5 1 ConnectKey installation Xerox ConnectKey for DocuShare is an add-on that allows you to set up a DocuShare site to connect to multifunction printers (MFPs), and to deploy a set of soft buttons on those MFPs so users can easily scan documents to defined DocuShare collections and shared network folders. System requirements The DocuShare site must be at version 6.6.1, Update 1 Patch 1 or higher, and meet the minimum system requirements for that version. Server antivirus software and firewall must be configured to allow unrestricted communication between the target MFPs and ConnectKey. All MFP devices registered for use with ConnectKey for DocuShare must be Xerox Extensible Interface Platform (EIP) capable, version 1.5 or higher, and supported for use with ConnectKey for DocuShare. ConnectKey for DocuShare supports OCR (Optical Character Recognition) installed on the MFP. Device-side OCR is adequate for low-use MFP installations, but medium-use to heavy-use MFP devices greatly benefit from OCR software installed and running on the DocuShare server. Licensing After successful installation of the software, ConnectKey for DocuShare appears in the site Administration menu. You can now create buttons and register one MFP device. Registering additional MFPs requires a new DocuShare license string. ConnectKey for DocuShare is licensed based on the maximum number of MFP devices that can be registered per site. The maximum number is shown on the site License page. Use the instructions available in the DocuShare Installation Guide to re-license a DocuShare site. 6 ConnectKey installation Install ConnectKey 1. Stop DocuShare. 2. Download the ConnectKey software to your DocuShare server, open the ConnectKey folder, and click dsinstall. 3. In the DocuShare add-on installer window, select Install ConnectKey for DocuShare. 4. Follow the wizard instructions to install the add-on. 5. After a successful installation, restart DocuShare. ConnectKey can now be used to register one MFP device. Registering additional MFPs requires a new DocuShare license string. Uninstall ConnectKey 1. Stop DocuShare. 2. Click dsinstall. 3. In the DocuShare add-on installer window, select Uninstall ConnectKey for DocuShare. 4. Follow the wizard instructions to uninstall the add-on. 5. 7 2 ConnectKey setup After ConnectKey is installed, you can use ConnectKey for DocuShare in the DocuShare Administration menu to configure the add-on. The ConnectKey for DocuShare administration page displays four menu items: Configure Buttons Use to create the ConnectKey soft buttons that appear on MFP device touch screens. Soft buttons enable MFP users to navigate to and scan to defined DocuShare collections and shared network folders. Configure Devices Use to register new MFPs, view registered MFPs, edit MFP settings, and delete registered MFPs. For a list of supported MFPs, refer to the ConnectKey for DocuShare specifications on Scanning Log Use to view recent scan activity and to download a log of all scan jobs. Logs are downloaded in CSV format for spreadsheet viewing. Server Log Use to set the server logging level and to download the server log. Server logs are written in simple text, and can be opened in a variety of applications. Xerox ConnectKey for DocuShare Installation and Setup Guide 2 1
8 Setup overview The following is a quick overview of setting up ConnectKey for DocuShare on an MFP device. The remainder of this chapter goes into detail about each step. 1. Plan how you want users to scan to DocuShare or a network folder though the MFP device: this includes specific collections, collection owners, permissions to those collections, and the Universal Naming Convention (UNC) to shared network folders. 2. Identify the MFP devices that you want to use with ConnectKey for DocuShare, noting each device IP address or hostname, and the administrator username and password for each device. 3. License ConnectKey for DocuShare according to the number of MFP devices you intend to register. 4. Use the ConnectKey Configure Buttons administration pages to create a hierarchy of soft buttons that you will deploy to the MFP. These buttons appear on the MFP touch screen and guide the MFP users to the appropriate scan buttons. 5. Use the ConnectKey Configure Devices administration pages to register the MFP devices with ConnectKey for DocuShare and to deploy the soft buttons that you created using the Configure Buttons pages. 2 2 Xerox ConnectKey for DocuShare Installation and Setup Guide
