5 Introduction Two User's Guides The esignlive Application (see Architecture) currently offers two User Experiences: The Classic User Experience for signers, senders and administrators. The New User Experience for senders and administrators. For sender and administrator actions, this experience represents an enhancement over the Classic User Experience. This experience is described in the New Application User's Guide. This chapter contains the following sections, which introduce the Classic User Experience: esignlive Interface (on page 3) Designer (on page 9) The guide's remaining chapters describe how the following types of users can interact with the Classic User Experience to accomplish their tasks: Signers (on page 14) Senders (on page 32) Administrators (on page 64) Minimum Software Requirements What follows is a list of the environments supported by the esignlive service. Its dependencies are generally on the browser, not on lower-level components. WARNING: All of the following requirements are subject to change. 7 esignlive Interface If you are new to esignlive, you can familiarize yourself with the various navigation components and toolbars, as well as with the four folders used to organize document packages. The following image identifies various elements of the esignlive interface. 8 Global Actions Toolbar The Global Actions Toolbar appears below the esignlive Toolbar when one or more global actions are available. The Global Actions Toolbar is context-sensitive, and dynamically decides what actions are available to you based on your current selection. The Global Actions Toolbar may include the following items: Save Template: Saves the settings of the current Document Package as a new template. Create Template: Creates a new Document Package template from scratch. Trash: Deletes the selected Document Package. Settings: Enables you to edit the package name, and modify advanced options. Opt out: Enables a signer to opt out of signing the Document Package. Send: Sends the Document Package to signers. Prepare to Send: Opens the Designer, which enables you to add Signature Boxes and fields to a document. Save Layout: Saves the current Designer view as a new layout, including all Signature Boxes and fields. Apply Layout: Applies a previously saved layout to the current document. Package Toolbar & Progress Bar Each document in the Documents List has a toolbar, as well as a Progress Bar that indicates the number of signatures within it that still need to be signed. In the Inbox, Drafts, Archived, and Trashed folders, each document has a Package Toolbar to assist with the management of the associated package. To see the purpose of a toolbar button, hovering your mouse over the button displays its guidance annotation. With the exception of the Electronic Disclosure and Signature Consent (on page 34), the toolbar contains the following three buttons: Prepare: Provides quick access to document preparation, so you can specify signature areas and required signers for the document. Edit: Enables you to change a document's name or description. By default: (1) the document name is based on the file name; (2) no description is provided. Delete: Removes the document from the list of documents. Signer Toolbar Every signer in the Signers list has their own Signer Toolbar, which contains the following two options: OneSpan North America Inc. 4

9 Edit: Enables you to change the signer's information (e.g., their name, address, and Authenticating Signers (on page 38)). Delete: Removes the signer from the Signers list. If any other language is specified, the Mobile Signing Ceremony will default to English. 10 Inbox Folder Your Inbox contains all the document packages you have sent. From here, you can view a package's completion status. In the toolbar for managing the document package, you can: Download all files Save the package as a Templates Folder (below) Delete the package Archive the package The above image of the Inbox folder indicates that two packages have been sent. For the Term Insurance Application package, you (the package owner) were required to sign once, and you have done so. Ann Balak's signature is required in two places, but she hasn t yet signed either one. The Mortgage and Insurance Application package is complete, as indicated by the associated checkmark. This means that all signers have signed their documents, all signatures have been digitally applied, and all documents have a tamper-evident seal. Drafts Folder The Drafts folder lists the document packages you have created, but have not yet sent. For each package, a toolbar contains several buttons for managing the package. You can: Prepare Documents by placing signatures for each signer Save the package as a Templates Folder (below) Edit the document's information Delete the document To open a package to add signers or documents, click the package name. Templates Folder Templates are a quick way to recall package settings that you might want to re-use (e.g., signers, signer workflow, signature settings, field settings). The Templates folder contains all the templates you have saved, or that have been shared with you by other signers on your account OneSpan North America Inc. 6

11 To create a template: 1. From the Global Navigation Toolbar (on page 3), click Templates. 2. From the Global Actions Toolbar (on page 4), click Create Template. 3. In the Name dialog box, give the new template a descriptive name (required). Optional: Give the template a description. Optional: You can make the template shareable by clicking the Share Template check box. Optional: You can use an existing template as a starting point for this new template by selecting it from the Template drop-down menu. 4. Click Create. A template is created. 5. You can now add signers, documents, and signatures to your template. They will be saved for future use. Groups Folder Sometimes it's convenient to share signature requests among all members of a group. Consider a drug store where multiple pharmacists are on shift at the same time. The head office could identify all pharmacists in that store as a single group, so that any available member can sign the paperwork required to deliver drugs. In esignlive, a group is a collection of esignlive users who can act as a single signer from the point of view of the package creator. For a user to be eligible to become a group member, they must already be a member of the account. The Groups folder displays the groups on your account. Archived Folder The list of packages in your Inbox may eventually become rather long. You can reduce the size of your Inbox by archiving those packages to which you no longer need immediate access. For each package, a toolbar contains several buttons for managing the package: Download all files Save the document package as a Templates Folder (on the previous page) Delete the package NOTE: Only the document owner can download documents from an archived package, and these packages are no longer accessible to signers. Trashed Folder The Trashed folder lists the document packages you have deleted. For each package, a toolbar contains buttons for managing the package. You can: Recover a document back to the Inbox Delete the package permanently OneSpan North America Inc. 7

