4 Introduction Workshare Protect is seamlessly integrated with Microsoft Office and automatically enforces company security policy at end-user workstations. Rather than simply block information flow, Workshare Protect warns and educates users in real-time about sensitive information and, if authorized, lets users decide how to treat the content. Workshare Protect provides: Hidden Data/Metadata Removal Policy driven content risk management Discovery and removal of hidden data and visible content leaks Complete metadata protection for Microsoft Office and PDF documents Storage of Attachments in the Workshare Platform Uploading attachments to the Workshare platform and sending recipients links to the documents Frees users from having to send attachments by Facilitating the sharing of files outside of Tamper-Proof PDF Creation Converting any document to Workshare s secure PDF from any application Ensuring flexible publishing and complete PDF security options Enforcing automatic conversion of documents to secure PDF before they can be ed Stopping of Violations in Real Time Enabling users to fix potential problems with manual redaction options Password-protecting documents or restricting them from being sent externally, or at all. In this case, the metadata removal functionality is only available when sending s and PDF creation is available through the right-click menu. What s New in Workshare Protect 7.5 Workshare Protect 7.5 includes the following new features: Compatibility with Windows 8 and Office 2013 Improved Send Link process The flow of the send link process where the user uploads documents to the Workshare platform and sends a link to the document within the platform has been improved so the user experience is less convoluted. 4

5 Ability to display/hide the Add Large Attachment button Users can select whether the Add Large Attachment button is displayed in messages using the Display Add Large Attachment button (Outlook) parameter in the Workshare Configuration Manager (Protection > Send Link category). The Add Large Attachment button enables the user to use Send Link functionality to send a link to a large file when it cannot be sent by . (Administrators may set a limit on the size of files that can be ed to avoid large files blocking Exchange.) Detection of Workshare styles Workshare Protect checks s and their attachments to see if they include any Workshare styles. (Workshare styles are applied to changes in a Redline document.) To enable this feature, select the Detect Workshare styles parameter in the Workshare Configuration Manager (Protection > Administration category). Ability to enable PostScript simulation Users can turn on the PostScript simulation option in the printer driver using the Enable PostScript simulation parameter in the Workshare Configuration Manager (Protection > Convert to PDF category). This is relevant when converting documents to PDF that include WordArt and semi-transparent backgrounds. In addition, over 50 individual change requests have been addressed (see page 11) and many quality improvements made. System Requirements The system requirements for Workshare Protect 7.5 are as follows: Minimum System Requirements Intel Pentium 4 3.2GHz processor 1.5GB RAM 1GB free disk space Recommended System Requirements Intel Core 2 2.2GHz AMD Athlon 64 X GB RAM 2GB free disk space Certified Environments Workshare Protect 7.5 has been tested and certified in a number of environments. If your environment is not included in the following list, it may still be a compatible environment. Contact Workshare Customer Support (support@workshare.com) for any help. For details of which environments previous versions of Workshare Protect were certified against, refer to previous versions release notes at Note: Unless otherwise stated, all environments are the English version with the en-us language set. Operating System: Note: Windows XP and Windows Vista are not supported in this release. 5

Important Information Licensing If the product is licensed on subscription basis, one month before your subscription license expires, you can choose to receive a popup Expiry Notice on a daily basis. You can configure Workshare Protect so that the Expiry Notice is displayed/not displayed as required. For further information, refer to the Licensing section in the Workshare Installation Guide. 6