9 ConnectKey Buttons This section shows how to create and organize ConnectKey soft buttons for deployment on MFPs. Button types There are three types of ConnectKey buttons: ConnectKey for DocuShare is the top button type in the hierarchy; the parent button of child folder and child scan buttons. This is the initial button displayed on an MFP touch screen. You can deploy multiple ConnectKey for DocuShare buttons on a single MFP. This button type can have either Guest or DocuShare Group access level. Child folder buttons are for organizational purposes, and allow you to create a hierarchy on the MFP touch screen, with child folder buttons under parent folder buttons, to help guide users to the correct scan button. Folder buttons do not point to actual DocuShare collections or shared network folders. This button type inherits its access level from the parent folder button. After button creation, you can assign it either Guest or DocuShare Group access level. Child scan buttons are deployed under ConnectKey for DocuShare buttons or child folder buttons, and are used to scan documents to specific collections or shared network folders. Scan buttons contain pathnames and document metadata information. This button type inherits its access level from the parent folder button. After button creation, you can assign it either Guest or DocuShare Group access level. Button organization There is no limit to the number of soft buttons that you can create or deploy to a single MFP device. However, use good design sense when building a button hierarchy; you do not want to require users to navigate down through excessive levels of nested folder buttons to locate a scan button. 10 Button access levels You assign each button an Access Level. This restricts who can see and who can use a button. Newly created child buttons inherit the access level of the parent. Use Actions/Change Permissions to change the access level of a selected button. The choices for all buttons are Guest and DocuShare Group. Guest access level When assigning Guest access level to a folder or scan button, you are allowing anyone to have access to that button. Anyone pressing the button will not be required to log in. If the ConnectKey for DocuShare button is set at Guest level, users can press that button and see all of the folder buttons that are deployed under the ConnectKey for DocuShare button, regardless of the access level of those folder buttons. However, Guest users will be able to open only those folder buttons that are assigned a Guest access level. Guest users will not be able to open folder buttons or use scan buttons if those buttons are assigned a DocuShare Group access level. If they press such a button, a login window displays. DocuShare Group level access has precedence in the button hierarchy. If a folder or scan button is assigned Guest level access, but inadvertently placed under a parent folder that is assigned DocuShare Group level access, the Guest user will not be able to open the Guest folder or use the Guest scan button. The user must first satisfy the log in requirement of the DocuShare Group folder in order to open the Guest folder or have access to the Guest scan button. For Guest access level, ConnectKey assigns the owner of scanned documents as either the username that was entered in the Owner field of the Add Scan Button page or Admin if the Owner field was left blank. DocuShare Group access level When assigning DocuShare Group access level to a folder or scan button, you are declaring that only members of select group(s), not individual users, have access to that button. Anyone pressing the button will be required to log in using their DocuShare username and password. If the ConnectKey for DocuShare is set at DocuShare Group access level, all users are challenged for their DocuShare username and password when they press that button. Once logged in, users have access to Guest access level buttons and to those DocuShare Group access level buttons where they have membership in one of the selected groups. They will not see the other buttons if they are not members of the group(s) that have access permission to those buttons ConnectKey users need enter only their DocuShare username and password to scan to both DocuShare collections and shared network folders. DocuShare registry handles all user authentication, and scan destinations (DocuShare collections or network folders) are invisible to the user. Documents scanned are assigned the logged in username as the document owner if the Owner field of the Add Scan page was left blank. If a username was entered in the Owner field, that username is assigned as owner to all scanned documents. 2 4 Xerox ConnectKey for DocuShare Installation and Setup Guide
11 Configure buttons The Configure Buttons page displays a gallery of existing ConnectKey buttons. The first time you open Configure Buttons, the button gallery is empty. You must create your own gallery of buttons. Add a ConnectKey for DocuShare button The top button type in the gallery hierarchy is the ConnectKey for DocuShare button. All child folder buttons and scan buttons are built under a ConnectKey for DocuShare button. Start your button gallery by creating a ConnectKey for DocuShare button. 1. From the Administration menu, click ConnectKey for DocuShare l Configure Buttons. 2. Click New ConnectKey for DocuShare Button. 3. In the Button Label field, enter a label name for the button. You can give the ConnectKey for DocuShare button any label name you like, but make it short enough to be readable on the touch screen button. 4. In the Access Level field, select an Access Level from the menu. The default is Guest, but select DocuShare Group to restrict access to members of a specific group or groups. If necessary, later you can change this setting. 5. If you want to use a custom icon for the top button, click Show Advanced Settings. The button icon currently being used is displayed. 