13 Designer You can prepare documents for signing, and can preview them in the Designer. When you are ready to prepare a package's documents, esignlive opens the documents, and displays the first one in the Preview Page. If the package contains more than one document, you can view additional documents using the navigation arrow in the Preview Page's toolbar. This section discusses the following topics related to the Designer: Saving & Applying Layouts (below) Signature Box Types (below) Menus for Signature Boxes & Fields (on the next page) The Appearance of Signature Boxes (on page 11) Video Tutorial (on page 13) WARNING: If a package is accessible, the Designer page will be read-only. That is, no one can: (1) add, modify or remove signatures or fields; (2) specify the documents as Accept Only; (3) apply layouts to the documents. Saving & Applying Layouts When you create a layout for a document, you can save the layout for later use. To save a layout for later use: 1. After all signatures and fields are in place, from the Global Actions Toolbar (on page 4), click Save Layout. 2. In the dialog box that appears, provide a name for the layout. 3. Click Save. To apply to a new document a layout that has been saved: 1. From the Global Actions Toolbar (on page 4), click Apply Layout. 2. From the drop-down menu, select the layout you want to apply. 3. Click Apply. TIP: You can share a saved layout with other users on your account by clicking the Share Layout option box in the Save Layout dialog box. Signature Box Types esignlive provides four types of Signature Boxes: Click-to-Sign To sign this type of Signature Box, simply click the box. The signer's name is stamped on the box. Click-to-sign is the default Signature Box type. Click-to-Initial To sign this type of Signature Box, simply click the box. The signer's initials are stamped on the box OneSpan North America Inc. 9

14 Capture Signature To sign this type of Signature Box, click the box and draw your signature using the mouse or other input device. You can also choose to sign on a mobile device such as a smart phone if the sender has Mobile Capture enabled on their account. The drawing of your signature is stamped on the box. Mobile Capture To sign this type of Signature Box, you will receive a link via that redirects you to open the document on your mobile phone. You are then required to draw your signature, using a finger or a stylus. The drawing of your signature is stamped on the box. NOTE: The Mobile Capture type of Signature Box requires the Mobile Capture feature to be enabled on your account. This feature can be arranged by asking Technical Support (sign.support@onespan.com; MYESIGN) to configure it. Menus for Signature Boxes & Fields Every Signature Box has a menu to help manage it after it has been added to a document. That menu can be viewed by hovering your mouse over the box, and then clicking Edit. The Signature Box Menu contains four options: Signer lets you change the signer associated with this Signature Box. Type lets you change the type of this Signature Box. Remove deletes the Signature Box from the document. Add Field lets you add other types of information, such as a date field that automatically displays the date the signer signed the Signature Box. Every Field Box includes a menu to help manage it after it has been added to a document. That menu can be viewed by hovering your mouse over the field, and then clicking Edit. The Field Menu contains two options: OneSpan North America Inc. 10

15 Type lets you change the field type. Remove deletes the field from the document. Type/Remove option You can choose from the following types of fields: Signing Date: When a signer signs the Signature Box, esignlive automatically completes this field with the current date. Signer Name: When a signer signs the Signature Box, esignlive automatically completes this field with the signer's first and last names. Those names are provided when the signer is added to the package. Signer Title: When a signer signs the Signature Box, esignlive automatically completes this field with the signer's title. This title is provided when the signer is added to the package. If the signer's title was not provided, the field remains blank, and is not visible on the document. Signer Company: When a signer signs the Signature Box, esignlive automatically completes this field with the name of the signer's company. That name is provided when the signer is added to the package. If the signer's company was not provided, the field remains blank, and is not visible on the document. Text Field: A text field is a box in which the signer can enter additional information at the time of signing (e.g., why the signer is applying for your services). Checkbox: This is a box that the signer can click to display a checkmark (and click again to remove the checkmark). It is useful to indicate that a signer has completed an action. For example, a document may include text such as Have you applied for a mortgage with another financial institution?, with the accompanying text Yes or No. You can include one checkbox beside Yes, and another beside No. Dropdown List: This is a simple drop-down list, which specifies predefined options from which the signer can choose one. After the signer makes their selection, only one value is displayed. This reduces the amount of screen space occupied by this UI element. Radio Button: Radio buttons also provide the ability to select one of multiple options. Multiple buttons can be grouped together by associating each with a common group name. If the Required field is enabled, at least one button in the group must be selected. Identifying one button in the group as the default ensures that the corresponding option is pre-selected. Text Area: A Text Area is similar to atext Field, in that it provides an area where free-form text can be entered by the signer. However, it provides automatic wraparound, and has a 4000-character limit. The Appearance of Signature Boxes Each signature area in a document is identified using a Signature Box. The following sections describe the various appearances of such boxes: Appearance of Unsigned Boxes (below) Initial Appearance of Signed Boxes (on the next page) Final Appearance of Signed Boxes (on the next page) Appearance of Unsigned Boxes Each Signature Box that the current signer must sign is identified by a yellow sticky note, and each such box displays text that indicates the action required of the signer OneSpan North America Inc. 11

16 Click-to-Sign Click-to-Initial Capture Signature Mobile Signature Click-to-Sign is the default Signature Box type, but the package owner can use any of the above types in a document. Unsigned Signatures Indicator If you are using a small screen or are viewing a large document, some of the document's unsigned Signature Boxes may lie outside your current viewing area. If so, an indicator like the following shows the number of such boxes that lie below your current viewing area: A similar indicator with an up arrow shows the number of unsigned boxes that lie above your current viewing area. Initial Appearance of Signed Boxes Once a signer signs a Signature Box: (1) the colour of the box and its sticky note change from yellow to green; (2) the text in the box changes to indicate that the signature was accepted. These differences enable signers to quickly identify where their signatures are still required. Final Appearance of Signed Boxes Once a signer has signed all their Signature Boxes in a package's documents, esignlive displays a digitally signed version of their signature OneSpan North America Inc. 12

