4 Introduction Thank you for choosing JAVS NoteWise NoteWise is a software audio recording solution designed for the courts, business, education and any other gathering that requires recording of the proceeding. The simple software design allows the user to install on their desktop or laptop and can be easily adapted for any recording scenario. NoteWise uses an OEM Digital Audio Interface (USB, Firewire, Onboard) and microphones to allow you to cut costs by purchasing your own hardware or use your existing USB hardware. The application will allow you to log the proceedings automatically or manually. Automatic logging consists of using audio channel activity to trigger a generic log event whereas manual notes are custom created and entered by the user. NoteWise is a visually based interface with graphic representation of the recorded media. Audio blocks are imposed on a time referenced timeline and represent each channel being recorded. The number of channels available to you will be determined by the audio interface you have connected and the level of software you have activated. Channels can be labeled per recording and can be changed or edited during a recording. For additional configuration, users can add as many custom fields as necessary, arrange their respective order and determine whether they are text entry fields or drop down list based (with autocomplete). These fields as well as Tag fields can be used for locating recordings. Not only is NoteWise a recording solution, but will also allow you to schedule recordings, review and edit existing schedules and recordings as well as publish the recorded media for distribution. Print Reports are also available and you can customize what information is on the report. Copyright JAVS

5 Set Up Once the software is installed, you can launch the application from your desktop. (You should activate your software if you need to record for more than 5 minutes. See Appendix A) The NoteWise recording application will open. If this is the first time installing NoteWise, you will get a message on the Recording screen that indicates you must have at least one channel enabled before you can record. By clicking the Link you will be taken to the Application Settings>Audio tab. (See Application Settings>Audio Device Tab to set up your channels) 5 copyright JAVS 2013

6 Interface Overview NoteWise will allow you to make and log recordings, create schedules as well as review those recordings and schedules. There are two selections under the New heading, Recording and Schedule. Each will allow you to create recordings and schedules, complete with customized information. Channel fields will only be present on the recording selection. There are two selections under the Search heading, Recordings and Schedules. You can review and edit recordings and schedules and the details therein. The interface can also be customized in color schemes and size as well as playback audio controls. 7 Application Settings The Application Settings page will allow you to access various settings for the application. General Tab: Allows you to select your default settings for the application. General Settings Default Location Name: Allows you to set the Location Name that will be the default location on a recording. Custom Report Logo: Sets the path for your graphic or Logo to be placed on all print and PDF log reports and is displayed here for your convenience. Graphics supported by NoteWise are PNG, JPG and BMP. Prompt to start a schedule from the recording screen: When starting a schedule from the record screen, you can be prompted to stop the current recording. Backup Backup Media Path:Sets the path for a redundant recording of the media. Press the Browse button and set your back-up path. Optional Features Schedule by Specific Time: Allows you to create schedules by specific times. Enable Tags: Allows the use of Tags for searching. 7 copyright JAVS 2013

8 Audio Device Tab: Allows you to set your Audio Device and configure up to the number of channels purchased. You must have at least one channel enabled before any recording can take place. Select your Audio Device: Use the device pull down to select the audio device you will be using. Any installed USB audio device will show in this list. Detecting Microphones: NoteWise must first detect available channels on your audio processor; Press the Detect Microphones button and any channel from the device that has an audio signal will be detected as available. Set the audio levels on the device to ensure you are getting sound through the device. Once channels are detected, as you speak in to each microphone, a graphic colored bar will appear on the time line to represent the channel that was activated. Bars are created when the level of audio exceeds the thin gray line on the level meter. These colors are for your convenience and can be changed by using the color pull down for each channel. Channels can be labeled using the text field for that channel. These labels are default labels, but can be changed any time throughout the recording or playback process. Each channel can be manually enabled as well as set for Auto-Logging. Auto-Logging Enable Values set here, are default values that will appear in the Record a New Session page for each channel. 9 Custom Fields Tab: Custom fields can be created for use in your schedules or recordings. These fields can represent any general data involved in the recording as well as used to locate particular recordings. To create a custom field, click once in the text box for the New Custom Field and type in the name of the field. Once the name is typed, you must press the Plus icon to add this field. You can create as many custom fields as you need. Each field can be set to display as a drop down menu to be used when creating or editing a recording or schedule. As text is typed in to any custom field, each entry is added to a list in the database for instant access along with previous entries. Fields can be removed if they have not been used in a recording. If the field has been used in a recording, this icon will enable/disable the field. 9 copyright JAVS 2013

