1 Specifications for Projects that Develop Digital Products Part I. Complete the appropriate sections: A. Converting Non-Digital Material to Digital Format A1. Describe types and original formats of materials to be selected for digitization and quantity of each. Business Records: Inventory lists, business correspondence, and other documents pertaining to the retail history of our space (606 & 608 S. Elm Street) and the retail history of downtown Greensboro and Hamburger Square. Textiles - fabric samples and bolts which reflect Greensboro's rich history in textiles. Toys - Our rich collection of toys will be digitized with commentary that may provoke visitors to consider development, gender, and consumerism within the context of our collection and mission. Military surplus items - digital surrogates of our collection of military objects from World War II, The Korean War, and The Vietnam War will provide visual and digitally tactile (manipulable) context for a reflection of Greensboro's military history. Digitized material will be made available via a robust Wordpress site which will harness Flikr and Youtube to allow users to interact with digital objects and add user-harvested digital information, such as photographs and videos taken in the museum and user-submitted audio storytelling projects. Users will be invited to participate in Elsewhere's digital space in similar ways, and to a similar extent, that they might in the physical space. All content submitted to Elsewhere, including the manipulation of existing digital content, will become the digital property of Elsewhere. One user's digital submission may be manipulated by other users. In this way, digital collections are ever-interactive and ever-shifting. The goal is to make participating in the digital environment a comfortable experience for the user. Users will likely approach Elsewhere's digital space with some knowledge of the third-party sites involved (Flikr, YouTube, etc.) and will thus feel more inclined to manipulate objects and create mini-collections. This participation and collaboration is key in promoting and maintaining a lively digital environment that reflects Elsewhere's misson. A digital archive will also be kept at Elsewhere on external hard-drives in order to backup all digitized content. Hard drives will be refreshed on a regular schedule with respect for the fragility of digital information. A4. 2 B. Repurposing Existing Digital Content B1. Describe types and original formats of digital materials to be selected for repurposing and quantity of each. As of the date of this writing, Elsewhere has amassed 10 terabytes of digital archive material, including photographs of the museum, artists, staff, and visitors; audio files of storytelling exhibits and musical installations; video of past projects, including time-lapse video of visual installations, recordings of performance artists, and documentary film about the museum and the works it has housed. As Elsewhere hosts a number of documentarians as interns and artists in any given season, our digital archive is rich with a variety of projects about the museum and its artists. B2. The following software has been purchased: Adobe Photoshop (included in Adobe CS5 Master Suite Student With Final Cut) Filemaker Pro Sourceforge Audacity C. Creating New Digital Content C1. Describe types of materials to be created in digital form and quantity of each. Audio, video, and image files will be created by Elsewhere visitors, artists, and staff utilizing a variety of equipment. Of particular interest to this project is the acquisition of an ipad for visitor use. Visitors will be encouraged to create photographs, video, or audio works within the museum which will be delivered to the website. This will allow digital visitors who have not yet experienced the museum space to interact with the museum and with other visitors in ever-changing ways. Each piece of usercreated content will represent the collaborative spirit of the museum and will deliver that collaboration across the web. Visitors will be instrumental in documenting the day-to-day activities of the museum and its artist-studio component as well as digitally recording objects in the museum that are of interest to their own projects. C2. Describe plan to obtain releases/permissions from project content creators and subjects. Visitors to the museum will sign a release upon checking out the ipad from the front desk. Digital visitors will encounter a popup upon initiating a digital collaboration or creating a digital mini-collection from objects in the larger collections that releases all of their work to be used for Elsewhere's future digital projects. Artists interested in creating digital projects will release their work to Elsewhere in writing. Currently, work created in the museum belongs to the museum per residency contracts; this will extend seamlessly into the digital sphere. C3. Describe disposition of ownership and use rights of new product. Describe how the new product will be made available to the public. Explain the terms of access and conditions of use. Identify and explain any restrictions that will apply to new content and specify what percentage if any of the total material will be subject to restrictions. All digital content -- existing and new -- will be available under a Creative Commons license which allows users to utilize any digital item(s) for non-commercial use. These terms will be explicated in a "terms and conditions" or "about" section of the site and will be included in the release/permissions agreement signed by each interactive user. Content will be available for collaboration and viewing on the website which users can access remotely or in the museum. LCD TV/DVD combos, a computer, and a digital multimedia projector will be available in the museum for users who wish to interact with digital content in the museum setting and for artists who wish to create digital installations for viewing in the museum. C4. List the equipment and software, with specifications, whether purchased, leased or outsourced, that will be used (e.g., camera, audio recording equipment, video recording equipment, encoding software, server). 