3 Introduction The IIBA chapter websites are based on the Joomla 1.5 content management system (CMS) for publishing content on the World Wide Web. Joomla provides an easy-to-use graphical user interface that simplifies the management and publishing of large volumes of content including HTML, documents, and rich media. Use with minimal programming or web development experience is required to get the website up and running quickly. This guide will walk you through setting up the new chapter website. 4 Website Quick Start Guide A. Prerequisites - IIBA approved chapter URL - Joomla Username and Password. B. Change Temporary Password - Launch browser and go to - Enter the username and password provided and click the Login button. XBASE Technologies Corp 2/12/2009 Page 4 of 57

6 - Selected the user Webmaster and clicked on the 'Edit' button in the User Manager, or clicked on the name of a user to exit the existing user. XBASE Technologies Corp 2/12/2009 Page 6 of 57
7 - Change the address. - Type the new password in the New Password and Verify Password field. - Change the Received System field to Yes - Change the Time zone if applicable - Clicked on the 'Save' button when done. XBASE Technologies Corp 2/12/2009 Page 7 of 57
8 C. User Groups New user can be created to help with the website migration or the day-to-day management of the website. Here s a quick overview of the available user groups. Registered User - Normal visitors who register at the site. - Can view Menu Items that have Access Level of Registered. - Cannot edit or submit articles. Author - Can submit new articles for approval in the front end only. - A Publisher or higher must approve - Cannot edit existing articles. Editor - Can submit new articles or edit existing articles from the front end only. - A Publisher or higher must approve Publisher - Can submit, edit, or publish articles from the front end only. Manager - Allow access to content creation and other system information from the Backend. Think of Manager users as Publishers, with Backend access. - Can log in through the Administrator interface, but their rights and access are generally restricted to content management. - Can create or edit any content, access to some Backend only features like adding, deleting and editing Sections and Categories, editing the Front Page and Menus, but they don t have any access to the Mechanics of Joomla, like user management or the ability to install components or modules - Note that if a Manager logs in through the Frontend interface, they re treated just like a Publisher, with the same rights and access. We highly recommend using the manager group to assist with the website migration. Here re the steps to create a new user in Joomla. XBASE Technologies Corp 2/12/2009 Page 8 of 57

11 - Name, Username, address and password are required. - Choose the Manager in the Group list field - Change the Received System field to Yes - Change the Time zone if applicable - Clicked on the 'Save' button when done. XBASE Technologies Corp 2/12/2009 Page 11 of 57
12 D. Sections Sections in Joomla! are used to organize Articles. Sections are the top-level of organization, and each Section contains one or more Categories. Sections and Categories allow you to organize your Articles and display related Articles together on a page. All Articles are assigned either to a Section you create or to the special Section called 'Uncategorized'. 1. Section Manager - Click on the Section Manager icon in the Control Panel or click on 'Section Manager' in the 'Content' menu. XBASE Technologies Corp 2/12/2009 Page 12 of 57

15 E. Category The Category Manager is where you can edit existing Categories and create new ones. Categories are used to organize the Articles within a Section. Sections and Categories allow you to display related Articles together on a page and to filter Articles in the Article Manager. All Articles are assigned either to a Category that you create or to the special Category called 'Uncategorized'. 1. Category Manager - Click on the Category Manager icon in the Control Panel or click on 'Category Manager' in the 'Content' menu. XBASE Technologies Corp 2/12/2009 Page 15 of 57
16 - To add a new Category, press the New icon in the toolbar. To edit an existing Category, click on the Category's Title, or click the Category's checkbox, and click on the Edit icon in the toolbar. XBASE Technologies Corp 2/12/2009 Page 16 of 57

