There is a copy of this book in the RLC Computer lab. Microsoft Office 2010 for Dummies by Wallace Wang contains simplified help for Access,Excel, Outlook, PowerPoint and Word and is also in the lab. A way of getting help is to go into Google ( and put in key words describing your problem and see what Google can find in the way of solutions to your problem which most probably other people have experienced before you. 4 6/9/2017 A word processor is an electronic device or computer software application, that performs the task of composing, editing, formatting, and printing of documents. Microsoft estimates that roughly half a billion people use the Microsoft Office suite, which includes Word. Word contains rudimentary desktop publishing capabilities and is the most widely used word processing program on the market. Word files are commonly used as the format for sending text documents via because almost every user with a computer can read a Word document by using the Word application, a Word viewer or a word processor that imports the Word format. From and Word costs money to buy. You can get a free word processor called Writer from openoffice.org which is very similar to Word. Press Esc key to end slide show 5 Press Esc key to end slide show 6 To get into Word, click on the Start button, in the lower left corner of the screen, the Start menu should appear. In the box with Search Programs and Files, type in Word. Windows then searches for file names containing the word Word. The Word Icon labelled Microsoft Word 2010 should appear at the top of the list. Click on the Icon and the Microsoft Word will open up. 5 6/9/2017 Type into the screen something about where you would like to be a year from now. What would you like to be doing? Where would you like to be living? Who would you like to have around you? What job would you like to have (if any)? What fun would you like in your life? Don t worry about spelling, we will clean that up later. Press Esc key to end slide show 9 Press Esc key to end slide show 10 Click on the Review tab at the top of the screen. Click on the Spelling and Grammar icon,. The spell checker pop-up will appear. It will make suggestions in the left pane and give you options on the right side. Click on the appropriate options again and again until it is complete. Then click OK. Click on the Print entry in the drop down list In the box next to Copies, click on the up-arrow to make the number of copies requested to 2. Click on the Print box. Two copies of your dream will come out of the printer. Pin one on your fridge at home and turn the other one into the instructor. Would you like to save your dream so you can work on it in the future? If so save it to your Flash Drive or Google Drive as MyDreamBc5. See to learn how to use a Flash Drives in your handout. 7 Quick Reference Card THE RIBBON, IN 3 PARTS Part of the Microsoft Office Fluent user interface, the ribbon is the rectangular region across the top of the document window. It puts the options you need in plain view. The ribbon has three basic components: Tabs. There are eight of them across the top. Each represents an activity area. Groups. Each tab has several groups that show related items together. Commands. A command can be a button, a drop-down list, or a box to enter information. MORE COMMANDS IN DIALOG BOXES The small arrow, called the Dialog Box Launcher, in the lower-right corner of a group, points to more detailed or advanced options available for the commands in the group. Click the arrow to open a dialog box or a task pane where you can work with the available options. THE QUICK ACCESS TOOLBAR The Quick Access Toolbar is the small row of icons in the upper left, above the ribbon. It contains some commands that you use over and over every day: Save, Undo, and Repeat. You can add your favorite commands to it so that they are available no matter which tab you are on. To add commands to the Quick Access Toolbar, click the More arrow to the right of the toolbar, or rightclick the command you want to add, then click Add to Quick Access Toolbar. WHAT HAPPENED TO THE FILE MENU? The File menu has been replaced in Microsoft Word 2010 with File tab. Click the tab to see the Microsoft Office Backstage view, where you get the same basic commands as before to open, save, and print your document, as well as set permissions, prepare your document to share with others, and manage your document versions. Click Options in the Backstage view, and you'll find the program settings for features such as your preferences for correcting spelling. (In earlier versions, these options are on the Tools menu, under Options.) USE THE KEYBOARD Shortcuts that start with the CTRL key (for example, CTRL+C for copy or CTRL+ALT+1 for Heading 1) remain the same as in previous versions of Word. Keyboard shortcuts that start with the ALT key have changed. 1. Press the ALT key. The KeyTips appear on the ribbon. 2. Press the key shown on the KeyTip for the tab or Quick Access Toolbar command that you want. If you press a Quick Access Toolbar command, the command is executed. If you press a tab KeyTip, you'll see the KeyTips for every command on that tab. Press the key (or keys) for the command you want. Depending on what command you choose, an action might be executed or a gallery or menu might open. In the latter case, you can choose another KeyTip.