3 D. Creating New Software Applications, Information Systems, or other Technology Based Tools D1. Describe type of application or system being created. The Elsewhere Investories project will not produce a new software application, information system or database. It will utilize existing, expandable, and flexible technologies. When necessary there may be design contracts for mobile media app development to create specialized applications for Invenstory collaborations. Instead, Elsewhere Invenstories will utilize a robust WordPress site which displays content from an array of sites: YouTube, Vimeo, Flikr, and BlueTunes, and other integrated social media platforms like Foursquare and Twitter, to name a few. This platform creates a more comfortable environment for collaboration, as users are likely to have more experience interacting on these sites than in a traditional database,and feel more comfortable producing, dissiminating and tagging content. Elsewhere interns and staff will create some metadata for tagging particular collections, and will model the WordPress site to allow for increased searchability, live interfaces, and interactive engagements with the museum. Utilizing folksonomies will promote ease of use across a wide range of potential user populations. Elsewhere media curator will be have the responsibility of moderating user tags and extending metadata. D2. List the programming languages, platforms, software, or other applications and their specifications being used. -Work with app developer to create integrated user interface for online and onsite public archiving -Use WordPress to integrate different media sources and possible interactions, which involves some level of css, php, and jquery. The beauty of WordPress that its open source software is continually expandable and provides an easy plugin framework that requires little programming. However, in the beginning phase we will draw on a WordPress designer for consultation. D3. Describe disposition of ownership and use rights of new product. Describe how the new product will be made available to the public. Explain the terms of access and conditions of use. Because Elsewhere is utlizing a highly designed and integrated WordPress platform, adapted for online and onsite use, and mobile media programming, there are no proprietary applications. D4. Describe how the tool extends or interoperates with existing applications, if applicable. We chose WordPress because of its interoperative ability and capacity to agregate user-generated content and multi-media applications. D5. Describe the development documentation process and technical description of the final product. n/a Part II. Answer all questions: 1. Specify each type of file format (e.g., TIFF, JPEG, MPEG) to be produced and anticipated quality (e.g. minimum resolution, depth, tone, pixel dimensions, file size, sampling rate) of each. If producing digital image files please list the each type of image file produced (preservation maser, access copy, and thumbnail, if applicable). Preservation master images will be created as TIFF files and delivered/accessible as JPEG files (for both thumbnail and full size images). Preservation Master: TIFF; Grayscale: 8 bits per pixel; color: 24 bits per pixel; Spatial resolution ranges from about 500x400 to about 1200x1000 pixels Access: JPEG; Grayscale: 8 bits per pixel; color: 24 bits per pixel; Spatial resolution ranges from about 500x400 to about 1000x700 pixels. Thumbnail: GIF; 8 bits per pixel; Spatial resolution ranges from about 150x100 to about 200x200 pixels. 2. Describe the delivery medium that will be used (e.g. Internet, broadcast, DVD). 4 3. Describe the underlying software used to manage and/or present digital content or hardware/software dependencies required to run the application or technology tool. Open-source database management software such as dspace may be utilized for their ability to assign persistent identifiers, manage data, and present digital collections with a clear, heirarchical structure. These structures will feed directly into the robust WordPress site that will be the primary interface for Invenstories. 4. Describe the quality control plan. Ongoing evaluation will occur with the creation of each digital object. 100% of digital objects which have been converted from non-digital materials will be evaluated, rather than a sampled subset. Images will be evaluated at 100% (1:1) magnification onscreen and compared to the original materials. Monitors will be calibrated using the built-in calibration tool in Adobe Photoshop. Faithful representation, color accuracy, and filename relationship with image series will be evaluated and all evaluations will be noted in file-specific memos. 5. Explain how metadata (e.g. technical, descriptive, administrative, preservation,) will be produced and used to describe and manage digital content. Include the standards that will be used for data structure, content (e.g. thesauri), protocols, preservation and administrative information and communication of the content (e.g., MARC, EAD, Dublin Core, PBCore, PREMIS,VRA Core Categories, or Categories for the Description of Works of Art). Descriptive metadata implementation will occur in Dublin Core, chosen for its potential for interoperability and allowance of extension when necessary. The creation of metadata will occur manually and automatically as OCR'ed text will generate a keyword index. Automated metadata processes will require additonal quality control, due to the inherent accuracy concerns with OCR'ed text. Categories for the Descripton of Works of Art and the Art & Architecture Thesaurus will be referred to for the creation of metadata; organization-created metadata will require a controlled vocabulary. User-generated meta tagging will be available but will likely not be incorporated into the image at a structural level. Technical metadata will be produced as digitization team members assign file names and directory structures to the image files and the associated metadata files. Appropriate TIFF file headers will record technical information. Additionally, open-source database software (such as dspace) will provide the framework for building a searchable database and the storage of descriptive, technical, administrative, and preservation metadata. 6. Describe plans for preservation and maintenance of the digital files during and after the expiration of the grant period (i.e., storage systems, data standards, technical documentation, migration plans and commitment of institutional funding). Vigilant care of storage media will include housing it in secure conditions and ensuring muiltiple backup on external hard drives, cloud storage, and on-site storage. Preservation policies will include annually refreshing and copying data to updated storage devices and system migration in order to preclude obsolesence. Additionally, Elsewhere will annually review Cornell's Risk Management of Digital Information tool in order to remain aware of risks and industry-standard risk management policies. Elsewhere is strongly committed to the enduring care of digital collections and will continue to research and implement risk management policies as necessary. 