3 MT2PenCAT Installation Release tes 1 Introduction This document provides a guide to the installation of the MT2PenCAT application to your existing Medtech32 system and also the changes performed on the latest MT2PenCAT application. The MT2PenCAT application will provide the ability to extract data from your Medtech32 system to Pen Computer Systems Clinical Audit Tool (CAT). The version of XML definition supported by Medtech is 1_12 of Pen Computer Systems Clinical Audit Tool (CAT). The steps listed below provide an overview of the key process requirements to set up the MT2PenCAT data extraction interface successfully. 1. Install the MT2PenCAT interface software. This will provide a Mapping Utility for the user to map the existing Screening Terms within the MT32 database, to the corresponding PenCat item. 2. Complete the Mapping of the Medtech32 Screening Terms to the Pen Computer Systems Clinical Audit Tool (CAT). 1.1 Clinical Audit Tool (CAT) Software The Clinical Audit Tool (CAT) application must be already installed on your Medtech32 Server. If the application is not installed, please contact the Pen Computer Systems representative to arrange for this to happen. 4 2 MT2PenCAT Installation Prerequisites MT2PenCAT Installation Release tes Please review the following prerequisites and ensure they are met prior to running the installation: Your version of Medtech32 you are running must be MT32 Version Build 4620 or higher Ensure that the last Medtech32 Database that you have logged in to is the one that you wish to run the MT2PENCAT application, as the MT2PenCAT extraction tool is configured to work on the last database that you have logged in to Ensure that the Pen Computer Systems Clinical Audit Tool (PenCAT) application is installed on the Medtech32 Server where MT32 is installed, and from where you intend to run PenCAT te: If the CAT application has not been installed already, please contact the PenCAT representative to arrange for this to happen. Ensure the person(s) who will be performing the installation has READ THROUGH these release notes Ensure you are ALWAYS logged onto Windows with ADMINISTRATIVE RIGHTS when performing ANY installation, update or maintenance tasks Ensure that you have reviewed Appendix A of this document PenCAT Code requirements and that those required Screening Term codes exist within your Medtech32 database IMPORTANT NOTE: Before you start the MT2PenCAT installation please check that the PenCAT Item Codes Refer Appendix A - exists in your Medtech32 system. If the codes DO NOT EXIST in your Medtech32 system then you may need to add them in, to be able to Map it correctly in the mapping process. te: Each Medtech32 Code can only be used once in the Mapping Process. 5 MT2PenCAT Installation Release tes 3 MT2PenCAT Extraction Utility Execution Prerequisites The procedure to run MT2PenCAT extraction is described in Section: PenCAT Report Extractions. Please note that the time taken to complete the extraction varies depending on the size of the database, number of patients and the capacity of the infrastructure. You must follow the instructions below before starting the PenCAT Extraction: Ensure all MT32 users on other client computers are logged off Ensure that Interbase backup and server backup are not running Ensure that the MT32 services are not running Ensure that Interbase is running and the server is not shut down Ensure that Interbase database files are not being copied or moved IMPORTANT NOTE WARNING: It is HIGHLY recommended to employ ONLY QUALIFIED system engineers when performing ANY installation and upgrade. The consequences of ruining a database during upgrade could possibly lead to data corruptions and, as a result, data loss and systems downtime. If in doubt, please consult with your QUALIFIED IT technician/service provider, or contact one of the Medtech Channel Partners listed on our web site: RE: PROTECTING MT32 FILES WARNING: DO NOT DELETE, MODIFY, RENAME OR MOVE THE FILES THAT ARE IN THE MT32 BIN OR DATA FOLDERS. 6 MT2PenCAT Installation Release tes 4. Pen Computer Systems - Clinical Audit Tool (PenCAT) The PenCAT application must be installed on to the MT32 Server machine. For any assistance required for this installation, please contact the PenCAT Computer Systems Support Desk. Their contact details can be found on Page 3 of this document. 1. Download the application from the PEN Computer Systems website Once the installation has been completed, a new PCS Clinical Audit Tool icon will be created on the Desktop of the MT32 Server. 2. Double click on the Icon to open the application. The Login screen will open. 3. Enter your Login ID and Password, and then click on the OK button to continue. te: If the screen shown above appears, click the OK button to close the screen as the configuration will be done after the Medtech32 MT2PenCAT installation has been done. 4. 7 MT2PenCAT Installation Release tes 5 Medtech32 - MT2PenCAT Installation The MT2PENCAT application is installed via the Medtech32 V9.3.0 Build 4620 Release DVD, and is accessed from the Advanced Options checkbox of the DVD Installation screen. 1. Insert the Medtech32 Version DVD into the DVD/BD drive on the Medtech32 Server. 2. After a few seconds the Medtech32 installation screen will be displayed. If the screen shown above does not appear automatically, then perform the following steps manually: Open My Computer or Windows Explorer Double click on the DVD/BD drive 3. Select the Advanced Options checkbox, and then highlight and click on the PENCAT Extract option. Copyright Medtech Healthcare Pty Ltd Page 7