17 If you performed the procedure Customizing Your Signature (on page 46) by creating a handwritten signature on the Identity page, your final signature will appear slightly differently in Click-to-Sign and Capture Signature boxes. Signing Documents as the Package Owner The Package Owner is prompted to be the first one to sign a package's documents, unless a Signer Workflow has been created that specifies a different signing order. To sign documents as a Package Owner: 1. Where indicated by a The Appearance of Signature Boxes (on page 11), click Click-to-Sign or Click-to-Initial. Alternatively, if the Capture Signature signature type was used, draw your signature using a mouse or stylus. When you are satisfied with your signature, click OK. 2. Click OK to confirm your signature. When you have signed a Signature Box, both it and its sticky note change from yellow to green. 3. Repeat Steps 1 and 2 for each of the document's Signature Boxes you must sign. A progress bar at the top of the document indicates the number of signatures you have completed, as well as the total number of your signatures required by this document. 4. If additional documents in the package require your signature, continue to sign each document where indicated by yellow sticky notes. Signing Documents as a Signer You will be notified that you have documents to sign via an message, which states that you have been added as a signer to a esignlive package. That message will include a link to the package. The Package Owner may have included additional text, which will appear below the link OneSpan North America Inc. 14

19 To sign documents as a signer: 1. In the message you receive, click Go to Documents. 2. The Package Owner has chosen one of the following Authenticating Signers (on page 38) to verify you as a signer: Authentication by is the simplest form of authentication. It simply requires you to click the link in your invitation . Authentication by Q&A requires you to answer one or more questions. Correctly answer all questions, and then click Login. Authentication by SMSrequires you to enter a seven-digit SMS code that you received on your mobile phone. Enter the code, and click Login. This SMS code is sent when you click the link in your invitation . If you have not received a code, use the Click here link. 3. If the document package contains a Electronic Disclosure and Signature Consent (on page 34), read it and click Accept. 4. Sign all Signature Box Types (on page 9)within the document. Signature Boxes and Initials Boxes are highlighted by yellow sticky notes. If any other signer has already signed the document, their signatures are visible in the document. TIP: If any unsigned Signature Boxes lie outside your viewing area, anunsigned signaturesnotification shows the number of signatures that are still required. TIP: A Package Toolbar & Progress Bar (on page 4)at the top of the document indicates the number of signatures you have completed, as well as the total number of your signatures required by this document. 5. Click OK to confirm your signatures on the current document. 6. If the package has more than one document that requires your signature, click Next Document and continue to sign each document where indicated by yellow sticky notes until all documents are signed. 7. Click Review my documents to review and/or download the documents, or click Exit esignlive to exit. TIP: At any time, you can download an unsigned, unverifiable version of a package's documents. To do so, click Download in the top-right corner of the page OneSpan North America Inc. 15

20 Accessible Signing The version of esignlive introduced an Accessibility Support component that enables blind and visually impaired signers to review and sign documents. For an overview, click here. To access this functionality, signers must click the Enable accessibility mode button within the Signing Ceremony. NOTE: The Signing Ceremony of an accessible transaction supports content magnification via the web browser (up to 200% zoom). The Signing Ceremony of an accessible transaction supports the navigation of fields via the keyboard's TAB key. Signers of an accessible HTML document use both the keyboard and mouse. Accessible HTML provides them with audio notifications via a screen reader. Signing with a Certificate esignlive supports several signing methods, including one which enables users to sign with a digital certificate that resides on a Smart Card or hardware token. TIP: If you are using a hardware token, enabling the token to be read usually requires the installation of a driver on your computer. That driver may be automatically installed with the token. If not, instructions that accompany the token will likely describe how to install the driver. Certificate Signing is subject to the following restrictions: Signing with a certificate is available only for Microsoft Windows, but it works with all supported browsers (Internet Explorer 11, Edge, Firefox, Chrome). It does not work from a tablet or mobile device. It supports only Click-to-Sign signing (see this procedure's first step). Prerequisites A valid third party digital certificate exists and can be used on your system. The Personal Certificate Client. has been installed (installation instructions can be found here). NOTE: When you try to sign with a certificate, you may be prompted to install the latest version of the Personal Certificate Client. If you are using a Smart Card (e.g., CAC, PIV, or eid): o o A card reader is connected to your system, and is correctly installed and configured. An appropriate Smart Card is being read by that device. You have started an online session with esignlive. Prerequisites for Administrators: o o o The relevant certificate must be a document-signing certificate. The account of the transaction's creator must have been enabled for Certificate Signing. The certificate s Certificate Chain must exist on the signer's system OneSpan North America Inc. 16

21 Action To sign a document using a certificate: 1. When the document is displayed for signing, click the Signature Box. The following image shows a typical box: 2. Click Confirm. The Certificate Selection dialog box appears. 3. Select a certificate from the list of certificates. 4. Optional: If you want to view details about the selected certificate: a. Click Details. The Certificate Details window appears. b. Click Back to Selection. The Certificate Details window closes, and the Certificate Selection dialog box reappears. 5. Click Sign. 6. If you are using a Smart Card: a. The Approval Information dialog box appears. b. Click Sign. Video Tutorial How to E-Sign Documents with Smart Cards in esignlive Capturing Signatures on Mobile Devices Prerequisites You have met the conditions described in the following section: Prerequisites (on page 25). Action To capture signatures on your mobile device: 1. You have received an , inviting you to sign a package's documents. On your desktop, laptop or tablet, click that 's Go to Documents link OneSpan North America Inc. 17

One of the following two scenarios occurs, depending on the account-level signing method chosen by the package sender: Signature Capture: After reviewing the documents on your desktop, laptop or tablet, you are given the choice of capturing your signature in either of the following ways: (1) draw your signature in the space provided on the following screen, and then click OK; (2) use your mobile device, starting by clicking Sign with your mobile device on the following screen. Mobile Capture: This method forces you to sign using a mobile device. Thus after reviewing the documents on your desktop, laptop or tablet, you attempt to click-to-sign a document, but are notified that your signature must be captured on a mobile device. Click Sign with Mobile Device. 3. If you've chosen to sign on a mobile device: OneSpan North America Inc. 18

