1 ONLINE PUBLISHING FOR LOCAL GROUPs Create posters, flyers and other promotional materials from your desk.
2 ACCESSING THE SITE To access the system please go to 1. You will be taken to the following page: Before you start be aware that not all internet browsers come with a spell check. You will either need to check any document thoroughly or add a spell checker to aid your proofing. Internet Explorer Version 10 on Windows 7, please use the below link for help on installing the spell check option. 2. Enter the login details that you have been provided. download/internet-explorer-11-for-windows-7-details.aspx Having successfully logged in you will be on the home page and ready to begin ordering your personalised items. To request login details Secretaries can request logins for volunteers using the system on behalf of the local group. The secretary will need to provide the name of the local group, name of the person who will be using the system, and an address they would like to use to log in. For your login details, call or groupnetwork@parkinsons.org.uk (9am to 5pm, Monday to Friday)
3 CREATING your promotional materials posters and flyers You will see one or more categories to choose from on the home page. 3. Click on the option you would like to create (poster, flyer, banner). 4. Now click on the order button for the template that you want to create. Fill out the options at the right of the page and click the Save As button. Type the name of your document and Save. You ll now see a preview of your item. You are now on a screen where you can order, create and view templates. Ordering is covered later. 5. Click the create new button. There are also controls above the text fields. Update Update the preview on the left-hand side of the page. Preview Loads a PDF proof of the template. Save As Save and name the document. Underneath you may find page controls. These will appear if you have a multi page template (you can quickly navigate by clicking on the arrows).
4 6. Now fill out the options on the right of the page and click the Update button to refresh the preview. 8. Now click on the category, then pick your image by clicking on the image. Use the page buttons to navigate through the document and fill out the required fields. You may see the following icon in the options on the right-hand side of the page. This means that you can add or remove an image to the document. Please note that all images are pre-loaded by Parkinson s UK to work with each template. You are not able to load your own images. Then click Select this file when the preview screen opens. To add new images please creative@parkinsons.org.uk These will be assessed and if approved, added to the system on a weekly basis. As the photo uploads are only done once a week, you will need to submit your images in advance. 7. Clicking on the image library icon will load a new screen. The image will have been loaded into categories to make it easier for you to find what you are looking for. The on screen preview is only a graphical representation, there may be areas that do not look correct or may seem to be low quality. If this is the case, use the Preview button to generate a proof. If you cannot see the proof you will need to download Adobe Reader. Please see a link below for this software:
5 9. Finally save the template by clicking Save As, give the document a title, click OK. Please note that when you save certain templates there may be an autocreate function. This function will automatically go and find a linked template and create it for you. As the user you are responsible for proofing your document. Do not rely on the on screen preview. Please use the Preview option. This is opened by clicking on the Preview button. What you see on the PDF will get printed. For Example: If you create an A3 poster, the A5 flyer will be automatically created for you. You will still need to proof the new item, but this will helps save you time. Current items with autocreate: PKA5FLYER001 - A5 Flyer single sided PKA3POSTER001 - A3 Poster single sided PKA4POSTER001 - A4 Poster single sided 10. Now click the Order button to continue the order.
6 banners You can now order branded roll-up banners and add the name of your branch or area of the UK you represent. The roll-up banners are approximately 850mm x 2150mm. In the blank section on the right hand side of your screen, type in your branch name or the area you represent. Click on the category Banners to start the process if creating your banner. You can choose from two banners: Banner 1 focuses on Research message: Help us develop new and better treatements in years not decades Banner 2 focuses on Quality of life message: Help us drive better care, treatments and quality of life for people affected by Parkinson s When you re happy with the template, click on the Save As button in case you need to order any more in the future. Once you have saved your banner, click on Order and follow the checkout process below. When you have decided which banner you re going to order, hover your mouse over the button that say s Order. This will show another option that says Create New. Click on this to start creating your banner.
7 ORDERING If you want to place an order with more than one template follow the instructions below. 11. Click on My Documents from the drop down menu on the order button. Finally you will receive a confirmation with your order details. All Local Groups will be invoiced on a weekly basis. Orders will be gathered and printed once per week: Cut off: Sent out: Delivery: 12.00pm Tuesday Friday Monday 9am to 5pm 12. Now click on the Options button next to the relevant documents and then Order. 13. After this choose your quantity and then click on add to basket. You will then be take to the basket page. From here click on Proceed to Checkout The price that you see on the screen is the maximum charge. The final invoice is determined by the total amount of resources ordered by Parkinson s UK through the system, so you may pay less than you expected. Your treasurer will be able to tell you what this is. 15. Now fill out the relevant boxes and click the Checkout button to complete your order.