10 Quick Notes Tab: Allows you to create note lists for entry into the log. Quick Notes make logging easy by not having to type in the log entries. To create a Quick Notes list, click once in the New Quick Note List field. Type in the name of the list you are creating and press the Add icon. The Edit Quick Notes pane will appear and allow you to start populating your Quick Notes list. Click once in the New Quick Note field and type in your list entry. You must press the Plus icon to add this entry to the list. You can also set a shortcut key for the entry; use any Function key, or Alt, Ctrl combinations with any alpha-numeric or F key. Continue in the same fashion for all other entries. Use the Back button to return you to the previous screen. Starting a New Recording Recording in NoteWise is performed under the New heading. Clicking on Recording will present you with the New Recording screen. Included in this screen will be default fields for Name, Description and Location Name. Also included will be any custom fields you have created as well as the available audio channels with their respective labels. If Tags were enabled in Application Settings, a field for Tag entry will also be present. The Name field is a required entry for any recording. Copyright JAVS

11 Any fields selected to be drop downs in the Application Settings page will be available as drop downs for your convenience. As you create recordings or schedules with new values, each entry you make will be added to a database. You can change the default channel labels or disable a channel for this recording. (These changes will only affect this recording). You can start the recording without supplying any information by pressing the Start Recording button, an auto-generated Name based on the date and time of day will be entered. This name can be changed at a later time. The Recording screen will appear with a moving timeline based on start of recording. A recording name will be created in the database based on the Name field. All recording Detail Fields as well as Custom Fields can be changed. 11 copyright JAVS 2013

12 Recording is indicated by the Recording screen and the Record icon located on the task bar as well as the NoteWise Icon on the application will turn red. A log entry of Session Started will be made with a time stamp for the start of the recording. The window will show the Recording Name, Time and Date. The Name, Location and Description fields can be changed. The Recording screen will present you with a timeline, with labeled channels, whenever there is channel activity, a bar will be created on that channel as a marker for that conversation. The bar will grow continuously until there is a 7 second pause between activities on that channel. If Auto-Logging was set for a channel, a generic log entry with time stamp will be made each time a new bar is created. The channel label will also be used as the default for the speaker for that automatic note entry. You can change the label on any event by simply typing in a new label, or if the field is set to Drop Down List, select from the list. Each new value you type will be added to the Drop Down List. Log entries can also be made manually, provided a Custom Quick Notes list was created prior to starting the recording. Click once on a list entry and it will be placed in the log with a time stamp. These entries can be edited in the log and will only reflect the change in the current recording. Copyright JAVS

13 You can add or edit any Quick Notes List by selecting the Edit Quick Notes icon. The edit pane will open and allow you to change or add entries to any list as well as create a new list. (See Application Settings>Quick Notes Tab). Press the Pause button and the recording will pause but the session will remain loaded and ready to continue. Pressing the Record button again will resume recording on that session. You can end the session by pressing the X in the upper left hand of the screen and selecting Stop Recording. The session will end and you will return to the previous screen. You can choose to display any Quick notes list you ve created by using the Show/Hide icon for Quick Notes. You can choose to display Schedules for a specific day by using the Show/Hide icon for Schedules. You can choose to scroll the Audio blocks with playback by using the Scroll icon. Custom Fields and tags if enabled can be displayed or hidden by using the Expander Arrow. 13 copyright JAVS 2013

14 Confidence Monitor: To give the user confidence that the recording is actually taking place, NoteWise provides a Confidence Monitor. Pressing this Icon will allow you to monitor what has been recorded while still recording. The playback of the audio file will be delayed by approximately 5 seconds from real time. ON OFF Review: Allows you to review any event or time in the recording while still in record. Review can be initiated in one of two ways; Double click on any Audio Block: Click once on any event: The Review timeline will appear at the bottom of the application. Playback will begin either at the Audio Block or the Event Link. The Position Marker indicates where you are on the timeline. Controls provided are: Skip Backward 5 seconds Stop Review Skip Forward 5 seconds You can navigate the timeline by selecting any event in the event list or double clicking on any audio block in the Review timeline and the Position Marker will jump to that point and play back the audio. Zooming on the timeline is accomplished by using the scroll wheel on your mouse or keyboard keys Control +, Control. Copyright JAVS

