6 Guide to Terms Used Taxonomy and Vocabularies: Taxonomies are how Drupal categorises and organises information and content categories. At its most basic level, you can think of taxonomy as tags for content, organised into vocabulary. The true power of taxonomy, however, lies in organizing large quantities of content by how an audience might search. For example, Event Type on GOSH is a vocabulary, and within that, there can be multiple taxonomy terms ('Gala', 'Outdoor Events', 'Run'). This can help visitors to the site find the exact events they are interested in. Blocks: A piece of reusable content such as a sidebar menu, advertising banner, or callout box. Fieldset: A set of related fields, grouped together in one tab or section on the page. Group: A collection of content. Each group has its own Index Page, and other content types can be added to that group. Groups can have their own permissions and themes and adding content to a group will give that content item the look, feel, and permissions of that group. Nodes: Nodes are how Drupal refers to items of content. Each item of content will have a title and a node id, and the node id remains the same regardless of changes made to the title/url of the content item. General Introduction to UI Logging In To log in, go to and enter your Username and Password. Then click Log In or press enter. Logging Out To log out, click the Log out button in the top right hand corner, or go to Forgotten Password If you forget your password, you can click the Forgotten Password link on the login page, and a link to reset your password will be sent to you. Menu When you log in you will see a menu bar across the top of the screen. This will allow you to carry out admin on the site. This menu will differ slightly depending on your role. 7 We will go through each of these sections in this document, but below is an overview of each section: Content Add, view, edit, and moderate content. Content Listing Page Under the content menu, you can choose the content type you wish to look at and choose to view, edit, or create that content type. However, there is an overall content listing page, which you can access by going to Content > Content > View/Edit All. Here you can search for a content item or filter the list in various ways: Title Enter the title or partial title of the content item you wish to look for. Type Dropdown menu. Select the type of content you want to filter the listing for. Author Autocomplete field. Start typing the username of the author of the content item you wish to filter the listing for, and a dropdown of possible options will appear. Published CTI DIGITAL // CREATIVITY. TECHNOLOGY. 8 Dropdown menu. Filter by published or unpublished content. Vocabulary Dropdown menu. Filter by a list of vocabulary used in the site (Age, Event Type, etc). So, any content item that has an Event Type will appear if you filter by Event Type. Is a Group Dropdown menu. Filter by whether the content item is a group (Secure Area, etc). Belongs to Autocomplete field. Start typing the group the content item you wish to filter the listing for belongs to, and a dropdown of possible options will appear. Clicking Apply will apply the filters, and clicking Reset resets the filter. You can refine filters by adding another filter and clicking Apply again. General Content Adding New Content In the Content menu, under Content, there is a list of all the content types on the site. Hovering over this content type and then selecting New will take you to the content entry page, to add new content. There are multiple types of fields across the contents types, each with various methods of inputting content. Mandatory fields Some fields are mandatory, and must be filled in. Attempting to save a content item without filling in mandatory fields will prompt in an error and the content will not be saved. These are designated by an asterisk. Fields without an asterisk are optional and so can be left blank. Rich Text Options The field with the most options is Rich Text. Most types of content will have a section of Rich Text, so we will go through the various options for this field here. To apply these formatting options, select the text you want to format then select the icon of the format you wish to apply. 13 This is to help with editing and adding other elements. Clicking on the arrow will insert a new paragraph and allow you to type after and between elements easily. This red line is only for editing and will not appear when the content is viewed on the site. Link options When adding a link to some text, there are a few different options for different types of options. The following options are available. Link Info Tab This is to set the basic information of the URL or address. Link Type Dropdown menu URL will add a normal link to the page. will allow you to specify an address. Clicking this address will open an window in the users preferred program. You can also specify a Subject line or message that will populate the in the users preferred program. Protocol Choose the URL protocol the link uses. or will cover the majority of needs here. Target tab This is where you set the behaviour of the link when clicked. <not set> Uses the browsers' and users' default behaviour. <frame> Opens the link in a frame. A named frame can be set. <popup window> Opens in a new window or tab. You can set the name and other options for the popup. CTI DIGITAL // CREATIVITY. TECHNOLOGY. INNOVATION. 13

