GMT BQS MODULE SURVEYOR INSTRUCTIONS 1) The nomination will be sent as an email with specific instructions.

1 GMT BQS MODULE SURVEYOR INSTRUCTIONS 1) The nomination will be sent as an with specific instructions. The nomination will also have the GMT Code of Practice (COP) and any further specific requirements. The nomination will include the following information: Vessel Name / IMO number Estimated Bunker Date Port Agent details including telephone number and address Fuel supplier Nominated grade(s) of fuel Nominated quantity per bunker grade Location for sampling and number of samples that need to be taken during bunkering A website link to accept or reject the nomination. 2) Once the nomination has been reviewed and all appears to be in order, the website link can be clicked to accept or reject the nomination. 3) Once clicked, the user will be directed to a web page where there will be an option to accept or reject the nomination: -To accept, click accept. The user will then be asked to confirm the Person in Charge name and 24 hour contact number - To reject, click reject. The user will be asked for a reason why the nomination has been rejected. 4) An confirmation will be sent to GMT and gb.bunkers@sgs.com including the information completed when confirming/rejecting the nomination. 5) If the nomination is rejected then the web link is disabled. If the nomination is accepted then the web link goes to a new page for entry of BQS data.

2 6) The Data entry view contains 5 sections: Enter Survey Details Enter Barge Soundings Enter Vessel Soundings Enter Timesheet Upload documents. Each section must be fully completed.

3 7) Enter Survey Details This is self-explanatory Barge Name, Delivery Fuel Grade, Barge Nominated Tank Numbers, Number of bunker samples drawn, sampling method, Sampling Location, BDR Quantity (MT), BDR Standard 15deg C (m 3 ), BDR Density (Kg/l - e.g ), Seal Numbers Barge and Surveyor. Once all details have been completed, click the Update Survey Details Button to save the information. 8) Enter barge soundings

4 9) Barge Measurements Before Delivery Enter Fwd/Aft Draft, and list and tick to indicate if trim correction was applied Only use numbers as letters will not be recognised (e.g. use 0 rather than Nil. IF NO DRAFT FIGURES THEN ENTER WHY IN THE REMARKS SECTION. Add tank measurements Sounding (m), Temp (Deg C), Observed Volume (m 3 ), Free Water (cm) and Free Water (m 3 ). 10) Barge Measurements After Delivery Repeat section 9 and the other fields: Thermometer What type of thermometer (e.g. Mercury etc.) Condition of line Full/Empty Before/After bunkering Water Detection (what method) (e.g. Water Paste, Kolor Cut etc.) Add any surveyor remarks that may be relevant to the barge figures. When complete, Click Submit Sounding Report to save the inputs.

Use zero figures and density of 1 for empty tanks. 12) Vessel Measurements After Delivery Repeat section 11 and the other fields: Thermometer What type of thermometer (e.g. Mercury etc.) Condition of line Full/Empty Before/After bunkering Water Detection (what method) (e.g. Water Paste, Kolor Cut etc.) Add any surveyor remarks that may be relevant to the barge figures. When complete, Click Submit Sounding Report to save the inputs.

8 20) Add the total number of hours used (Base to base). IMPORTANT Make sure this and the expenses are correct. Once the job has been marked as Signed Off, the job fees have been submitted and will be the only charges that will be accepted if any error has been made. 21) Double check all figures. View the full report using the link ## PDF REPORT - LINK WILL BE REMOVED ## which will give a full summary of figures and highlight any obvious errors with the report. This should be compared with the field report to ensure that they match. 22) When confident all is correct and that the surveyors field report is in line with the on-line report, select the Signed Off Box and click Submit Confirmation. This will lock the report and immediately make it available for issuing to our client. 23) As soon as the BQS sample is available for dispatch, the following procedure should be followed depending on where in the world the bunkering has taken place:
