3 Introduction The following items have been released as Rx Medical Version 6.6 Build 82. The Release Notes for Rx Medical Version 6.6 Build 82 provides the documentation for all changes made to the RxSQL Version of Rx Medical, including enhancements, screen changes, behaviour changes and fixes since Version 6.5 Build 75. In this release, Medtech mainly focuses on the Rx - MT32 Clinical related fixes. IMPORTANT NOTE This upgrade is applicable to the Rx Medical General, Audiology and Osteology Editions only. It IS NOT applicable to the DENTAL or ALLIEDHEALTH editions of Rx Medical. IMPORTANT NOTE WARNING: It is HIGHLY recommended to employ ONLY qualified system engineers when performing ANY installation and upgrade. An incorrect upgrade could possibly lead to database corruptions, and as a result data loss and systems downtime. 4 Pre-requisites Prior to upgrading to Rx Medical Version 6.6 Build 82, it is CRITICAL to ensure the person(s) who will be performing the upgrade have READ THROUGH the System Requirements and the Upgrade Instructions in this document. Both documents can be downloaded from our website: IMPORTANT NOTE It is also IMPORTANT to ensure all Rx Medical users have READ THROUGH the Release Notes to learn about the enhancements, screen changes and behaviour changes and fixes prior to upgrading to Rx Medical Version 6.6 Build 82. Please review the following pre-requisites and ensure they are met prior to running the Update: Ensure the minimum version and build requirements are met. You MUST BE on either Rx Medical Version or Rx Medical Version in order to install this Update. If your version of Rx Medical is NOT on this version, the warning message below will be displayed. The warning message below will be displayed for Rx Medical Version 6.6 Build 80 users, when directly upgrade to Rx Medical Version 6.6 Build 82. User Account Control (UAC) MUST be DISABLED as a policy across ALL Server and Client computers that are running on Windows Vista or Windows 7 or Windows 2008 or Windows 2008 R2. To avoid unnecessary problems during installation, upgrade, or maintenance, it is perferable that you ALWAYS log onto Windows in Console Mode i.e. not through Remote Desktop Connection, Terminal Services, or Citrix. 6 Ensure that a SUCCESSFUL Database Maintenance has been performed on ALL databases. Ensure you have a COMPLETE backup of the RxSQL directory, including any Templates directory that is shared across the network, and ALL database files and transaction logs (i.e. *.MDF and *.LDF files). Ensure ALL users (including remote users) have LOGGED OUT of Rx Medical and ALL scheduled utilities, backup or maintenance tasks that require access to the databases have been STOPPED. Your system must have.net Framework 3.5 SP1 installed To check the.net Framework version that you have on your Server. o Open the Control Panel; select the Add/Remove Programs option. This will display the current version of the.net Framework on your Server. If need be, use the link below to download the minimum version.net You must confirm with your IT Systems Provider, that the PORT is enabled as communications with NeHTA will not be possible if this PORT is not enabled. ALL Users have LOGGED OUT of Rx Medical. This includes all remote users as well. ALL Services that reference the Rx Medical database have been STOPPED e.g. Medtech Data Transfer Service (for RxSQL Clinical Link), PCEHR associated Services ALL Applications that reference the Rx Medical database have been STOPPED. e.g, CDA Bridge, NeHTA services etc ALL Scheduled Tasks have been STOPPED e.g. Scheduled Backups, File copies etc ALL Backup/Maintenance Tasks have been STOPPED e.g. Database File Backup, etc. Note: For Rx Medical Practices who only access the HI Server for IHI, HIP-I and HIP-O there is no change to your CDA Bridge application. For Rx Medical to MT32 Clinical Link practices, a new CDA Bridge (July 2013) will be part of the update for MT32. Copyright Medtech Healthcare Pty Ltd Page 6

7 Pre-requisites for Rx - MT32 Clinical Link 1. Ensure that the MT32 application has been installed on the workstation with a minimum Version of so as to be compliant with the NeHTA requirements. 2. Confirm that the following parameter has been included in the MT32.INI Configuration file (\MT32\Bin\MT32.INI): HASDDE=Y If the entry is not in the MT32.ini file, then please add the following lines to the file and then Save and Exit the file. 8 Server Upgrade Instruction VERY IMPORTANT NOTE WARNING: DO NOT attempt to login to Rx Medical from ANY client computers until the Database Upgrade section has been successfully completed on the Rx Medical Server Machine. The following procedures need to be run once per server, if your practice has multiple servers. 1. Please visit our website at 2. Select Region: Australia from the Region dropdown list on the top right corner of the screen. 3. The Australia Home Page will be displayed. 4. Select from the Menu, Medtech Online RX Practice Management Downloads. The Australia RX Practice Management Downloads page will be displayed. Copyright Medtech Healthcare Pty Ltd Page 8

