1 INFOFINDER Sheridan County School District #1 This software program will be used to input and track all Trip Requests (replacing PerfectForms), as well as providing information regarding regular bus routes. It will replace the transportation calendar previously housed on the district web site. Call Ann or Lori at with any questions or for assistance. This is a web-based program so it can be accessed from any computer or ipad. The address is: Your User ID is the initial of your first name and your last name, i.e. lthornburg. Your initial password is your staff ID (same as WebLink log-in) It is okay to change your password the first time you enter the program if you wish. Under Options, go to Change Password. There are no special requirements for your password. However security is an issue, as there is student information available in the program. Please do not share your password with others or leave the program accessible to students or other unauthorized persons. The HOME PAGE will come up with a reminder of some key differences in this program versus PerfectForms. We will review these differences here but be sure to refer to the home page for quick access to answers for questions you might have. TRIP REQUESTS: Requests for all trips will be entered in InfoFinder. The process will be: Requests must be submitted 8 days prior to the event. Failure to input the request by that time will require you to obtain permission from your supervisor/administrator to request a trip. Staff person completes a trip request and submits it (Request Submitted Yellow) The request goes to the Transportation Department for review, which will be done daily. Adjustments may be made to the form so that a consistent format is used. The requestor may be contacted for clarification or further information. Requestor will receive notification that the request has been approved at this level (Approval Level 2 Orange) It will then go to the administrator/supervisor of the person requesting the trip. This may vary depending on what type of request/trip it is just as it did in PerfectForms. Upon approval (or denial), an will again be received. (Approval Level 3 Purple) Final approval by Transportation Department is shown as Transportation Approved Green. 1
2 Click on the Field Trips tab Click on the Request a New Field Trip button Status: Change To: This will reflect what level of approval the trip has received. Once you submit, it will show Level 1. To cancel a trip (before it is approved at Level 2), click on Change To and select Cancelled. At bottom of screen, click Save. Field Trip Name: Use a name that describes what school is involved, what activity and the location, i.e. BHE Gr 5 WYO Theatre Field Trip Contact: This would normally be the name of the person submitting the request or the sponsor/coach who will be in charge of the trip. School: Your drop down list should only include schools you are involved in. For athletic events, use the school with Ath at the end. Department: Your drop down list should include appropriate choices of possible types of trips. For staff vehicles, use Staff as the department. For educational field trips (classroom usually), use EDU with proper school level. Activity: Transportation will choose the appropriate type. 2
3 Account: If using a staff vehicle, insert the account the cost should be charged against. Destination: City and/or site you are going to. Please type in the destination (do NOT use the drop down list may cause it to enter data from another trip with that destination) Depart Date: Choose date the trip begins. Depart Time: This field will be used for the actual time the bus will depart from its starting location. If you are unsure how long it will take the bus to travel to the location, enter 5:00 AM and the Transportation Department will calculate and correct this for you. Type in or use the clock. Return Date: Choose date the trip ends. Return Time: This field will be used for the estimated time the bus will arrive back at starting location. (This is important to ensure drivers are not over allowable driving time per day.) If you are unsure about this time, enter 5:01 AM and the Transportation Department will calculate this for you. Type in or use the clock. Notes: Enter the time the event begins or when you wish to arrive. Also indicate the time you expect to depart or the time you wish to be back at your starting point. Indicate any meals or other stops, motel arrangements, etc. For educational field trips, indicate the curriculum area and educational objectives of the trip. Depart from School: Choose the school/building you will be departing from. If you have an additional departure/pickup location, indicate that in the Notes/Directions section. (A reminder buses are only allowed to load in the bus loops on school grounds.) 3
4 Number of Students: Enter estimated number of students Number of Adults: Enter estimated number of adults. Save: Be sure to Save when form is completed. This will start the approval process. RIDERS LIST: A riders list must be submitted to the transportation department prior to the trip s departure. It is essential that a list of riders be available both on and off the vehicle should an accident occur and confirmation of occupants be needed. Please to: transportation@sheridan.k12.wy.us CHANGES TO TRIP REQUESTS: Once a trip request has been submitted and approved at Level 2, changes CANNOT be made by the requestor. Please the Transportation Department at transportation@sheridan.k12.wy.us with any changes or additional information regarding the trip. ATHLETIC EVENT TRIP REQUESTS: When the Transportation Department receives a sport schedule from the Athletic Director, the trips for that sport will be entered into InfoFinder by the Transportation Department (so that advance planning regarding driver/vehicle assignment can be facilitated). Coaches will NOT need to submit a trip request for any event listed on the sport schedule as it will already be in the system. Trips will still be approved by the proper administrator/supervisor, but the coach will NOT receive notification (because they were not the original submitter Transportation Department was). Coaches will need to track the status and accuracy of trips by viewing the trips on InfoFinder. Changes and/or additional information regarding a trip should be submitted to the Transportation address listed above. 4
5 FIELD TRIP REQUEST APPROVAL: s should be received throughout the process letting the submitter know the status of their trip. Administrators and supervisors will receive an from InfoFinder le or Transportation Department letting them know that a request needs approval. There will be a line reading, Click Here to view this trip which will bring them to the InfoFinder le log-in page and then to the trip that needs approval. There will also be a link to view all trips that are pending needing approval. Click on the drop down under Change To: Choose to Approve at Level 3 OR Deny at Level 3 5
6 VIEW FIELD TRIP REQUESTS: You have the ability to see all trip requests for either campus area by logging in as follows: Big Horn User ID: BigHorn Password: bighorn Tongue River User ID: TongueRiver Password: tongueriver Click on the Field Trips Tab Click on the Search button to see all Trip Requests. Use the drop downs if you wish to choose specific schools, departments, etc The trips will open in a list view. Double click on the Trip Number or the Trip Name to view the Trip Request. If a driver and/or vehicle have been assigned, that will be shown at the end of the Trip Name information. (The PTS codes are for Transportation Dept. tracking.) 6
7 Click on the View Calendar tab to view in calendar form Double click on a trip to open the Trip Request form for viewing Hovering over a trip will give additional details Move to another month by clicking on the arrow at the far end(s) of the gray month bar 7
8 STUDENT INFORMATION: Each student who is entered in PowerSchool will be available in InfoFinder. You will have access to the students in your campus area (Big Horn or Tongue River). Information available on the student will include: Address Guardian and Emergency Contacts Bus route, stop, driver, etc. information Click on the Students tab Insert the name of a specific student and Search OR Make choices from the drop down lists and Search OR Click on Search to bring up all students on your campus. Double click student s name for details. Click on the various tabs for the appropriate information. REPORTS: Various reports are also available on the Reports tab. As the system develops, these will be altered to meet the needs of our District. 8