6. To substitute a custom button icon in place of the default button icon, click Customize on the Customize Button Icon page. 7. On the Customize Button Icon page, select to Use the default icon, upload a new icon, or select an existing icon from a gallery of previously uploaded icons. 8. If you choose to upload a new icon use Browse to locate and upload the file. Icons should be in a web-viewable format, such as gif, png, or jpg, and should be no larger than 128x128 pixels. Note: Due to touch screen limitations of some MFPs, custom icon images do not scale. As you add more ConnectKey buttons to a touch screen, the buttons get smaller but the custom icon images crop rather than scale down with the button. Experiment to find the best size image graphic for your devices. For a use comparison, the default ConnectKey icon is 44 x 44 pixels. Note: Due to cache issues with most MFPs, to display a newly added custom image on a ConnectKey button, you must either remove the button from the device, then re-deploy it, or reboot the MFP. 9. After uploading a new icon, click Apply. 10. When you have finished, click Add Button. Your button gallery now displays the essential ConnectKey for DocuShare button. This is the first button a user sees on the MFP touch screen. Build a gallery of folder and scan buttons under this top button. You can create multiple ConnectKey for DocuShare buttons, with a different hierarchy of folder and scan buttons under each. Xerox ConnectKey for DocuShare Installation and Setup Guide 2 5
12 ConnectKey for DocuShare button actions For the ConnectKey for DocuShare button, and for each button listed in the gallery, there are Actions that you can perform to help build and manage the button gallery. Actions appear as icons under the Action column for each button. View/edit settings View/editing settings allows you to view and edit the fields of the button. The ConnectKey for DocuShare and the folder buttons have just a few fields, while scan buttons have numerous fields, such as pathname to a collection, scanned document format defaults, and property field settings. Change permissions Change permissions allows you to change the access level of the button. Delete the button Delete allows you to delete the button from the gallery. Deleting the ConnectKey for DocuShare button from the gallery also deletes all child buttons under that button. Deleting the ConnectKey for DocuShare button also removes that button from deployed MFPs. Deleting a ConnectKey for DocuShare button cannot be undone. Add child folder button Child folder buttons are for organizational purposes, and allow you to create a hierarchy on the MFP touch screen, with child folder buttons under parent folder buttons, to help guide users to the correct scan button. Folder buttons do not point to DocuShare collections or network folders. Add child scan button Scan buttons are deployed under folder buttons, and are used to scan documents to specific collections or network folders. Scan buttons contain pathnames and property information. Add child folder button 1. To add a child folder button under the ConnectKey for DocuShare button, click the Add child folder button icon under Actions. 2. In the Button Label field, give the folder button a name. Make it short enough to be readable on the touch screen button. Maximum label lengths vary depending on the size of the touch screen. 3. Click Add Button. You now have a new child folder button in the button gallery. The button has inherited the access level of the parent folder. You can change this using Actions l Change permissions. Child folder button actions As with all buttons, you have Actions that you can perform on this button type. View/edit settings View and edit the fields of the button. 13 Delete the button Delete the button from the gallery. Deleting a button from the gallery also deletes all child buttons under that button. Deleting a button cannot be undone. Add child folder button Add a child folder button under this button. Add child scan button Add a child scan button under this button. Add child scan button Child scan buttons are used to scan documents to defined locations; each button represents a unique DocuShare collection or shared network folder. Child scan buttons inherit the access level of the parent, but can be changed after creation. Add a DocuShare collection child scan button A- Start by defining the button 1. To add a DocuShare collection child scan button under the ConnectKey for DocuShare button, or under any child folder button, click the Add child scan button icon under Actions. 2. In the Button Label field, give the scan button a name. Make it short enough to be readable on the touch screen button. 3. In the Scan Type field, select DocuShare Collection. 4. In the Scan to Collection field, enter the handle of the collection where scanned documents are to be sent. You can perform a site search by entering a collection title into this field. 