2 General Information Welcome to MyHVP-Hartman Value Profile web application manual. This tool allows you to take a Hartman Value Profile as well as view, , and print a variety of profile reports. You can take profiles on behalf of yourself or other users, and you can report against yourself or other users, depending on your user role. The application provides a search query tool to search for profile reports. In addition, you can manage users, job codes, units, clients, teams, and partners, depending on your user role. This user guide is designed to familiarize you with the basic functions and applications of the system and allow you to troubleshoot problems users may encounter. 2

3 Logging In and Out of the Application System Access MyHVP- Hartman Value Profile web page is located at the following address: myhvp.com The application is supported by both Internet Explorer and Firefox. Entering the web address will bring you to the main login screen (Figure 1). Figure 1 At this login screen, enter your username, password, and company code. Then click the Login button to enter the system. If your login information is invalid, the system will send you an error message. You can try to log in again. If you still can t access the system after several attempts, contact your HVP Administrator for further assistance. Once logged in, you can log out of the system by clicking Logout on the left-hand navigation bar. If you are inactive for 20 minutes, your session will expire, and you will be automatically logged out of the system. Activity that will keep your session from expiring includes any interaction with the application (i.e. clicking on buttons to navigate through pages) but does not include clicking on links to open PDF reports. 3

4 Welcome System Access Once you login, you should be able to access one of the following 2 screens depending on your user role. If you are in Level 0 through Level 2 inclusive, you ll enter the screen, figure 2. If you are in Level 3 through Client Administrator inclusive, you ll enter the screen, figure 3. Figure 2 Figure 3 System features are now available on the left-hand navigation bar. You can also log out of the system by clicking the Logout button on the left-hand navigation bar. 4

5 Take the Profile Selecting a User On the left navigation bar select Take the Profile. If you are in Level 3 through Client Administrator Inclusive, this will take you to the screen in figure 4: Figure 4 You can take the profile on behalf of yourself, a current employee, or a new applicant. To score yourself, select Myself. To take a profile for a current user, select Existing User and choose a user from the drop-down list. To add a new user to the system and take a profile on his/her behalf, select New User and enter identification information about the new user in the boxes. Proceed with taking the profile by clicking Begin Profile. 5

6 Take the Profile Selecting a User (continued) If you are in Level 0 through Level 2 Inclusive, selecting Take the Profile on the left-hand navigation bar will take you to the screen in figure 5: Figure 5 Simply click Take the Profile to proceed with the profile, which you are taking on your behalf. 6

7 Take the Profile Entering a Profile When taking the profile on your own behalf, you ll see the screen in figure 6. You will see the screen in figure 7 if you're entering someone else s ranked numbers for them. Figure 6 Figure 7 7

8 Take the Profile Entering a Profile (continued) In either screen, the directions are the same. For each column, rank the boxes from 1 to 18. You may not use any other number. You may not use duplicate numbers. You may not leave a box blank. Press Submit to enter a profile in the system. If any of these problems occur in your rankings, an error message will be displayed, and you will not be able to enter your profile until you modify your rankings accordingly. If your score is unusually low, a message will appear indicating that you may not have understood the directions. You will be allowed to change the rankings before resubmitting again. The second submission attempt will be accepted no matter how you score. After entering the profile successfully, you will get a message indicating that your profile was submitted successfully. 8

9 Editing a Profile Take the Profile You can edit a profile by querying the reports. Click on Reports in the left-hand navigation bar. If you are in Level 5 through Client Administrator inclusive, you can select the link Query Reports to get to the screen in figure 8. Select the appropriate search fields and hit View, to see the results (figure 9). Figure 8 9

11 Editing a Profile (continued) Take the Profile In the list of report results of the query, you can select a report by clicking Answers, and then load the current answers, edit, and save them, as shown in figure 10. 12 Reports Standard Reports Click on Reports in the left navigation bar (accessible to all except Level 0 users). If you are in Level 3 through Client Administrator inclusive, you can click on Standard Reports. Now you can select yourself, another user, a team or a unit to report against (figure 11). 13 Reports Standard Reports (continued) To run reports against yourself, select the Myself radio button. To run reports against other users, select the Other User radio button, and highlight one user in the list box of users. You can search users by name by typing in the names in the boxes and clicking on Go. In addition, you can also search users by units they belong to by clicking on the unit type checkbox, typing a unit belonging to the unit type, and clicking Go. After clicking Go, all users that meet your search criteria will be displayed in the list box. To run reports against teams, select the Team radio button, and select a team from the dropdown list. There is a Manage Teams button which links you to the team management interface if you want to view and modify the members that belong to each team. More information on team management is on pg 23. To run reports against all users belonging to a certain unit, select the Unit radio button. You can highlight one or many units from the top list box and click Add to insert the units to the bottom 3 list boxes. The application runs reports against all users in all the units listed under these 3 list boxes, by averaging the scores of the users. To remove any units from the bottom 3 list boxes, highlight the units you don t want to report against and click Remove. You can search for units available in the top list box to report against. To search, click on any of the 3 unit type radio buttons, type in the unit you re looking for in the box next to the selected radio button, and click Go. Finally, type in a name for the group of users under Group name; this name will be displayed as the subject being reported on in the reports. Once you have selected a user, click Next. You must select a user, or an error message will show up and you will not be allowed to proceed. NOTE: If you have not selected a radio button, but have highlighted a user under Other Users, the application will proceed, and you will be running reports against that user. 13