14 New Window Opens in a new window or tab. Topmost Window Opens in the topmost window or tab. Same Window Opens in the same window or tab as the current page. Parent Window Opens in the parent window or tab of the current page. Advanced tab We advise these are not used as they can affect the functionality of the link. Adding internal links There are two ways to add internal links (links that reside on the same website as the content type you re adding the link to). URL To add an internal URL you can add everything after the website domain. So for adding an internal hospital link, you can simply put /about-us instead of hospital.gosh.s.ctidigital.com/aboutus Node ID Drupal will give each content type a node ID, and you can use this to specify a content item. To add a link to a node, enter /node/[nodeid]. You can find the node id by view the content item, and the node is will be listed on the left hand side of the content type. CTI DIGITAL // CREATIVITY. 15 Note: This is not displayed to users, only to administrators. Autofill Field Some fields will autofill with available options. These are used when the possible options for a field come from a long list. They look like this: When you start typing into this field, the system will search for matches for your input and a drop down will appear with possible options. 16 Media Embedding Media Embedding Images Images can be embedded into body text field. You can embed an image by clicking the embed media button, then choosing an image from the library, then clicking on submit. You can then choose to add Alt and Title text. There are also a number of preset images sizes you can use when embedding the image into the site. CTI DIGITAL // CREATIVITY. TECHNOLOGY. INNOVATION. 16

17 Embedding ISSUU media This is added in the same way as images, you just select an ISSUU document from the library. On fields where only a document can be added, the library will be automatically filtered to only show documents. Clicking Next will take you to the next screen, where you can add Media tags, which help to keep the Media organised. Click Save to save the tags (you can choose not to add any tags). Click Submit on the next screen. The media is then embedded into the body text field. CTI DIGITAL // CREATIVITY. TECHNOLOGY. INNOVATION. 17

18 When the content is published, the ISSUU media is displayed using an ISSUU widget. Embedding AudioBoom media You can add AudioBoom media in the same way as adding ISSUU media, and it is displayed in the same way when editing the content item. 19 Content Config Accordion Each content item has a set of buttons and an accordion menu containing various configuration options. Group Fields available: Groups audience A dropdown menu to choose the group the content item will belong to. This will affect the permissions for different users and the look and feel of the content item. Menu settings Fields available: Provide a menu link (deselected by default) By default content items are not shown in the main navigation menu (or as a child of a menu item). If you wish to put the content item in the navigation menu, tick this box. When this box is ticked, the following fields become available: Menu link title CTI DIGITAL // CREATIVITY. TECHNOLOGY. 20 Free text field. The title of the menu link Description Free text field. A description of the menu item. This will show when hovering over the menu link Parent item A dropdown menu. This chooses where in the menu the new link will be. By default this is set to <Main Menu> which will set the item as a top level menu item. You can choose to set the item under another menu item to make that menu a child of that top level item. Weight A dropdown menu. This allows you to organise links in a menu under a top level menu item. Menu links with smaller weights are displayed before links with larger weights. Schedule You can schedule content items to publish at a future time and date, or set a published content item to expire and unpublish at a future time and date. Fields available: Schedule Publication fieldset Note: for content items with a set scheduled date, the moderation state needs to be Approved, not Published. Date Date field that will show a date picker. This is where you set the date when you want the content item to be published. Time Time field that will show a time picker. This is where you set the time when you want the content item to be published. Schedule Expiration fieldset Date Date field that will show a date picker. This is where you set the date when you want the content item to expire. Time Time field that will show a time picker. This is where you set the time when you want the content item to expire. Expiration redirect Free text field. This will set a URL redirect so when this content item expires, visitors to the page are taken to an alternative page. This will override any existing CTI DIGITAL // CREATIVITY. TECHNOLOGY. INNOVATION. 20

21 redirects for this content item once it has expired. Authoring Information Fields available: Authored by Autocomplete field. Starting to type a username (with the permission to create or edit that content item) will result in a dropdown menu of available option. Leaving this field blank will set the author to 'Anonymous'. Authored on Free text field. Set the date and time when the content item was authored. Leaving this blank will use the date and time the form was submitted. Publishing options Fields available: Sticky at top of lists Tick box. Selecting this will make the content item featured in search results. Hide from search Tick box. Selecting hide the content from search results. Moderation state By default, once any changes to the content have been saved, the Moderation State changes to the next Moderation State. Moderation notes A text field to provide notes on your moderation changes. Legacy Fields available: GOSH Legacy Categories Autocomplete field. To add a legacy category to the content item. These categories are CTI DIGITAL // CREATIVITY. TECHNOLOGY. INNOVATION. 21

