3 Overview of the Main Screen The Main screen is the basic operations screen. It is used for scanning, storing and basic setup operations. Cabinets Displays the filing cabinets the user has access to. User Displays the username of the currently logged on user. Organisation Displays the organisation name of the DocuWare System the current user is logged on to. Basket Displays scanned documents. Documents can be selected then stored. Store Click the Store button to store the selected document. Scan Click scan to scan new documents. Simplex Click to select simplex or duplex scanning. Menu Click to open the configuration menu. Note: The menu will open for five seconds and then close. Delete Selected Click to delete the selected document. Zoom Selected Click to zoom selected document. Log Out Click to log out and return to log on screen. Single Page Click to select single page or multiple page scanning. Configuration Menu Displayed after clicking on Menu button. Scanner Setting Click to change user scanner settings. Settings Click to go to the configuration screens. Register Click to go to the registration screen. 2
4 How to use the keyboard The keyboard is displayed whenever you need to enter data. The keyboard is operated very much like a computer keyboard. [BACK] [ENTER] [CAPS ON] [LOCK] [UNLOCK] [SPACE] [CLEAR] [SYMBOLS] : This key deletes the character to the left of the cursor. : The previous screen is displayed. : This key toggles between lower case and upper case characters. : This key locks the characters in upper case. When selected the key changes to [UNLOCK] and the [CAPS ON] key is disabled. : This key unlocks the [CAPS ON] key. : This key is used for entering spaces. : This key clears all entered text. : This key displays the keyboard in symbol mode. Keyboard in Symbol mode. 3
5 1.Installation Unzip the setup file to your hard disk Double click PushToDocuWare.msi or Setup.exe This will start the installation. Click NEXT Select I Agree to the licence agreement and then click NEXT Leave the default settings then click NEXT Click NEXT Click Close. The installation is now complete. 4
6 2.Configuration Before using PushtoDocuWare it needs to be configured for your chosen DocuWare installation. a.server Settings Start PushtoDocuWare. The following screen will appear. Do not enter a username or password. Click OK. You will be taken directly to the configuration menu. Enter your DocuWare Organisation Name and Server Name. You may also change the Authentication Server and Port if necessary. Note: Click Apply Changes when finished. [Organisation] Enter the Organisation name of your DocuWare installation. [Authentication Server] Enter the name of your Authentication Server. [Server Name] Enter the name or IP address of your DocuWare Server. [Server Port] Enter the port number for your authentication server (usually 9000). [Server Installed Local] Select yes or no as to whether DocuWare is installed on the local machine. 5
7 b. Scanner Settings Select the Scanner settings tab. Here you can select, Scanner ID, Document Format, Colour Format, Resolution and JPG Quality. [Scanner ID] All available scanners will be listed. Select KODAK Scanner: i1210/i1220. Click OK. Note: DO NOT select WIA-Kodak i1220 Scanner [Document Format] Select Tif or JPG. Click OK. [Colour Format] Select Colour, Greyscale or Black & White format. Click OK. [Resolution] Select the resolution required. Click OK. Note: The higher the resolution the bigger file sizes will be. [JPG Quality] Select JPG Quality. Click OK. Note: Click Apply Changes when finished. 6
8 c. Administrator Settings Select the Administrator tab. Here you can change the Administrator username and password, basket capacity, and language. [New Admin Username] The default administrator username is Admin. This can be changed to a username of your choice. [New Admin Password] The default admin password is admin. This can be changed to a password of your choice. [Delete Files after Store] Select whether to delete the files from the basket after they have been stored. [Basket Capacity] Set a limit on how many documents can be scanned into the basket. [Language] Select the display language. Note: Press Apply Changes and Exit when finished. 7
9 d. Change Administrator Password The administrator username and password can be changed if required. To change the administrator username, click New Admin Username. Enter the new name using the keyboard and then click ENTER. To change the administrator password, click New Admin Password. Enter the new password and then click ENTER. Note: Press Apply Changes finished. when At the Main Screen Press Exit 8
10 3. How to use a. Logging in Before you are able to login you must have a valid DocuWare user account. If you do not have a DocuWare user account see your DocuWare administrator. Select the User name field The keyboard will be displayed. Enter your DocuWare user name, press ENTER Repeat the above process for the password. When you have entered a username and password press Login Once logged in successfully you will see the Main screen. A list of available file cabinets for the current user is displayed in the Cabinets column. 9
11 b. Scanning Place a document in the scanner and press the scan button in the actions column. Scanned documents will appear in the basket panel. The document name and number of pages is displayed above each document. e.g. DOCU001(1) The number in brackets is the number of pages. Note: Consult scanner user guide for paper orientation. For your convenience the Simplex/Duplex and Single Page/Multipage buttons are on the Main scanning screen. To change to duplex scanning. Press the Simplex button choose Duplex from the list. Press OK. Complete the same procedure to change the setting back to simplex or to change from Single page to Multipage. 10
12 i. User Scanner Settings Each user can change their scanner settings. Any changes will be retained for them the next time they log in. To change the scanner settings press the Menu button, then Scanner Settings in the menu pop up. Here you can change the Document format, Colour, Resolution and JPG Quality. Press the button of the setting you wish to change. A selection list will appear, choose the required setting. Press OK. When the desired changes have been completed press Save to return to the Main Screen. 11
13 c. Storing a document. Before a document can be stored, it has to be selected along with the file cabinet. A selected document will increase in size. The selected file cabinet is shown with an open drawer. Select the file cabinet. Select the document to be stored. Press Store Note: The store button will only become available, when both the file cabinet and the document have been selected. The New Record Entry screen will be displayed. Select a field to index. When a field has been selected The field entry screen appears with a preview of the document. Fill in the field information and then press Enter. Repeat the steps for all the fields. When all the fields have been completed press Store. The document is now stored in the DocuWare file cabinet and is deleted from the basket (if the delete from basket option is set) and you are returned to the Main Screen 12
14 d. DocuWare field types and properties i. Select Lists When indexing, select list that are assigned to the chosen field are visible in the field entry screen. Highlight a select list entry Press Enter Note: The highlighted entry will populate the selected field. Select List Only Fields If the field selected is a select list only field. Only entries in the select list can be used. To assist in finding entries on a large select list you can use the Find Match text box. Pressing a key will highlight the first entry on the select list that starts with the letter pressed. Selective Select Lists Selective select lists are not available in Push to DocuWare. ii. Key Word Fields Only one entry can be added to a keyword field. iii. Field Masks Currently, field masks are not available. 13
15 iv. Text Fields If a text field it selected, the keyboard is displayed. Type in the text and then press enter. The text is entered into the field. v. Date Field If a Date Field is selected, a calendar is displayed. Select the date required. vi. Numeric Field If a numeric field is selected, the keyboard is displayed. Using the Touch Key Pad, type in the entries and then press enter. Note: Only the Numeric, Back, Enter and Clear buttons are available. vii. Memo Field If a memo field is selected, the keyboard is displayed. Type in the memo and then press enter. viii Decimal Field If a decimal field is selected, the keyboard is displayed. Note: The decimal point is added automatically. 14
16 e. Deleting a Document from a Basket Select the document to be deleted. Press Delete Selected button. The document is deleted from the basket. 15
17 f. Viewing a document in the basket. Select the document to be viewed Press the Zoom Selected button. The document is displayed in the viewer. To move the document simply touch and drag. Use the buttons on the tool bar zoom or page. Page Left Page Right Centre Document Zoom In Zoom Out Rotate Close 16
18 4. Registration Clicking on Register, from the configuration menu, takes you to the registration screen. Enter Organisation Name and Licence Key Click Save. 17