18 F. Article In Joomla! an Article is a piece of content usually consisting mainly of text, but may contain other resources too (for example, images). An Article is most often regarded as the third level in the hierarchy Sections -> Categories -> Articles. For example, a website might have Sections called "Animals" and "Plants". Within the "Animals" Section, the website might have Categories such as "Birds" and "Mammals". In the "Birds" Category there might be Articles called "Parrots" and "Sparrows" which describe the relevant birds in detail. However, it is possible to have Uncategorized Articles that exist without being associated with any Section or Category. 1. Article Manager - Click on the Article Manager icon in the Control Panel or click on 'Article Manager' in the 'Content' menu. XBASE Technologies Corp 2/12/2009 Page 18 of 57
19 - You can access the Article:[New] page either by pressing the 'Add New Article' button on the Control Panel or by clicking the 'New' button on the Article Manager. You can access the Article:[Edit] page from the Article Manager either by clicking on an Article's Title or by clicking the Article's check box and then clicking the 'Edit' button. - The same screen is used for adding a new Article and editing an existing Article. You can also select the Section and Category for an Article and indicate whether or not it is Published and if it is selected to appear on the Front Page. 20 - - You can access the Article:[New] page either by pressing the 'Add New Article' button on the Control Panel or by clicking the 'New' button on the Article Manager. You can access the Article:[Edit] page from the Article Manager either by clicking on an Article's Title or by clicking the Article's check box and then clicking the 'Edit' button. - A number of Parameters are required for the Article. Menu There are 2 menus setup for the IIBA template (Main Menu and Footer Right Menu) - You can access the Menu Item Manager for main menu by clicking on the Main Menu/Footer Right Menu in the 'Menu' menu. Or click on the Menu Manager icon in the Control Panel and then click on the icon in the Menu Items column. XBASE Technologies Corp 2/12/2009 Page 21 of 57
22 1. Menu Item Manager - You can access the Menu Item:[New] page by clicking the 'New' button on the Menu Item Manager. You can access the Menu Item:[Edit] page from the Menu Item Manager either by clicking on the name of the Menu Item or by clicking the Menu Item's check box and then clicking the 'Edit' button. - Tips: Since the parameters for Articles can be set at the Individual Article and the Menu Item that display the Article, the parameter set for the individual Article or Contact always takes first priority. 23 2. New Menu Item - Menu Item Types are organized into four groups: Internal Link, External Link, Separator, and Alias. Internal Links are the most commonly used and will display pages on your web site. External Links are used to display links to external web sites. Separators are used to place a graphic or other separator between menu options. Alias Item Types are used to point back to an already existing Menu Item. 24 3. Internal Link Articles - Internal Link Articles Article Layout is menu item available to display a single Article in Joomla. - Click on the Articles item type to expand the option list, and then click Article Layout. XBASE Technologies Corp 2/12/2009 Page 24 of 57
25 - Enter the Title field and click the Select button on the top right corner. - Select the Article from the list - Use the Parent Item list box to determine whether a Menu Item is a top-level item or a submenu item. Select 'Top' (the default value) if this is a top-level Menu Item. Otherwise, select the Menu Item that is this item's parent. - Click the 'Save' button. External Link - This menu item type is used to create a menu choice that links to an external website or page. - Click External Link from the Menu Item Type - Enter the Title field and the Link field (Require full url address E.g. - Use the Parent Item list box to determine whether a Menu Item is a top-level item or a submenu item. Select 'Top' (the default value) if this is a top-level Menu Item. Otherwise, select the Menu Item that is this item's parent. - Click the 'Save' button. 27 5. Separator/Alias - The Separator is not applicable for the IIBA template. - Alias creates a Link to an existing Menu Item. It allows you to have identical Menu Items on two or more different Menus without duplicating the settings. So, for example, if you change a parameter of a Menu Item that has an Alias linked to it, the Alias will automatically acquire the same change. - Enter the Title field and select the Menu Item from the drop-down list box. - Use the Parent Item list box to determine whether a Menu Item is a top-level item or a submenu item. Select 'Top' (the default value) if this is a top-level Menu Item. Otherwise, select the Menu Item that is this item's parent. - Click the 'Save' button. 28 H. Upload Media/Images The Media Manager is a tool for uploading or deleting files in the /images/ directory on your web server. You can upload new files, delete existing ones, and create sub-directories. The Media Manager offers two views: thumbnails view and details view. The first (thumbnails view) will show a preview of the image files. The second (details view) will show the file name, dimensions, and file size. There is also a handy 'delete' button next to each file. - Click on the Media Manager icon in the Control Panel or click on 'Media Manager' in the 'Site' menu. 29 - To upload a file, start by using the Browse button to find the file you would like to upload, and then click Open. Once you have all the files you want queued, hit the Start Upload button. The files will be uploaded to the selected directory. - You can also use the Media Manager to create a sub directory. Navigate to the directory you want the soon-to-be sub directory to be located in. In the upper right hand side of the Media Manager, there is a text field area next to a button labeled Create Folder. Type the name of the desired sub directory into this text field, and then click the Create Folder button. The page will refresh and the sub folder will have been created. 30 I. Upload Documents/Presentations This flash uploader is a tool for uploading or deleting files in the /download/ directory on your web server. You can upload new files, delete existing ones, and create sub-directories. You ll need Flash 8 or higher installed to use this tool and there s a 3 MB size limit for each file. - From the 'Components' menu, choose Joomla Flash Uploader then Upload. 31 - To upload a file, start by using the Add Files button to find the file you would like to upload, and then click Open. Once you have all the files you want queued, hit the Upload button. The files will be uploaded to the selected directory. - To delete a file, start by clicking on the name of the file and then click the Delete button. - You can also use the uploader to create a sub directory. Click the button Options and then choose Create Folder, then enter the name of the folder and then click the Create button. - There re option to rename/delete file and folders. 32 J. FAQs (Frequently Asked Questions) The most common FAQs are included in the template. Please review and make the necessary changes for your chapter (E.g. Cost to join the local chapter). 1. 33 - This is the Dashboard that will allow you to manage FAQ items and categories. XBASE Technologies Corp 2/12/2009 Page 33 of 57

FAQ Categories - Click on the Categories icon in the Dashboard to view existing Categories. - You can access the Edit Category page by clicking on the name of the Category Item or by clicking the Category Item's check box and then clicking the 'Edit' button. - The Category Name field is required and the content on the text editor is optional. 35 - Click on the Create new category icon in the Dashboard to add new Category. - You can also access the Create new category page by clicking on the New button on the Categories View. - The Category Name field is required and the content on the text editor is optional. 38 K. Contact Us Form A simple and straightforward module to generate Contact forms with fields without any development knowledge and the ability to save data in the database. 39 1. Create/Edit Form - To add a new form, press the New icon in the toolbar. To edit an existing form, click on the form s Title, or click the form s checkbox, and click on the Edit icon in the toolbar. XBASE Technologies Corp 2/12/2009 Page 39 of 57

45 - To add a new Field, press the New icon in the toolbar. To edit an existing Field, click on the Field's Label/Name, or click the Fields checkbox, and click on the Edit icon in the toolbar. - You can arrange the field order by clicking on the up/down arrow icon under the Order By column. 57 N. FTP Beside the GUI interface within Joomla to upload images and other documents, FTP is also available to access the images and download directory. After login with you username and password, you will be viewing your ftp home directory. Click on the specific folder to access the images or download directory.