5. In the Owner field, enter the username that you want to assign as owner of all documents scanned into the collection. You can perform a site search by entering a username into this field. If you leave the Owner field blank, the username of the logged in MFP user will be assigned as owner of the document being scanned, and all documents scanned by Guest users are assigned Admin as the owner. B- Define the character of scanned documents 1. In the Default OCR field, select the OCR setting of the documents that are scanned into the collection; either Image only (no OCR) or Searchable by either OCR on the MFP or OCR on the DocuShare server. Your selection in this field determines what is displayed in the other OCR field menus. 2. In the Default Format field, enter the format of the documents scanned into the collection. In many cases, MFPs save scanned documents in PDF format, but there are other choices available from the menu, depending on your selection in the Default OCR field. Field help explains each choice. 3. In the Default Resolution field, enter the desired resolution of the documents that are scanned into the collection. C- Define the Document Type and Title property of scanned documents 1. In the DocuShare Collection Document Settings area, from the Document Type menu, select how the scanned documents are to be defined; generally either Document or a clone that is based on the Document class. 14 To populate this menu with document types, use Object Properties l Custom Object in the Administration menu. Depending on the Document Type selected, different properties appear in the Field column. Title appears for all Document Types, and is a required property for all scanned documents. Settings for the Title property, and any other displayed properties, define the properties of the scanned documents. 2. Start defining the Title property by entering in the Default Value field, a value you want displayed in the scanned document Title field that will give the user a hint about what to enter. Users can change this default property value (the title of the scanned document) if this field is set to Editable at Scan Time in Display Options. 3. In the Display Options field, select how the field value is displayed at scan time; Read-only, Hidden, or Editable at Scan Time. If set to Read-only, the title of all scanned documents will be the value you entered in the Default Value field. 4. In the Append Information field, select what information is added to the document Title. 5. In the Appended Location field, enter where Appended Information appears in the Title. D- Add and define any additional document properties 1. To add more properties, other than the Title, click Add Field. 2. Select a new property from the Field menu, then edit the fields (Default Value, Display Options, etc.) for the new property. 3. You can also delete a property by clicking Remove. E- Define how auto-generated sub-collections are handled 1. In the Sub-Collection Setup area, choose how you want ConnectKey to handle the title of the auto-generated sub-collections for incoming scanned documents. You have many options available from the menus. As scanned documents arrive at DocuShare, ConnectKey uses your settings to create collections on-the-fly, with titles based on your settings. For example, if you set up the sub-collection format as day/month/year; when the first document that arrives at DocuShare is dated 22/08/2013, ConnectKey creates a collection titled 22/08/2013 and all documents with this date tag are sent to that collection. F- Review selections and create the button 1. When finished, click Add Button to add a child scan button to the button gallery. An icon identifies the scan button as pointing to a DocuShare collection. Add a shared network folder scan button A- Start by defining the button 1. To add a shared network folder child scan button under the ConnectKey for DocuShare button, or under any child folder button, click the Add child scan button icon under Actions. 2. In the Button Label field, give the scan button a name. Make it short enough to be readable on the touch screen button. 3. In the Scan Type field, select Network Folder. 4. In the Scan to Folder field, enter the network path to the shared folder using the Universal Naming Convention \\servername\volume\. 2 8 Xerox ConnectKey for DocuShare Installation and Setup Guide
15 5. In the Folder Username and Folder Password fields, enter the username and password for write access to the shared network folder. 6. Click Test Connection to make sure the path and username/password are valid. B- Define the character of scanned documents 1. In the Default OCR field, select the OCR setting of the documents that are scanned into the folder. 2. In the Default Format field, enter the format of the documents scanned into the folder. In most cases, MFPs save scanned documents in PDF format. 3. In the Default Resolution field, enter the desired resolution of the documents that are scanned into the folder. 4. In the Network Folder Field Settings area, in the Filename field, give the scanned documents a filename. All documents scanned to the folder will be given this filename, so you need to select a differentiator from the Append Information menu. 5. From the Append Information menu, select the type of information to append to the filename of each scanned document. At minimum, an incrementing number or timestamp differentiates filenames. 