7 Policies Not Triggered When ing password-protected.docx documents, default policies are not being triggered. This is due to the Microsoft Word Security Update KB Add Large Attachment When using the Add Large Attachment button to send a link, do not use the Advanced Options functionality. POP/IMAP Workshare Protect does not support Outlook when it is configured with a POP or IMAP account. Important Installation Information Workshare Protect installs program files to a sub-folder within the Workshare folder named Modules. Install: A user is unable to install Workshare Protect if Microsoft Windows Installer 3.1 is not installed. This can be downloaded from the following location downloads/details.aspx?familyid=889482fc-5f56-4a38-b838-de776fd4138c&displaylang=en. Windows Vista: For MSI installs the user must have administrative privileges for the Default Mail Client. Internet Explorer: You must ensure that your application is set as the default mail program in Internet Explorer. In Internet Explorer, select Internet Options from the Tools menu. In the Programs tab, select your program (Microsoft Outlook) from the dropdown list. If this is not done, you will not be able to send a document for review. Windows 7: When UAC is set to Default, running the Workshare Protect install displays the UAC prompt. You must approve the prompt and Workshare Protect will be installed. Running the Workshare Protect MSI silently will fail when UAC is set to Default because the user is not given the opportunity to approve the UAC prompt. Therefore for silent installs, disable UAC. VSTO Prerequisite and Installation using MSI Modes: The Workshare Protect 7.50 installer (msi and msp) will not check for the presence of the VSTO prerequisite. The installation will proceed without this prerequisite but the Workshare Outlook Add-in will not be available causing a loss of the Workshare Protect functionality. If deploying Protect 7.50 using the msi or msp you must first deploy the VSTO. This note applies only to Office 2007 (all service packs) and Office 2010 (without a service pack). For Office 2010 SP1 and above and Office 2013, VSTO is already installed. If you have installed any Alpha or Beta builds of Workshare Protect, we strongly recommend that you first uninstall them before installing Workshare Protect 7.5. Installing Workshare Protect 7.5 Workshare Protect 7.5 (Build XXX) will uninstall previous versions and can therefore be installed without uninstalling previous versions of Workshare Protect. Versions prior to 7 will have their settings upgraded; version 7 will not have the settings upgraded. 8 ID 12461/ Details Issues with Foxit PDF Files Windows 7 (x64) SP1 Office 2010 In general, PDFs are not supported which are created or edited by Foxit PhantomPDF. When combining password-protected PDF files created using Foxit PDF editor, the PDF combine process fails Attaching Documents while Workshare Protect in Progress Windows 7 (x64)/office 2010 SP1 When dragging and dropping any document from the desktop to the new mail when the Workshare Protect progress dialog is in view, an error is displayed Error when sending file Office 2013 When Outlook is configured with a POP or IMAP account, sending an in Outlook 2013, an error is displayed from Right-click Windows 7 SP1/Office 2010 No SP With Outlook open, when sending any file using right-click > Send To > Mail Recipient, the is processed and sent correctly but the message does not close. Note: This issue does not happen with Office 2010 SP Send Link Upload Process Windows 7 (x64)/office 2010 & Windows 8 (x64)/office 2010 When sending an with multiple attachments and applying a Send Link profile, the is moved to the Sent Items folder before the process of uploading attachments has completed Post Blog Feature in Office 2013 We do not support the Post Blog feature in Office Publish Slide Feature in Office 2013 We do not support the Publish Slide feature in Office Blank Content Risk Office 2010 After converting a PDF to Word with Workshare, clicking Content Risk in the Workshare ribbon displays a blank content risk report Selecting Profiles using Ctrl Key and Mouse When sending an using the Protect Profile dialog and pressing the Ctrl key and selecting a profile by double-clicking it with the mouse, an error is displayed Password for Workshare Account After selecting a Send Link profile and choosing to create an account in the Workshare platform Log In dialog, entering a valid with a password of less than 4 characters displays an Invalid message even though it is the password that is invalid. 8

Be sure to validate your Workshare account before sending several s Attachment Dropdown in Window - Windows 7 SP1/Office 2010 & Windows 8/ Office 2013 When sending an with a Word attachment and selecting the Attachments dropdown in the Workshare ribbon, a copy of the document is added to the dropdown every time the user clicks the Attachments dropdown Password-Protected PowerPoint Files - Windows 7(x86)/Office 2010 SP1 When sending a password-protected PPTX/PPT file using File>Save & Send and after selecting the default profile and entering the correct password when prompted, an error is displayed Deployment using AD Server - Windows Server 2008 Enterprise (X86) SP1 After deploying Workshare Professional in a Windows 8 environment using AD Server, the user is unable to launch the Workshare Configuration Manager when logged in as a Normal user from PowerPoint Windows 7 SP1/Office 2010 No SP When sending a presentation as an attachment to an from within PowerPoint, the is processed and sent correctly but the message does not close. 10 ID Details VSTO Prerequisite and Installation using MSI Modes The Workshare Professional 7.50 installer (msi and msp) will not check for the presence of the VSTO prerequisite. The installation will proceed without this prerequisite but the Workshare Outlook Add-in will not be available causing a loss of the Workshare Protect functionality. If deploying Professional 7.50 using the msi or msp you must first deploy the VSTO. This note applies only to Office 2007 (all service packs) and Office 2010 (without a service pack).
