Log In Open your browser and navigate to login.salesforce.com: ü Step : Enter your Username ü Step : Enter your Password ü Step : Click Log In to Salesforce Click Remember Me the first time you login to speed up future login processes. 4 For Training use the training environment by logging into test.salesforce.com. Log Out ü Step : Click the arrow next to your login name on the top right of the screen ü Step : Click Log Out You are also able to just close the browser window
4 SERVICEMAX TERMINOLOGY & OBJECTS ServiceMax Enablement Quick Reference Guide 05 ServiceMax, Inc Rights Reserved. Terminology The most common terms within the ServiceMax application. Icon Tab Description Accounts Locations Contacts Installed Products Work Orders Customer information including billing, shipping address and product information. Work Orders start from here. Specific Sites identified for Accounts where Installed Products are located. People associated with an Account Serialized products that are installed at a site. Work to be documented and completed for the customer (Remote (Parent), Field Service, Lift). Object Relationships This diagram displays the relationships between records within ServiceMax. ü Accounts: hold all the key information for a customer including a combination of Bill to & Ship to information. ü Locations are directly associated to the Account & hold all IP information ü You can view all Installed Products and Work Orders associated to the customer from the Account & Location records. ü Work Orders will be created from and associated Account & Installed Products ü All Labor, Travel, Parts and Service Reports are associated to the Work Order record ü Reporting and Dashboards can be created for all the objects Account Location
5 NAVIGATION & SEARCH OVERVIEW ServiceMax Enablement Quick Reference Guide 05 ServiceMax, Inc Rights Reserved Main Screen Overview. Tabs - also called Objects can be used to navigate within the application 4 5. Sidebar- used for quick navigation for recently viewed records, dispatch console and links. Collapsible side bar- click the arrow to collapse the bar and extend the main screen view 4. Global Search- allows you to search all the available information in ServiceMax 5. Login Name- provides access to Log Out of the system, view your profile and view key settings. Application- identifies the application you are working with. Sandbox Training environment or production live Global Search Overview. Common Searches would be Account Name and Work Order #. System will display past searches for quick navigation. Search results display according to Object 4. Click on Search All to extend the search to all objects 5 5. Can adjust the search criteria for displayed records. Click on record link to open the record 4
6 OBJECT LAYOUTS & VIEWS ServiceMax Enablement Quick Reference Guide 05 ServiceMax, Inc Rights Reserved Basic Object Home Page Layout Every Object type in the application has a Home Page. Each Home Page has the same layout with the following items:. Click on the Tab to display the home page. Review Recent for quick navigation this section displays records the user has recently viewed Object Icon. Select a View these are predefined dropdown menus that are used to quickly display records that meet specific criteria defined by the view name Navigating Views When you select a view a list of records will display:. Name of View that is displaying. Number of records available for the view 5. Page # you are currently viewing 4. Navigation options for the view 5. Can organize the view by clicking on any column headers. Click once to view ascending order and twice for descending order.. Click on the link to enter into the record. Each underline is a link to a unique record. Click on Account link to enter the Account and the Work Order Number link to enter into the Work Order. 4
7 RECORD PAGE LAYOUT OVERVIEW ServiceMax Enablement Quick Reference Guide 05 ServiceMax, Inc Rights Reserved Record Page Layout Every record page will organize the record pages in a similar layout and maintains the record data in four main areas:. Service Flow Wizard Displays the Service Flow Managers (SFM) buttons that direct actions that can take place from the record. SFMs displayed may be different depending on your role and use of ServiceMax. The Service Flow Wizards view may change depending on the process you are completing. Black- means active and available for use Grey- means inaction and not available for use Details Tab. Details Area displays all of the detailed data for the selected record broken down by sections You can collapse or expand a section by clicking on the arrow next to the section name.. Related Lists displays all of the additional object information associated to the selected record. (i.e. the work details related to the work order record) The Related List information is also available at the top of the record in hover format. Collapse or Expand
8 RECORD EDITING & MINI-PAGE LAYOUTS ServiceMax Enablement Quick Reference Guide 05 ServiceMax, Inc Rights Reserved Generally you will edit records using the SFM buttons (blue buttons) on a record, however you are also able to edit a single field on a page. To Edit a Field: You can hover over a field to determine if it is editable. Lock icon this icon means you are unable to edit the field Pencil icon this icon means you can edit the data. Double click the field that needs to be edited. Change data. Click Save at the top or bottom of the page Note: when data is changed, the entire field will be highlighted in yellow until saved Mini-Page Layout Hovers Mini-Page layouts are created to allow you to see additional data for a related record without having to leave the current record. (i.e. See key Account data from the Work Order). Locate a field with an associated mini-page layout (Any underlined field). Hover over the field information. Review the associated mini-page layout information. You can click on any underlined field to enter the associated record.
9 SFM ACTION BUTTONS & CHATTER ServiceMax Enablement Quick Reference Guide 05 ServiceMax, Inc Rights Reserved Each SFM leads you to a unique editable page layout for a record. You can make edits and then use the actions buttons to save the changes and return to the main record. Action Buttons on an SFM:. Save- hard save of record that returns you to the record view. Quick Save- saves the information but keeps you on the edit page to continue work. Cancel- close the edit page without saving edits 4. Get Price- completes a search against the associated price book for vendor to calculate costs on a Work Order 5. Add a Row- create a new line item on a record 4 7. Expanded View- Displays all the fields for a line in an easy to view screen for quick editing 7. Clear ServiceMax Cache- resets the SFM edit view if administrators have instructed you that changes have taken place in setup 5 Displaying and Hiding Chatter on a Record You can choose to view or hide the Chatter information on a record.. Click on Hide Feed to collapse the Chatter view. Click on Show Feed to expand the view
