2 Welcome to Key Mastery. This Tutorial is designed to introduce you to the Key Mastery software package while guiding you through the design of a simple Master Key System using the BiLock Module. Key System Specifications You have been asked to create a master key system for a hotel complex with 3 blocks of 20 apartments. 3 Software Overview This is the Main Toolbar that appears in Key Mastery when you are working on a key system. It has been logically structured to be used from Left to Right to create a new Master Key System. Or once your system is complete lets you quickly access any part of your key system for fast and flexible viewing and modification File details Client & project details including contact information, signatures and additional notes and scanned documents. 2 Profiles For multi-profile systems if required. 3 Keys Create and manage the keys in your key system. 4 Doors Create, manage and rekey the doors and locks in your project. 5 Keying Chart Total system matrix for key allocation and reporting. 6 Code Design Generate and assign the codes for your keys. 7 Order Processing Order all locks and keys, generate key cutting and pinning charts and summary of parts required. Other Software Areas File Commands Close, save, abort, delete or transfer your file. Help Access the PDF Key Mastery user manual. 4 Tutorial 1 In this Tutorial we visit each of the 7 main areas of Key Mastery. Not every software feature is described in the following text as this would take too long. Instead this Tutorial is designed a simple and useful introduction to the software. If you would like to take a bit of extra time to view button functions simply hover your mouse pointer over the button for a function description. Carefully complete each of the numbered steps in each section being careful not to miss any. Log On 1. Run the Key Mastery software program which will default to the user Log On screen seen below. 2. User 001 will be highlighted. For the purpose of this exercise choose User 001 then click 3. You will be asked for your user password. Unless you have entered a Password leave this blank and click 4. Once you have logged on, the File Open screen will automatically appear. 4
5 Create a New File 1. Click on to create a new file. 2. A new panel will appear allowing you to either choose an existing client or start a new one. Click on new client. to create a Add Client Details 1. Type in your own name and address as in example below then click 5
6 Add File Details The File Details will then open allowing you to enter the file information for your key system by following the numbered steps below. 1. Design Choose BILOCK from the drop-down menu. 2. File Number The previous file number will automatically be incremented, however you can type any file number you choose. You can find the next number for a particular prefix by typing in the prefix and clicking 3. Profile This selects the profile or broach you have chosen for your key system. If you wish to use a previously saved profile, you can choose it from the drop down list, otherwise type in your new profile name Name and Address of Key Installation These fields are automatically copied from the client information as these are the same in many cases. If the installation address of the key system is different to that of the client, simply type the correct details over the top. 6
7 5. Security Level The security level for this system will stay at Low. Each software user and key system file may be allocated a security level (only available when Key Mastery has more than one software user). If a key system security level is higher than that of a particular software user, that file will be hidden from that user. 6. Tag Number and Information No Tag details will be allocated to this file. The Tag field is optional and allows an additional reference number to be allocated to a file. Files may be searched via their Tag Number. Additional information, notes, images along with signature and document scans may be entered under each of the tabs. 7. When you have finished entering the file details, click 7
8 Profile Click on the top main toolbar to display your system Profile. You selected the profile '102' when entering your File Details page 6. There is no need to make any adjustments in this area as this is a single profile system. Multi-profile design is completed in this area and the profiles you create may be saved for future use. 8
9 Keys Press on the main toolbar to access your Key List. This area allows you to create, edit or view all necessary information on the keys in your system. Key Mastery will have automatically created 2 key headings: Keys (HEADING - 102) - one key HEADING per Profile will appear. Key Groups (GROUPS) - one default heading called GROUPS will also appear. These headings provide an easy way to organise large key lists as well as specify different profiles for your keys. The buttons on the right of the list allow you to move, edit, add, insert and delete key headings. The default Key Heading Names can be set in Software Options under 9
