4 Prerequisites/Required Equipment/Before You Begin COE01_eContracts for Partners_PPT Meet These Objectives By the end of this course, you should be able to: Access the econtracts section in the Zebra Portal. Search for and view contracts. Create a new econtract. Explain line level validations. Complete the additional features required in the econtract creation. View associated entitlements and warranty information. View invoices. Module #1: Accessing and Navigating the Zebra Portal Module Objectives Upon completion of this module, you will be able to log into the Zebra Portal and access the econtracts section in the Portal. Module Overview This module will guide you through the steps to access and navigate the Zebra Portal as a Partner. Activity #1: Logging into the Partner Portal Follow the steps below to access the Zebra Partner Portal. Steps 1. Navigate to the Partner Portal at 4
5 2. Enter your Username and Password and click Sign In. You will be redirected to the Partner Gateway. You can access various tools like Online Ordering here. 3. Scroll down to the Connecting Tools section. 5
6 4. Expand the Ordering Tools section and click the Access link to launch the Online Ordering Tools page. 5. Click the Access ecommerce Partner Portal link for ordering online. 6
7 View the Partner Portal After logging in, you can view the Landing page as shown below: The key tabs are at the top of the page. These include Home, Invoices, Contracts, and Validate Warranty And Entitlement. The Logout button is situated at the top-right corner of the screen. Module #2: Searching for and Viewing Contracts Module Objectives Upon completion of this module, you will be able to search for and view contracts in the Zebra Partner Portal. Module Overview In this module, you will learn about searching for and viewing contracts in the Zebra Partner Portal. Activity #2: Searching for and Viewing a Contract Steps 1. Click the Contracts tab on the Landing page. Note that the contracts fields are listed at the top of the page. Clicking any of the fields will sort the list alphabetically or numerically. By default, the list is sorted by the contract creation date. 2. Click the drop-down menu and select the attribute you wish to search for. 7
8 3. Enter the Name, Number, or Phrase for the contract that you want to view and click the FIND button. 4. Select the Contract Number link from the search results to view the contract details. 5. The Contract Details section displays information about the status and dates. 6. You can view the individual line items of a contract in the Line Items section. 7. You can view the individual line items of an asset in the Assets section. 8
9 Module #3: Creating a New econtract Module Objectives Upon completion of this module, you will be able to: Create a new econtract with a Price Concession (PC). Identify the validations for different criteria such as country eligibility. Module Overview This module will guide you through the steps to create a new econtract with a PC. Create a New econtract Activity #3: Creating a New econtract: With Price Concession Steps 1. Click the Contracts tab on the Landing page. The Contracts page is displayed. 2. Click the CREATE ECONTRACT button. The Add Contract Information page is displayed. 3. The Add Contract Information page is displayed. Notice that the reseller account number and the name are already filled in for a Tier 1 partner. Note: A red bar in the field indicates a mandatory field. Advancing through the five stages will cause the tabs to turn blue. 4. Reseller information is pre-populated based on your account. 9
10 5. Fill in all the other mandatory info: End user Account, End user , PO number, Start date 6. To pick End user click the End User Account Number drop-down arrow which opens the Pick End User window. 7. You can click the Search button to search for an account number. You can also search for any of the fields by clicking an attribute in the drop-down menu, typing in the relevant code, and then clicking the FIND button. Click the OK button once the user is selected. 10
11 8. If End user not found click on NEW button. This opens a new window. Populate the mandatory fields with appropriate information and click on Save. This will create a new customer account which you can then pick. 9. Once End user is added, populate the remaining mandatory fields. Start date is defaulted to current date, however, it can be changed by clicking on the Start date drop down menu 11
12 10. You can select a language from the Welcome Pack Language drop-down menu. The only language available in APAC is English-American. If a Welcome Pack Language is not selected while creating a new contract, it defaults to English-American. Click the NEXT button to proceed to Contract SKUs selection. 11. The Pick Contract SKUs page is displayed. Fill in the fields such as Contract SKU and Quantity. Clicking the Contract SKU drop-down menu allows you to pick a service Stock Keeping Unit (SKU) from a search list. 12. Click the ADD CART button after completing the fields. You can add multiple SKUs in this section. 13. When an SKU is added to the cart, it is auto-populated into the line items below and lists data such as the Description, Quantity, Start/End Date, Price Concession Number, List Price, PC Discount % (once PC has been added), Standard Net Price, and Line Total Net Price. 12
