone numbers change frequently, so instead of typing them into your FileMaker database, why not simply type in the URL of the contact s Contact Us Web page? Web software integration. Integrate with online versions of QuarkXPress, Power School, Microsoft Office and other Web-enabled applications so that customer information can be viewed from within FileMaker. This is particularly useful in contact centers, where harried agents typically have to juggle multiple interfaces. Exchange rates. Display up-to-the-minute exchange rates so you can calculate prices for your global customers in their currency. Managing research sources. For your research projects such as articles or purchase decisions add a Tab Control for each resource source, and then add a Web Viewer on each tab for one-click viewing of Web pages, book references, interviews and more. Preview contents of container fields. Add a Web Viewer to the layout and point it to the file reference, whether it s on your hard drive, the local network or the Internet. You can preview any file format that your operating system browser supports: sound files, videos and animations, images or documents. 6

7 FileMaker Learning Center Summary The new FileMaker Learning Center, which users of FileMaker Pro 8.5 can link to from the Help Menu, provides a wealth of free online resources to help everyone improve their FileMaker skills. Here users will find video tutorials geared to help both new and advanced users along with many other sources of information including How-Tos, FileMaker Community resources and the FileMaker Technical Information Center. Key benefit Users of all types and levels of experience will now have access to centralized, updated information on FileMaker just one click away while working within their FileMaker Pro 8.5 database. 7

8 Layout object names Summary Now you can assign a unique name to almost any object on the layout that you can draw: Web Viewer objects, field objects, text objects, geometric objects, portals, individual tab panels, groups, etc. Because you can name an object, you can also use it in script steps to make your FileMaker solutions more powerful and convenient. For example, the Go to Object script step performs an action on a named object, such as making a particular tab panel active. Key benefit Navigating to a specific object in the layout is now much easier. Previously, developers who wanted users to be able to navigate to portals or tab controls had to place hidden fields on the objects and then use the Go to Field script step. Now that you can name a layout object, you can go directly to that object using the Go to Object script step, avoiding the need for hidden fields. Details The Object Size dialog in previous versions of FileMaker is now the Object Info dialog, and includes the object name in addition to its size. Use the Go to Object script step (found in the Navigation category of the ScriptMaker dialog) to go directly to a particular tab instead of a group of tabs when the database is opened, or to go directly to a particular button or Web Viewer. Users start out right where the developer wants them to be. Where to Find This Feature Layout Mode > View menu > Object Info 8

9 Universal binary for Macintosh computers using Intel Core Duo Summary FileMaker Pro 8.5 products are among the first to bear the Universal symbol, meaning that they are made to run natively on both Intel- and PowerPC-based Mac computers. That means.speed! Users who run FileMaker Pro 8.5 solutions on Intel-based Macs enjoy performance that is 1.5 to 2 times faster than FileMaker Pro 8 on a Power PC.. Key benefit Users definitely notice that universal applications are faster. The increased speed is especially noticeable for FileMaker finds, sorts, on-the-fly calculations, printing, rendering data in portals, and imports and exports. Details Universal binary support is available in FileMaker Pro 8.5, FileMaker Pro 8.5 Advanced, FileMaker Server 8.0v4 and FileMaker Server 8.0v4 Advanced. New object functions and script steps Summary Developers can create more useful, powerful FileMaker solutions than ever using new object functions and scripts that were created to support the new Web Viewer. Solution Details Layout object names let you assign a name to any object, including Web Viewer, portal instance, tab or button. After naming an object, you can use the Go to Object script step (found in the Navigation category) to navigate to the named object and take an action, such as making a specific tab panel active, positioning the cursor in a particular field or selecting a button. 9

10 GetLayoutObjectAttribute function finds out the name of the active object and returns its object type, bounds, source, content, state and more. 10

11 The Set Web Viewer script step lets you provide simple navigational controls for the Web Viewer. Options include reset, reload, go forward, go back, or go to specific URL the same functions available in the Safari and Internet Explorer operating systems. The Reload control, for example, would be useful in a FileMaker solution showing real-time currency exchange rates from the Web, which are updated frequently. The list function finds out all the values in the database associated with a particular field. One way to use the function is to create a tooltip that displays the values. To quickly view all company names in the database, for example, a user could simply hover the mouse over the Company Name field. To see all parts in a shipment, the user could hover the mouse over the Items field. 11

