1 Scheduling Tool Overview This scheduling tool provides a GUI for users to schedule multiple remote recordings using an XML or CSV file containing recording information. The user can also use this program to Bulk Delete multiple recordings at once by selecting and deleting recordings from search results obtained by searching after filling in provided fields with appropriate information. Prerequisites Download Scheduling Tool: Click Here Panopto Administrator or Videographer account (Can't use an account via SSO) or Panopto Creator account with access to schedule recordings 1. Installation 1.1. This tool does not require any installation Extract the downloaded file to the local drive. Generally copied at C:\SchedulingTool-master. 2. Configure ScheduleUploader.Services 2.1. Open the folder from C:\SchedulingTool-master\PanoptoScheduleUploader.Services Open app.config in a text editor ( Notepad++ is recommended) Locate <client> tag at the end of the file Replace the four address attributes inside the endpoint tag with your Panopto server address such as (See Figure 1). Figure 1

Go to C:\SchedulingTool-master\PanoptoScheduleUploader.UI\bin\Debug folder Open Panopto Schedule Uploader.exe.config in the text editor Locate <client> tag at the end of the file Replace address attribute inside the endpoint tag to your server address We have added the service address in two different files. We are now ready to start using the scheduling tool. 4. WebUI. Now Open Panopto Schedule from the 4.1 Uploader.exe location (C:\SchedulingTool-master\PanoptoScheduleUploader.UI\bin\Debug) (Fig. 3).

3 Figure The user interface has two main tabs along with username and password information. 5. Scheduler (For Uploading a Schedule) 5.1. To upload a remote recorder schedule, Open an XML or CSV file containing remote recording to be scheduled by pressing Open Browse and locate the file Press submit.. : This checkbox removes all existing recordings in conflict with 5.4 Overwrite Existing Recordings recordings (Fig. 4).

4 Figure 4 6. Verify a success Schedule upload 6.1. Go to your server URL such as MYSERVER.hosted.panopto.com as an administrator Click on System Click on Remote Recorders Select the Remote Recorder from the web interface (Fig. 5). Figure Click Schedule (Fig. 6).

5 Figure As you can see the schedule has been successfully uploaded. 7. Sample files for uploading 7.1. A sample XML and CSV file have been included in the zip file in the top level Scheduling Tool Master folder. These files can be modified to reflect custom changes. 8. CSV Columns 8.1. CSV files should not contain headers. The fields to include are Session Name, Remote Recorder Name, Recording Date, Recording Start Time, Recording End Time, Presenter (optional), Folder Name (Fig. 7). Figure If you do not include the folder name, all sessions will upload to whichever folder is the default. Out of the box, we use #Test as the default folder. To change this, go to C:\SchedulingTool-master\SchedulingTool-master\PanoptoScheduleUploader.UI\bin\Debug 8.3. Open Panopto Schedule Uploader.exe.config in your text editor Look for: <appsettings> <add key="defaultfoldername" value="#test" />

6 8.6. Change the value for defaultfoldername from "#Test" to whichever folder you want from your system, and that will change the default upload folder. 9. Sample XML syntax 9.1. Below is the general syntax of XML along with tag information. Here is a sample XML file syntax: <?xml version="1.0" encoding="utf-8"?> <RecorderScheduleImport xmlns:xsi=" xmlns:xsd=" <RecorderSchedules> <RecorderSchedule> <Class>Computing</Class> <Classroom>EMEA Support</Classroom> <RecordingDate>10/04/2015</RecordingDate> <RecordingStartTime>10:30 AM</RecordingStartTime> <RecordingEndTime>12:00 PM</RecordingEndTime> <CourseTitle>Year 2014</CourseTitle> </RecorderSchedule> </RecorderSchedules> </RecorderScheduleImport> 10. Important information If <CourseTitle> tag is not used, all recordings will be automatically saved to #Test folder. Note: You might receive an error if #Test folder was not available in your folder list Please follow the steps below to change the default folder if you want the sessions to be recorded to a folder of your choice: 10.2.a. Go to C:\SchedulingTool-master\SchedulingTool-master\PanoptoScheduleUploader.UI\bin\Debug 10.2.b. Open Panopto Schedule Uploader.exe.config in your text editor c. Look for: <appsettings> <add key="defaultfoldername" value= "#Test" /> <add key="datetimeformat" value="dd-mmm-yyyy hh:mm tt" /> <add key="clientsettingsprovider.serviceuri" value="" /> </appsettings>

7 Change the value for defaultfoldername from "#Test" to whichever folder you want from your system, and that will change the default upload folder. 11. XML & WebUI mapping Below screenshot shows how XML tags are mapped with WebUI (Fig. 8). Figure Bulk Delete This option can be used to identify and remove old content with certain criteria such as Date range, Number of views, Minutes viewed and Unique visitors To select and delete the sessions which have not been viewed during a date range: Select the date range by selecting the appropriate dates. The date parameters are the dates that the session was uploaded to VCMS, not the date recorded or the date last viewed (Fig. 9).

8 Figure The search criteria represent the upper limit. If Number of Views is 5, the search returns all sessions with a maximum of five and fewer views. The same logic applies to Minutes Viewed and Unique Visitors The sessions can be selected by ticking individual check boxes or select all by choosing The name check box Press Delete Selected button to permanently remove the selected sessions. Note for Administrators: Please be extra careful before deleting any content. Panopto will not be responsible for any data loss as a result of unauthorized use of this tool. 13.