8 Shopping Basket, payment and your account After you have clicked on order you will be taken to the page below. This shows you another preview of your completed template. After placing your order you will see the below page. This is just a confmation page showing you the product(s) that you ordered, delivery address, quantity etc.. Now choose the quantity that you require and then click on Add to Basket. To keep an eye on your orders, you can click on the button that says Recently Saved. This will show the items that you ordered and saved last. Once that is done, you will be taken to the page above. If you re happy with the basket click Proceed to Checkout. From here you can reorder a template you have ordered before by just click on the Order button and following the process mentioned above.
9 Cost & Production Minimum Per copy or more copies (add 4.00 to each item) Item charge (up to 100 copies) A3 1pp A4 1pp A5 1pp A5 2pp Production costs Above are the production costs associated with all the templates that are available on the system. These are the maximum prices you will be charged for your order and are therefore shown on screen at the time of placing your order. However, the price you are invoiced may be lower due to the overall volumes being ordered across the charity that week. There is also a system charge of 4.00 per item ordered with the total cost shown on your basket. Finally there is a delivery charge of 5.95 per order. Example: If during the weekly print run, another user places an order for 200 A4s the new charity volume becomes 220: Your order of 20 A4 + new order of 200 A4 = 220 This moves your order for A4 into the price bracket and your final charge will be as below. Your invoice price - 20 x 0.24 = 8.80 ( ) 30 A5 1pp = ( ) Delivery = 5.95 Total = Orders will be gathered and printed once per week: Your order is for 20 A4 and 30 A5, making your order total on the system - 20 A4 1pp = ( ) 30 A5 1pp = ( ) Delivery = 5.95 Total = Cut off: Sent out: Delivery: 12.00pm Tuesday Friday Monday 9am to 5pm
10 Questions & Answers What is the online template system? The Parkinson s UK online template system allows you to easily create marketing materials to publicise your local activities. Using the internet, you can access our simple website and add details such as date, time and location, as well as an image to poster and flyer templates. The designs are then printed through our print and distribution house, City Digital Limited, giving a professional-quality finish. You can also access resources to promote Parkinson s UK and raise awareness of the condition free of charge through City Digital Limited. Please refer to the Local Group order form (regularly sent to committee members) or public catalogue for more information. We make our own posters and flyers, what are the benefits of using this new system? The Parkinson s UK online template system takes all the effort out of making your own marketing materials. You don t have to worry about having brilliant design skills or spending lots of time creating items from scratch. The online templates have been specifically designed to promote local events and activities all you have to do is add the details of your specific event and choose a photo. The templates mean that wherever an event or activity is taking place across the UK, the materials used to promote it are consistent. They also mean that local groups and volunteers can access professional quality marketing materials, at a fraction of the cost of having a designer create them individually. Can I upload my own images to use in the templates? The template designs mean that images need to be cropped and rotated to look their best. City Digital Limited has agreed to crop, rotate and upload a small batch of images once a week at no cost to the charity. You may submit images to be included in the weekly upload by ing them to: creative@parkinsons.org.uk You will also need to send a photography permission form for everyone in the photo. You can choose whether the photo is only uploaded to your profile, or if you are happy for other people to use it. The deisgn team at Parkinson s UK will check all images to make sure they are of high enough quality to be uploaded. Please ensure photos are in focus, check to ensure no one has their eyes closed or is pulling a strange face (perhaps if they were talking when the picture was taken). Lighting is another key factor to take into account the image must be well lit and clear, but without too much glare from the flash. As the photo uploads are only done once a week, you will need to submit your images in advance of needing to create your poster or flyer. You might like to plan the posters and flyers you will need for the year and think about the images you would like. This way you can submit a small batch that will meet your needs throughout the year.
11 My local printer gives me favourable rates, why do I need to print through City Digital Limited? The prices shown on the online template system are the maximum price you will pay. In most cases the price will actually be cheaper. The more people that use the system and order materials, the cheaper they will become. As a network of local groups and volunteers across the country, we have great buying power. Working with the same supplier means that we can access bulk discounts which wouldn t be achievable if we all used different printers. Working with one company also means we can ensure the quality of materials is consistent, so we are all getting the best value for money. Can I download a copy of my poster or flyer and print it at home? It costs money for City Digital Limited to create high-quality copies of posters and flyers for you to download, so they need to pass costs on to you. This cost means that it is not effective for you to pay for the artwork and then print it at home. Printing through City Digital Limited means the artwork cost is incorporated into the price you pay. How do I get support for the online template system? Printing through City Digital Limited attracts competitive bulk discounts, as explained in the previous question, and means that all of your materials will be of a high quality, professional standard. Why does it cost the same to order one poster as it does to order 100? The cost of printing 1 copy or 100 is the same because of the set up costs (including creating the artwork). Over 100 copies, the higher the quantity you order, the cheaper each unit becomes. My local group do not use the internet, what are the offline options?
