1 SCHOLARONE ABSTRACTS v3.14 RELEASE NOTES The following features are planned for release in ScholarOne Abstracts v3.14 on December 7, This document provides information about the default configuration values and configuration time required for each of the features. If you have any questions, please contact Tiffany Pillifant, Director of Product Management at This release includes enhancements or changes that will immediately impact all ScholarOne Abstracts users upon release. Please communicate to your users before the release to prepare them for any changes that might affect them. Other features must be activated by an administrator or ScholarOne representative for your users to benefit from the new functionality. RELEASE SUMMARY The default configuration settings and values for each of the features in the release are outlined below. If you wish to change any of the defaults, contact your ScholarOne Client Implementation Manager. FEATURE Session Center Improvements SUMMARY Improvements to the ScholarOne Abstracts Session Center include the ability to save grid views, expanded grid capabilities, a combined Sessions & Events view, the ability tchange an invitation status, and much more. Action Required: Please contact your ScholarOne Client Implementation Manager to start using the new Session Center (beta) functionality. Text and Formatting Editor for Instructions Blinded File Names A new text and formatting editor is available during instructions setup. Action Required: This feature is available for all clients; no action is required to activate this feature. In order to help enforce the blinding of review processes, the v3.14 release includes functionality that saves files with blinded file names.

Increased Session Timeout Limit To ease burdens created by being inadvertently logged out of a site, the length of time users are allowed to be inactive been doubled to 90 minutes. 3 SESSION CENTER IMPROVEMENTS The ScholarOne Abstracts v3.14 release builds on the beta version of the newly redesigned Session Center using a set of cutting- the sessioning process edge Web 2.0 tools designed to allow greaterr usability, flexibility, and better performance when managing for meetings. To allow extended time to testt and refine these new capabilities, the new Session Center is in beta mode and is available in parallel with the functionality available in the existing Session Center. During this beta testing period, users will have the option of continuing to use the tools with which they are familiar in the existing Session Center, or to use the new tools available in the new Session Center. This release includes several key improvements: Enhanced Grid functionality A combined Sessions & Events tab Relocation of the Programs page to Meeting Setup The ability to change an invitation status from the Speaker Management grid The ability to limit host assignments The ability to control what sessions display in the Itinerary Planner Hyperlink s The Abstracts Listing and Session Builder grids ENHANCED GRID FUNCTIONALITY With the v3.14 release, we have continued building out certain features of the data grids used throughout the Session Center to make the Sessioner s experience easier and faster, and to enable Administrators to make updates in the areas they re working. Key features include: Ability to save grid views. With the v3.14 release, you will be able to save customized views of a grid. By default, the columns displayed, their width, sort order, and any applied filters are saved. In addition, you can set your personal default view for when you come to a specific page. This powerful tool allows anyone with access to the new Session Center to create views and reports that are meaningful to them and only them, or views that are meaningful to others. For example, Administrators now have the ability to help Sessioners by creating personalized views of the sessions and events that are relevant to only thatt person. Or, they can create views that help them manage the overall process - views for specific Session Types or Topics, views by Day, and views for missing data are all possible. Lastly, views that are visible to all users are highlighted in yellow, so it s clear who can see what. 3 /12

4 In-line editing. You now have the ability to edit key fields like Title, Presenting Author, or Session Abbreviation directly from the grid by double- All fields that clicking in designated columns/fields. are eligible for in-line editing will have a yellow pencil icon displayed next them. Column re-ordering ordering. Static columns have been replaced with column headers that you can drag and drop into a new location, enabling you to customize the grid to your needs. Individual column filtering. We continued to build upon individual column filtering by applying this to the Session & Events grid, as well the two new grids: Abstracts and Session Builder. In addition, we vee made them more advanced by applying numeric and date specific filters to allow users even better capabilities for narrowing in on exactly what you re looking for Boolean filtering. The general filters now allow Boolean filtering, so you can type in any of the following to get a mixed set of results (Note Boolean filter terms are case sensitive): o AND o OR o NULL o NOT NULL 4 /12

5 Smart filters. You ll find Excel-like filters in key fields so that you can see what all the available options are to choose from and to allow you to easily select multiple options at once. Look for more fields to become available with future updates. Enhanced general filtering. Userss now have the ability to search for key terms across all columns, or on individual ones. COMBINED SESSIONS & EVENTS TAB Based on user feedback, the separate Session and Events tabs have been combined into a single Sess sions & Events tab, offering users the ability to see everything that s scheduled in a single view. 5 /12

