1 Request for Proposal: Website Redesign Objective Madison Public Library Foundation is looking for a website designer & developer to redesign its website to attract new donors and other types of supporters, and deepen existing supporters commitment to the organization. A successful new website will encourage support of Madison Public Library collections, programs, services and buildings; educate site visitors on how the foundation and library work together; and provide numerous opportunities to interact with the foundation, either by donating, attending events or volunteering. It will encourage users to dig deeper and learn more, highlight programs and events, and integrate CRM tools. The new website back end must be user-friendly and easy to update without professional help, so an open-source CMS is strongly preferred. About Madison Public Library Foundation The nonprofit Madison Public Library Foundation promotes and supports Madison Public Library s facilities, services, programs, technology and staff. It provides leadership and resources to help develop and sustain a world-class library system. Its tagline is Building Better Libraries Every Day. 2 Integrations Navigation system user-friendly, clean and simple Responsive/mobile optimized Clear indication of the foundation s purpose via strong visuals Drive users to action (donate, buy tickets or attend event, volunteer, learn more about a specific topic, etc.) Emphasis on images of what the foundation funds, donors (i.e., profiles), upcoming events, etc. Prominent donate button on homepage Donor recognition page(s) that allow logos to be displayed and easily changed Photo gallery Events calendar Contact form Social media icons Rotating sliders for sponsor acknowledgement SEO focused on high-traffic pages News section Varying degrees of admin permissions/user management WCAG 2.0 compliance Search functionality Donation platform (Blackbaud/Raiser s Edge) School Auction, used for event registration and ticket sales Google Analytics list form capture (compatible with Blackbaud NXT) CMS The foundation would like to use an open-sourced content management software system such as WordPress or Drupal that is easy for foundation staff and the organization s consultant to manage independently. Reporting and Analytics The website will utilize Google Analytics. Upon completion of the project, the foundation will monitor all analytics. Hosting The foundation does not have an onsite website server. Proposals must include recommendations on how the website would be hosted and potential hosting services. Please include costs of the hosting service, and any add-on costs that are recommended.
3 Training Training for independent use of the CMS by foundation staff and the organization s consultant must be included in the proposal and occur before the site launch. Technical Support The foundation requires the selected vendor to offer technical support for a period of at least six months following the site launch. Please include a breakdown of costs for this time period, and the hourly or package costs for support after that six-month period concludes. Foundation Input The foundation team, made up of volunteers, staff and a consultant, must be central to the website redesign decision-making process. It must be included in weekly or biweekly planning meetings. The respondent should have a willingness to work as an extension of the foundation team. Timeline RFP issued: November 20, 2018 Proposals due: 5 p.m. Friday, December 21, 2018 Proposal reviews and presentations: January 7-23, 2019 Proposal selection: January 30, 2019 Project kickoff: Week of February 11, 2019 Project completion/live target date: late May A detailed timeline from the website developer should be included in proposals. Budget Our budget for this project is $15,000. We will consider all reasonable proposals that fall close to this amount. A detailed budget breakdown should be included with proposals. 4 Concise, clear proposal responses in PDF format are preferred. Please limit your response to no more than 10 pages and include the following: Company description Project process overview Recommended approach of how you will meet our goals Proposed timeline Team bios and responsibilities for all who will be working on the project A minimum of three recent relevant website redesign samples (nonprofit sites a plus) Three client references Line-item pricing Terms and conditions Why do you want to work with the foundation? What makes your firm stand out among the competition? Proposals will be reviewed by members of the foundation s Marketing Committee and its Communications Consultant, Amy Mertz, Brick Road PR. The deadline for proposal submission is 5 p.m. Friday, December 21, The following factors will be weighed when choosing a vendor: Quality and thoroughness of the proposal Ability to fulfill requirements outlined in this RFP Recommendations and feedback from the vendor s previous clients Proven history of performance Ability to deliver website on preferred timeline Price Minority-owned and women-owned agencies are encouraged to apply and will be given strong consideration. Contract Terms Any costs incurred in responding to this RFP are the responsibility of the respondent.
