1 Introduction - Preface 1.0 Introduction Preface It is with great pleasure that we present Florida s Progress Monitoring and Reporting Network (PMRN). The Department of Education commissioned the Florida Center for Reading Research (FCRR) to develop a Web-based data management system for recording and reporting student data from the Florida Assessments for Instruction in Reading. The primary function of the PMRN is to provide easily accessible, reliable information to Florida educators about their students progress in learning to read. Educators require timely and accurate data about each student s progress in acquiring critical reading skills to effectively plan classroom instruction and provide timely and appropriate interventions. Research has demonstrated the value of reliable and valid assessments of reading growth beginning in Kindergarten. As we monitor progress from Kindergarten through high school, there is a critical need for methods to help organize data and make the data and reports easily accessible to Florida s educators. The PMRN is the primary tool for collecting assessment data in a useful way to guide instruction and provide support to teachers, coaches, and principals in Florida schools. We hope you will fully utilize the capabilities of this important tool in helping to manage reading instruction in your school so that all students may become successful readers. 2 Introduction - Equipment, Security About the PMRN The PMRN is a Web-based data management system available at any time through an active Internet connection. To achieve the most secure connection, thereby protecting sensitive student and staff data, please note the following equipment and security requirements. Equipment Browser Minimum Requirements: To support secure connections the PMRN requires the use of Microsoft Internet Explorer 7.0 or 8.0, Mozilla Firefox 3.0 through 17.0, Google Chrome, or Apple Safari 4.0. Note: For computers utilizing Windows or Apple/Macintosh operating systems, the enabling of JavaScript and Cookies as well as a minimum of Flash Player version 10 are required. You may view a list of the technical specifications at: Monitor Resolution: It is recommended that your monitor resolution be set to 1280 by 768. Macintosh Users: The FCRR has found that student data labels do not print correctly on Epson model printers, but do print successfully on the following printers: HP2200, HP4200, HP4050, and HP5SiMX. Security Saving Passwords: Some computers and Internet browsers allow you to Save Passwords. It is recommended that you do not have your computer remember your PMRN Password. Ask your site technology specialist about disabling the option to Save Passwords. Signing Out: When you complete a PMRN session, please Sign Out. The PMRN will automatically end your session if you are idle for twenty minutes. If you must leave the computer, please Sign Out so that another person who might use your computer cannot have access to information within the PMRN. PMRN User s Guide Version 11.0 Page 1.2

3 Introduction - Identifier, User Name, Password Note: To prevent being timed out, click Save, refresh the page, or load a new report within twenty minutes. Typing is not considered an action that prevents being timed out, as the database is not refreshed. Protect Your Identity: You should keep your User Name and Password in a secure location, and you should not share it with anyone. Details about privacy and security issues can be found on the PMRN site through the Copyright, Privacy Statement, and Disclaimer links found at the bottom of the Sign In page. PMRN Internet Address The PMRN Website is located on the Internet at: Note: Notice the s after http. This indicates that the site is secure for the transmission of sensitive data. Accessing the PMRN Identifier, User Name, and Password Each PMRN User needs three pieces of information to begin using the Website: a Unique Identifier, a User Name, and a Password. Security requirements prohibit the PMRN from sending these three pieces of information in a single document. Each principal receives his or her Identifier in a letter mailed from the FCRR. Each principal s User Name and temporary Password will be sent by . For other school-based Users, the PMRN Unique Identifier is the Identifier. Users will receive their User Names and temporary Passwords by after they have been granted access either by the principal or by the principal s designee, usually the school s Reading Coach. In the PMRN, the principal is known as the School Level 1 (SL1) User, and the designee is known as the School Level 2 (SL2) User. PMRN User s Guide Version 11.0 Page 1.3

