4 GETTING STARTED 1 Envoy Access 1.1 Initial Access A customer requesting Envoy access must complete an Electronic Bulletin Board Agreement Form Please contact Capacity Products at CapacityProducts@semprautilities.com to obtain the necessary paperwork. If you are new doing business in the SoCalGas service territory we will need your Tax Payer id and state of incorporation. 1.2 Envoy Forms Envoy forms can be found on the external Envoy public site Select Envoy Forms in the header menu. 1.3 Logon IDs The customer requesting Envoy access must complete a Logon ID Request Form titled Electronic Bulletin Board Agreement Exhibit A Form 6800A and send the form to Capacity Products at CapacityProducts@semprautlitiles.com. Upon approval of the form by Capacity Products, the form shall be fully executed and the requestor shall be granted Envoy access. Form 6800A can be found at This form must be signed by an officer or principal of the company or the person authorized in Form 6800B (Delegation of Authority to Execute Logon Id Request Form). *Note: SoCalGas Data Protection policy does not allow the sharing of User IDs. This is to protect your company s data. 1.4 Change EBB Service Selections Any changes to service selections must be completed using Electronic Bulletin Board Agreement Exhibit A Form 6800A 4
5 1.5 Termination of User IDs Termination of User IDs may be completed after receiving instructions via an or letter from the customer or by discretion of the Envoy Administrator. Contact with any further questions. 1.6 Suspension of IDs Your ID will be automatically suspended if there is no activity for 90 consecutive days on your account. 1.7 Duplicate Logins Envoy does not allow duplicate logins. If your ID is locked in the system, you can wait 20 minutes and the system will automatically log you out. If you still need help, please and someone will terminate your session. 1.8 Forgot Password 5
6 If you still need help, go to the logon screen and click on the Forgot Password link and answer your security question. You can also and your password will be reset. 6
7 INTRODUCTION 2 Generic Navigation SoCalGas ENVOY (ENVOY) has undergone a significant change. We are always looking to improve user experience and gas scheduling efficiency. We have updated the system s look and feel, and implemented new navigation. Functionality has not been changed- all ledgers and functions are still available. This user guide is meant to help you transition smoothly to the new look and feel. This guide provides details on the following new features: Customizable landing page Updated Navigation Menu Updated context menu: Actions Menu Bar o Tab replacement: Workspace icon o Pop- up replacement: In-page display Message flags 2.1 Landing Page Server Time Server Date Navigation Menu Critical Notices Quick Links Widgets Workspace Widgets Informational Widgets 7
8 Critical Notices: Any critical notices of the current day are posted here. Navigation Menu: The menu is accessible from every page. Server Date: The current date is now part of the header on every page. Server Time: The clock represents the time on our computer system in PCT. Quick Links Widgets: This is explained in Section Workspace Widgets: This is explained in Section Informational Widgets: This is explained in Section Responsive Design Quickly jump to what you need. The mobile responsive landing page is a simplified version of the select Envoy pages. You are unable to add, move, minimize or delete widgets from your mobile device. Additionally, the three widget columns become one, with your Workspace widgets at the top followed by the Quick Links and Informational widgets. In order to quickly navigate from Workspace, Informational, and Quick Links widgets, simply tap any of the three icons at the top which will bring you to the first widget of each column. 8
9 2.3 Ledger Page/Ledger Title: The title remains in the top left corner of the page beneath the header. Navigation Menu: The menu is accessible from every page. Return to Landing Page: Click the ENVOY logo to navigate to the landing page. Server Date: The current date is now part of the header on every page. Server Time: The clock represents the time on our computer system in PCT. Actions Menu Bar: The previous right click functions are now accessible through the newly implemented Actions Menu Bar which includes the Workspace, Filter, Export, Print, and More icons. Context Menu: The previous right click context menu is now accessible through the More icon in the Actions Menu Bar. Print PDF: Since the Print function is part of the global context menu, along with Filter and Export, it is now accessible through the Print icon in the Actions Menu Bar. Export File: The Export function is now accessible through the Export icon in the Actions Menu Bar. Filter: The Filter function is now accessible through the Filter icon in the Actions Menu Bar. Workspace: Most-visited pages are now accessible through the Workspace icon dropdown in the Actions Menu Bar. Continue reading this guide for full details on each new feature. 9