22 primarily used for migration and are deprecated, and so should be avoided going forward. Some content types have other options in this accordion: Revision Information Certain content types have notes for revisions. These tend to be content items that sit outside the workflows (such as campaigns, which are only created or edited by CMS Admins). The revision information section is where you can either choose to edit the current revision or make a new revision and add comments to explain the changes you have made. Fields available: Create New Revision (Selected by default) Deselecting this will edit the current revision. Selecting this will make a new revision of the current version of the content item. Revision log message Free text field. This is to log the changes you've made in the new revision. Group Content items that can be a group (Index Pages and Secure Areas), and the group section is slightly different. Fields available: Group (Required. Only on Index Pages) Tickbox. Determines if the content item is a group. Group Workflow (Required) Choose which workflow will apply to the group 0 Approval: No approval or moderation steps in the work from, content goes from draft to published. 1 Approval: The approval step is present, but the moderation step is not. 2 Approvals: Both moderation and approval step is present. 23 Workflows, Groups and Revisions There is a workflow that content has to go through from draft to published. This ensures multiple review points for content before content goes live on the site. The workflow states that content items can go through are: Draft Needs Moderation Needs Approval Approved* Publish *Content items can move straight from Needs Approval to Published if the items can be published immediately. The 'Approved' status is solely for content that is scheduled to be published at a specific date and time. Different roles have different permissions when it comes to the workflow: Authors can create drafts and new revisions, and move content to the 'Needs Moderation' state. Moderators can view items that 'Needs Moderation' and either move them back into 'Draft' for further work or move content to the 'Needs Approval' state. Approvers can view items that 'Needs Approval' and either move them back into 'Draft' for further work or move content to the ''Approved' state with a scheduled publish date or Publish items. CMS Admins can do all of the above. Saving, Publishing or Previewing a Piece of Content CTI DIGITAL // CREATIVITY. TECHNOLOGY. INNOVATION. 23

24 Buttons available: Cancel Cancels the changes made, and leave the page. All changes will be lost. Save Save the changes, and move the content item to the next moderation state. Does not leave the page, and the current user retains the content lock. Publish Save the changes, and move the content item to the next moderation state. Leave the page, and the lock is released so another user can edit and transition the content item through the work. Preview Opens a page section to preview what the content item will see. There are tabs along the top of the section to view the content in various view modes (Full, Teaser, Title, Panel). View changes Opens a page section to view the changes between the last two revisions. Text changes are highlighted in red. Moderating Content To moderate (or transition) content items through the workflow, you need to go to the moderate tab on a content item. CTI DIGITAL // CREATIVITY. TECHNOLOGY. INNOVATION. 24

25 This will show a table of all the actions taken on this content item. The last revision is visually highlighted, and highlighted red if the latest revision is not published, and green if it is published. From here you can view the changes and make changes. To view the changes, you need to go to the Compare revisions tab. This will show you a list of revisions you can compare. To compare two versions, select the versions you wish to compare (the radio buttons signify both the versions compared and the side of the screen the side by side comparisons will be. So in the below example, the latest revision will be on the right hand side, and the revision before that on the left hand side. In this example, there is a piece of content that Needs Approval. From here you can choose to Publish the content item or send it back to draft by choosing the action from the dropdown menu and clicking Apply. CTI DIGITAL // CREATIVITY. TECHNOLOGY. INNOVATION. 25

26 Content Transition s The system sends out reminder s to group members to transition content through the workflow. When a content type is transitioned to the state 'Needs Moderation', moderators in that group receive an about that piece of content. If the piece of content is not actioned within two days, a reminder is sent out. The same happens when content is moved to the Needs Approval status. The content transition contains the content item's title, the username of the user who last saved the item, and a link to the moderation page to transition the content item. Content Lock The system restricts editing, so only one user can edit a piece of content at any one time. This is done via means of a content lock. When a piece of content is cerated or edited, the user editing gains the content lock until they move the content to the next moderation state. The Content Listing page shows which content items are locked and who has the content lock. CTI DIGITAL // CREATIVITY. TECHNOLOGY. INNOVATION. 26