8 Note Most of the Microsoft Office 2003 menu access keys (those that start with ALT) still work. However, there are no onscreen reminders of what keys you need to press. A NEW FILE FORMAT, AND WORKING WITH FILES IN PREVIOUS VERSIONS OF WORD The new Word 2010 document file format is based on the new Office Open XML Formats (XML is short for Extensible Markup Language). You don't have to understand XML. Just keep in mind that the new XML-based format: Helps make your documents safer by separating files that contain scripts or macros, making it easier to identify and block unwanted code or macros. Helps make your document file sizes smaller. Helps make your documents less susceptible to damage. Here s a brief description of Word 2010 file formats:.docx. A standard Word document with no macros or code.dotx. A Word template with no macros or code.docm: A Word document that could contain macros or code.dotm. A Word template that could contain macros or code In Word 2010, you can open files created in previous versions of Word. When you save a file that was originally created in a previous version, the automatic option in the Save As dialog box is to save it as the previous version (.doc). When you save a file as a previous version, if any Word 2010 features are not compatible with the previous version, the Microsoft Word Compatibility Checker tells you so, and any new features will not work. Note that that when you open a Word file created in a previous version, or when you save a file created in Word 2010 as a previous version, Compatibility Mode is automatically turned on. The Word Compatibility Checker runs automatically. You can also run it manually if you wonder whether any features in a document will be incompatible with previous versions. Click File, click Info, click Check for Issues, and then click Check Compatibility.

9 Working with a Flash drive Working with a Flash Drive 1/20/14 (Especially for those in the Recovery Learning Community) The purpose of this document is to provide a set of suggestions for the use of USB Flash Drives to make life a little bit easier for the users of Flash Drives in the RLC Computer Labs PREPARING TO WORK WITH A FILE ON YOUR FLASH DRIVE 1) For the Flash Drives handed out in class, push the slider forward to expose the USB brass contacts. 2) Put your Flash Drive in the slot on the computer tower (preferably upper slot). Make sure that it is the right way up. For the ones handed out in class, this means with the label up. Putting it in the upper slot will make it the D: Drive 3) A popup may appear, if it does click on View all files, otherwise, Click on the Start button,(windows logo button on the lower left corner of the screen), click on Computer (right side bar), and you should see your Flash Drive on the computer display. Then double click on your Flash Drive and you should see all the files and folder on it. 4) Then find the file you want to work on and double click on it to open it. SAVING A FILE ON YOUR FLASH DRIVE Sometimes you might want to create a new file and keep it. The normal way to keep a file is to save it to the My Documents folder on your computer. However in the Recovery Computer Lab environment this doesn t work because, amongst other things, the computer files are reset on a routine basis by Alcohol Drug and Mental Health Services. So to keep your file for re-use, you want to save it on your personal Flash Drive. So this section is all about how to save a file on your Flash Drive. 1) Insert your Flash Drive into the computer if it isn t already present.( See the section above titled Preparing to work with a File On your Flash Drive parts 1,2,3 above for detailed instructions.) 2) On the ribbon, Click on the File Tab, Click on Save As. This window shows where the file is going to be saved. 3) On the left side bar of the window, scroll down until the word Computer shows up. Click on Computer. 4) You should see the icon corresponding to your Flash Drive. Double click to open or Click on it to highlight it, then click on open. This means that you will be saving it to your Flash Drive. A list of files and folders on your Flash Drive should show up. 5) In the File Name box, type the name of the file that you want and then Click on Save. 1