16 Enhancements Patients Contact Numbers in Appointment Book In earlier versions of Rx Medical, the Phone column (found in the Patient Phone option of the Display Columns) was the only available column to display the entire patient s contact numbers (Home Phone, Work Phone and Mobile Phone) in the Appointment Book. NOTE Click Configure Visible Columns Display Columns section on the left. Then tick the checkbox Patient Phone to display the Phone column in the Appointment Book. In Rx Medical V6.6 Build 82, the Phone column in the Appointment Book and Patient Phone option in the Display Columns section has been replaced with the following three new columns/options: Home Phone Patient s Home Phone number will be displayed as specified in the Patient Register window Work Phone Patient s Work Phone number will be displayed as specified in the Patient Register window Mobile Phone Patient s Mobile Phone number will be displayed as specified in the Patient Register window Copyright Medtech Healthcare Pty Ltd Page 16

18 2. Select the Request Type (Diagnostic Imaging or Pathology) from the dropdown list. 3. By default the active patient will be displayed in the Patient Field. 4. Select the Provider to request from the Requested To dropdown list. 5. Select the Requester from the Find Doctor window by clicking on the Find button. 6. By default the Date of Request will be displayed with today s date. This date field can be altered to select a new date if required. 7. Enter the period of the request in months. 8. Click on the OK button to save and close the Request window. 9. Re-open the Request window to refresh the window and vie the new request period. Copyright Medtech Healthcare Pty Ltd Page 18

19 The request period will also be displayed in all the following Report types while printing the Invoice report from the Accounts screen for the Service Type Specialist / Pathology : Standard Tax Invoice Combined Custom For further information on how to print the Invoice reports from the Accounts screen and to view the request period in reports, please refer to Invoice Report for Pathology Service section in this release note. 21 3. Enter the text to be sent as a Reminder in the Content field. Right Click on this page to access and insert the Merge fields as your SMS Text Content, as required. 4. Once you have completed creating the template, click on the Add button to save the Template. 5. Click on the Close button to exit out of the SMS Templates window. 22 Configure the New SMS Template for Theatre List 1. Go to Utilities Practitioners Appointment tab, click on the Theatre List Reminders checkbox option in the SMS section. 2. Select the new template from the Practitioner Theatre List Reminder Template dropdown list as shown below: 3. Click on the Apply button, and then on the OK button to save the changes. Theatre List Reminder Once the Templates have been set up, it is now possible to send an SMS Reminder to Patient(s) directly from the Theatre List once a Patient s Operation has been scheduled. 1. Go to Utilities Theatre List to bring up the Theatre screen. Select a Practitioner and the Hospital on the Left pane of the Theatre screen. 2. Select an appropriate Date to schedule the Operation for the Patient. 3. Right-click on the right pane and select Add Operation New. Copyright Medtech Healthcare Pty Ltd Page 22

23 4. The Setup Theatre List screen will be displayed. 5. Click the Ellipsis Name field and search and select the Patient from the Find Patient screen. Other details like Birth date, Gender, Contact Number and HUMRN will be populated from the Patient Register screen. 6. By default the date selected in the Theatre screen will be displayed in the Session Date field. Enter the Start Time and the approximate End Time for the Operation. 7. The selected Practitioner and Hospital name will be displayed in the Surgeon and Hospital field respectively. 8. Select an Anaesthetist and Assistant from the Find Doctor screen by clicking the Copyright Medtech Healthcare Pty Ltd Page 23

24 9. Select a Description from the Medical Item Lookup screen by clicking on the Ellipsis 10. Enter the Admission Time; by default the date selected in the Theatre screen will be displayed in the date field (which is also editable). 11. Enter the Duration of the operation, Anaesthesia Type, Insurance and Additional Information (if these are required). 12. By default the Reminder SMS 1 & Reminder SMS 2 checkbox options will be selected. Note: you may accept the default settings or un-tick the second SMS 2 Reminder. Click on the Ellipsis message content that will be sent to the patient via SMS. A sample of the message content is shown on the following page. Copyright Medtech Healthcare Pty Ltd Page 24