10 2.4 What s New Customizable Landing Page Personalize your experience. Upon login, you see the default homepage which is customizable to your needs at any time by adding, deleting, minimizing, and moving widgets to designate your most-visited and necessary pages. Your new settings are always auto-saved immediately. The landing page is divided into three widget categories: Quick Links: Easy access to all ledgers available through the navigation menu. Each widget is grouped according to the menu categories Workspace: Fast access to view your most-visited ledgers. Each widget is set with a minimum number of predefined columns. You can click the widget s title to navigate to the ledger s full view. Informational: Widgets include need-to-know data such as notices and deadlines. There is no limit to the amount of widgets in each category on your landing page Adding Widgets Fill your space. Predefined widgets are available to add via the Add Widgets button at the top right corner of the landing page. 10
11 You have the ability to add as many widgets per category as are available at one time. Use the previous/next arrow functions to browse through each category s widget options Deleting Widgets Clear your space. Click the X button at the top right corner of a widget you want to delete from your landing page. You can re-add the widget at any time Minimizing Widgets Declutter your space. If you don t want to delete a widget but just hide it, click the minimize button at the top right corner of a widget. You can re-expand the widget by clicking the button again Moving Widgets Rearrange your space. You have the ability to move widgets around on the landing page to re-order and prioritize your widgets. Simply click the top bar of the widget and drag and drop to the desired location. 11
12 2.5 Navigation Menu Access modules at any time. The previous Start menu has been redesigned and rearranged with new categories. All ledgers are still available. Click the menu icon located at the left corner of the header to open the updated menu. To close the menu, click the icon again. Click on a first level menu item to expand and view its second level items. You have the ability to expand multiple first level items at one time. 12
13 2.5.1 Quick Menu Search Easily search for any page. If you have difficulty locating a page, type the title into the search bar which autofilters the menu. 2.6 Actions Menu Bar No more need to right click. The right click context menu has been replaced by an actions menu bar available above every page to the right of the page title. Clicking on any of these icons and navigating to a new page, disables all icons besides the Workspace icon. Simply return to the page to re-enable all icons. Additionally, if a page does not require one or more of these functions, the icon(s) is disabled. Filter, Export, and Print are nearly universal on all pages. The rest of the page-specific functionalities are accessible through the More icon. Use the browser capabilities. The following functions have been removed from the updated context menu: Zoom In - scales the page to make it bigger. Zoom Out - scales the page to make it smaller. Screen Print - prints the window as if you clicked your browser s print button. Refresh - resets a page to its default setting or reloads a page to reflect any changes that may have been made after you initially opened the page. You can now access these functions through your browser s right click menu. 13
14 2.6.1 Workspace Your most-visited pages are one click away. The old tabs have been replaced with the Workspace icon, which acts as a quick navigation dropdown menu for easy access to your most visited pages from any current page. To see the workspace links, hover over the Workspace icon Customizing Workspace Menu Items The Workspace dropdown menu is a constant reflection of the landing page workspace widget column. Instead of returning to the landing page to access your workspace widgets, the Workspace icon brings those pages to you. Upon first time login, the default dropdown menu mirrors the default landing page Workspace widget column. To customize the Workspace dropdown, make your changes to the Workspace widgets which will automatically update and be saved in the dropdown menu. Any Workspace widget changes at any time will be reflected in your dropdown Filter Choose your data. Click the Filter icon to search for specific data results to be displayed in the ledger. 14
15 To return to the ledger, click Cancel or the Submit button. Click Cancel or Apply button to return to the Filter page Export Export to file. Click the Export icon to export the current ledger data as either an Excel or Word file. 15
16 2.6.4 Print Print to PDF. Click the Print icon to print the current ledger as a PDF file More Target the ledger-specific functionalities. The More icon dropdown houses the functionalities unique to the current ledger. Each ledger's functionalities remain the same from the old version. You can find the functionality dropdown by hovering over the More icon. 16