14 Reports View / Print / Reports Levels 3 through Client Administrator inclusive, will be directed to the View Reports screen (figure 12), where you can select from 15 reports. A Level 1 user will see only four reports (figure 13) and a Level 2 user will see seven reports (figure 14). Figure 12 You can check one or many reports. You can check all reports by clicking Select All Reports or uncheck all reports by clicking Clear Selected Reports. You must check at least one report or you will get an error message when attempting to or print reports. To view and/or print all reports you have checked, click View / Print Reports. The browser will redirect to a PDF of all the reports combined. There you can view, print or save the report(s). 14

17 View / Print / Reports (continued) Reports To be able to view and the reports, click View / Reports. You will be taken to the screen in figure 15. Figure 15 You can view a report by clicking on any of the report links, which will open up the PDF in a new window. If your account does not have a valid address, a message will show up on this screen indicating so. If you would like to enter in your , type in the address in the box and click Update. Otherwise, the will be sent from admin@myhvp.com and the recipient won t know who sent the . To the reports, check the reports you want to send, and type in a valid address, subject, and body. The body field is optional. Click Selected Reports, which will send an with the reports as attached PDF documents to the address you typed in. 17

18 Reports Query Reports If you are in Level 5 through Client Administrator inclusive, you can search for reports in the system by accessing Query Reports. You will see the screen in figure 16. Figure 16 18

19 Reports Query Reports (continued) These options will allow you to filter profiles based on the profile-taker's unit, job code, client, and name, as well as filtering profiles based on score ranges of the various scores and date taken. To filter reports based on a specific search criterion, check the box next to that criteria and type or select the corresponding appropriate information. Note that the unit and user selection works the same way as the user and unit selection in Standard Reports detailed on pgs To view the reports that match the query, press View. You will get the results, as shown on the screen in figure 17. Figure 17 Each row represents a profile, and displays information about the user who took it. To view a Basic Results Summary of the profile, click Report, which will take you to the View / Reports screen described on pg17. To edit the profile, click Answers and you will be taken to the Profile screen shown on pg11, where you can modify and save the rankings. To remove the profile from the system, click Remove (only accessible to client administrators). To modify information about the user who took the profile, click User (only accessible to Level 6 and Client Administrators), which will take you to the user edit screen detailed later in pg

20 List of Reports Reports Cover Page Personalizes a report or set of reports being provided to an individual and/or team. Can be set up with no logos, client s logo and/or a consulting partner s logo. Balance of Judgment Indicates if an individual has a Transposition (under values), a Composition (over values) or is Balanced in six areas: Dealing with People, Tasks/Processes, Decision-Making, Self-Esteem, Self-Concept and Self-Image. Basic Information/Selection Indicates if scores are within the strong or acceptable ranges on thirteen key hiring/selection indices, along with capacity on all six of the balance indicators. Provides information on a person s judgment capability and capacity that is helpful, along with other information acquired through the hiring/selection process, in determining best fit for a particular job. Interview Questions Sample questions related to the Basic Information/Selection report that help an interviewer gain additional insight on why someone might have scored outside the desired range on one or more of these indices. Basic Results Summary A basic one page summary score sheet for an individual listing the composite score, stage/type, the scores on all indices, balance indicators, and quantitative/qualitative scores. Compass Report A five page graphic presentation of the Basic Results Summary information displaying an individual s stage/type(s) and scores on all indices relative to generally desired ranges. Diminishing Backdoor Attrition Examination of an individual s scores on six indices and one balance indicator that in combination indicate how likely an employee is to leave a job and/or an organization. Implications for Risk Management Examination of an individual s scores on seven elements being assessed that have an impact on risk management exposure in an organization. Overall IES (Part 1) Global (I)ntrinsic, (E)xtrinsic and (S)ystemic work-side indicators that reflect the level and relationship of an individual s People Judgment, Process Judgment and Impact Judgment. Quality of Judgment Examination of thirteen indices that assess an individual s capacity for fast and accurate judgment. Stage/Type Categories Description of key traits associated with the thirteen possible stage/types and identification of an individual s stage/type(s). 20

21 List of Reports (continued) Reports Strength of Judgment The most comprehensive discussion of scores on each of the indices, showing where along a continuum an individual scores. This report also includes the individual s overall Part 1 work-side value tendencies and stage/type. Team Compass Report Similar to the individual Compass Report, but displaying the average scores and the stage/type(s) of a particular team. Team Detail A color matrix report comparing the level of development for all the scores of each team member, along with their team s average scores. There is the option to include or exclude the manager or other designated team leader. This matrix report can also be produced for an individual, displaying only his/her scores. Team Summary A one page color matrix report indicating the number of team members who scored at each of the development levels on each of the indices and how many members there are in each stage/type. 21