13 Hands-On Exercise A: Add and use a Web Viewer 1. If you don t already have a Contact Management FileMaker Pro database, create one now. Launch FileMaker Pro 8.5 and click the Create a new file using a template button. Select the Business - People & Assets category. Select Contact Management. Delete the fields at the bottom and right of the layout so that your layout looks like this: 2. Draw a Web Viewer object In Layout mode, select the new Web Viewer control palette item, which looks like a globe. Draw a rectangle where you want the Web content to appear at the bottom of the layout in this case. When you release the mouse, the Web Viewer Setup dialog appears. 13

14 3. Add a MapQuest Map based on the customer address. In the Choose a Website area at the left of the dialog box, choose MapQuest (as depicted below) or any of the other Map Web sites included in this dialog box. The right side of the dialog box will show the required fields for the Web site. For MapQuest Maps, the required fields are address, city and state. Try choosing FedEx, and you ll see that the only required field is a tracking number. Click the arrow to the right of each required field and choose Specify Field. You ll see a list of the fields in your Contact Management database. Associate the Street field with the MapQuest Address field, your City field with the MapQuest Maps City field, and your State field with the MapQuest Maps State field. Click OK. Look in the Web Viewer object you drew and you ll see the calculated URL. 14

15 Why it s important FileMaker Pro 8.5 spares you from having to know the syntax that the various Websites use. 4. Now view the maps in your Contacts database. Go to Browse mode. Browse different records; the appropriate map appears for each record. Change a contact address and map will be updated automatically. 15

16 5. (Optional) If you d like, replace the data-driven address with a fixed Web address. In Layout mode, double-click the Web Viewer object to view the Web Viewer Setup dialog. Choose Custom Web Address in the top left of the Setup dialog. Type a URL, such in the Web Address text box at the bottom of the dialog. It is not necessary to enclose the address in quotes. Click OK. Go to Browse mode to view the Web page whose URL you provided. 16

17 6. (Optional) Create a Web Viewer that shows the customer URL in the Contacts database. In Layout mode, double-click the Web Viewer object to view the Web Viewer Setup dialog. Choose Custom Web Address in the top left side of the Setup dialog. Click the Specify button to the right of the Web Address field. The Specify Calculation dialog box appears. In the left part of the Specify Calculation dialog, select the field in your database whose value will control the Web page selected. In this case, select the URL field. Click OK. Go to Browse mode and view different customer records. The customer s Web page will appear on each record. Why it s important If your contact gets a new URL, you only need to change it in one place: the URL field. The new Web page will be displayed automatically. If instead you had typed in the customer URL in the Web Address field, you would have had to update the URL in two places: the contact database as well as the Web Viewer. 17

18 Hands-On Exercise B: Use the new Go to Object and Set Web Viewer script steps 1. Assign a name to an object on a FileMaker layout. Open the sample Contacts database if it is not already open. Go to Layout mode. Select a Web Viewer object. (If you didn t save the one you created earlier, select the Globe tool in the Layout palette and draw a rectangle on your layout.) If the Info dialog does not appear, choose View menu > Object Info. Type a name for the object, such as web page, and then press Enter or Return. 2. Create a new script that navigates to the named object. Choose Scripts menu > ScriptMaker. Click the New button to create a new script. The Edit Script dialog box appears. Enter a name for the script, such as Go to Web Viewer. In the left side of the Edit Script dialog, choose Go to Object and click the Move button. 18

19 Enter the name of the object you want to navigate to in this case, web page. 3. Try out the Go to Object script step you just created. Go to Browse mode. Position the cursor in a field other than the Web Viewer, so that you can see the cursor move. Choose Scripts menu > Go to Web Viewer. You ll go directly to the Web Viewer object named in the script. 19

20 4. Now add Web navigational controls using the Set Web Viewer script step. Choose Scripts menu > ScriptMaker, and click the New button. In the Edit Script dialog, scroll down to the Miscellaneous category and select the Set Web Viewer script step. The Set Web Viewer dialog appears. In the Object Name field, type the name of the Web Viewer for which you want to add controls. (You can have several Web Viewers on a layout, each with its own name and navigational controls.) In this exercise, type web page in the Object Name field. Choose an action from the pull-down menu in this case, Go Back. (Go Back returns to the preset Web page if the user has followed links.) 20

21 5. Return to Layout mode and select the Scripts menu to see the new script step. 21