17 2.7 Message Flags Control your notifications. Notifications are now presented in message flags that slide in from the left side of the page. The flags stay in your current view no matter which page you navigate to next, allowing you to decide when you are ready to delete the message by clicking the X on the right side of the flag Color Codes These flags are color- coded based on the nature of the message. The definitions are as follows: 17

19 GETTING STARTED 3 Browser and Mobile Support 3.1 Browser Support Envoy is optimized for the following browsers: Windows 7 & newer o Internet Explorer 11 & newer o Google Chrome Envoy will support the following browsers but is not optimized for: Mac OS X El Capitan & newer o Safari 7 & newer o Google Chrome (latest 2 versions) ios9 and newer o Safari (latest 2 versions) Android 5.1 (Lollipop) and newer o Google Chrome (latest 2 versions) Windows 7 and newer o Firefox (latest 2 versions) Envoy will not support: Internet Explorer 10 and below Browsers on Windows XP (now unsupported by Microsoft) Browsers customized by OEMs 19
20 3.2 Mobile Devices Envoy is now available on mobile devices. Envoy is not optimized for a flawless mobile experience, but users can perform the majority of Envoy functions on tablets or mobile phones. Envoy is optimized for the following display types: Desktop computer Envoy will support the following devices: Tablets: o ipad Air 2 o Galaxy Tab A o Surface 3 Mobile Phones: o iphone 6S o Galaxy S7 All other mobile phones or tablets that are not specifically identified are not supported by Envoy. It is not recommended to perform critical Envoy functions on these devices. 21 GETTING STARTED 4 Alert Services As an Envoy subscriber, you can receive notices from Envoy direct to your (s) or mobile device(s) for the items listed below. Envoy messages sent to addresses may include attached files. Critical Notices Nomination deadline extensions BTS Rate information Maintenance Alerts High or Low OFO Declarations Scheduling notices on confirmations and allocations And other important SoCalGas postings 4.1 How do you subscribe? As an Envoy subscriber, you can sign up for this service online at Logon to Envoy using your User ID and password. On the Envoy internal home page, click on the link Manage Alerts Go to Turn Alert Services On or Off selection area; Click the On radio button to initiate the service. You can turn the service on or off at your discretion. 21
22 Under Your Addresses, enter the address or mobile messaging device address in the appropriate data entry fields. You can receive Envoy Alerts on up to two addresses and on up to two mobile messaging devices, such as a text-capable pager or mobile phone. Select the Alert Type/Tab (EBB, Operational, Custom, Maintenance) and and/or mobile device address you would like the messages sent to by clicking on the corresponding check box. Read the Terms and Conditions at the bottom of the screen and click on the I Agree radio button. If you do not select I Agree, the service will not be activated. No additional user s fees or charges are applied for this service. Click on the Submit button and you are ready to be alerted. 4.2 Mobile device address Your mobile device provider has an format for text capable cell phones, pagers and other devices that must be entered into this address field. No spaces, - or (). Please note: you cannot simply enter your cell phone or pager number. Below are examples of formats of major mobile device providers: Verizon - 10 digit phone number@vtext.com AT&T - 10 digit phone number@mobile.att.net Nextel - 10 digit phone number@messaging.nextel.com Sprint - 10 digit phone number@messaging.sprintpcs.com T-Mobile 10 digit phone number@tmomail.net Archwireless 10 digit phone number@archwireless.et Terms and Conditions SoCalGas will use commercially reasonable efforts in sending alerts, but makes no warranty, express or implied, as to any information contained in the alert or as to the sending of, misaddress of, delay in sending, or receipt of any alert. 24 GETTING STARTED 6 Content-Aware Help Envoy s online Help has been updated in both form and content. You can find a link to the Help Site at the top right corner of your screen. 24
25 Help is now content-aware and is directly linked to the context of the screen that you are viewing. Clicking Help on your current page will take you to that section of the Help site. The desired section will also be highlighted. 25
26 GETTING STARTED 7 Troubleshooting Envoy *Note: This help documentation is specific for Internet Explorer version 11, however the general instructions apply to all browsers Browser Not Supported Error upon Accessing Login Page The Envoy web application is developed for an optimal experience using Microsoft Internet Explorer version 11. Please see Browser and Mobile Support (Section 3) for more information on browser optimization for Envoy. If the following error is received when attempting to access the application, please follow the steps provided below. 1. Confirm your system has Internet Explorer version 11 or greater installed in it by navigating to the About Internet Explorer window. From the Internet Explorer Tools menu select the About Internet Explorer option. 26
27 If your menu bar is hidden, right-click on the wide blue border next to the Address Bar and select Menu Bar. 27
