If you run this update before Monday, December 30, optionally you can load the new rates early; beginning December 30 the rate load process will begin automatically. See page 2 for details. Instructions 1 Run the Update If you ve already run the update, you can skip this step. Your system must be on Version 9.0 or higher to run this update. PostalMate network users: Every station must be updated one at a time, starting with the Master. You don t have to do anything to get the update file it will automatically download to your computer when it s available, and a notification will appear: 1. Close PostalMate on all workstations. When prompted, do a PostalMate backup. 2. Click on the notification message. An update screen will display. 3. Click on the Update now button. 4. Follow the steps in the install wizard until complete. Page 1

2 2 Load and set new rates 1. After running the update, new Published rates need to be loaded for each carrier. Your options will depend on when you run the update. You can load the new rates ahead of time... One or two days before the effective date for each carrier, a notification like this will appear on the main screen. Just click on it to load rates. You can also load rates at any time from: File > Carrier Activities > Load 2014 rates...or the rate load will start automatically on the effective dates If you didn't load rates early, the rate loading process will begin automatically when you start your PostalMate on the effective date of the change for each carrier (see page 1). 2. When prompted, click OK to load the published rates. After the rates load, the Quick Rate Setting Utility will pop up, as shown below. Select the carrier(s) for which you want to set new retail rates, then click Next. Using the Quick Rate Setting Utility Which carriers appear here depends on the date, because each rate change takes effect on a different date. Page 2

3 3. The next screen, shown below, is for setting your wholesale shipping rates. Generally PostalMate will already know what discount plan you re on with each of the carriers, and will set your rates accordingly. Choose the desired option and click Next. Wholesale rates are those you pay to the carriers This is the most common choice 4. Next you ll set your Retail rates. This year you have a new option that allows you to simply apply rates suggested by Annex Brands corporate. This includes rates for shipping, surcharges, add-ons and insurance. If you choose this option, just click Finish and you re done If you choose this option, click Next and you ll have the following pages Page 3

4 5. The following screen will give you options for setting retail shipping rates. Choose the desired option and click Next. This is the most common choice 6. Now set your new retail rates for surcharges, choosing from the options on the screen. After setting your rates, click Next. $2.07 for DAS Commercial is that a mistake? Nope. Both UPS and FedEx Ground have departed from the age-old tradition of rounding all surcharges to the nearest five cents. These will be your new retail rates (after you set them) Page 4

5 7. The Add-on Rates screen below is next. It looks and works just like the previous screen. Set your new retail rates and click Next. 8. The final screen is for Insurance. At any time you can run the utility again by choosing Edit > Shipping Rates > Quick Rate- Setting Utility from PostalMate s main menu. You can also fine tune your rates using the regular ratesetting features found in PostalMate Settings. 9. After setting your new rates, click Finish. All of the rates you ve set in the wizard will be applied and the Quick Rate-Setting Utility will close. Page 5

6 What s New in Version 9.2 This section contains a summary of the major changes and enhancements included in Version 9.2. Note: If you updated directly from Version 9.0 and skipped updating to 9.1, we recommend that you download the Version 9.1 Update Guide to learn about new features introduced in that version. Rate Changes All rates for the carriers listed on the first page are updated with the new 2014 rates. There are no major service or business rule changes at this time. Please note that USPS rates will be updated in PostalMate Version 9.3, scheduled for release prior to the effective rate change date of January 26, Mail Notifications: Additional support for PMTools PMTools, a third-party membership offering, can now be selected as your mail and package notification provider in PostalMate s Mailbox Manager. PMTools provides text and/or notifications to your mailbox customers via its Package Inventory Management System (PIMS) feature. For more information go to The PMTools PIMS feature has always worked in conjunction with PostalMate the new part is that now when setting up a boxholder with mail notifications in PostalMate s Mailbox Manager you can now enter their and/or text info as part of that process (PIMS is still used for sending the actual notifications). Initial setup 1. You must have PMTools installed on the same computer as PostalMate, and an active PMTools account. 2. From the Mailbox Manager, choose Tools > Setup and Preferences, and go to the Mail Notifications tab. 3. Select the service option to be used for notifications. 4. Select PMTools from the drop-down list on the right. Then click the Check status button to make sure your PMTools accounts is active. 5. Click OK. (Continued on page 7) Page 6

7 (Continued from page 6) Entering notifications contact information for a new mailbox customer 1. Begin opening a new mailbox in the usual way. After selecting a mailbox number for the customer, click Next. 2. Select the service option that you ve assigned for mail notifications as explained in the previous section, and click Next. 3. Complete the Boxholder Information and click Next. You ll see a new Mail Notifications screen. 4. Complete the information; some of it may be pre-populated from the PostalMate database, but it can be changed if desired. 5. Proceed as usual to complete the new mailbox transaction. LSO 2nd Day service PostalMate now supports the new 2nd Day service offered by LSO, which provides end-of -day delivery on the second business day to all locations within LSO s service territory. LSO (formerly Lone Star Overnight) is a regional carrier serving Texas, Oklahoma, western Louisiana, and southern New Mexico. For more information go to Setting up in PostalMate If you re already using LSO in PostalMate, you can proceed to the first step below. If not, you ll need to establish an active LSO account and your store location must be within the LSO service area. 1. Go to Tools > PostalMate Settings and choose Additional Settings on the left. 2. Click the button next to Shipping Settings. 3. With Generic selected, click on the tab where you wish to display LSO 2nd Day on the Rate Comparison screen for regular packages. 4. Under Services to display click to the left of LSO to show the individual services. Put a check mark next to LSO 2nd Day. 5. Select Carrier Branded at the top of the screen, and click on the tab where you wish to display LSO 2nd Day on the Rate Comparison screen LSO 2nd Day Letter. 6. Under Services to display click to the left of LSO to show the individual services. Put a check mark next to LSO 2nd Day Letter. Click OK. 7. Select Set Shipping Rates on the left. Use the rate-setting feature(s) you re comfortable with to set Retail rates for the new 2nd Day service. Page 7