23 Hands-On Exercise C: Use the Web Viewer to display HTML reports This Reviewer s Guide comes with a Web Viewer sample database, Web Viewer Example.fp7, that you can use to try out the different ways to use the new Web Viewer feature in FileMaker Pro 8.5: Generate HTML reports and display them in a Web Viewer on a FileMaker layout an alternative to FileMaker reporting. The remainder of this exercise provides step-bystep instructions for generating HTML reports. Link to popular search, mapping, package tracking, and finance Websites. For each link, a small set of sample data in the database drives the Web page display. Play Flash and QuickTime movies or view Adobe PDF documents in a Web Viewer. To play Flash and QuickTime movies, you ll need the appropriate video player. Access databases on the Web, such as the FileMaker Knowledge Base, from your FileMaker database. The sample database also provides a link to FileMaker Pro online help and to a Product Updates page on the FileMaker Website where you can obtain updates to your FileMaker software. Many of the examples in the sample database require an Internet connection, and you might need plug-ins or video players for certain functions, such as Flash and QuickTime movies. You do not need an Internet connection for the following exercise, which shows how to generate HTML reports and display them in a Web Viewer. 1. Open file Web Viewer Example.fp7 installed in the FileMaker Pro 8.5/English Extras/Examples/Web Viewer Example folder. 23

24 2. Generate a Sales Data report. Click the Reports button in the left navigation bar to go to the Reports layout. The layout has two tabs for different HTML report examples: Matrix Report and Report Builder. The Matrix Report tab, which you see now, has a Sales Data portal at the top. An empty Web Viewer appears at the bottom of the layout. Click the Generate Report button, at the right of the layout, to generate a Sales Data report of your sample data. You see the HTML file that FileMaker created in the Web Viewer. This file, named Web Viewer Example1.html, has been saved in the same file folder as the database. You ll look at it in step Add a new record. Scroll down in the Sales Data portal to the blank row below the last record, and click in the Location field of the blank row to add a new record. Type in Los Angeles as the location, select Jan as the month, and enter as the $ Amount. (The $ sign, decimals, and commas are not required.) Press the Enter key to accept the record. Notice that the city of Los Angeles now appears in the list of locations. Repeat this process by adding another new record for Los Angeles in the amount of $100,000 for February. Click the Generate Report button. The Sales Data report now includes the Los Angeles data you added for January and February. 24

25 4. Create and view a report from fields in the sample database. Now select the Report Builder tab. It has nested Report Format and Report Data tabs that you ll use to create and view a report of your sample data. On the nested Report Format tab, where you should be already, enter a report title, select line and row colors, and, if you d like, change the database fields for each of the five columns in the report. Click the Generate Report button, at the right of the layout, to generate a Sales Data report of your sample data. You see the HTML file that FileMaker created in the Web Viewer. This file, named Web Viewer Example2.html, has been saved in the same file folder as the database. 25

26 5. Add or edit sample data records Click the nested Report Data tab. Click in any field of the first blank row in the Contact Data portal to add a new record, filling in each field. If you d like, you can add your own contact information. 6. View the report with the additional sample data record. Select the nested Report Format tab. The report display won t update until you click the Generate Report button. Before you do, try changing the appearance of the report as well as the fields it displays. For example, replace the Stock column with an Address column by clicking the Column 3 field and selecting Address from the dropdown menu. Click the Generate Report button to display the updated report. 26

27 7. Finally, view the HTML reports that FileMaker generated from your Web browser. Open your Web browser. Choose File > Open and navigate to the folder containing the Web Viewer sample database. You ll see two HTML files Web Viewer Example1 and Web Viewer Example2 in addition to the Web Viewer Example.fp7 file. Open the files. They look exactly the same on the Web as they do in the FileMaker Web Viewer, with the same fields, data, and formatting. 27

32 Installing FileMaker Pro on Mac OS Before you begin the installation process, quit other open programs and save your work. For latebreaking information about FileMaker Pro, browse the contents of the CD and view the Read Me file or visit Installation notes Before you install FileMaker Pro, review the following notes: If your computer is running virus protection software, turn it off prior to installing FileMaker Pro, and then turn it back on afterwards. When you are installing FileMaker Pro, you will see the License Agreement panel. Read the Software License Agreement. If you accept the terms of the license agreement, click Accept. During installation, you can choose whether to install all the program files (an Easy Install), or to install portions of the program (a Custom Install). For example, you may choose not to install certain features in order to save disk space. An Easy Install installs FileMaker Pro in the language matching your operating system. You can install additional language versions by choosing Custom install, then selecting other language packs from the list of supported languages. Installing FileMaker Pro You must use the installation program to install FileMaker Pro you can t install FileMaker Pro by dragging files to your hard disk. To install FileMaker Pro on your hard disk: 1. Insert the CD into your CD or DVD drive. You see the disc s window on your screen. If you see only the disc icon, double-click the CD icon to open its window. 2. Locate and double-click the FileMaker Pro 8 file. 3. Install FileMaker Pro by following the on-screen instructions. When installation completes, you see a Product Registration dialog box. You can register online if you have an Internet connection. If you choose to register by letter or by fax, you can fill out the form on your computer, print a copy of the form, and mail or fax it to FileMaker. 4. Click Quit to exit the Installer. Where files are stored on your hard disk The FileMaker Pro installer copies files to several folders on your hard disk, depending on the installation options you choose and your operating system. When installation is complete, you can view the Installer Log File in the FileMaker Pro 8 folder. The log file lists the location of each installed file. You can view it with TextEdit or a word processing program. Installing ODBC drivers in Mac OS X FileMaker Pro ODBC support allows you to import data from other applications on your computer or over a network, such as Microsoft Access or Oracle databases. To install ODBC drivers, use the ODBC Import Drivers Installer, located in the folder FileMaker Pro/ODBC Import Drivers. For more information on using ODBC, see FileMaker Pro Help. 32