6. From the Appended Location menu, select whether the Appended Information is applied before or after the filename. C- Review selections and create the button 1. When finished, click Add Button to add a child scan button to the button gallery. An icon identifies the scan button as pointing to a shared network folder. Child scan button actions As with all buttons, you have Actions that you can perform on this button type. Child scan buttons are limited to three actions. 16 Configure Devices Use Configure Devices to register new MFPs and to manage the buttons that are assigned to these MFPs. Register a new device Note: Before registering a new MFP, make sure the device is supported for use with ConnectKey for DocuShare and is EIP enabled. A list of supported MFPs is available through your sales representative or online at 1. From the Administration menu, click ConnectKey for DocuShare l Configure Devices. 2. On the Configure Devices page, click Register a New Device. 3. In the Device Label field, enter a friendly name for the new MFP. 4. In the Device IP/Hostname field, enter the network address, either an IP address or a DNS hostname, of the device. 5. In the Device Username field, enter the administrator username for the device. 6. In the Device Password field, enter the password for the administrator entered in the Device Username field. 7. Click Show Advanced Settings if the new device cannot connect to the default ConnectKey server IP/Hostname; possibly because the device is connected via a VPN tunnel with a NAT address. In the Alternate ConnectKey Server IP/Hostname field, enter an alternate server IP or Hostname. The device will now use this address, instead of the address entered in the Device IP/Hostname field, to connect to the ConnectKey server. 8. In the ConnectKey Buttons area, select the ConnectKey buttons that you want to appear on the new device touch screen. Note: The only choices displayed on this page are the ConnectKey buttons that you created in the button gallery. Selecting a button displays on the device touch screen all of the folder and scan buttons that you created under the selected ConnectKey button. 9. When you are finished, click Add to register the device and deploy the selected buttons. Note: The first time a deployed button is pressed requires several seconds of initialization while it communicates with the DocuShare site. Import devices from a CSV file You can import a list of MFP devices, if the list is in CSV format and contains the following information for each MFP device: Device Label, Device IP/Hostname, Device Username, Device Password, ConnectKey Server IP/Hostname. 1. From the Administration menu, click Configure Devices. 2. On the Configure Devices page, click Import Devices from CSV File. 3. In the displayed window, browse to and select a CSV file that contains a list of devices that you want to register with ConnectKey. 4. 17 Manage registered devices You can edit the settings of registered devices from the Configure Devices page. 1. Under Device Name, click a displayed name link or click the Edit device settings icon under Actions. 2. On the Edit Device Settings page for that device, change any of the settings. 3. In the ConnectKey Buttons area, select buttons to display on the device touch screen. 4. Click Apply when you are finished. Note: Deploying new buttons to an existing device, requires rebooting the MFP. The first time a deployed button is pressed requires several seconds of initialization. Delete a registered device You can delete registered devices from the Configure Devices page. There are two way to delete a registered device: Click the Remove device icon for a device. Select the device checkbox, and click Delete Selected. WARNING: Deleting a device cannot be undone. DocuShare does display a confirmation message before deleting the device. 18 Scanning Log Rather than having a maximum file size, the Scanning Log records a maximum of 10,000 scan jobs. When the maximum is reached, ConnectKey starts another log, but preserves the previous log. There is one current log and one previous log. The Scanning Logs are located in tomcat\connectkey\tmp. To view recent scan activity and download the log, in CSV format, of all scan jobs. 1. From the Administration menu, click ConnectKey for DocuShare l Scanning Log. 2. Click Download Scanning Log as CSV File. 3. Select either Open with or Save File to a specific location. To set how many scan jobs are displayed on the Scanning Log page. 1. From the Administration menu, click ConnectKey for DocuShare l Scanning Log. 2. On the Scanning Log page, select a quantity from the Page Size menu. 3. Click Update. To set the maximum number of scans recorded in the log before ConnectKey creates another log file. 1. From the Administration menu, click ConnectKey for DocuShare l Scanning Log. 2. On the Scanning Log page, in the Log Size field, enter a quantity, in kilobytes. The default is 10,000 kilobytes; enough for approximately 10,000 scan log entries. We recommend that you leave the setting at the default, or set it higher during initial ConnectKey setup. Reducing the log size after you have registered devices and deployed buttons will delete existing log file entries. 3. Click Update Xerox ConnectKey for DocuShare Installation and Setup Guide