23 a. Instructions on how to proceed appear, and an containing a link is sent to your mobile device. Click Continue. b. Open the on your mobile device, and click Go to Documents. c. A blank signature line appears. Use it to draw your signature with your fingertip or a stylus. d. When you've finished drawing your signature, click Done. e. After you've finished signing on your mobile device, you can return to your desktop, laptop or tablet to review the documents you signed. If an original signer does this, their delegate can sign on their behalf. The rest of this section describes: Delegating a New Signer (below) Signing Documents as a New Signer (on the next page) Delegating a New Signer TIP: An original signer can sign any Signature Boxes they want before they delegate their remaining Signature Boxes to a new signer. To delegate your signing responsibilities to a new signer: 1. In the page's top-right corner, click Change Signer. 2. In the dialog box that appears, enter the , First Name, and Last Name of your delegate. 3. Optional: Type a Message for your delegate. 25 Signing Documents as a New Signer esignlive sends a new signer an which: (1) identifies the person who has delegated their signing responsibilities to them; (2) states that documents are available for signing. The also includes a link to those documents. To sign documents as a new signer: Perform the procedure Signing Documents as a Signer (on page 14). TIP: As a new signer, you will not be required to provide any authentication information. After a new signer has signed, their signature will appear in all the Signature Boxes they signed. Opting Out of Signing After a signer has been authenticated, they can opt out of signing. To opt out of signing: 1. At any time, from the Global Actions Toolbar (on page 4) click Opt Out. 2. Specify your reason for opting out. NOTE: By contacting Technical Support (sign.support@onespan.com; MYESIGN), account owners can: (1) customize the list of reasons that appear in the Opt Out dialog box; (2) disable that box's Other button. 3. Click OK. The package sender will be notified of your action, and you will no longer be able to view any document in the package. Declining to Sign After a signer has been authenticated, they can decline to sign a package OneSpan North America Inc. 21

26 To decline to sign a package: 1. From the Global Actions Toolbar (on page 4) click Decline. 2. Specify your reason for declining. NOTE: By contacting Technical Support (sign.support@onespan.com; MYESIGN), account owners can: (1) customize the list of reasons that appear in the Decline dialog box; (2) disable that box's Other button. 3. Click OK. The package sender will be notified of your action, and you will no longer be able to view any document in the package. Completing Signing When you have signed all your Signature Boxes in a document package: (1) the message bar at the top of the document indicates that you have completed signing; (2) the progress bar states the number of signatures you have applied. You may also be able to immediately download the signed documents for your records by clicking Download this document in the message bar. However, that button will be present only if: The Package Owner and all other signers have already signed the document. The Package Owner has configured the package to auto-complete. If this button is not present (or if you do not want to download now), you can download the documents later. Downloading Signed Documents After all signers have signed a package's documents, esignlive flags the package as Complete. A completed package is one that has been securely signed, and digitally sealed with a tamper-evident seal. Any attempt to tamper with the documents in the package or their signatures will break the seal. If that happens, the signatures will stop being legally binding. esignlive sends an to all signers to notify them that signing is complete. That includes a link that signers can click to download the package with its securely signed documents. The may also include the documents as attachments, depending on the options selected by the Package Owner when they created the package OneSpan North America Inc. 22

27 NOTE: If Document Visibility was configured for the transaction, each person can download only those documents that the configuration permits them to view. Signers are not required to download documents. They remain available for download until the Package Owner archives or deletes the package. It's nonetheless a good idea to download so signers will have a copy of the documents for their records. Signed documents are provided as PDFs. Each PDF includes visual indicators and messages that signers can use when they are Reviewing Signed Documents (below). To download signed documents: 1. In the message you receive, click the link to the document package. 2. Do one of the following: a. To download all documents, in the Global Navigation Toolbar (on page 3) click Download All Files. b. To download specific documents, in the Package Toolbar & Progress Bar (on page 4), click Download for each document you want to download. Follow the prompts to open or save the document. Reviewing Signed Documents After you download a package, you can review its documents. Each document is a PDF that contains your signatures and the signatures of all other signers. If you view a downloaded PDF using Adobe Reader, you can verify if its signatures are valid. One way of doing so is to click each signature a popup states if the signature is valid, and provides further details about the signature's status OneSpan North America Inc. 23

28 WARNING: PDF viewers other than Adobe Reader may not be able to reveal if a downloaded document and its signatures are valid. It is also provided to users on mobile phones if they try to use a feature that is not supported by the Mobile Signing Ceremony. Mobile Signing Ceremony This is the signing experience provided to users of Mobile Web Applications, after the feature has been activated via Technical Support (sign.support@onespan.com; MYESIGN). For a list of the supported mobile phones, see the Prerequisites (on the next page) below. 34 In-Person Signing It is sometimes convenient for a package's documents to be signed by the package owner and all other signers on the same device. For example, a life insurance agent may visit clients in their homes. Using a mobile device such as a tablet, the agent can prepare the insurance package while meeting with the clients, and both agent and clients can sign all documents during their meeting. Such scenarios are called in-person signing. When that esignlive feature is enabled for a package, all the package's documents must signed on the same device by all signers. By default, after each signer has completed their Signing Ceremony, the next signer must: (1) accept an affidavit that confirms their identity; (2) read and accept the Electronic Disclosure and Signature Consent form. You must create a package using the following procedure before you can add documents to it. To create a document package: 1. Click Send New Package. 2. Uploading New Documents After a package has been created, documents can be added to it. esignlive supports adding any of the following document types: Adobe Portable Document Files (.pdf) Microsoft Word documents (.doc or.docx) Open Office documents (.odt) WARNING: The system supports a maximum of 16 MB per document (smaller documents yield better performance we recommend under 5 MB per document). However, there is no limit to: (1) the number of documents in a transaction; (2) the total collective size of documents in a transaction. WARNING: PDFs with the NeedAppearances flag set to true are not currently supported. WARNING: Document file names should not contain any of the following comma-separated characters: *, /, \, :, <, >,,?, ". To upload new documents to a package: 1. From the Signers and Documents page, click Add Document. Browse to where your document resides, and select it. You can select multiple files. 2. Click Open. NOTE: The documents are added to the Documents list, along with an Electronic Disclosure and Signature Consent (on the next page) document. 3. Optional: To add documents from other locations, repeat Steps 1 and Optional: To change the order of multiple documents, drag the handlebar left of a document to its preferred location in the Documents list. The cursor will change to a crossbar. Your uploaded documents are added to the Signers and Documents page. That page's Documents list shows all documents in the current package. Adding Previously Added Documents A document that has already been added to a package can be added to another package using the following procedure. To add a previously uploaded document to another package: 1. In the Documents search box, type any consecutive alphanumeric characters of the name of the desired document. 38 Electronic Disclosure and Signature Consent esignlive automatically includes an Electronic Disclosures and Signatures Consent document in all packages. All signers must accept the terms of this agreement before they can access the other documents in a package. Editing a Package's Details To edit a document package's details: 1. From the Signers and Documents page, above the Signers list click Edit Details. 2. On the Details tab, you can change the package's Name or Description. 3. Click Advanced Options to change any of the following options: Expiry Date: If you specify an expiry date, all documents must be signed by that date. After the package has expired, it will no longer be available for signing. Message: You can include a message in the that notifies signers that documents are available for signing. This message appears after the link that provides access to the documents. When a signer is added, a message can be sent to them which will override the package's message. In-Person Signing: For convenience, documents in a package can be signed by the package owner and all other signers on the same device. For example, a life insurance agent may visit clients in their homes. Using a mobile device such as a tablet, the agent can prepare the insurance package while meeting with the clients, and both the agent and clients can sign all documents during their meeting. Notarization: Notarization is used in a wide variety of circumstances that are related to documents that involve transferring land and vehicles, insurance settlements, liens, trusts, etc. The notarization process always involves an in-person meeting between the signers and a notary. Auto-Completion of the Package: By default, after all signers have signed their documents, the document package is marked as complete. A completed package cannot be changed without breaking its tamper-evident seal. However, you may want to review a package and its signed documents before completing it. You can change the default setting so the package remains open until you explicitly choose to complete it manually OneSpan North America Inc. 34