27 Editing a currently published piece of content When editing a piece of published content, a new revision is made. The current moderation state of that revision is Draft. When that revision is saved, the moderation state changes to Needs Moderation, and the Save button is disabled. Clicking Publish will save the changed Moderation State and release the content lock so others can moderate the content item. If you do not wish the content item to move to the next moderation state, change the moderation state in Publishing options to the desired state and save the content item. This retains the content lock so other users cannot edit the content item. Edit a piece of content with a lock Trying to edit a piece of content that another user has the lock results in this page. 28 Groups Content can be organised by Group. Putting a piece of content into a Group will give the content the characteristics of the Group, which can affect permissions and theme. For example, every piece of content in the Children group will have the Children theme applied to it, and only administrators in the Children group can edit this content item. You add users to a group the same way you add users to a Secure Area. Content items that can be a group (Index Pages and Secure Areas), and the group accordion is slightly different. If you make the Index Page or Secure Page a group, then the name of the group will be the title of the page. Once the Index Page or Secure Area is created, existing members can be added to the group. When viewing the draft of the page, you will see a Group tab. This will take you to the group settings. Here you can add users to the group and view and edit users in the group. 29 To add a user, select the Add people link, and then fill in the user details. The Username field is an autocomplete field. Typing a username here will show a dropdown of available users. You can then select a role. Leaving these blank will give users permission to view content in this group but no administrating access(for Secure Areas, for example). Selecting the People link provides you with a list of users in that group and their roles. You can edit or remove users from here. Content View Types There are four main types of views for content types, used around the site. You can choose CTI DIGITAL // CREATIVITY. TECHNOLOGY. INNOVATION. 29

30 views of content on listed content. Full This is the full view of the content item, when you are on that content item's page. This shows all of the content. Panel This is a view that comprises of a summary (or the first 200 characters of the main body content if no summary is present), a representative image, and a link to the full view. Teaser This is similar to the panel view, without the heading styling. Title This shows just the title of the content item, which links through to the main view. This can be used for listed content. Content Types Types of Content Drupal categorises content by type. This means that content items of the same type are consistent across the site, making it easier to navigate. 31 across the site, and any changes made on the core piece of content is reflected across the site (in banners etc) so any changes are easy and quick to make and apply. There are various types of content on the GOSH site: Basic Content Item: Allows general content that does not fit within the other types to be created. Examples include 'Our Values' 'About Us' etc. Campaign: Create a campaign of banners to be displayed throughout the site. Banners promoting events or stories fall into the category. Carousel: Defines a carousel to highlight topical information in an attractive manner. A Homepage banner is an example of this. Event: Create Event content so to promote upcoming events. FAQs: Add a frequently asked question (FAQ) and its answer to the website. Image Gallery: Defines an image gallery for displaying multiple images in a visually appealing way. Index Page: Defines index pages which can, optionally, be used as a base for grouping further content and edit permissions. Job: Add a Job so that career opportunities within the organisation can be promoted to site users Landing Page: Defines a page that displays content embedded from various other content types. Listed Content: Create an item of content that displays a listing of other content as configured on the content entry form so that I can dynamically highlight content on the site. News item: A news item to inform site users of the latest happenings of the organisation. Press Release: Create Press Release content so that announcements can be distributed to the press. Publication: Create content about publications. Secure Area: Allows for an area of the site to restrict access to specific users. Volunteer Opportunity: Defines volunteer opportunities that can be displayed to different audiences. Webform: Create a new form or questionnaire accessible to users. You can choose to have no real story displayed on the content item, to have a random real story displayed on the content item (which will change on page reload), or a specific real story. Choosing the specific real story option will display an autocomplete field. Start typing the desired story and a dropdown will appear with possible options. Webforms Submissions Webform submissions are stored in the 'Submissions' if looking at a listing of all webforms (Content > Webform > View/Edit) or 'Results' section when looking at individual webforms. 48 Webforms follow the same group conventions as other content. This means to access the submissions you must be an administrator in the same group as the webform. 49 Here you can view, edit, and delete individual submissions. Information about the user who submitted the form (username if logged in, IP address, date and time of submission) is stored as well as the information submitted in the form. Submission Analysis You can view a brief analysis of submission details. Download Submissions Clicking the download button shows you options for downloading the submission information. There are many download options, from file format to which submissions to include. Column Header Format Whether the column headers should be the field name or the machine-readable field ID. Select List Options Collection of options for select lists. Select Keys Full, human-readable options (values) or Short, raw options (keys). Select List Format How lists should be displayed in the downloaded data. Can be either a compact version for a full version Included Export Components A list of all form fields, where you can choose which fields are included in the export. All are selected for export by default. Download Range Options Options for the range of submissions to include in the download. This can be limited by time, by submissions since the last download, a specific number of submissions, or a specific range of submissions. Clear Submissions Clicking on Clear will bring up and option to permanently delete all submissions to that webform. Search There is a global search across the hospital site. All content items that have their own page are indexed (everything apart from campaigns). You can choose to feature items in search, or hide items from search when creating or editing content items. 53 When the site is reindexed, the featured item is at the top of the search page: Hiding from Search To hide an item from search results, you need to select the option from the Publishing options section of the content config accordion. When the site is reindexed, the hidden item will not be found in search results. NOTE: This does not stop users from finding the content item by going to the page URL.