13 14. Click the Price Concession Number field to open the applet to select available PCs. 15. Select the PC and click the OK button. Note: Only those PCs that are available for the service SKU are displayed here. 13
14 16. An additional PC discount is applied to the line. You can also upload a document as an attachment before proceeding to the next sub-tab. However, it is not a mandatory step unless it is an OVS (Operational Visibility Service) SKU. Note that the SKU type enables the selection of the attachment type. If you have used an OVS SKU on the contract, the OVS form must be uploaded as an attachment. An error message will be displayed if you click the NEXT button and the attachment is missing. To upload a file as an attachment, click the NEW FILE button. Search for and add the OVR form from your system. Click the SAVE button. Once uploaded, you should be able to view the attachment name and type. You should also be able to delete the attachment if required. 14
15 17. After updating the line item, and adding an attachment if required, click the NEXT button on the Pick Contract SKUs page. The Add Serial Numbers page is displayed. 18. Click the relevant Contract SKU tile to highlight it. If there are multiple SKUs, then multiple tiles will be viewable. You must highlight the correct tile in order to add the serial numbers (on the following page). Note: Each SKU you add to the cart on the previous page represents a tile. 19. Enter the associated serial number and click the ADD TO ITEM button. Once the item is added, it is displayed below in the Assets section. 15
16 20. Click the NEXT button when finished. 21. Creating a New econtract: Serial Number Validation Scenario 1: Invalid serial number Check if the asset/serial number added exists in Zebra s system. If it exists, the validation passes. Remediation: Please contact the APAC Zebra team or econtracts.apac@zebra.com. 16
17 Scenario 2: Serial number already entitled on an existing contract Validate if the serial number entered is already entitled under a similar coverage type (for example, select, essential) on an existing contract. If yes, the system displays a validation message and prevents this serial number from being added to the contract. Scenario 3: Serial number exists on the current contract Validate if the serial number entered already exists on the current contract and is under the same type of coverage. If yes, the system displays a validation message and prevents this serial number from being added to the contract. If the serial numbers exist on different types of coverage, the validation passes. Scenario 4: Mismatch between quantity on the service SKU & assets count If the number of serial numbers added is less or greater than the quantity specified on the service SKU line, an error message is displayed. 17
18 Remediation: Increase or decrease the quantity on the service SKU line level. Delete or add extra serial numbers so the asset count and quantity are matched. Scenario 5: Serial number compatibility check Validate if the hardware device associated with the serial number can be covered under the service SKU. For example, the image below shows an error message because the MC92 serial number is being added under the MC67 Service SKU. Remediation: Try with a valid service number or a different service SKU. If you still have issues, please contact the Zebra Contracts team. Scenario 6: Service from the Start (SFS) validation Validate the serial number coverage based on the ship date of the hardware device associated with the serial number. If the ship date meets the criteria, the validation passes. Otherwise, there is a validation error as shown in the image below. 18
19 Remediation: Please contact the local Zebra Contracts team if you have questions regarding SFS coverage validity. Scenario 7: Validate existing break-fix coverage of AVS/OVS If the asset is being added under AVS/OVS SKU, the system will validate that the asset is already entitled under a Select or Essential contract. If the validation passes, the asset is added; otherwise, the following error message is displayed and the asset is not added: Remediation: Please contact the local Zebra Contracts team if you have questions regarding the SFS coverage validity. Scenario 8: Select and Fastrack entitlement validation The same serial number cannot be a part of a Select contract and a Fastrack contract. If an asset entered is already entitled under an active select contract or Fastrack contract, then the following message will be displayed: Remediation: Please contact the local Zebra Contracts team if you have questions regarding the SFS coverage validity. 19
20 Activity #4: Creating a New econtract: Bulk Serial Number Upload In addition to the individual asset added to the contract, the Portal also enables you to bulk upload large quantities of serial numbers. All the serial number validation that is applicable to an individual asset addition is also enforced for bulk upload. To bulk upload serial numbers, follow the steps given below: Steps 1. Click the BULK LOAD button on the Add Serial Numbers page. 2. Download the template for the CSV file to be used for uploading serial numbers. 3. Click the Enable Content button. 20
21 4. Click the Generate CSV button. 5. The file gets saved in your Downloads folder as displayed in the message. Click the OK button. Note: This step is a one-time effort. For subsequent bulk uploads, the same file can be used with different serial numbers. 6. Add serial numbers to the CSV and click the UPLOAD FILE button. 21