7. If content will be provided on the Internet, indicate agreement to submit collection level records for digital products to the IMLS Digital Collections Registry. State reasons for selecting alternative approaches. Elsewhere agrees to submit collection level records for digital products to the IMLS Digital Collections Registry. 8. 5 Part III. Developing Data Management Plans for Research Projects IMLS encourages sharing of research data. The purpose of this section is to help IMLS understand a grant applicant s research practices and plans for management of data that would be generated through a proposed research project. If the proposed project activities will generate datasets with the potential for future re-use or repurposing, answer the following questions. If there is not enough space on the form to provide complete answers to the questions, please copy the questions to a separate document, answer them fully, and incorporate the document (clearly named so as to be identifiable) into the supporting documentation portion of the application. 1. Summarize the intended purpose of the research, the type of data to be collected or generated, the approximate dates when the data will be generated or collected, and the anticipated volume of data. Invenstories in not directly a research project, rather it is the beginning practice and platform development for a multi-media user generated, participatory archive of the living museum's collection. All information generated and published online will remain available to publics online and onsite. As new data is generated it will be made available online at Elsewhere's website and in the invenstories programming. Elsewhere produces through multi-media documentation approximately two terabytes of information a year with approximately 50,000 photographs and multiple hours of video. All this information is archived on a lightroom catalog and backuped on external hard-drives and online. We will continue to refine this practice. 2. Does the proposed research activity generating the dataset(s) require approval by any internal or institutional review panel? If so, has the proposed research activity already been approved? Invenstories oral history projects and mobile media programs that utilize user collected data will include with the use of any programming an agreement waiver that media can be published online under a creative commons lisence and unavailble for commercial use. 3. Describe any potential issues with the data regarding confidential or private information about individuals, or proprietary information about organizations. What steps, if any, will be taken to protect such information from being disclosed? Clear disclosures at the beginning of any user interface will make apparent that all information will enter the public domain. 4. If additional documentation such as consent agreements or signed certifications will be collected along with the data, describe plans for preserving the documentation and ensuring that its relationship to the collected data is maintained. EachuUser agreement accompanying use of invenstory programs---will be aggregated online in google docs and downloaded monthly and backed up on hard-drives. 5. How will you manage intellectual property interests in the dataset(s)? Who will claim ownership of the intellectual property rights to the dataset(s)? How will those claims of ownership be communicated to others? Elsewhere will hold intellectual property writes unless otherwise shared with artists participating in Elsewhere's residency program. 6. Which technologies, instruments or tools will be used to collect or generate the data? Provide details about hardware or software; electronic formats to be used for data capture or storage; standards or local practices to be used for data content and encoding; controlled vocabularies or other mechanisms that will be used for data normalization and consistency; and any other relevant technical requirements or dependencies for understanding, retrieving, displaying or processing the dataset(s). If the data will be encrypted at any point in its active or inactive life, explain the reasons for choosing to encrypt the data and how the decryption key will be stored, protected, and made available if necessary. Digital, multi-media technologies appropriate for the cataloged collection will be used. Photo, video, audio and scanned images will all be incorporated into the dataset. We will not use controled vocabularies on visitor generated information, and catalog --controled vocabs for collections like army surplus or dishes, or books. 7. What metadata will be captured or created along with the dataset(s)? What metadata standards or schema will be used to express the metadata? Where will the metadata be stored, and in what format(s)? How will the metadata be permanently associated and managed with the dataset(s) it describes? Work produced by Elsewhere will be tagged in accordance with CCO (Cataloging Cultural Objects) 8. During the research project, where will the data and metadata be stored, and on what type of media? Who will have access to the data and/or copies of the data during the project? How many backup copies will be maintained during the active project, and how frequently will the backup copies be refreshed? Who will be responsible for data backup? 6 9. Once the research project is completed, what is the long-term plan for archiving, managing, and making the metadata and dataset(s) available (if applicable)? What steps will you take to prepare the data for sharing (e.g., labeling missing data, standardizing formats, etc.)? 10. Will the dataset(s) and metadata be deposited in an institutional repository or a research community s digital repository? If so, why was this repository selected? Does this repository enforce any access restrictions? When the dataset(s) is deposited, will it be subject to any access embargo period, and if so for how long? Does this repository already manage other research datasets and metadata similar in attributes such as size and format? What preservation and backup procedures are used by this repository? Will the dataset(s) and metadata be maintained in this repository for a predetermined or indefinite period? Who will perform the deposit, including creating additional metadata that may be necessary at the time of deposit? If you do not intend to deposit the dataset and metadata into a repository, but do intend to share the data, what is your sharing strategy? 11.