15 Scheduling a Recording Scheduling a recording is much like starting a recording. Description and Location Name are default fields and the recording Name is a required field. Once your information is entered, you can set the date for the schedule. Press the Calendar icon and use the calendar to select the date your schedule is to occur. (Optional time of day settings is available under Advanced Settings). The Dark highlight on the date indicates Today s date whereas the blue highlight Indicates the selected date. Press the Save Schedule button and your schedule has been added to the database. 15 copyright JAVS 2013

16 Reviewing Recordings You can review NoteWise recordings by making the Recordings selection under the Search heading. A list of recordings will appear in time and date order. Included information is the description and Time and date as well. Moussing over each list entry will show you command icons and the duration of each recording. This list can be viewed in one of four ways; Recent: View the last 50 completed recordings by date and time order. Today: View only those cases for the current day. By Date: View by a specific date range. Tags: View Recordings by associated tags (If enabled in Application Settings). Search String: View by criteria in Search Field. You can print, export, delete or edit any or all recordings in the list by placing a check in the box next to it. Icons will appear above the case names. Use this check box to select all. 17 A search field is provided to help you locate a particular schedule. Type in any text you have entered in to any of NoteWise detail fields or log entries. Press the magnifying glass or simply press the Enter key and only those schedules with the search string criteria will be present in the list. Batch Editing will allow you to change details of multiple selected recordings in one screen. Place a check beside any field to be changed. An auto-fill text box will appear, select a label to change or simply type a new label. Press Save Changes and all selected recordings will change. You can Print or Export any recording individually, as well as create a New Schedule or Recording with the same information; hover your mouse over any recording and command icons will appear between the Name and Description. Clicking once on the recording name will allow you to playback the recording. The NoteWise playback screen looks almost identical to the record screen, complete with time line and notes for the recording. 17 copyright JAVS 2013

18 Clicking on any timestamp will take you to that point in the recording. You can add and edit log notes, click once on a Quick Note or type in the field. New notes are added at the current playback position You can change channel labels or even change the recording name. The Recording Name is displayed along with the date and time of the recording as well as the Location and Description. The Name, Description and Location fields can be edited. Custom fields and tags if enabled can be accessed and edited by using the expander arrow; all custom fields for the recording will be displayed. Play back controls are available for navigating the timeline. The Play command puts the timeline in to a playback mode, whereas the Skip Forward and Skip Backward commands will advance or rewind the timeline position by 5 seconds. Copyright JAVS

19 For your convenience, the Space Bar on your keyboard will start and stop playback. Each colored block represents a conversation on that channel so when the Position Marker reaches the bar you will hear audio on that channel. A clock in the upper right hand of the display indicates where the play head is in reference to the time line. Time Area Position Marker Audio Block You can double click on any Audio Block and play back will begin from the head of that block. You can double click in the Time Area or any space without an audio block and play back will begin at that point in time. You can jump from block to block by per channel by using the Next Block icon. Channels can be enabled or disabled for play back by using the mute icons for each channel. The timeline clock can be used as a go to time feature; just click in the clock field, type in the new time and press the Enter key on your keyboard, the position marker will jump to that position in time. Display icons are available for your convenience to show or hide Audio Blocks and Quick Notes as well as scroll the Log or Audio Blocks with playback. 19 copyright JAVS 2013

20 Reviewing and Editing Schedules Once a schedule is created you can view the schedules by choosing the Schedules selection under the Search Heading. The Search Scheduled Recordings page will appear with a list of schedules containing the date and time of the schedule. The schedules can be viewed in one of five ways; Upcoming: View the next 50 schedules to be completed in date and time order (Including past due). Today: View only those schedules for the current day. By Date: View only schedules based on a specific date range. Tags: View schedules by associated tags (If enabled in Application Settings). Search String: View by criteria in Search Field. Each schedule has three command icons associated with it; hover your mouse over a schedule. Record: Allows you to start recording the schedule. To record a schedule, hover your mouse over the schedule you wish to start and the command icons for that schedule will appear. Press the Record icon and the Start a Scheduled Recording screen will appear. This screen will allow editing to all recording details. Delete: Allows you to delete a schedule. To delete a schedule, hover your mouse over the schedule you wish to remove and the command icons for that schedule will appear. Press the Delete icon and the schedule will be removed. You have the option to undo this action. Edit Schedule: Allows you to edit schedule and recording details. To edit a schedule, hover your mouse over the schedule you wish to remove and the command icons for that schedule will appear. Press the Edit icon and the Edit a Scheduled Recording screen will appear. Copyright JAVS

