1 Schoolwires Folsom Cordova Unified School District ETIS Department How to Import Registration Events into Calendar Overview Using the Schoolwires calendar to control registration events is easy to do with an import file. Prerequisite Parents/staff must have a login id and password on Schoolwires in order to register for an event on your calendar. Staff members can access Schoolwires through their network account. Parents need to self-register through Schoolwires. Visit the website for instructions on how to register as a parent ( Parents/How Do I...?/Self-Register for Website & E-Alerts?) Quick Steps 1. Complete the ETIS_PTConferenceImport.csv spreadsheet. Download a sample file from the Staff Forms & Documents Library on the district website (login required to access). Category=SchoolWires Fields to update (*= not required) Event Title Start Date Start Time End Time Last Reg Date (the last date a person can register for the event) Contact Contact Description* Category* (category 7 = Parent/Teacher Conference) 2. Save file. Make sure it remains a.csv file and not an.xls file. 3. Open Schoolwires Site Manager, open your Calendar page and click on Import Events tab 4. Start the Import Events wizard to import your ETIS_PTConferenceImport.csv file 5. Select PT Conference Mapping under Step 2: Match field mappings of import wizard and click NEXT 6. Click Next to accept events 7. Click IMPORT 8. Click on Calendar tab and spot check your events to make sure they look correct 9. Post a notice on your Welcome page letting parents know they can reserve their spot 10. View the ROSTERS tab in the Calendar to see who has registered Revised Date: 10/12/2012 ETIS Department Page 1

2 Step by Step Instructions 1. Complete the ETIS_PTConferenceImport.csv spreadsheet Do not change these column values. Event Title (column A) Use short but descriptive names to help you identify events in your Rosters tab Start Date (column B) Appointment date Start Time & End Time (columns C & D) Follow the format H:MM:SS with AM or PM following the time Last Reg Date (column F) This is the last date you will allow people to reserve the spot before it is locked. Allow enough days in between your last registration date and your event date to prepare for your meeting. Contact (columns H & I) Column H: Put your name here. You may also include instructions after your name. Example: Mrs. Hamilton by . This will display on your event as: Contact Mrs. Hamilton by . chamilton@fcusd.org Column I: type your address in this column. Description & Category (columns J & K) *Optional columns to update Column J: The included statement provides simple directions to the parent about how to register for the event along with information about being added to the Wait List for an already reserved time slot. Column K: This column includes the ID number of the calendar category for Parent Teacher Conferences. 3 2. Save file. Make sure it remains a.csv file and not an.xls file. Excel will try to save this as an.xls file by default. To maintain the.csv format select YES when this pop up screen is displayed. When you close Excel, this pop up window will display. Select NO. 3. 4 4. Start the Import Events wizard to import your ETIS_PTConferenceImport.csv file Browse for your ETIS_PTConferenceImport.csv and click NEXT Revised Date: 10/12/2012 ETIS Department Page 4

6 7. Click IMPORT * Do not assign a group or user 8. Click on Calendar tab and spot check your events to make sure they look correct When the import is finished you will see the screen above. If your import needs to be corrected and reimported you can Undo Import to remove the events from your calendar, fix the.csv file, and import again. Revised Date: 10/12/2012 ETIS Department Page 6