10 Create a Key Heading 1. We first create a MASTERS heading which will hold all our Master Keys making them easily referenced in the future. Edit HEADING by pressing and typing in the new name MASTERS. 2. Press CTRL-U (Control Key + Letter U Key at the same time) to change your Key Heading text to uppercase if it is not already. This step ensures your Key List remains consistent and easy to read 3. Press At this point Key Mastery will ask you if you would like to rename your corresponding Door Heading at the same time. 4. Choose as we do not require a Door Heading called Masters. Door Headings are covered in the following section. Create the Grand Master Key 1. To add Master Keys to our MASTERS heading click The first key we create is the GMK. Key Mastery will bring up a Key Details window allowing you to enter your Grand Master Key details: 2. Key Number type GMK 3. Head Colour enter your colour choice The button on the right of the Head Colour window allows you to create multi-coloured heads. 4. Description type Grand Master Key 5. Pressing CTRL L while the curser is inside a text field will format your text to first letter capitalised. Completing this optional step ensures your Key List remains consistent. 10
11 The next step Key Status is important as it defines the structure of the system. Your Key Status options are: Master has keys below it. Selective (Cross Key) any key that does not follow the standard master keying structure. Examples of Selective keys include: A maintenance key that has to operate doors under different master key groups. A cleaner s key that needs to open all but a few doors under a master. An office situation where different staff members need to access various doors. Change Key The lowest level key which operates a single KD (Keyed to Differ) door or a group of KA (Keyed Alike) doors. Construction A temporary master key accessing all specified doors while building is under construction. 6. Status - select Master 7. Create a door for this key? - leave unchecked 8. Key Above leave blank There is no key above as this is the highest level key. 9. Quantity Of Keys To Create Click 11
12 Create 3 Master Keys The Key Details box will remain open as Key Mastery assumes you will be creating more than one key. This saves you from having to repeatedly bring up the Key Details box. The Key Details box will even try and predict your next entry. Only when you press Save will the Key that appears on the screen actually be created. Simply overtype the correct information for your 3 Master Keys 1 for each block of apartments. Start with the details for Master Key Block A: 1. Key Number type MK A Key Mastery will automatically increment for the second and third Master Keys if there is a space between the MK and the A in the Key Number. This space is necessary for incrementing Letters, however Numbers will increment without a space. 2. Head Colour enter your colour choice 3. Description Master Block A 4. Status - Master 5. Create a door for this key? leave unchecked 6. Key Above Grand Master Key 7. Quantity Of Keys To Create 3 By selecting a quantity of 3 keys Key Mastery will add MK A, MK B & MK C to the key list. 8. Click Your Master Key list should now look like this: 11. Click You have now created 3 Master Keys simultaneously. The remaining keys will be created at the same time as you create Doors from inside the Door List. 12
13 Door List Press on the main toolbar to bring up your Door List. The Door List allows you to maintain and view all necessary information on the doors in your project. Just like the Key List, the Door List is also organised under Door Headings for easy reference. Create Door & Key Headings 1. To add a Door List Heading click 2. Name - BLOCK A 3. Add Corresponding Heading in Key List tick ON 4. Press 5. Repeat steps 1 4 above for the other headings of BLOCK B and BLOCK C. 6. Delete the default heading by highlighting HEADING and clicking 13
14 Block A Doors & Keys 1. Create your doors and keys for BLOCK A by highlight BLOCK A and clicking Add your information into the Door Details window. The Automatic Keying option in Step 4 allows us to create the keys simultaneously. Complete each step carefully as this area is defines the hierarchy of your key system. 2. Door Number type A1 3. Description type Block A Room 1 4. Automatic Keying choose Assign Key Number from Door Number 5. Key To Differ leave as 6. Key Number A1 7. Head Colour choose your colour 8. Heading BLOCK A 9. Key Above MKA Master Block A By choosing Master Block A you are automatically also choosing the Grand Master Key. 10. Current Keying - You cannot make changes here however this area provides an important reference point to check your keying. 11. Quantity of Doors to Create type 20 Key Mastery will automatically create 20 Keyed To Differ keys under Block A. Construction Keyed: If you had a construction key you could assign it here. On Save, Set Focus To: A predictive data entry feature allowing you to set which field to start on when creating the next Door. 12. Press 13. Press and view your new list. It is important to exit out of this window to ensure each set of Doors is created under the correct Door Heading. 14
15 Create Block B & C Doors & Keys 1. Repeat steps 1 12 for BLOCK B substituting Block B information where necessary. 2. Do the same for BLOCK C Doors and 20 Keys have now been created for each Apartment Block so click 4. Check your Door List by maximising and minimising the tree branches to the left of each Door Heading. Go back to your Key List and do the same ensuring these are also correct. 15