41 If it is important that signatures be obtained in a specific order, a Signer Workflow can be defined. When such a workflow is defined, signatures are obtained from signers in the order in which the signers appear in the Signers list. For example, in the following screen: (1) Paul must sign first; (2) Joe will receive the package only after Paul has signed. To define a Signer Workflow: 1. From the Signers and Documents page, select the box Define a role workflow. 2. To change the order of signers, drag the handlebar left of each signer's name to its desired position in the Signers list. The cursor will change to a crossbar. Adding a Signer Group The concept of a group of signers is explained here. To add an existing group in your account to a package: 1. From the package's Designer page, click Add Signer. The Add Signer dialog box appears. 2. For Signer Type, select This Signer will be: A Group defined in my account. 3. Select the Signer Group you want to add. 4. 42 Preparing Documents with Group Signatures To prepare a document with signatures for a group of signers: Using the Designer, place signatures for the group as you would signatures for an individual signer. Any signer who belongs to the group will be able to sign on its behalf. Authenticating Signers Before esignlive permits a user to access a document package, they must be authenticated as an intended recipient of the package. The package owner specifies an Authentication Method for each signer when they add the signer to the package. The owner can specify different methods for different signers. The basic Authentication Methods are: (below) Q&A (below) SMS (on the next page) TIP: If you wish, you can require an Authentication Method for all signers of all packages created in your account. To arrange this, contact Technical Support (sign.support@onespan.com; MYESIGN). The default Authentication Method is . In this case, a signer's identity is validated based on their ability to access the message sent by esignlive. Clearly, this method depends on the security of the system. The Q&A and SMS Authentication Methods provide enhanced levels of security. TIP: To see how Authentication appears to the signer, see Authentication by . Q&A The Q&A Authentication Method requires the package owner to specify one or two question-answer pairs. If the signer can correctly answer the questions, they are validated as the intended package recipient OneSpan North America Inc. 38

43 Senders can choose to mask the the signer's answers, so that when the signer types an answer, each typed character appears on the screen as an asterisk (*). NOTE: esignlive's default behavior is to mask a signer's answers. This default can be changed by contacting Technical Support (sign.support@onespan.com; MYESIGN). In any case, senders can always overwrite any setting of the "mask answer" check boxes. TIP: To see how Q&A questions appear to the signer, see Authentication by Q&A SMS When a package owner chooses the SMS Authentication Method, they must provide the number of the signer's mobile phone. esignlive sends a code to this number once the package is sent. The identity of the signer is validated based on their ability to provide this code when they attempt to access the package. NOTE: Customers who dial outside of North America must dial the exit code first (011), then the country code, and then the local phone number. They should omit any listed trunk code, which is typically a "0" at the beginning of the number. A widget is in place to assist you OneSpan North America Inc. 39

Advanced Signer Options The Advanced tab of the Add Signer dialog box offers options that pertain to the following topics: Personal Message (on the next page) Document Delivery (on the next page) Change Signer (on the next page) OneSpan North America Inc. 40

45 Personal Message This option enables you to write a personal message that will be ed to each signer of the document package. A personal message overrides the package message. Document Delivery All package documents are available for manual download by all signers until the package owner archives or deletes the package. If you select the box Also deliver signed documents as an attachment, esignlive will also deliver all signed documents as an attachment. Change Signer If you select the box Allow to change signer, you are permitting the signer to assign someone else to sign the document package on their behalf. The original signer will be asked to provide the address and full name of their delegate, and they can optionally write a message to be ed to their delegate. You are notified when signers are changed. Document Reviewers A "reviewer" is someone who is given access to a sender's document package, so they can review that package's contents. A package can have multiple reviewers. To add a reviewer to a document package: 1. Add them as a signer to the package. 2. Do not add any Signature Blocks for them. Reviewers can see the package, but they aren't required to participate in the signing process. When a reviewer views a document in the package, the following message appears: When a reviewer is ready to navigate to the next document, they should click the right-facing arrow. Preparing Documents Once you have created a package and added at least one document to it, you can prepare all of its documents for signing. This is done using the Designer (on page 9). WARNING: If a package is accessible, the Designer page will be read-only. That is, no one can: (1) add, modify or remove signatures or fields; (2) specify the documents as Accept Only; (3) apply layouts to the documents. To prepare a package for signing: 1. Perform the procedure Adding Signature Blocks to Documents (below). 2. Optional: Perform the procedure Adding Fields to Documents (on the next page). 3. From the Signers and Documents page, click Prepare. This section also discusses Creating and Using Templates, which is related to preparing documents for signing. Adding Signature Blocks to Documents Signature Blocks define: (1) where each signer must sign a document; (2) fields that contain information about the signer. In a given document, you can insert multiple Signature Blocks for a given signer OneSpan North America Inc. 41

