1 Not controlled in hard copy Rev. 1.0 Date: 7/9/2015 Page 1 of 5 Purpose The purpose of this procedure is to ensure that the organization evaluates and selects suppliers based on their ability to supply product in accordance with the organization's requirements. Criteria for selection, evaluation, and re-evaluation have been established as on-time delivery and number of rejected shipments. Records of the results of evaluations and any necessary actions arising from the evaluation are maintained in the E2 Shop System. General There is a master list of maintained of all suppliers. The list is maintained within the E2 Shop System. The list is accessed by selecting Tables from the E2 Shop System main window and then selecting Vendors from the Tables drop down menu. Procedure for Supplier Evaluation: Part1 Data Entry The metrics used for supplier evaluation are on-time delivery and the percentage of rejected shipments. Within the E2 Shop System, on-time delivery is tracked and stored automatically. This is accomplished by entering a due date in the Purchase Order Detail window, Due Date field, when entering the Purchase Order. The number of rejected shipments is tracked and stored in the E2 Shop System but must be entered into the system as follows: Step 1. Enter the rejected shipment data into the E2 Shop System. a. On the E2 Shop System main window, select Purchasing from the E2 Shop System main window and then select Vendor Returns from the Purchasing drop down menu. b. Click on New in the Vendor Returns window. c. This will bring you to the Add Vendor Return window. d. Fill in all of the mandatory fields for the Detail Tab, Return Creation Tab, QC/ Inspection Tab and Shipping Tab. e. Click on the OK button, this will add the Vendor Return record to the database with all of the other returns.
2 Not controlled in hard copy Rev. 1.0 Date: 7/9/2015 Page 2 of 5 Procedure for Supplier Evaluation: Part2 Data Analysis The actual Supplier Evaluation takes place at a minimum of once per year and will be reviewed at the Management Review Meeting. The evaluation is based on the data entered and collected in Step 1 of this procedure. The data is analyzed, and a Supplier Rating is assigned to each supplier based on the on-time delivery statistics and percentage of rejected shipments. Supplier ratings are defined as a number i.e. 1 thru 4. The highest/best rating is 1, and the lowest/worst rating is 4. The rating is assigned based on the supplier s previous-year performance. This is illustrated in the table in Figure 1 below. Note: All suppliers with a rating of 4 are subject to re-evaluation. This involves contacting the supplier formally, in writing, and making them aware that their performance is unacceptable. If the supplier s rating does not improve to at least a level 3 within the next review period, the supplier may risk dismissal. Figure 1 Supplier Rating Percent On Time Percent Rejected % 0-2 % % 3-5 % % 6-10 % 4 <70 % >10 % The procedure for extracting the required data for the Supplier Evaluation and associated data analysis is as follows: Step 2. Extract On Time Delivery and Number of Rejected Shipments from E2. a. Open E2 Quick View by clicking on the yellow lightning bolt. b. Click on the Executive Overview button. c. Click on the Receiving tab. d. Under Receiving Analysis Date Range, input the Begin Date which is the date since the last vendor analysis was conducted. e. Under Receiving Analysis Date Range, input the End Date which is the date that the current analysis is occurring. f. In the Group By dropdown menu, select Vendor, and hit the Tab key on the keyboard. g. Identify the Percent On-Time and Percent Rejected Values.