16 Keying Chart Press on the main toolbar to access the Keying Chart. This is a total system matrix for selecting which key should work which door. All Master, Selective and Construction Keys are listed across the top while Doors are listed down the side. Change keys are listed down the right side until you maximise the matrix screen as seen in step 2 below. Key access is simply cross referenced with the doors and ticked if it corresponds. 1. Select All Areas from the drop-down menu to view your entire key system or view one area at a time. Scroll up and down to double check the keying on your system. 2. Press to maximise the matrix. 3. If you need to make any changes click You have already completed your key to door allocation in the Key and Door areas so there should be no need to make any changes here. The Keying Chart provides a great place to double check and your keying. 16
17 Code Design Press to start your Code Design. This area is where you design and generate the codes for your master key system. Code Parameters 1. Choose 12 or 8 Pin cylinder. 2. Enter your Dealer Constants. 3. Select Selecting Random tells Key Mastery to generate the codes automatically for you. 17
18 Generate Codes The Generate window will appear. 1. In the Required (second column from left) type in the number of each type of key needed for your system: a GM 1 b MK 3 c CK 40 (per MK) Selecting 40 Change Keys per Master Key allows 20 codes for now and 20 as spares. This allows for lost keys or system expansions in the future. As you are typing in your Required column some figures on the screen will change. This is because Key Mastery is calculating the number of Chambers that will need to be progressed along with number of Possible codes. 2. When you press Key Mastery will: Randomly generated the highest code Randomly allocated chambers Test the system to see if it will produce the number of codes required Repeated the operation until a suitable system is found Once generated you have the option to choose the system that appears on screen or find another one by pressing 18
19 3. Press to set the Required column to the same as the Possible column. This generates every available code. 4. When you are happy with system displayed on the screen click By choosing you filter out any bad or unusable codes and will only be supplied with usable codes. The Filtered option is the best choice in the majority of cases. If you choose you will be provided with every code including codes with opposing fours. This is handy in some situations. Assign Codes to Keys Press the Assign tab to begin assigning codes to keys. 1. The GMK Key Number on the left will be highlight. This needs to be assigned to GM Code on the top right. Right-click the GM code to assign it. 2. The MK A on the left will now be highlighted along with the MK1 on the right. Right-click the MK1 code to assign it. 3. Allocate the MK B to MK2 and MK C to MK3 using the same method. 19
20 4. Chose BLOCK A from the dropdown menu. 5. Your first Change Key A1 should now be highlighted. You can assign all Block A keys to codes at once by clicking to select all of the Change Keys. 6. Then press to automatically assign the codes. 7. Choose BLOCK B from the dropdown and complete steps 5 and 6 again assigning all BLOCK B codes. 8. Assign BLOCK C codes in the same manner. Key Mastery intelligently disperses codes for doors that may be close together in the Apartment Block. This offers increased security for the client. 20
21 Order Processing Press to go to the Order Processing area. This is the final step in creating your master key system. From here you can complete your key and door orders, enter or check signatures, generate pinning and keying charts and print a summary of all system parts required. A complete order history is kept for your reference. In Order Processing you can also interface to Key Machines or create dispatch labels (using Key Mastery Label & Machine Modules). Key Order Our client has ordered the following Key quantities: 4 x GMK 3 x of each MK 2 x of each CK 1. Enter the Master Key quantities as above. 2. Fill in the remaining Change Keys order by pressing to select all remaining keys then press 2. All key quantities have now been entered. 21
22 Door Order Here we order 1 Cylinder for each door in our Block of Apartments. 1. Press to highlight all doors in the list. 2. Press Each Door has now been assigned a Cylinder. Process your Order 1. Now go to the Process tab to generate your system reports. 22
23 2. Enter Job Number 001 This is your workplace s reference for work completed. The Order Number is your client s job order reference. 3. Select from the drop-down menu and tick the report options - New Page, Issue Numbers and Client Name. Choosing this Full Report will print a report containing. Job Details Order Summary all required parts Key Order with cutting chart Door Order with pinning chart 4. Press to print preview your key system report. 5. Once you have finished with your order processing press This command tells Key Mastery to save the order to Order History and clear the current order request ready for future orders. The order is now only available to you under the History tab. 6. Press and if you wish to close the file you have been working on. If you do not do this before shutting Key Mastery down it will remain open for you next time you log on. This is useful in some scenarios however other users will not be able to edit that file as it will be available to them in view-only. One great thing about this feature is when you are working on a large system you do not have to close the file to complete a small task on another file (ie key order). Simply log in as a second user to access another file. 23