33 Accessing files from other user accounts If you logged in as an administrator and installed FileMaker Pro into the default Applications folder on a computer with multiple user accounts, other users who log in with a non-administrator password will not be able to access some FileMaker Pro application folders and files. Template and tutorial files: If a non-administrator user needs to access these files, perform a Custom Install and install these files into the user s Applications folder. Adjusting the FileMaker Pro cache Because Mac OS X dynamically allocates memory to applications as needed, there is no way to set a specific amount of memory to allocate to the FileMaker Pro application. However, you can adjust the FileMaker Pro cache size. You may want to increase the cache size if you plan to do the following: Work on a large database file Work on several database files at once host database files Use a database file that contains many graphics Insert a large graphic into a database file To change the cache size that FileMaker Pro uses: 1. In FileMaker Pro, choose the FileMaker Pro menu > Preferences and click the Memory tab. 2. Type a number in the Attempt to set file cache size to box. 3. Click OK. The next time you start FileMaker Pro, the new cache size is used. 33

34 FileMaker Pro hard limits File size: Limited only by disk space, to a maximum of 8 TB (terabytes) on a hard disk and OS API capability. Number of files per disk: Limited only by disk space. Number of files open simultaneously: Maximum of 125 files. Number of remote users per file: Maximum of 5 concurrent client. Number of files shared: There is no limit. Number of sessions via Web browser: Access to web-published database is limited to 5 concurrent sessions. Note. If another view is opened through 'New Window' that's still in the same session. Number of tables per file:1 million. Number of records per table: 64 quadrillion total records over lifetime of file. Maximum record size: Limited by disk space or maximum file size. Number of fields/columns per record: 256 million total fields over life time of file. Number of relationships per file: Limited only by disk space or maximum file size. Length of field name: Up to 100 characters. Field types: Text, Number, Date, Time, TimeStamp, Container (for OLE objects, sound, picture, or movie) and Summary. The Global type is specified as an option. Serial number options: The maximum number is limited by the Number type's range. In the Auto-Enter Serial Number option, user can enter up to 255 characters in the 'next value' edit control and numbers in the range 1 to in the 'increment by' edit control. If alpha numeric the rightmost characters that are numbers are incremented. Maximum field size, by type: Text: Up to 1 billion characters per field per repetition (limited by available memory) with optional text style runs and paragraph runs. Index is based on the first 100 characters of each word or value. Number: Support values from 10^-400 up to 10^400 and the negative values of the same range. Index based on the first 400 significant digits. Up to 1 billion characters per field. The first 400 digits are indexed. Date: Gregorian calendar with the range of 1/1/ /31/3000. Month, day, year order based on system settings when file is created. Time: Input formats: Hour:Minute:Seconds.Fractional, Hour:Minute:Seconds,Minute:Seconds.Fractional, Hour:Minute, Seconds.Fractional and Seconds. Time may be preceded by a negative sign and each numeric value must be in a range of 0 to Times are not limited to 24-hour format to allow for calculations spanning multiple days. If the minutes or seconds exceed 60, the excess is carried over to minutes or hours as appropriate. Timestamp: Standard date followed by spaces and then by a time in the range of 0:0:0.0 to 23:59: Container: Multiple streams of binary data totaling no more then 4 gigabytes. Calculation: Depends on result type. Summary: Depends on result type. Number of field repetitions (sub records): Up to 32,767 for each field. Indexed (key) fields per file: Any field may be specified to index as an option, except: Container, Summary, Global, or unstored Calculation fields. Number of sort levels: No limit. 34