27 Release Selected Accounts Window Version 6.5 Build 75 In the existing Rx Medical version 6.5, there was an issue identified in the Release Selected Accounts window. The window appeared to be smaller; the columns in the window were clustered together and were not easily visible. The screen did not allow the column adjustments as easily as they normally would, and any improvements made to the screen by the users, were not retained when re-opening the screen at a later time. Accounting menu Release Held Accounts Selectively Release Standard Accounts / Tax Invoices Version 6.6 Build 82 This issue has now been resolved in the Rx Medical Release Version 6.6. The Release Selected Accounts window is now able to be resized and the columns in the window are now visible. Copyright Medtech Healthcare Pty Ltd Page 27

30 Note: the invoice amount on the reprinted invoice shows: $ Repeat the steps 1-4 above, but this time when the Duplicate Report window appears, click on the No button to exclude the word Duplicate in the Invoice reprint. 7. The Invoice reprint will be sent to the printer. An incorrect total outstanding amount will be displayed in the report a shown below: Note: the invoice amount on the reprinted invoice shows: $ Click on the Close button to close the invoice screen. Version 6.6 Build 82 This issue has now been resolved in the Rx Medical version 6.6, and the correct invoice amounts will print on the Invoice when selecting to reprint the invoice whether or not you wish to include the word Duplicate in the reprint process. 31 Medicare Expiry Date Version 6.5 Build 75 There was an issue in Rx Medical version 6.5 Build 75, where the Medicare Expiry Date field in the Patient Register window would not accept any year that ended with either an 8 or 9 e.g or Version 6.6 Build 82 This issue has now been resolved in the Rx Medical version 6.6, MedicareExpiryDate field in the Patient Register window now accepts all valid date entries. 32 Invoice Report for Pathology Service The following are the fixes and enhancements that are implemented in the Invoice report for the Pathology Service: Request Date There was an issue in the existing Rx Medical Version 6.5 Build 75, that if the invoice s Service Type had been set to Pathology, then the Request date was not printing out on the invoice, This issue has now been resolved in the Rx Medical version 6.6, the Request date will now be included in the invoice printout. Note: This issue was identified and resolved for invoices set with a Service Type of Diagnostic Imaging as well. Request Period A new Request Period field has been added to the Request window, to enter in the number of months the request is valid for. The request period will now also print out on the Invoice. Specimen Collection Point ID When creating invoices with the Service Type set to Pathology, a new Specimen Collection Point (SCP) ID number field is available and will print out in all Invoice Formats - Standard, Tax Invoice, Combined and Customised. Please follow the steps below to print an Invoice for a Pathology Service (which will now include both the Request date and SCP ID): 1. Find and display an appropriate patient on the palette. 2. Go to Accounting Account or press Ctrl + A to bring up the Accounts screen. 3. By default the active Patient s name, Medicare number, Pension number details will be populated in to the invoice screen. 4. Select the Debtor, Location, Fee Level, Servicing Practitioner, Payee Practitioner details from the respective dropdown list. 5. Select the Service Type Pathology from the dropdown list. 33 6. Click on the Request radio button and select the appropriate request from the Request dropdown list. OR If the request has not been recorded, then select the option <New Request> from the dropdown list to bring up the Request window and enter in the details of the new request for the patient. 7. Select the appropriate invoice format to print. 8. Select the appropriate service Item(s) and fill the related details in the Account Items section, and then click on the Add button to add the services. 9. Click on the Save button to save the invoice. 10. Click on the Print ACC button to print the Invoice The Invoice, with the Request date and the SCP ID will be sent to the desired printer. 35 Rx-MT32 Clinical Link Patient Register A new checkbox option Consent to send SHS data through Medtech32 has been included in to the Patient Register General tab. The purpose of this option is to obtain consent from the patient to allow the user to send SHS data from MT32 to PCEHR. This option will be enabled only when the patient s IHI verification is successful and the patient has retrieved their IHI number from the HI Server. It will only be possible to send SHS document(s) from MT32 if this checkbox has been ticked. Patient.IN file changes In the existing Rx Medical V6.5, when exporting the Patient details from Rx to MT32 using the Rx-MT32 Clinical Link, the following issues had been identified in the Patient.IN file: 1. The Patient s Street Address details from Rx was incorrectly mapped to the MT32 Res/Building field instead of the patients Street Address field. 2. The Patient s Postal Address details from Rx were incorrectly mapped to the MT32 Postal Building field instead of the Postal Address Street field. These issues have now been resolved in the new Rx Medical Version 6.6 Build 82 and the patients residential details will be mapped correctly in MT32. Copyright Medtech Healthcare Pty Ltd Page 35

36 Date of Birth Field Format Change Another enhancement that has been made in Patient.IN file is in the export data process from Rx Medical to MT32, the Date of Birth field is set to MM/DD/YYYY format instead of carrying it through as the date format of DD/MM/YYYY as it is in Rx Medical.
