3 1 SafeSeaNet Norway PEC Administration When you log in in as a navigator you will have a menu on the left called PEC Admin. There are four menu choices: My PEC My Applications My Exams My PEC Pilotages Figure 1: My PEC for new pilot If you do not have a PEC yet, My PEC will look like Figure 1. You can choose to apply for a new Regular PEC (chapter 2) or a new Cadet PEC (chapter 3) by clicking the corresponding links. To register a new regular PEC, you click the link Regular PEC. This leads to the Qualification step. If you already have a PEC, My PEC will look like Figure 2. Page 3 of 22

4 Figure 2: My PEC for existing pilot If you want to modify your PEC, you can submit an application by clicking the Modify PEC link. If you have already submitted an application for modification, you must instead edit your existing application by clicking the Edit link in the Active Applications section. When clicking the Edit or Modify PEC link you will go to the Fairways step in your PEC application (chapter 2.3). If your PEC expires in six months time or less, you will be given an option to renew your PEC. To do so click the Renew PEC link. This will send you to the Documentation step (chapter 2.5.1). 5 2 Regular Pilot Exemption Certificate Application 2.1 Qualification The qualification step is only shown for new PEC applications. If you already have a PEC, this step is skipped. Figure 3: Qualification Review the requirements and if you fulfill one or more, mark the checkbox I fulfill one or more of the requirements mentioned above. Click the Next button to proceed to the Tips And Tricks step. 2.2 Tips and Tricks In the Tips And Tricks step you can watch a video that contains more information about administion of your PEC. You can choose to skip this step in the future by marking the Don't show me this again checkbox. The tips and tricks screen is only shown for new applications. You can still view the tips and tricks video by clicking the link at the bottom of the screen. The link is available through every step of the wizard. Page 5 of 22

7 2.3 Fairways Figure 5: Fairways Select the fairway areas you wish to apply for by clicking the segments in the map. Please ensure that you select a sufficient number of segments to cover the entire fairway area you are applying for. You will be required to provide documentation for experience in these fairway areas in a later step. To the left you can see a list of common choices. Previously granted segments are shown with a BLUE color and may not be selected. Segments that will be granted though an active exam are shown with a YELLOW color and can be selected. Use the left side menu to select collections of segments that forms predefined exam sets or other common choices. To undo all selections, click "Reset map" at the bottom left. You can hide the list to the left of the map by clicking the arrow at the top left of the map. When you have finished your selection, click the Next button to proceed to the Ships step. Page 7 of 22

8 2.4 Ships Figure 6: Ships In the Ships step you can administer the ships tied to your PEC. You can see which ships have been granted previously, you can remove ships from your PEC, or you can apply for new ships by adding them to your application Apply for new ship You can search for Ship Name, Call Sign or IMO number. Click the Add to application link to add any ship from the result of your search. You can remove a ship from your application by clicking the Remove from application link. You can also remove a previously granted ship by clicking the Remove link. If you can t find your ship you can create your ship by clicking the Click here to create a new ship link. The link will only apear after you have made a search. Page 8 of 22

9 Create new ship Figure 7: Create New Ship When registering a new ship the following fields are required: Ship Name, IMO no, Call Sign and Length. After entering the information, click the Create button to register the ship with your application. The newly registered ship is subject to verification by SafeSeaNet Norway. Page 9 of 22

10 2.5 Documentation Figure 8: Documentation In the Documentation step you are required to upload documents relevant to your application. Start by selecting your Navigator Certificate level, its Issued date and its Valid To date. Use the corresponding file upload boxes to upload your Navigator Certificate and Discharge Book. Any other relevant documentation should be uploaded using the Attachments upload box. Click Browse to locate and select the files on your computer. When you have selected a file, click Upload. You can remove a file that you have uploaded by clicking the Remove link next to the file. If you need to you can upload more than one file in each box. If you have any remarks you can use the Remarks field to give SafeSeaNet Norway additional relevant information. Page 10 of 22

11 You can choose whether you want your correspondence in English instead of Norwegian, by checking the Use english language in documentation correspondence check box Renew PEC If your PEC expires in six months time or less, you will be given an option to renew your PEC. Mark the checkbox Apply for certificate renewal. You will be required to document your certificate renewal. You can upload documentation that you have the required experience, or you can use SafeSeaNet pilotage history to document your experience. Figure 9: Renewal Page 11 of 22

12 Click the Next button to proceed to the Invoice step. 2.6 Invoice Figure 10: Invoice In the invoice step you select the invoice receiver adress. If you have an associated company, this will be selected automatically for you, but you can still change it using the search field. Figure 11: Search for company If the invoice should be sent to a different company, you can enter the company name in the Company Name field and click the Search button. If your search gave more than one result, use the Select link to select the correct company. Page 12 of 22

13 Figure 12: Invoice to personal address If the invoice should be sent to you personally, select My Personal Address. Enter your address in the form. If you prefer to have your invoice in english, mark the check box Use English language on invoices. Click the Next button to go to the Confirmation step. Page 13 of 22

14 2.7 Confirmation Figure 13: Confirmation In the confirmation step you will see a summary of the information you have entered in the previous steps of the application. Review the information, and click Finish to send the application to SafeSeaNet Norway. Page 14 of 22

15 3 Cadet Pilotage Exemption Certificate Application The cadet PEC is subject to the PECs of the mentors in it. This means that a cadet PEC only can be used on the ships and in the areas that are in the mentors PECs. To receive a cadet PEC you must conduct a coastal navigation course, hold a valid navigators certificate and have a signed contract with at least one mentor with a valid PEC 3.1 Mentors Figure 14: Mentors The first step in the cadet application process is the Mentors step. Enter your mentor s Pilotage Exemption Certificate number in the Certificate Number field and click Add Mentor. You can add more than one mentor to your certificate applicaton. Exisiting mentors will be shown in the Existing Mentors field. Click the Next button to proceed to the Documentation step. Page 15 of 22

20 4 My Applications Figure 20: My Applications On the My Applications page available from the My Account menu, there are links to either creating a new application or modifying your regular PEC or cadet PEC. If your PEC expires in less than six months, you will also have an option to renew your PEC. You can also see your current active applications, and a history of your past applications and their statuses. Page 20 of 22

21 5 My Exams Figure 21: My Exams On this page you can view your declared exams, exams that have been scheduled and previously scheduled exams that have been taken. Declared exams are exams that you have reported to SafeSeaNet Norway that you wish to undertake. To schedule an exam, you have to register that you wish to take the exam on a voyage in SafeSeaNet Norway. The exam must be registered on a voyage with one of the eligible ships listed in the declared PEC exam list. Scheduled exams are registered on a voyage in SafeSeaNet Norway. A pilot will come on board during the voyage to conduct the exam. You will be notified by if there are no pilots available for the exam. Exam history shows your previously scheduled exams, and whether you passed or not. Page 21 of 22