23 Manage Teams Teams To access the team management screen, click on Teams on the left-hand navigation bar. This feature is accessible if you are in Level 4 through Client Administrator inclusive. Click Add to enter a team. You will be taken to the screen in figure 18. Figure 18 Enter a team name. Below is a list box of available users. Highlight one or more users. To search for available users, enter the names, enter the units and check the unit types they might belong to, and click Go, which will display the available users that meet the criteria in the upper list box. 23

24 Teams Manage Teams (continued) To add the users highlighted in the upper list box to the team, click Add. The users will be added to the lower list box. The lower list box displays all users to be in the team. To remove any users from the team, highlight the users from the lower list box and click Remove. Each team can be assigned a leader. To assign a team a leader, highlight one name from the upper list box, and click Add Leader. To remove the team s leader, simply click Remove Leader. Once you are satisfied with the team members and leader, click Save and the team will be entered into the system. You may edit an existing team by going to the team management screen and clicking on the team you want to change. You can remove a team from the system by clicking Remove next to the team. 24

25 Clients Client Administration Home Page Click on Clients on the left-hand navigation bar to access the client administration main page. This feature is accessible if you are a client administrator. The client administration main screen is shown in figure 19. Figure 19 From this screen, you can manage organizational levels, users, and job codes. You can also edit client information, designate unit levels, and upload a report header image (a logo) from this screen. 25

26 Edit Client Info Clients To edit client information, click Edit Client Info on the Client Administration Home Page (figure 19). You will be taken to the screen in figure 20. Figure 20 26

27 Clients Edit Client Info (continued) On this screen, you must enter the name of the client, the client code (users must enter this code at login), address, city, state, zip, country, confirmation (to notify client when a profile has been taken), contact name, contact phone number, and contact address. Other information is optional. The users belonging to the client must type in the client code on login. The confirmation address receives notification when a profile has been taken. Check the new user roles to determine which roles users belonging to the client will be able to assign to new users they create. Click Save to save the changes to the client. 27

28 Clients Manage Users To access user management, click on Manage Users in the Client Administration screen (figure 19). You will enter the screen shown in figure 21. User information for anyone set up with an individual login and a user level of 0, 1 or 2, can be viewed and changed only after a profile is entered. 28

30 Clients Manage Users (continued) On the screen in figure 22, you must enter first and last name, login type, user role, username, password, employee ID, unit (if available for the client), and address. Other information is optional. The first and last name and middle initial will be displayed in reports and some screens when you are using the system. The login name and password are the first 2 fields on the log in screen. The user role drop-down box offers 11 options. Click Save to save the user. You may edit an existing user by going back to the user management screen (figure 21) and clicking on the user you want to change. You can remove a user from the system by clicking Remove next to the user. 30

31 Clients Manage Organizational Levels For the client, there are 3 organizational levels, and each can be associated with a unit type which can be customized by each client organization. To access the Unit Type Management screen, click on Manage Organizational Levels in the Client Administration screen (figure 18). The Unit Type management screen is shown in figure 23. Figure 23 You can enter in a new unit type by clicking Add and entering in a name. To edit an existing unit type, click on the unit type. To remove a unit type, click on Remove next to the unit type s name. To associate an organizational level with a unit type, choose a unit type from the drop down list next to the corresponding level and click Update. 31

32 Clients Manage Units To access the unit management screen, go to the Client Administration Page (figure 19). There should be a link for each organizational level assigned with a unit type. Click on a unit level to go to the Unit Management screen, as shown in figure 24. Figure 24 You can manage units belonging to this unit type. To enter a unit, click Add. Type in a name for the unit and select the unit type it is associated with. The unit will then show up in the correct unit level link in the Client Administration screen. You can edit an existing unit by clicking on a unit. Click Remove next to a unit that you want to remove. 32

33 Manage Job Codes Clients To manage job codes, select Manage Job Codes in the Client Administration Home Screen (figure 19). In the screen (figure 25), you can enter a job code by clicking Add and typing in a name (figure 26), edit a job code by clicking on the job code (figure 25), and remove a job code by clicking Remove next to the job code (figure 25). 34 Clients Upload Client Report Header Logo To select an image for the client that will show up in the report headings, go to the Client Administration Screen (figure 19) and click Upload Report Header Image. You will enter the screen in figure 27. Figure 27 Click Browse to select a logo image from your computer. The image should be 240 X 90, for best results. Then press Save. The image should show up in the bottom. If you do not upload an image for the client, then when you generate reports, a default Spiritual Leadership Institute logo image will show up in the report headings. A blank image can also be uploaded if a client prefers no image in the report heading. 34

35 Permission Levels Note: In addition to capabilities listed, each level user role has all the capabilities of all the previously listed level user roles.