19 Server Log By default, the Server Log has a maximum file size of 1MB. When this maximum is reached, ConnectKey starts another log, and preserves the previous log. For a running ConnectKey, there is one current log and one previous log. The Server Logs are located in tomcat\connectkey\log directory. To set the server logging level for ConnectKey. 1. From the Administration menu, click ConnectKey for DocuShare l Server Log. 2. Select a log level from the Logging Level menu. We recommend keeping the level at INFO. Note: See Logging Level table below. 3. Click Save. To download the ConnectKey Server Log. 1. Click Download Log File. 2. Select either Open with or Save File to a specific location. Server logging levels Logging Level Meaning OFF FATAL ERROR WARN INFO DEBUG TRACE ALL Logging is off. Logs severe errors that most likely lead to the application immediately shutting down. If selected, only FATAL messages are logged. Logs information regarding serious runtime errors, or unexpected conditions, that need to be addressed as soon as possible. These errors may result in unstable application behavior, but in most cases, the application will continue to run. If selected, ERROR and FATAL messages are logged. Logs unexpected events that might not shut down the application, but if left unattended, could lead to potentially harmful situations. These events could include deprecated APIs, almost errors (such as almost out of disk space), and other runtime situations that are undesirable or unexpected, but not necessarily an error. If selected, WARN, ERROR, and FATAL messages are logged. Logs informational messages, at a coarse-grain level, regarding application progress and state; such as startup and shutdown. Useful to an administrator for managing a site. If selected, INFO, WARN, ERROR, and FATAL messages are logged. Logs a fine-grain level of informational events that are useful in debugging the application. If selected, DEBUG, INFO, WARN, ERROR, and FATAL messages are logged. Logs finer grain information than does the DEBUG level. If selected, TRACE, DEBUG, INFO, WARN, ERROR, and FATAL messages are logged. Logs all levels, including custom levels. 21 3 ConnectKey troubleshooting Basic troubleshooting ConnectKey for DocuShare does not appear in the Administration menu. Check that the DocuShare site is at the required software version level and all of the mandatory updates are installed. Refer to About DocuShare for version level and installed updates. You cannot register more than one MFP. Check that ConnectKey for DocuShare is properly licensed. You cannot register an MFP or you get an error message when attempting to register an MFP. Check that the MFP is EIP enabled and check that the MFP is supported for use with ConnectKey for DocuShare. ((Refer to the supported MFP list on docushare.com.) A user reports that scans are not showing up in the defined collection. Check to see if the scan failed or succeeded (view the Scanning Log). If the scan succeeded and it does appear in the collection, then see if the group has read access to the collection. All of the scanned documents showing up in a collection have the same owner instead of the user who scanned the documents. Check the child scan button that is pointed at that collection to make sure you left the Owner field blank. If the Owner field is blank, then the logged in username is assigned the owner of scanned documents. When asked to log in, a user reports that their DocuShare username/password is not valid. Check the membership of the groups defined under DocuShare Group access. Make sure the user is a member of a defined DocuShare Group. Soft buttons are cut off on the MFP touch screen or the touch screen keyboard is too small to use. Make sure the MFP is supported for use with ConnectKey for DocuShare. Some unsupported MFPs have screens that are too small for ConnectKey use. (Refer to the supported MFP list on docushare.com.) Xerox ConnectKey for DocuShare Installation and Setup Guide 3 1
22 ConnectKey troubleshooting A custom image on the ConnectKey button displayed on the touch screen is cropped, with only part of the image showing. Due to touch screen limitations of some MFPs, custom icon images do not scale. As you add more ConnectKey buttons to a touch screen, the buttons get smaller but custom icon images crop rather than scale down with the button. Experiment with image size to resolve this problem. The default ConnectKey icon is 44 x 44 pixels. When adding a custom image to a deployed ConnectKey button, the button displayed on the touch screen still shows the default image. Due to cache issues with most MFPs, to display a newly added custom image on a ConnectKey button, you must either remove the button from the device, and then re-deploy it, or reboot the MFP. ERROR Messages. If ConnectKey stops working, or there is an error on the MFP or with the ConnectKey, an error message appears on both the MFP touch screen and in a pop-up message on the DocuShare site.
