1 Yardi Voyager Plug-in 7 New Items Spring 2017 This is an overview of new features and functions that have been fixed in the version of the Voyager that is being implemented in the Spring of Click on the arrow ( > ) next to each section to expand out the contents. <--- To print out a copy of this guide, click on the Download Article PDF in the left menu. General Interface Password Reset Link There is a Link on the Login screen that will send an that allows the password to be reset. New Quick Menus The previous Quick Menu has been separated by function into several different menu screens to allow for more functions to be available across all of the roles. Since the Quick Menus can be accessed from any role, this will decrease the need to switch between different roles. Page 1

2 Main Quick Menu The Main Quick menu contains the review screens for the most commonly used items and many of the most common reports. Quarterly Budgets Menu This Quick Menu is used for the weekly Managers Meeting reports, Quarterly Reports package reports, and reports for Budgeting. Page 2

3 Construction & Maintenance Quick Menu The Construction and Maintenance menu contains the most common functions, reports and Dashboards for these components. Training & Reference The Training and Reference Menu is being developed as a place to find resources, reports for testing and to submit support requests. It is currently under development and additional items will be added based upon demand. Page 3

4 Commercial Operations Commercial Dashboard The Lease information on the Commercial dashboard will load automatically upon opening the screen. It isn't necessary to press the Go button unless the Property, Property List or Date Range is changed. Manager specific Property Lists can be used in the Property field to see the information combined for the properties that they are responsible for. Unfortunately, the lists currently can not be saved as the default, so it will need to be entered and the Go button clicked each time you log in. Page 4

5 Lease Ledger Opens at the Top of the Screen When opening a Lease Ledger, the system will display the top for easier access to the Print and Excel buttons. To go the bottom of the ledger to see the balance, press the <CTRL>+<End> keys. Costs/Inducements can be added to Amendments Costs and Inducements can be added to Amendments, not just the Lease level. Page 5

6 Charge on Hold column on Lease Ledger There is now a column on the Lease Ledger that displays if a charge is on hold. Multi-select Attributes on Report Filters The issue that only allowed a single attribute to be selected on report filters has been fixed, so now it is possible to use the attributes to select properties that are in multiple corporate groups and multiple operating statuses. 7 Clear button on Commercial Analytics There is now a Clear button on all of the Commercial Analytics filter screens to reset all of the filter selections. Indexation Increase Charge Code It is possible to track the amount of the CPI increase separately from the rent and have it displayed on the tenant ledger as a single amount. Page 7

8 Commercial Billing Report displays all units The Commercial Billing report will display all of the units next to the Tenant name, instead of just the first one on the lease as in the previous version. Page 8

9 Specify Due Date of Charges created on Charge Schedule It is possible to enter the number of days after a charge has been posted that the Charge is due. The system will modify the charge date to the original date plus the value in the Days Due field. Area Remeasure When accessing the Area Remeasurement screen from the Unit, Building, or Floor, the units displayed will be pre-filtered to only display units pertaining to that Unit, Building or Floor. 11 Amendment Abstract Open in Full Screen When selecting the Clicking on the Report button on the Amendment screen, the resulting Abstract will appear in a full window. Core Accounting Description changed on all Transactions from Company to Funding Entity Page 11

12 Simplified Display Types The Display Types on Receipts, Charges, Payables and Journal Entries have been simplified to make data entry more effiecient. If an error is displayed the first time opening a Receipt screen, just select on of the correct types and save it off. Detailed instructions can be found here. Vendor look up fields will now search through both the vendor name and address The AJAX lookup function now returns correct and complete results when searching for vendors. If the keyword used appears in one vendor's name and another vendor's address, both vendors are displayed. Receipt Tab Order The tab order between the fields on the Receipt screen now is now more intuitive. Page 12

13 Prepay Bug Fix Prepay bug has been resolved so that Property Accountants and AA's will be able to reverse receipts again. However, a receipt with a negative prepay cannot be reversed. This is by design. Reverse Receipt Warning Message for Receipt with Prepays The system now gives a warning message before reversing, NSF processing, or re-applying receipts with nested prepays. The message contains the control numbers of the transactions that will be affected. Creating a Charge from the Receipt Screen The function of creating a new charge from the receipt screen is now called Charge Invoice from Receipt instead of Adhoc charge. To prevent inadvertent postings, there is also a new warning message before posting - just click on the Save button (or <ALT>+<S> keys) to continue. Once the Charge is saved, the receipt screen that opens has a bug where the Save button is missing, so it will have to be canceled and then a new receipt created. Page 13

14 Journal Entry More Rows Button Clicking on the More Rows button on a Journal Entry screen will reset the timeout counters. Page 14

15 Construction Hold Payments at the Job Level The is now the ability to hold all payments at the job level by selecting the Hold Payments box on the Other Info tab. Cannot Change Job Type After Transactions Have Been Posted Once Transactions have been posted to a job, the Type cannot be changed. Page 15

16 Recalc Invoiced Function Moved to Functions Menu on Contract The Recalc Invoice function is now on the Functions menu of the Contract Info Screen. Secondary Vendor Moved to Functions Menu on Contract The Secondary Vendor function has moved from the side menu to the Functions Menu on the Contract Info screen. Release Retention Options When releasing Retention, there is the ability to pay with a Payable or Invoice Register. It will default to the last method used when opening the screen. Page 16

17 Load Contract Button Filter Screen When using the recommended Load Contract button on a Payable Invoice, a filter selection screen is shown to help with identifying the correct payment amount. Maintenance Work Order Counts Dashboard There is a new Work Order Counts Dashboard that sorts and displays work orders in several different ways and can be used to drill down to the individual work orders. More detail information can be found here Page 17

18 Work Order Dashboard Filters On the Work Order Dashboard, selection criteria can be saved as a Filter for future use. Once the Filter has been saved it can be used again to retrieve a specific group of Work Orders. More detailed instructions can be found here Page 18

19 QR codes for Mobile App settings QR codes can be created and used to simplify the the configuration of the the Mobile Maintenance App on mobile devices. This will load the server, database and PayScan HTML5 Image Viewer Images that are attached to Invoice Registers (and subsequent Payables) are now in HTML5, which means that they can be viewed in any browser (not just Internet Explorer) and on any device. Page 19

20 New Import Invoices Screen There have been several changes to the Import Invoices Screen : It is no longer possible to scan directly into the Import Invoices screen. Invoice images must either be imported from pre-separated invoice image files, or 'virtual' separator pages must be inserted manually between the invoice images. Here are the instructions on using the Barcode scanning to folders. AJAX information look up is now available on the Batch Defaults data fields on the screen prior to the importing of PDF images. Page 20

21 Other Changes or Improvements to Import Invoice screen: 1. The ability to use the Up and Down keys on the keyboard to move between pages of the batch. 2. More efficient insertion of Separator pages. 3. The ability to delete, turn a page into a separator page, and more efficiently move pages around. 4. Improved ability to set the batch defaults for Property and Expense prior to importing PDF pages. 5. The ability to control the method that the images will be imported. Page 21

22 Images attached to Payables can now be viewed in PAYScan Any Images that have been attached to a Payable after it has been converted from and Invoice Register will also be visible in PAYScan. Modify Images to Invoice Register It is now possible to append (and delete) images in an Invoice Register that has already been saved using the Update IR Image function. 23 ABF Clicking on the "-" button in the upper right of a Multi-Select Analytic will cause the filter section to collapse on the screen to display more of the report. Page 23