8 MT2PenCAT Installation Release tes The Medtech32 PenCAT Extractor Tool will initialise the installation process and display the screen below. Please ensure that you read the prerequisites listed on the screen below and that they are met before you click on the Next button to continue. If the prerequisites have not been met, then click on the Cancel button to exit the installation process. 4. The Select Installation Folder screen will be displayed, with the default location of X:\MT32 (where X is the drive location of where your MT32 is installed) Click on the Next button to continue. 9 MT2PenCAT Installation Release tes IMPORTANT NOTE: If Medtech32 is installed on a different path, then click on the Browse button to manually select the correct Installation Folder where Medtech32 is installed, and then select the Bin folder to install in to. Click on the Next button to begin the installation. 5. The Medtech32 PenCAT Extractor files will be quickly copied to your Medtech32 Server, and the screen below will appear after the installation has been completed. 6. Click on the Finish button to exit the Medtech32 PenCAT Extractor screen. You will be returned to the Medtech32 Advanced Options window. 7. Click on the Close button to close the DVD screen. 10 MT2PenCAT Installation Release tes 6 MT2PENCAT Utility Once the Medtech32 MT2PENCAT utility has been successfully installed, it is necessary to configure the data mapping to the Pen Computer Systems Clinical Audit Tool within your Medtech32 system. 1. Log in to Medtech32 and select your usual database. 2. A new menu option has been added to your main Medtech menu bar. Click on the Utilities > PenCAT menu to access the new utility. 3. Click on the MT2PENCAT option. Select the respective database to extract from using the drop down list and then click on the Start button. Copyright Medtech Healthcare Pty Ltd Page 10

The Mapping screen will be displayed MT2PenCAT Installation Release tes te: Once the MT2PENCAT application is running, you will also see the Medtech32 MT2PenCAT extractor icon on your system tray at the bottom of your screen. If you minimise the MT2PENCAT screen, you can click on the icon on the tray to restore it to full screen. 6.1 MT2PENCAT Mapping Screen Explanations of the Mapping Screen are covered below. 1. MT32 Database: This displays the Medtech32 database that you are logged in to, and for which the mapping is being done from. This is to accommodate those practices with multiple databases. te: ensure that the database displayed here is the correct one to use. If not, then please refer to the section titled Multiple Databases. 2. Measurements, Immunisations, Smoking/Alcohol Tabs: Mapping values are required to be input by the Practice staff responsible for the Clinical extractions. HINT: You are able to move on to the next stage if you have completed the full Mapping process to your satisfaction. Those fields that have not been mapped will display in the PenCat Report, but with empty values. Copyright Medtech Healthcare Pty Ltd Page 12

13 MT2PenCAT Installation Release tes 6.2 MT2PENCAT Mapping Process The Mapping utility process will do an initial review of your Medtech32 database and then present the results in a Table format for you to work with. The PenCAT Measurements in Step 1 of the Table are displayed as per the sample screenshot below. In Step 2 of the Table this is a direct view of your Screening Terms in your database their Codes and Descriptions. These are the codes that need to be mapped. The final Step 3 of the Table will display any measurement values for the relevant Screening Term selected in Step 2 of the Table. Based on the first entry in Step 1 of the Table, select the corresponding Screening Terms in Step 2 of the Medtech32 Screening Terms and their relevant Measurements in Step 3 of the Table for you to map together, so that your existing Medtech32 Screening Terms correspond to the Pencat Item descriptions shown in the first column. Please ensure that you have reviewed the list of PenCAT s required Screening Terms. If they are missing from your Medtech32 system, then please add them in to your Screening Terms if applicable to your Practice.. Copyright Medtech Healthcare Pty Ltd Page 13