4 Introduction - Identifier, User Name, Password SL1 and SL2 Users should retrieve the PMRN Unique Identifier to provide to Users at their school. To retrieve the PMRN Unique Identifier, the SL1 or SL2 should follow the steps below: Sign In to the PMRN using his or her User Name and Password. Select the Users tab. Click on the name of the User that needs his or her Unique Identifier. Review the label named PMRN Unique ID, found at the top of the User Information. Principals should contact the PMRN Help Desk if they have not been given access to the PMRN. Since principals enter their designees into the PMRN, a principal s designee should contact his or her principal if he or she does not have access to the PMRN. All other staff should contact the principal s designee to be granted access. If a staff member has been granted access but does not have a User Name or Password, the staff member should contact the Support Specialists of the PMRN Help Desk (helpdesk@fcrr.org or ). Note: The Support Specialists may only provide User Names and Passwords to the Users themselves. Information to have on hand before you Sign In to the PMRN for the first time: Your received from the PMRN assigning your User Name and temporary Password. Your Identifier which is your Unique Identifier created by the PMRN. Note: At the beginning of the school year, the principal needs to make a number of entries in the PMRN. Please see Principal s Entries, Section 2. Start by going to the PMRN Website, located at: Note: Notice the s after http. 5 Introduction - Signing In Signing In At the PMRN Sign In page, type in the User Name and Password as they appear in the you received from the PMRN and click Sign In. Note: The PMRN User Names and Passwords are not case sensitive. Both capital and lowercase letters are accepted. Possible Errors when Signing In to the PMRN: You mistyped your User Name or Password. Please try again. The letter O and the number 0 and the letter I and the number 1 can be difficult to tell apart in some messages. If any of these characters are in your User Name or Password, please try typing the User Name or Password using each, or copy your User Name or Password from your and paste it into the correct fields on the Sign In page. 6 Introduction - FERPA, News FERPA Statement The PMRN contains official student records. To proceed, you must agree to adhere to the provisions of the Family Educational Rights and Privacy Act (FERPA) and Florida laws regarding access to and disclosure of these records. Click I Agree to continue. At the bottom of the PMRN pages are links to information about privacy and security issues. You are urged to read this information. Note: Information within the PMRN is not to be shared with any person who does not have a defined educational need. News After the FERPA Statement, a News & Information page may be displayed. This page contains the most recent and relevant information pertaining to the PMRN. This page may be accessed at any time by clicking the News link located on the menu on the left of the PMRN Home Page. After clicking the Next button at the bottom right corner, the News & Information page will not appear again at Sign In until a new News item is added. PMRN User s Guide Version 11.0 Page 1.6

7 Introduction - Reset Password Reset Password For security reasons, you must reset your Password upon Signing In for the first time. Follow the onscreen instructions to enter your Identifier and a New Password you select. Note: You will use this Password for future access to the PMRN. After entering your Identifier and new Password, click Submit. Possible Errors: You mistyped your Identifier. Please try again. You did not include the required number of letters and/or a number in your Password. The new Password did not match the re-typed Password. You did not follow the requirements for Passwords. Passwords must be at least 6 characters and no more than 20 characters in length, and must include at least one number. Your new Password matches your old Password. After clicking Submit, you will receive notice on the screen that your Password has been changed. PMRN User s Guide Version 11.0 Page 1.7

8 Introduction - Forgot Your Password? Forgot Your Password? If you forget your Password in the future, click Forgot Your Password? on the Sign In page. Follow the onscreen instructions to enter your address. Click Submit. If the address is valid, is in the PMRN database, and is not shared by two or more Users, the Password will be sent to the address entered. After using the Forgot Your Password? function, you will need to reset your Password the next time you Sign In. PMRN User s Guide Version 11.0 Page 1.8

9 Introduction - Home Page Home Page Congratulations! You have completed the Sign In process and have reached your Home Page, your key navigation page within the PMRN. In addition to your name and Access Level, this page displays the name of your school above the navigation tabs. Below is the PMRN's Home Page for principals (SL1 Users). Different Users will see different pages after they finish their Password, based on their Access Level in the PMRN. You may click the tabs to access different areas of information in the PMRN. When you are working within one of these areas, you can always return to the front page of each section by clicking on its tab. When you wish to end your PMRN session, click Sign Out in the menu column on the left of the screen. The Help and Contact Us links lead to more information about the PMRN and offer ways to reach the PMRN Help Desk. Note: Remember to use your new Password the next time you Sign In to the PMRN. 10 Introduction - Your Profile Your Profile You are urged to check your personal account information by clicking the Profile link on the menu to the left of the screen. This is where you can change your name if it is incorrect or if it has changed. The name change only affects printed reports, by changing the class name in the roster (but not your User Name). Have your District Human Resource/Payroll department make the official change to your District's files to ensure that your corrected name will appear in the PMRN the next time data is updated by the FLDOE. Teachers, especially, need to check their profiles. This information determines how a teacher's name appears on reports to parents and where s from the PMRN are received. Use the drop-down box next to Title to specify the form of your name on printed reports. To have your name appear as "Jane Doe, " for example, leave the drop-down box at N/A. If you want just your title and last name to appear on reports, select the correct title (Mr., Mrs., Ms., or Dr.) from the drop-down box. That will print out "Mrs. Doe," for example. The address listed is the address that the Password will be sent to if you click the Forgot Password link. After you have made your desired changes, click Save. 11 Introduction - Change Your Password, Need Assistance? Change Your Password Should you need to change your Password, you may do so by filling in the boxes in the bottom section of the Profile page. Click Save after making any changes to your profile. Note: Please see page 1.7 for Password requirements. Need Assistance?