21 A search field is provided to help you locate a particular schedule. Type in any text you have entered in to any of NoteWise detail fields or log entries. Press the magnifying glass or simply press the Enter key and only those schedules with the search string criteria will be present in the list. Note: The more detailed the search criteria, the more refined the search results will be. Note: The small red clock icon indicates that a schedule is past due. Import Schedules: Schedules can be imported to NoteWise by using a simple CSV or TXT file. Three comma separated entries can be made; Name, Date/Time, Location in that order. Press the Import Schedules button and the Import Schedules window will open. Use the browse button to locate your files then press the Import button. 21 copyright JAVS 2013

22 Printing and Exporting NoteWise allows printing and exporting of the event log as well as exporting media to a file location. The Print command and export command can be found in several places in the interface and can apply to one or more recordings. Printing Print: Allows you to print to hard copy a log report or a summary report and can include any custom fields you have created. Export: Allows you to export the recorded media to a file location for archiving or viewing. A log report can also be generated in PDF format. Pressing the Print icon from anywhere in the application will open the print options window. Include Custom Fields: Check this option if you want to include all of your custom fields on the report. Page Break: Allows you to print one recording per page. Normal printing will page break for date and location. Only applies to Log Reports. NoteWise offers two types of reports; Log Report: Prints the log and related notes. Custom fields can be included. Copyright JAVS

23 Summary Report: Prints a list of recordings with custom fields. NoteWise provides you a preview window to review your document before committing to hard copy. Exporting Pressing the Export Icon anywhere in the application will open the Export Recordings screen. The JAVS default path can be changed by pressing the Select Path button. Select a new path or use the default. You can include a PDF of the log if you so choose by checking Include PDF Report. 23 copyright JAVS 2013

24 Tags Find (1) NoteWise provides the user with an optional organizational tool called Tags. This feature is enabled in the Application Settings>General Tab. Once enabled, the Tag field will be available to you anywhere the Name and Description fields are available. Any data can be entered into a Tag Field and will be recorded in the database for organizing and searching. Once tags have been applied to recordings, you can use Tags as a searchable item under the Search Heading. When By Tags is selected, any tags used will be present and display how many times it has been used. Select any tag and any recording that has that tag applied will appear in the results list. Filter modes are provided to help you refine your search; Show items with any of the selected tags. The results list will contain any recording that has any of the selected tags applied. Tags can also be found by using the alphabetical header to select the letter the tag starts with. Any tag starting with that letter will appear and allow you select it. Copyright JAVS

25 Appendix A Activation JAVS NoteWise software requires that you activate the software before recording for more than 5 minutes. Press the Activate Software button to access activation. Activation requires that NoteWise be started as Administrator; press the Restart as Administrator button to continue. Once restarted, NoteWise will continue with activation. 25 copyright JAVS 2013

26 JAVS NoteWise provides 3 levels of channel capability. Before continuing with activation, please select the channel requirements you need under the product pull down. There are 2 ways to activate the software; Online Activation and Offline Activation. Online Activation Select Online Activation and enter the License Key provided with the software. 27 If the number you typed in is correct, the Activate Software button will become active. Press this button and a progress bar will show the Activation status. When finished, your software has now been activated. Offline Activation Select Offline Activation and enter the License Key provided with the software. Observe case sensitivity. Contact the JAVS help desk with the number provided, and both the License Key and the Hardware ID to the Help Desk technician. The JAVS Help Desk will then provide you with the appropriate Activation Code. Type this number in the Activation Key field. All numbers are case sensitive. If the number you typed in is correct, the Activate Software button will become active. Press this button and a progress bar will show the Activation status.