10 Working with a Flash drive DOWNLOADING A FILE FROM AN MESSAGE 1) Open up Internet Explorer (the E icon next to the Windows logo (Start Button) on the lower left corner) 2) Go to gmail.com (type gmail.com over the blue about:blank in the address box to get to the Gmail website) 3) Sign in by entering your username and password 4) (a bar may come up at the bottom of the screen asking you Do you want Internet Explorer to remember the password for Google.com?. Click on the NO button.) 5) Click on the message in the Inbox where the file is located 6) Click on Download below the file you want to download 7) Click on Open to open the file 8) If it is a Word file, Click on Enable Editing. 9) Follow the above instructions: SAVING A FILE ON YOUR FLASH DRIVE 2

11 Working with a Flash drive FINISHING UP YOUR SESSION. Keeping your work. When you are finished with the computer and are getting off it, it is very important that you follow this procedure if you don t want to lose the changes you have made. If you pull out the Flash Drive, without ejecting it, you might lose your data. So the best way to leave the computer and your files in good order is to follow the instructions in Ejecting the Flash Drive and Resetting the Computer for the next user which follow. EJECTING THE FLASH DRIVE 1) Close down all files that use the Flash Drive 2) Go to Start, click on Computer in the column to the right 3) Right click on your Flash Drive and then click on eject 4) When you see Safe to Remove Hardware come up on the bottom right corner of your desktop, it is safe to pull out you Flash Drive. If you get any other message, close all your open files by clicking on the big red X at the top right corner of the screen and then go back to step 2 5) Remove the Flash Drive from the computer by pulling it out gently and then closing it up. RESETTING THE COMPUTER FOR THE NEXT USER. While you were using the computer, it was remembering what you did. To prevent the next user from accessing this information and to give the next user a fresh computer to work on, please log off. 1) Click the Start Button on the lower left corner of the screen. A display will come up with a Shut Down button on the lower right corner of the display 2) Click on the right pointing arrow next to the Shut Down button, then Click Restart. The computer will erase your information as it set itself up for the next user. 3) Thanks for setting up the computer for the next user. 3

12 How to use Google Drive - Class Page 1 of 3 6/9/2017 How to use Google Drive From Class Contents 1 Connect with your drive 2 Convert a file to a Google doc 3 Download a file from your G-drive onto your computer 4 Remove a file from the Google Drive 5 Upload a file from your Computer to Google Drive Connect with your drive Make sure you have a gmail account name and password. If you don't have a gmail account follow the steps in Setup_an_ _Account. Sign in to Google drive by entering Click on Go to Google Drive Enter your Google username Click Next Enter your password. Your Google Drive page should show up. Convert a file to a Google doc Connect with your Drive. Right click on the file you want to convert In the drop down list, select Open With select Google Docs and click on it. The file should open up in a Google Doc application Note that it is automatically saved on your Google Drive Download a file from your G-drive onto your computer Connect with your Drive. Connect with your drive by clicking on My Drive on the left. Right click on the file you want to download Select Download from the list of option and click on it If Internet Explorer wants to block a pop up, click on the down arrow to the right of Options for this Site and select Always Allow

13 How to use Google Drive - Class Page 2 of 3 6/9/2017 Click on the down arrow next to Save and select the Save As option. Select where you want to save it, and what name you want to call it. The default save directory will be My Downloads Click Save. Your file is now saved on your folder in your computer. If you change it remember to load it back to the Google Drive when you are finished with it. Remove a file from the Google Drive Connect with your Drive. Right click in the box to the left of the file/folder name. A pop up will appear.. Click on the Trash Can Remove entry to remove the file/folder Gone Upload a file from your Computer to Google Drive Connect with your Drive. Click on My Drive on the left side of the page to connect with your drive Click on the red New icon on the upper left part of your display. Click on File Upload Browse to where your file is on your computer and click on it Wait for the file to be uploaded. You should get a message saying Upload completed. A copy of your file is now loaded on the CLOUD, i.e. stored by a Google Drive server somewhere. Note that your file is in its orginal format. Click here for Help.