28 2. This will display the About Internet Explorer window showing the version of Internet Explorer that is installed in your system. 3. If the version of Internet Explorer that is installed in your system is not version 11 or greater, you may download it free of charge from: Tabbed Browser Settings for Internet Explorer 11 If Envoy filter screens display in a new browser tab/window and not in a pop-up window on top of the originating Envoy screen, please ensure you have the correct Tabbed Browser Settings by following the steps below. 1. From the Internet Explorer Tool menu select the Internet Options option. 28
29 2. This will display the Internet Options window. From the Internet Options window, click on the Tabs button. This will display the Tabbed Browsing Settings window. In this window, select the Let Internet Explorer decide how pop-ups should open option. 29
30 3. Click the OK button on the Tabbed Browsing Settings window. 4. Click the OK button on the Internet Options window. 5. Restart Internet Explorer and try again. 7.4 Security Level Settings Users experiencing issues accessing the site may also need to change their security settings from a custom level to a regular Medium-High. Internet Explorer > Internet Options > Security > Internet Zone Settings 7.5 View System Requirements/Running System Configuration Test It is strongly recommended that users of the Envoy web application have the most recent versions of the Adobe Reader installed on Internet Explorer. Envoy users can test their browser configuration as well as plugin versions using the following steps: 1. From the bottom menu on the home page click on System Requirements. 2. From the System Requirements window click on Run Configuration Test. 3. Follow the provided links to plugin vendors if an upgrade to a plugin is required. 30

32 7.7 Clearing the Cache Clearing the cache is strongly recommended to ensure users see the most up-to-date ENVOY webpage. ENVOY users can clear the Internet Explorer Cache by following the below steps: 1. Close all windows and browser tabs the ENVOY webpage is on. 2. From the Internet Explorer Tool menu select Safety, followed by Delete browsing history. *Note: You can also access the menu by holding Ctrl + Shift + Delete. 32
33 3. Check both Temporary Internet Files and Cookies then click Delete. Be sure to uncheck the other boxes as shown below. 4. A confirmation message window will appear at the bottom of the window once it has successfully cleared the cache and cookies. 33
34 7.8 Enabling JavaScript Plug-in Many Internet Web sites contain JavaScript, a scripting programming language that runs on the web browser to make specific features on the web page functional. If JavaScript has been disabled within the user s browser, the content or the functionality of the web page can be limited or unavailable. Internet Explorer Envoy users can enable Javascripting by following the below steps: 1. From the Internet Explorer Tool menu select Internet Options. 2. When the Internet Options window opens, select the Security tab. 34
35 3. On the Security tab, select the Internet zone, and then click on Custom level. 35
36 4. In the Security Settings Internet Zone dialog box, click Enable for Active Scripting in the Scripting of Java applets section. Then click OK. 5. Then the "Warning!" window will open and ask, "Are you sure you want to change the settings for this zone?" select Yes. 6. Click OK at the bottom of the Internet Options window to close the dialog box. 36
37 7. Click the Refresh button to refresh the page and run scripts. 37
38 7.9 Browser Cookies Setup Cookies are small files that websites put on your PC to store information about your preferences. Cookies can improve your browsing experience by saving personal settings and allowing the website to properly display. Users can allow cookies in the Internet Explorer 11 browser by following the below steps: 1. From the Internet Explorer Tool menu select Internet options. 38
39 2. When the Internet Options window opens, select the Privacy tab, then select the Advanced button. 39
40 3. In the Advanced Privacy Settings window, make sure that First-party Cookies and Third-party Cookies have Accept. (If not, click Override Automatic Cookie Handling, and then select Accept on First-party Cookies and Third-Party Cookies). 40
41 7.10 Refreshing Data in ENVOY ENVOY has a unique way to refresh data in order to protect data privacy. DO NOT use the browser refresh button as it will result in a forced ENVOY logout with a yellow message flag. Below are the best ways to refresh data in ENVOY: 1. Landing page data refresh Users can refresh the data by clicking the SoCalGas logo. 2. Module screen data refresh Users can refresh the data by clicking the SoCalGas logo and navigating back to the module they were in. 3. Module screen data refresh for Workspace widget Click and hover over the Workspace icon, in the dropdown list select the module if available. *Note: The Workspace list is directly linked to the users Workspace widgets. Hence users can customize the list by adding/removing widgets in the landing page Workspace widgets. Not all modules are available in widget form