46 However, you are not obliged to add a Signature Block for a signer. For example, a package may include several documents, one of which requires signatures from only two of three signers. To add Signature Blocks to the documents in a package: 1. Click Prepare to Sign in the document toolbar. The Preview window appears for the package' first document. 2. Using the drop-down arrow in the Signers list, select the signer whose signature you want to add. 3. Click Add Signature. 4. Drag the Signature Block to where you want it to appear in the document. 5. If you want to change certain settings: (1) hover your cursor over the Signature Block; (2) click the gear icon ( Menus for Signature Boxes & Fields (on page 10) open). 6. For each Signature Block you want to add to the document, repeat Steps 2 to If the package has multiple documents: (1) open the next document by clicking the navigation arrow in the Preview window's toolbar; (2) repeat Steps 2 to 6 to add Signature Blocks to that document. Adding Fields to Documents Fields are associated with a specific signer, and are optional. You can include any number of each type of field. If the signer has a esignlive account, fields such as the signer's name and title will be filled in automatically, even if that information is not provided by the sender. A field does not appear if the document that contains it is displayed to a signer other than the user for whom the field was created. For example, if you add Signer Name, Date, and Checkbox fields for a specific signer, those fields will never appear to the package owner. Field Types You can add any of the following field types: Signing Date: At the time of signing, the system automatically populates this field with the current date. Signer Name: At the time of signing, the system automatically populates this field with the signer's first and last names. These names are provided when the signer is added to the package. Signer Title: If the signer's title is available, the system automatically populates this field with that title at the time of signing. Otherwise, the field is left blank. The signer's title is usually provided when the signer is added. However, if the signer is a Contact, Lead, or User in Salesforce, this field is automatically populated with the information stored in Salesforce. Signer Company: If the name of the signer's company is available, the system automatically populates this field with that name at the time of signing. Otherwise, the field is left blank. The company name is usually provided when the signer is added. However, if the signer is a Contact, Lead, or User in Salesforce, this field is automatically populated with the information stored in Salesforce. Date: This field enables the signer to add a date of their own choosing. The Name, Format, Is Required, and Type values can all be specified in the field's settings OneSpan North America Inc. 42

47 Text Field: This field provides a box where the signer can enter additional information at the time of signing. Text Area: This is similar to the Text Field type, in that it provides an area where free-form text can be entered by signers. However, unlike Text Fields, it provides automatic wraparound. Each Text Area can accept up to 4000 characters. The Name, Default Value, whether the text area Is Required, and the Maximum Length of the text area can all be specified in the field's settings. Checkbox: Prior to signing, the signer can either select or clear this simple check box. It can be useful to indicate that the signer has completed a particular action. The Name, Default Value, and whether the box Is Required can all be specified in the field's settings. Radio: Radio buttons provide the ability to select one of many options. Multiple radio buttons can be grouped together by associating each with a common Group Name. The Required field, if enabled, indicates that at least one button in the group must be selected. Identifying one button in the group as the Default will pre-select that option. The Name, Default Value, whether the radio button Is Required, and the Radio Group can all be specified in the field's settings. List: A drop-down menu list also provides the ability to select one of many options. Once an option has been selected, only that value is displayed (this reduces the amount of space taken by this UI element on the screen). The Name, Default Value, and List Items can all be specified in the field's settings. Label: The package sender can add a label field to embed text in a document. This is a read-only field with a value that will be simply stamped on the PDF. During the Signing Ceremony, the label is displayed as non-editable text. NOTE: If you don't see some of the above field types when you perform the next procedure, it's because they have been disabled for your account. For help, see your System Administrator. To add a field to a document: 1. Hover your mouse over a relevant Signature Block, click the Gear icon, and then click Add Field. 2. Choose the field type you want to add (see Field Types (on the previous page)). 3. Drag the field to where you want it to appear in the document. 4. Repeat Steps 1-3 for each field you want to add. 5. If your package has multiple documents, and you want to add fields to other documents, use the navigation arrows to open the next relevant document, and repeat Steps 1-4. NOTE: Application Administrators can configure default values for the field-type settings Is Required and Format. These settings can be edited by users. Creating and Using Templates Templates enable senders to save the attributes of a document package for reuse. A template can be created either from an existing package, or from scratch. To create a template from scratch: 1. In the Global Navigation Toolbar (on page 3), click Templates. 2. In the Global Actions Toolbar (on page 4), click Create Template. 3. Give the template a Name and optionally a Description. 4. Click Create. 5. Click Add Document, and add all desired documents to the package. 6. Click Add Signer, and add all desired signers and/or signer placeholders to the package. 7. Click each document to access the Designer view, and then position Signature Boxes and fields in the document. Those placements are saved automatically. To use a saved template: 1. 48 Video Tutorial How to Prepare a Document for Signing Sending a esignlive Package Once you have prepared the documents in a package, you are ready to send the package to signers. To send a esignlive package to signers: 1. In the Preview page, click Send. 2. Click OK to confirm that you want to send the package for signing. WARNING: If a signer's address bounces more than three times, that address is added to esignlive's blacklist. For details, see the warning box in the procedure Adding Recipients. Editing a Sent Package You may sometimes want to change a package after it has been sent for signing. For example, you may want to add other signers or documents to the package. If so, you can make the desired changes by editing the package. When you edit a sent package, esignlive moves it from the Inbox to the Drafts folder. As a result, signers become unable to access the package. If a signer clicks a link in an invitation to access a sent package that is being edited, esignlive displays a message which indicates that the package is not available. A similar message appears if a signer is currently signing a document in a sent package you have begun to edit. Note that: You cannot modify any document in which one or more signatures have already been applied. For example, if you add a signer, you cannot add a Signature Box for that signer to any such document. You can add new documents to any sent package. You can then prepare the package, and send it anew for signing by all relevant signers (including any new ones you've added). To edit a sent package: 1. From your Inbox, click the package's name. 2. In the toolbar, click Edit. A message states that the package has already been sent, and will become unavailable to signers if you choose to edit it. 3. Click OK. The package is moved to the Drafts folder. 4. In the Drafts folder, click the package's name. You can now: Add new signers Add new documents 5. Click Prepare to add Signature Boxes or other fields to the package's documents. 6. Click Send to make the revised package available to all relevant signers. 49 Changing Your Contact Information The contact information you provide when you sign up for esignlive (e.g., your address, your first and last names) is used to by the system to identify you in subsequent interactions. On the Identity page, you can change your first or last name, and provide optional information such as your title or the name of your company. If you provide optional information, you can include it for display in signed documents. For example, you can arrange for your company name to appear after your signature. Although not required, you can even provide your phone number and address. Your phone number will be used only if esignlive needs to contact you regarding your account. Your address will be used only if documents to be signed require it to be inserted automatically at the time of signing. NOTE: You can not change your address, since this uniquely identifies you to esignlive. To change your contact information: 1. After you log in, in the Global Navigation Toolbar (on page 3) click Identity. 2. Change the information in the You section as required. If you want to change your password, see Changing Your Password (below). 3. In the Contact Info section, change your phone number as required. 4. In the Address section, change your address as required. 5. Click Save. Changing Your Password When you signed up for esignlive, you created a password for your esignlive account. Accessing that account requires your address and this password. If you think that your password may have become known to others, you should change it to ensure that only you can sign in to your account. To change your password: 1. After you log in, in the Global Navigation Toolbar (on page 3) click Identity. 2. In the You section, click Change password. 3. In the appropriate boxes, enter your current password and a new password. NOTE: Your new password must: (1) be at least 8 characters long; (2) contain at least one number, one special character, and one capitalized letter. 4. Click Submit. Your password is changed. 5. Click Save OneSpan North America Inc. 45