22 7. Select the file and click the IMPORT button. The serial numbers are displayed. 8. Now, click the LOAD DATA button. The serial numbers that have been loaded are displayed. A green status indicates that there are no serial number validation errors. A red status indicates a validation error and an error message is displayed. 9. Click the CONTINUE button to proceed with adding the serial numbers. Please note that only the serial numbers with a green status are added. 22
23 Activity #5: Creating a New econtract: Review and Confirm Steps 1. Review your cart to ensure completeness and accuracy. Items to review include the following: A Contact Information B Line Items C Assets Items Service SKU Description of Contract Quantity Start/End Date Price Concession Number List Price PC Disc % Standard Net Price Line Total Net Price Serial Number Product Description A B C 2. If further updates need to be made, click the EDIT CART button. 23
24 3. When finished, click the CONFIRM ORDER button. 4. Upon submission, you will be able to see the screen shown below. The system generates a contract number. Note: All tabs are colored blue indicating that the econtract creation process is now complete. 5. Click the GOTO CONTRACT HOME SCREEN button to return to the contracts Landing page. 24
25 6. You will also receive an notification for the contract submission. Creating a New econtract: Additional Information Scenario 1: Creating a New econtract: Multi Language Welcome Pack Once the contract is activated, you will receive a welcome pack via , which includes a Welcome Letter, Service Description document for the particular service part number(s), Terms and Conditions, and Customer Support instructions. Scenario 2: Creating a New econtract: Service Entitlement Without Serial Numbers Some software support/maintenance offerings do not require serial numbers of the devices for entitlement. For such offerings, the serial add capability is disabled as illustrated in the image on the screen. Both Add To Item and BULK LOAD buttons are grayed out. Click the NEXT button to proceed. 25
26 Scenario 3: Country Eligibility Validations Country Eligibility Validations are performed to ensure that the SKU being added to the contract is eligible to be sold in the country of the end user. This validation is performed when you select the SKU to be added from the product selection picklist. When a product is selected from the picklist, the system will check if the selected SKU is eligible to be sold in the end user s country. If eligible, the SKU will be added to the contract; otherwise, the message below will be displayed. If the end user s country is not listed, the SKU will not be added to the line and the following message will be displayed: The same validation must be performed when the SKU is entered directly on the service SKU field instead of searching for and selecting from the picklist. 26
27 Scenario 4: Adding Special Instructions Special instructions are used to indicate that the contract requires special handling for booking. When the Special Instruction field is populated, on submission of the contract, it is received by Zebra in the Submitted status. The Zebra Contracts team then makes the necessary changes to book the contract. For example, you can add special instruction such as global accounts pricing and TC55 contract orders. However, note that using the special instruction for any reasons that it s not intended for will cause unnecessary delays in booking the order. Scenario 5: TC55 Service Offering To create a TC55 service offering econtract, customers can enter TC55 in the Special Instructions field while creating the econtract. On the Pick Contract SKU page, add a TC55 SKU. Attach a file with the relevant serial numbers and click the Save button. 27
28 Proceed with the econtract creation. The serial number addition and validation are automatically skipped. The Add Item and Bulk Load fields are grayed out. Once the contract is submitted, the CS Admin will add the serial numbers on the contract. Contract Status is Submitted The contract will be received in the Submitted status if one of the following criteria is met: The contract has some special instructions. The reseller information is entered as text and not selected from the picklist. The service order included battery maintenance and/or battery refresh entitlements. 28
29 Module #4: Additional Features Regarding Contract Creation Module Objectives Upon completion of this module, you will be able to use additional features related to contract creation. These include: Viewing invoices. Viewing warranty and entitlement information. Creating a new service contract when picking a new end user. Exporting a process. Capturing attachments. Module Overview This module will guide you through the process of viewing invoices, warranty and entitlement information, creating a new service contract with a new end user, exporting a process, and capturing attachments. Search for, View, and Download Invoices Activity #6: Searching for, Viewing, and Downloading Invoices The user can search for specific invoices by querying the data by invoice number, order number, contract number, and order created date range. Steps 1. Click the Invoices tab to launch the invoices view page. 2. Click the FIND button without any search criteria to get a list of all the invoices. 3. Alternatively, filter the invoices displayed based on invoice number, order number, or PO number. Activity #7: Validating the Entitlement and Warranty You can validate the entitlement details of a serial number from the Validate Warranty And Entitlement tab. Steps 1. Enter the serial numbers to be validated. 29
