1 Web Entry Users Guide Congratulations you have obtained access to Sarasota County Public Utilities Backflow Prevention Program Web Entry System. The technology will save time and money while providing the utility high quality data to protect the public distribution system. It is highly recommended to begin taking advantage of the technology as soon as possible. You will be able to print a professional completed test report for you and your customer. There will be a short and painless learning curve. In order to use the system please make sure that you have all your backflow certifications and test kit calibrations up to date with SCPU. The cost of the web entry system will be supported 100% by SCPU and there is no charge to you and your customer. Contractors may consider purchasing mobile technology to enter test in real-time. Customers who are required to maintain backflow preventers will receive notifications to test and maintain backflow preventers. On the notices will have all the applicable information for testers to retrieve to test the correct device and to accurately record it in the web entry system. When using the web entry system please make sure that you have the correct device serial number including house/building number or the hazard ID number(hid#), which will be listed on your customer's notifications. Test companies can enter tests under a test company user ID or individual testers can enter tests under their technician user ID. When finished you are encouraged to print your receipt. Most importantly, the web entry system can only be utilized for existing devices and that are on inventory in SCPU s backflow database. There will be times where a device that you have tested will not be on inventory or is a new install, which a hard copy will be required to be submitted via Fax or at backflow@scgov.net. *NOTE: Attempting to mine the database for information will forfeit your eligibility to test in SCPU s service area. Web Entry Portal URL: sarasota.tokaytest.com
2 Logging in: You must have your user name and password in order to log in to the web entry system; you can either log in as a test company or individual tester. You can obtain your log in information from SCPU backflow prevention staff.
3 Select a Tester: Next you will need to select the tester who is performing the test and click the green Select a Tester button. If you are logged in as a test company you will have a dropdown list of all your testers to select.
4 Adding a test: To add a test click on Add Tests on the top of the page.
5 Device Search: There are two different methods to search for a device. Method 1: Locate a device with the serial number and house/building number. Method 2: Locate a device by the Hazard ID number (HID#). This information will be on your customers test due notices. It will be helpful for your testing company to obtain this information from your customer before you go out to test the device. Once you have the correct information in the fields provided click on the green Locate Device button. Please note if the device is not on inventory then you must submit the hard copy via fax or to SCPU backflow department on SCPUs designated test form. Method 1 Method 2
6 Verify Site information: Once you have located the device, please verify the site information, if the information is complete and accurate click on the green Confirm and Enter Results Button. If not, click the Make Changes button and make the necessary changes in the fields that are provided and then click Confirm and Enter Results Button. Device Replacement: If you are replacing a device you will need to click on the Replace Device button. And enter the device specifications in the fields provided and then click on the Confirm and Enter Results Button. Please note that brand new installations are required to be submitted on SCPUs designated test form and cannot be entered through the Web Entry System. Changes Replace
7 Test Data Entry: Once you have verified the site information it s time to enter the test results. You first will enter the initial test results, if the initial test passes or fails click on the green Save Test Data button. Repairs: If the device was repaired you will need to record the initial test first and then the repairs need to be entered following the final test results and then click on the Save Test Data button. Also, at the bottom of the test data entry screen you can add any other details and comments regarding the inspection to be recorded.
8 Test Submittal: Once you have clicked on Save Test Data it s time to submit your test results. If you have multiple tests to enter, click on Add Test to enter another test. After you are done with adding tests you can either print a copy of the test report or submit the test. To submit check each box on the left of the tests that you would like to submit and then click the green Submit Tests button. Print Test Report: If you like to print a copy of the test report before you submit check the box to the left of the test and then click on the green Print Test Report button. This will produce an actual copy of the test on a test report that you can print for your records or a copy for your customer. To Delete a Test: If you have entered a test erroneously you can delete a test by clicking on the serial number on the test listed on the review test list screen. CLICK TO DELETE
9 Deleting a Test: Click on the red Delete Test button and then click ok to confirm.
10 Test Submittal Receipt: Finally, you will receive a receipt for your test submittal, which you can print for your records. On the receipt will be a transaction number that is documented in our system for reference. After, you have your receipt you may click on logout if you are done submitting test or click on Add Test if you have more tests to submit. Please note that SCPU is supporting the cost 100% of the test submittal and there is no charge to the tester.