50 Customizing Your Signature By default, esignlive displays your signature using a typed representation, as the following images illustrate. You can change how your signature will appear, using either or both of the following procedures: Changing your Signature Font (below) Creating a Handwritten Signature (below) Changing your Signature Font You can change the font that will be used for the typed representation of your signature (and for any other fields that you add to a document, such as a company name). To change the font that will be used for the typed representation of your signature: 1. In the Global Navigation Toolbar (on page 3), click Identity. 2. In the Signature section, choose a font from the Typed Signature and Fields drop-down menu. You will see a preview of the new font. 3. Click Save. Creating a Handwritten Signature You can create a handwritten signature that will be automatically used for Capture Signature Signature Boxes. To create a handwritten signature: 1. In the Global Navigation Toolbar (on page 3), click Identity. 2. In the Signature section, click the Handwritten Signature box. 3. Draw your signature using a mouse or a stylus OneSpan North America Inc. 46

51 4. If you are not happy with your signature, click Clear to redraw it. 5. When you are happy with your signature, click OK. 6. Click Save. When you click to sign a Capture Signature Signature Box, your drawing will automatically appear in the box, together with a typed representation of your signature. Groups Introduction Sometimes it's convenient to share requests for signatures among the members of a group. For example, it might be convenient to treat the pharmacists in a particular pharmacy as a group, so that any available member of the group can sign the paperwork for a patient's prescriptions. In esignlive, a Signer Group is a set of esignlive users who can act as a single signer from the point of view of the package creator. Users who can become group members must already be members of the associated esignlive account. esignlive group members receive an invitation to sign a related document package. Among those members, signing is on a first-come, first-serve basis. When one member is signing, all other members are locked out. Any member who signs does so on behalf of the group, but their name will be stamped on the documents they sign. Anyone verifying the document through the Audit Trail will see the individual member's signature information and identity. All group members can monitor the progress of the group's transactions, which helps ensure that those transactions are completed on time. NOTE: Only the sender of a document package can manually delete it from their personal esignlive inbox. When they do so, the package is automatically deleted from the inbox of every other group member. The rest of this section discusses: Creating Groups (below) Adding Members to a Group (on the next page) Adding Groups to a Package (on page 49) Adding Group Signatures to Documents (on page 49) Creating Groups Account administrators can create, view, modify, and delete groups. The administrator can specify a group's name, its members, and its address. The admin can also delegate to one group member certain membership-management tasks (e.g., the ability to add members). To create a group: 1. On the esignlive menu, click the Groups tab. 2. Click Create Group. A new window appears OneSpan North America Inc. 47

52 3. Specify a Group name. 4. If you want the group's invitation to be sent to a single collective address, specify a single Group address. 5. If you want the group's invitation to be sent to each member's individual address: (a) add their addresses as a comma-separated list to the Group field; (b) select the box Send s to the members of this group. 6. Click Save. Adding Members to a Group Prerequisites To become a member of a group, a user must be registered under the relevant account. NOTE: If a proposed member does not have a esignlive account, they will receive an Account Registration invitation. New members will not be able to sign until they've finished registering. Action To add a user to a group: 1. After the group has been created, click the name of the group. 2. Enter the address of the user you want to add. 3. Click Add as Member OneSpan North America Inc. 48