30 2. Click the Validate button. 3. The entitlement details are displayed. Activity #8: Initiating an econtract when Picking a New End User You can create an econtract even when an end user is not in the system. To do so, follow the steps given below. Steps 1. Click the Contracts tab on the Landing page, which takes you to the Contracts page. 30
31 2. Click the CREATE ECONTRACT button. The Add Contract Information page is displayed. 3. Click the End User Account Number drop-down menu, which opens the Pick End User window. 4. Click the New button to open a new window and add the end user information. 31
32 5. Populate the fields with the necessary information. An asterisk (*) denotes a mandatory field that needs to be populated by the user. Click the SAVE button once done. 6. You can also click the Search button to search for an account number. 7. You can also search for any of the fields by clicking an attribute in the drop-down menu, entering the relevant code, and then clicking the FIND button. 8. Click the OK button once you have selected the user. 32
33 Activity #9: Exporting Rows of the Contract Data The Zebra Portal makes it easy to export rows of data into Excel for easy viewing. Steps 1. Click the Contracts tab on the Landing page which takes you to the Contracts page. 2. Click the EXPORT button to open a new window. 3. Select the appropriate radio buttons depending on the information you want to export. a. Rows to Export can be viewed as All Rows in Current Query or Only Current Row. b. Columns to Export can be viewed as All or Visible Columns. c. Output Format can be viewed as a Tab Delimited Text File, a Comma Separated Text File, HTML, or Text File With Delimiter. 4. Click the NEXT button. Export options include: Rows to Export. Columns to Export. Output Format. 33
34 Module #5: Addition to a contract Activity #10: Initiating an Add on to a contract on Portal Steps 1. Click the Contracts tab on the Landing page which takes you to the Contracts page. 2. Look up the active contract you like to add new lines to using the search fields. 3. If the contract is eligible for Add on Add Devices button is enabled. If it is not, the button is disabled 4. To initiate addition process, click on Add Devices button. Contract revision notification is displayed and you need to confirm if you want to proceed by clicking on OK 34
35 5. In Add Contract Information page add missing mandatory info: Reseller/End user account number (not necessary for contracts that were already created after transition to Siebel - these have this info already populated), PO number, Reseller PO number (optional) and Special instructions (if needed). If needed also add or change Reseller/End user 6. Contract Start Date is not an editable field for Add on s. Welcome Pack Language is editable only for pre- Siebel contracts. 7. Once all info is completed click on Next to continue. 35
36 8. The Pick Contract SKU screen displays the active line(s) that is already on contract. To add New line(s) use the Contract SKU/Quantity/Commissioning required (if needed) fields and Add to cart button. 9. Contract Start Date is not an editable field for Add on s. Welcome Pack Language is editable only for pre- Siebel contracts. 10. Once all info is completed click on Next to continue. 36
37 11. The Pick Contract SKU screen displays the active line(s) that is already on contract. To add New line(s) use the Contract SKU/Quantity/Commissioning required (if needed) fields and Add to cart button New ln process line is added to Line Items with start date defaulted to current date and Line Total Net Price pro-rated accordingly. 13. If you want to change the line start date, click in the Start Date field and change it to the required date. 37
38 14. Once the start date is changed click in the Active line and system will pro-rate pricing on the In process line as per the new period. 15. If you want to apply a PC to the new line, enter the PC number in Price Concession Number field and the click on Re-calculate Price button. System will pro-rate the PC price based on chosen line period. 16. If you need to add more new lines to the contract, repeat the same process for them. Please note that Active line is not editable and End date of the In Process line(s) cannot be changed as well. 38
39 17. Once all lines are added click on Next to proceed. 18. In Add Serial Numbers screen use Add to Item or Bulk Load buttons to add serial numbers. 39
40 19. Add to Item and Bulk Load buttons are enabled only for In Process line(s). They are disabled for Active lines(s). 20. Once serial numbers are added click on next to get to Review and Confirm page. All lines covered by the contract will be displayed, however, the new revision will be processed only for In Process line(s). 21. If you like to do any changes to the order, click on Edit Cart. If you like confirm the order, click on Confirm. 40
41 22. Confirmation of successful new contract revision gets displayed once you click on confirm. 23. In the same time, you will also get a notification that displays customer information and the new line(s) you added to the contract. 41
42 24. Once the contract gets activated you will receive Welcome Pack with updated contract information. Welcome letter will include all lines covered by the contract. 42