6 RELOCATION OF THE PROGRAMS PAGE TO MEETING SETUP As a result to making a single Sessions & Ev vents tab, we have moved the Programs tab to a more intuitive i location in the new Session Center under the Meeting Setup area. SPEAKER MANAGEMENT: CHANGING AN INVITATION STATUS The ability to change someone s invitation status is now available by double-clicking the Statu us column on the Speaker Management grid and choosing a new status. s. The following rules apply to the ability to change invitation status: Only session administrators have the ability to change someone s invitation status. Sometimes a reset is needed ratherr than a status change. In these cases, selecting either Returned for editing or Invited will reset a person s invitationn and allow them to complete it by selecting Accept or De ecline again. If presenters are required to answer questions in their invitation, and they have not completed those required items, then Incomplete Accept will be the only available accept option. Conversly, if the user has completed their required items, then Accepted will be the only available accept option. If a message or template is not set on the invitation, you may not change its status. This is for safety reasons to help keep users from changing items and then not having a message ready for the presenter or host to see. Lastly, withdrawns may only be changed to Declined. 6 /12

7 LIMITING HOST ASSIGNMENTS There is now the ability to set limits for the number of times someone may serve as a host during a meeting. Society administrators may set a maximum number of sessions for any person by double-clicking the Lim mit cell for that person and entering a value. In addition, they may set a maximum number for multiple hosts systematically by selecting everyone, or a subset of the individuals, and pressing the Set/Reset t max limit button. In order to help identify problem areas, there is a new column in the Hosts grid that tells users how many times a person has been assigned to an existing session. ABILITY TO CONTROL WHAT SESSIONS DISPLAY IN THE ITINERARY PLANNER The v3.14 release includes the option to createe sessions that do not display in the Itinerary Planner. When configuring Session Types, simply check the Include in IP box to include the session type, and uncheck the box to excludee the session type. The field is checked by default, meaning thatt all session types will appear in the Itinerary Planner unless specifically marked otherwise. 7 /12

8 HYPERLINK S New to the Speaker Management, Abstracts, and Session Builder grids is the ability to send system Hy yperlink s mails. Anywhere you find an column in these grids, you ll be able to click a user s address to initiate an to that person. This helps admins and organizers communicate quickly and efficiently while they are working, enabling them to send quick notes or messages to individuals as needed. To set up text that will show by default when a Hyperlink is clicked, you need to configure the System Template in the Admin Center system page. 8 /12

9 Lastly, as with all system s, you have the ability to search for them there is a full history of all the hyperlink s that have been sent and to whom. To view this history, click the Search for s e option in the area in the Admin Center. THE ABSTRACTS LISTING GRID There is now a new Abstracts Listing grid that displays all submitted abstracts. Because it is an all-inclusive view, it allows sessioners who may be unfamiliar with the system get acquainted with the Abstracts that they may want to session. In addition, this grid serves administrators who may want to find records, run a report, or edit information more directly. When combined with the ability to Save View ws, this grid makes a great reporting tool, enabling administrators to create and save reports for things like: All abstracts submitted to a particular category, presentation type, or submission role Presentations scored with no decision Presentations decisioned with no session Submissions to a particular category, presentation or submission role with an Average Score > 3 9 /12

10 THE SESSION BUILDER GRID The Session Builder is a new grid that allows users to drag items from the Abstracts List grid into draft sessions they ve created. Users can expand or collapse their sessions, see the total number of items listed in each draft session, and move items from session to session or re-order within a session. It s a powerful tool that makes finding abstracts, building sessions and assigning abstracts to your session faster, easier and more visually intuitive. Once a session is ready, clicking the Approve e Draft Session button assigns the abstracts to a user ss Draft Sessions and makes them appear in the Sessions & Events grid with the abstract assignment already completed. 10 /12

11 TEXT AND FORMATTING EDITOR FOR INSTRUCTIONS All Admin instruction pages now have a simple and easy to use text and formatting editor to make setting up your on-screen instructions faster. This editor makes it easy to: Bold, italicize, and underline text Change your font type or size Create tables Cut, copy, and paste text Highlight or change text color Indent text Insert a numbered or bulleted list Insert special characters Insert subscripts or superscripts Run spell check BLINDED FILE NAMES In order to help enforce the blinding of review processes, the v3.14 release includes functionality that saves file names as the Control ID File0000X. This blinded file name may be added to proofs by selecting the (Blinded) display option. Accordingly, any File Upload will now automatically have a second display option in the Abstract Proof Configuration page or in the list of Display Items in the Customizable Data Export. When added, it will display the text [download file] instead of the user-entered file name. 11 /12

12 INCREASED SESSION TIMEOUTT LIMIT With the ScholarOne Abstracts v3.14 release, we doubled the length of system inactivity it takes beforee a user is logged out of the system from 45 to 90 minutes. In addition, users are alerted after 80 minutes of inactivity that they will be logged out in 10 minutes if no further actions are taken. FOLLOW SCHOLARONE ABSTRACTS ON TWITTER!