If the User-Defined fields on the Update Vendor Code window were previously modified for this vendor, e.g. as in Step 3i and Step3j, proceed to Step 4, then Step 5, then Step 6. If not, perform these steps, Step 3b thru Step 3l. b. On the E2 Shop System main window select Tables from the E2 Shop System main window and then select Vendors from the Tables drop down menu. c. This will bring up the Vendor Code Maintenance window. d. Click on the Search button, this will display a list of all suppliers. Click on the supplier you wish to update, the supplier will be highlighted, then click on Edit. e. This will bring up the Update Vendor Code window. f. Click on the User-Defined Tab. g. In the lower right corner click on the Design Mode button. h. This will put you into editing mode and allow you to modify certain fields on the Update Vendor Code window. i. Click into the User-Defined Date2: field, replace User-Defined Date2: with Supplier Evaluation Date:. j. Click into the User-Defined Number1: field, replace User-Defined Number1: with Supplier Rating:. k. Click on Finished Editing. l. Enter the Supplier Rating and the Supplier Evaluation Date and click on OK. Step 4. Extract the Supplier Ratings from E2. a. If the Supplier Evaluation Rating HotSpot already exists on your system go to the E2 Shop System main window and select HotSpots then Supplier Evaluation Rating. This will execute the Supplier Evaluation Rating HotSpot/query and display the results of the query. You can now print, or export the results of the query and go to Step 5 of this procedure. If the Supplier Evaluation Rating HotSpot does not exist on your system, follow Steps 4b thru 4z before proceeding to Step 5. b. On the E2 Shop System main window select Hot Spots from the E2 Shop System main window and then select All Hot Spots from the Hot Spots drop down menu. c. This will bring up the Hot Spots window. d. Click on the Edit Hot Spots button.

From the Available Tables pull-down menu select VendCode. h. Click in the Available Fields in VendCode: window under Table, this will populate the window with available fields to choose from. i. Scroll down in the Available Fields in VendCode: window until you find the field Vendor Type, click on it and highlight it. Click on the > button to the right of the Available Fields in VendCode: window. This will move the selected field to the Selected Fields: window. j. Scroll down in the Available Fields in VendCode: window until you find the field Supplier Rating, click on it and highlight it. Click on the > button to the right of the Available Fields in VendCode: window. This will move the selected field to the Selected Fields: window. k. Scroll down in the Available Fields in VendCode: window until you find the field Vendor Name, click on it and highlight it. Click on the > button to the right of the Available Fields in VendCode: window. This will move the selected field to the Selected Fields: window. l. Scroll down in the Available Fields in VendCode: window until you find the field Supplier Evaluation Date, click on it and highlight it. Click on the > button to the right of the Available Fields in VendCode: window. This will move the selected field to the Selected Fields: window. m. Click on the Next button. n. From the Criteria Fields: pull-down menu select VendCode Supplier Rating. o. From the Available Criteria: pull-down menu select Less than or Equal to. p. Under What value should the query search for? Click on Search for specific value. Click in Search for specific value box, delete the double quote (if it is in the box), enter the number 4. q. Click on the Add Criteria button, then on the Next button. r. From the Sorting Options: pull-down menu, select Supplier Rating. s. In the What code do you want for your query? window, type in Supplier Ratings. t. In the What description do you want for your query? window, type in Supplier Evaluation Rating. u. Click on the Finish button, this will take you back to the Hot Spot Maintenance window. Scroll down until you locate the Supplier Ratings hotspot. Click on Supplier Ratings in the Hot Spot column and highlight the Supplier Ratings hot spot.

Click on Test Hot Spot, you should get a dialog box stating that the query ran successfully and returned a certain number of records. Click OK on the dialog box. w. Click OK on the Hot Spot Maintenance window. This will bring you to the Hot Spots window, scroll down and find Supplier Evaluation Rating, click on it and highlight it.. Click on the Details button. x. This will bring you to the Supplier Evaluation Rating window and display the results of the query. y. Should you need to change the column titles, right click on the column title and edit it. z. You can now print, or export the results of the query. Analyze all data at the Management Review Meeting and assign all suppliers an updated Supplier Rating. Step 6. Update E2 with new Supplier Ratings. a. On the E2 Shop System main window select Tables from the E2 Shop System main window and then select Vendors from the Tables drop down menu. b. This will bring up the Vendor Code Maintenance window. c. Click on the Search button, this will display a list of all suppliers. Click on the supplier you wish to update, the supplier will be highlighted, then click on Edit. d. This will bring up the Update Vendor Code window. e. Click on the User-Defined Tab. f. Enter the Supplier Rating and the Supplier Evaluation Date and click on OK.