53 Adding Groups to a Package Prerequisites The following procedure's package and group have been created. Action To add a Signer Group to a package: 1. From the Designer, click Add Signer. The Add Signer dialog box appears. 2. From the Signer Type drop-down list, select A Group defined in my account. 3. Select the Group you want to add. 4. Click Save. Adding Group Signatures to Documents To add a group's Signature Boxes to a document: Using the Designer, insert the group's Signature Boxes in the document just as you would for an individual signer. Any group member will be able to sign those boxes on behalf of the group OneSpan North America Inc. 49

54 Delegating Access The Delegate Access feature enables the delegation of access to a user's esignlive transactions to one or more other users on the same account. A delegate can: (1) access the delegator's inbox, drafts, layouts, and templates; (2) sign documents on behalf of the delegator. Nonetheless, all transactions performed by the delegate are owned by the delegator. NOTE: Delegate Access is an optional configuration setting at the account level. To enable this feature, please contact your administrator. This feature addresses use cases like the following: A manager wants to administer transactions, monitor transaction progress, and retrieve completed documents for employees who have sent transaction s, but who are presently unavailable (e.g., they may be on vacation, or may have left the company). A group of users is responsible for distributing transactions. When one member of the group is away, another member wants to access the absent member's esignlive folders to: (1) see if a transaction was sent or completed; (2) retrieve any completed documents. The rest of this section discusses: Configuring Member Delegation (below) Configuring One-Way Delegation (on the next page) Acting as a Delegate (on page 53) Configuring Member Delegation One way of configuring Delegate Access to enable Member Delegation for a Signer Group. When this is done, every member of the group can act as a delegate for every other member of the group. TIP: The following procedure creates a group, but you could also enable Member Delegation for an existing group. To begin editing an existing group, click the group's name OneSpan North America Inc. 50

55 Prerequisite The delegation feature has been activated for your account. You are a manager in the account. This procedure's senders must be in the same account as yourself. Action To create a group that supports Member Delegation: 1. On the esignlive menu, click Groups. 2. Click Create Group. The Create Group dialog box appears. 3. Type a Group name. 4. Select the Member Delegation box. 5. Click Save. 6. For each user you want to add to the group, enter their address in the Add as Member field, and click Add as Member. Every group member will be able to act as a delegate for every other group member. Configuring One-Way Delegation The Member Delegation described in the previous section permits bi-directional delegation i.e., two group members can each act as a delegate for the other. The Delegate Access feature also supports one-way delegation. In this case, access to Sender 1's transactions is delegated to Sender 2, but access to Sender 2's transactions is not delegated to Sender 1. There are two ways of configuring one-way delegation: OneSpan North America Inc. 51

You are a manager in the account. This procedure's senders must be in the same account as yourself. Action To designate delegates for a sender: 1. On the esignlive menu, click Account. 2. Click the Senders tab. The Senders page lists all senders on your account. 3. For the sender whose access you want to delegate, click the icon View/Assign Delegates for this Sender. The Delegation dialog box appears. 4. Select the delegates you want from the Add delegate drop-down list OneSpan North America Inc. 52

57 5. Click Save. On the Senders page, the following message in red font appears for any sender who has a delegate: This sender has delegates. Designating Delegates for Yourself Prerequisites The delegation feature has been activated for your account. This procedure's senders must be in the same account as yourself. Action To designate delegates for yourself: 1. On the esignlive menu, click Identity. The Identity page opens. 2. In the Delegation section, click Delegation. The Delegation dialog box appears. 3. Select the delegates you want from the Add delegate drop-down list. 4. Click Save. On the Identity page, the following message in red font appears: You have delegates. Acting as a Delegate To act as a delegate for another sender: 1. Log in to esignlive as yourself. 2. At the top of your screen, click Delegate OneSpan North America Inc. 53

58 The Select Delegate drop-down menu lists all senders for whom you may act as a delegate. 3. From that list, select the sender for whom you want to act as a delegate. You are now acting as that person's delegate. While you are acting as a delegate, the global navigation bar is underscored with a red line. 4. When you want to stop acting as a delegate for this sender, click Stop Managing. NOTE: As a delegate: (1) you can act on behalf of only one delegator at a time; (2) you cannot act on behalf of the delegator in the role of an e-notary. Advanced Features The following features are not of interest to most esignlive Application users. However, each feature can be very useful to certain advanced users: Forced Login (below) Evidence Summary & Audit Trail (on the next page) Knowledge-Based Authentication (KBA) (on page 56) OFAC Blacklist (on page 58) Fast Track (on page 59) Bulk Sending (on page 60) e-notary (on page 62) Forced Login Force Login is a esignlive account setting. When enabled, it ensures that when a signer with a esignlive account clicks the URL in an invitation, they are directed to the esignlive login page (instead of directly accessing the Signing Ceremony). The signer is thus forced to authenticate themselves with their password before they are permitted to view or sign documents OneSpan North America Inc. 54

59 Evidence Summary & Audit Trail For every signed transaction, esignlive captures an extensive Evidence Summary and Audit Trail. The Evidence Summary can be downloaded and viewed at any time. It is available to all transaction participants, both as an individual download and as part of the completed package. NOTE: Evidence Summary documents are highly customizable. You can: (1) customize the logo image; (2) customize the text of every label (title, footer, section titles, and fields); (3) customize the Evidence Summary s filename; (4) hide/show any of the following elements: logo, title, footer; (5) hide/show any of the following sections: Transaction, Sender, Document, Recipients, Audit Trail. To learn more, contact Technical Support (sign.support@onespan.com; MYESIGN). The Audit Trail is directly embedded in signed documents. The sender can even add to documents a QR code that points to a secure URL from which the associated Audit Trail can easily be accessed. The e-witness module enables esignlive customers to review a signer's entire session, including: (1) every displayed page; (2) the sequence of actions performed by the signer (entering the transaction, authenticating the signer's identity, approving consent forms, signing documents); (3) the date and time of each event. the Evidence Summary & Documents When the feature the Evidence Summary & Documents is enabled, once a transaction is complete, a PDF of the Evidence Summary is ed to the transaction owner.