14 MT2PenCAT Installation Release tes WARNING: Each Medtech32 Code Value Can Only Be Mapped Once. Ensure that you have also reviewed and mapped the screening terms in all of the three Tabs Measurements, Immunisation and Smoking/Alcohol tabs. te: It is expected that the first time that this process is run, that there will possibly be several measurements that will require remapping. This process may take some time to do and needs to be attended to by a Clinical staff member to ensure that they are correct for your database. Complete Mapping Screen 1. Click on the Save button to save your current mapping selections if you have completed the Mapping, or wish to return to this screen at a later time to complete the full Mapping process. Once the Save button has been selected, the Save process screen will be initiated. The status of the process will also be displayed onscreen refer to screenshot sample on the following page. Click on the Exit button to close this screen OR Click on the Extraction button to access the MT2PENCAT Extraction screen. te: To run the PENCAT Extraction option at a later stage, go to the Utilities PenCAT MT2PENCAT Extractions menu. From the MT2PENCAT screen, selecting the Extraction button will display the prerequisites required to be confirmed before the extraction process can be processed. 2. Ensure that all the prerequisites have been met, and then click on the I confirm that the prerequisites have been met checkbox. 3. Click on the Next button to continue. 18 MT2PenCAT Installation Release tes The MT2PENCAT Extraction screen will display the following information. Medtech32 Database name that you are using The Location ID of your database (for those Practices with multiple locations). The Extraction directory path of where the finished extraction file will be saved. 4. After confirming the details shown in the screen above are correct, click on the Extract Data button to extract the data and make it available to the Pen Computers Systems Clinical Audit Tool application. te: The length of time that the process will take to complete is dependent on the size of your Medtech32 database. However, for medium to large Practices, you should factor in at least some hours for the process to complete. Once completed, the details of the Start and End times will be displayed at the bottom status screen. Copyright Medtech Healthcare Pty Ltd Page 18

20 MT2PenCAT Installation Release tes 7 Clinical Audit Tool (PenCAT) Configuration As detailed on Page 6 of this document, the new PenCAT icon will have been installed on to the Medtech32 Server machine by PEN Computer Systems. 1. Double click on the Icon to open the PenCAT application. The following screen will open. 2. Enter your Login and Password details. 3. Click on the OK button to continue. The Main Clinical Audit Tool screen will appear. 4. Click on the Edit menu option. Copyright Medtech Healthcare Pty Ltd Page 20

21 MT2PenCAT Installation Release tes 5. From within the Edit menu, select the Preferences option as shown below. 6. Within the Preferences screen are two Tabs that need to be configured. These are: Clinical Audit Tab MedTech32 Tab 7. From the Clinical Audit Tab: a. Select Medtech32 from the list presented in the drop down arrow. i. Enter in your Practice ID ii. Enter in your Practice Name te: You are able to change the Directory settings if required, by clicking on the ellipsis buttons to select another directory, otherwise accept the default settings. 22 MT2PenCAT Installation Release tes 8. From the Medtech32 Tab: a. Next, click on the Medtech32 Tab to set the next parameters. b. Database Configuration: Select Live Data or Sample Data c. Local Medtech32 PenCAT Extractor Directory te: The Path must refer to where the MT2PenCAT application is installed (i.e. by default it is in the C:\MT32\Bin\Addins\MT2PENCAT folder). If the application was installed in a different location, use the ellipsis button to locate the MT2PENCAT.exe path. 9. Click on the OK button to complete the configuration, and then Exit out of the application. Their contact details appear on Page 3 of this document. 8 Technical Enhancement 8.1 Change of Date of Birth Parameter In the earlier versions of the MT2PenCAT Extraction Utility, if a patient within the Medtech32 database did not have a Date of Birth recorded in their Patient Register screen, then the utility was transmitting the Age Parameter as </age> in the extracted Data.xml file. A change in the parameter for the above scenario has been modified to accommodate the missing information and the MT2PenCAT Extraction Utility will now transmit the age parameter as a <age>999</age> value.
