3 Key concepts Identity: An Identity is a means of identifying and authenticating a real user. A real user can (and does) hold more than one identity at any given time. Some are implicit (e.g. by IP address); others are explicit (e.g. username and password) Think of authentication as being an Identity (who) that can be verified. Verification can come through a username and password or through IP recognition. There are several different types of Identities that can be set up in the system: Individual (user profile) Institution Publisher administrator
4 Key concepts Identity (continued): For example: Jenny does a search on Google that takes her to an article on the BioOne site. The site can recognize her on several different levels, through her single account: Institution ID Generic Library, University of Madeupistan Consortium ID Northeast-Western European Library Association Individual ID Jenny Publisher Administrator Jenny, the publication assistant for The American Journal of Demonstration Examples
5 Key Concepts Publisher Administration role: All users logging into BioOne have a basic set of privileges granted to them. For example, they can select favorite articles, save searches, and sign up for alerts. The publisher administration role is an additional set of privileges that can be assigned to a normal user profile to allow the user (now a Publisher Administrator) to: Edit publisher branding elements Edit featured articles Edit open access articles Access publication-specific usage statistics Edit publisher static pages Add advertisements Publish stories (news and events)
6 Accessing Your Account From the BioOne homepage ( please click on the Log in link in the upper right-hand corner of the page
7 Accessing Your Account On the subsequent page, enter your address and password Please note that if you have never logged-on to the new (as of January 27, 2009) BioOne site, your password is the same as your previous publisher password for accessing usage statistics. If you don t know your password, click Forgotten Your Password or contact us.
8 Accessing Your Account Upon successful login, your full name will appear next to My BioOne. Click on your name (now a hyperlink) to manage your account.
9 Accessing Your Account Because your individual user profile is merged with your identity as a publisher administrator, you will now see two extra tabs available: Personal preferences Journals Articles Alerts Access Account info Society/publisher tools Site Editing Publisher administration This user guide focuses on managing your society/publisher administration tools, but feel free to contact us with any questions on managing your personal preferences.
10 Publisher Administration Under the Publisher Administration tab, you can access and manage the following: Branding Access Management (Open Access) Content Management (Featured Articles) Usage Data
11 Branding On the Branding screen, you can manage society/publisher branding as it appears on your organization s publisher informational page, including: publisher name publisher website URL publisher logo Once uploaded, your logo will be displayed on this tab as it will appear on your publisher page. Information updated on this tab will appear immediately on your publisher page.

13 Branding Please note: The maximum dimensions for an uploaded logo are 150x100 pixels, in a JPEG, GIF or PNG format (JPEG suggested). The system will reject any file that is outside of these specifications. If the publisher name is changed, please make sure that you notify Lauren Kane or Christina Berger to ensure that our records are kept consistent. When changing the Publisher Website information, please make sure to include the on the URL or it will not link properly. If you are changing multiple items on the page (e.g., updating the URL and the logo,) then you will need to click the update button after each one.
14 Access Management On the Access Management tab, you can manage your publication s open access content, by designating new articles as OA viewing existing articles marked as OA deleting the OA designation from desired articles To designate content as open access, enter either the article URL from the BioOne site or the unique full DOI (examples given on the site) and click add.

16 Access Management To view existing OA content and make applicable changes, enter a year range (e.g., all content marked as OA in 2008, or throughout participation from ) and click show. To remove an article s OA status, select the box next to the article and click Remove Selected

18 Access Management Please Note: If you enter an invalid DOI (either one not found in the system or one not associated with your DOI prefix) the system will display an error message Once the articles have been selected as OA it can take up to five minutes for the status of the article to change on the BioOne site We have backend tools available to add OA content in bulk - if you would like to make entire issues open access, please contact us Content designated as OA will remain OA until someone removes them, so if you only want to make an article open for a period of time, you must remember to remove the designation at a later date
19 Content Management On the Content Management screen, you can manage featured content that appears on a rotating basis on the BioOne homepage and in the Featured Articles section by designating new articles as featured viewing existing articles marked as featured deleting the featured designation from desired articles Please note that only the most recent article marked as featured is included in BioOne s Featured Articles section. Thus, it is unnecessary to delete previous featured articles unless you so choose. To designate content as featured, enter either the article URL or DOI and click add.

23 Content Management Please Note: If you enter an invalid DOI (either one not found in the system or one not associated with your DOI prefix) the system will display an error message Once the articles have been selected as featured it can take up to five minutes for the article to display on the BioOne site This functionality is designed to only display one featured article from each publisher Due to this only the most recent article is selected from each publisher Please do not select articles that were published in the same issue (they typically have the same publication date and are selected randomly for display by the system) Content designated as featured will remain that way until someone removes them or an article is designated from a more recent issue
24 Usage Data On the Usage Data screen you can generate Year-to-date Usage Data Reports for your publication(s) For usage since the launch of the new platform you will simply need to: Select your journal title (in cases where there are multiple journals associated with a publisher) and the year you would like to view (currently only 2009 available) Select the format of the report you would like to receive, in HTML, XML or tabseparated (tab-separated suggested for easy exporting to Excel) Click on the Report button. Your report will be ed to the address you used to sign in with. For reports prior to January 27 th we have created a ZIP file containing the relevant COUNTER JR1 reports for your journal(s). You can download that file on this page as well.

26 Site Editing Under the Site Editing tab, administrators can access and manage the following: Web Pages Stories (News & Events) Files
27 Web Pages On the Web Pages screen you can: Search and update your publisher-associated informational pages, which could include Aims & Scope, Editorial Board, Editorial Office, and Author Submission Guidelines Add advertisements or images to your publisher page To edit the text of your publisher page(s): Click on the URL listed on the Web Pages screen Your publisher page will show a red bar at the top that indicates that it is in edit mode. All editable portions of the page will be in a dotted red box. To make changes, click edit in the upper left-hand corner, and then click within the red box If you do not currently have the pages listed above, you will need to contact us so that they can be set up. Once set up you will be able to make edits to the pages per these directions. To revert edits to a previous version: Each page has a history of its edits. You can access these prior versions by clicking the History link on the page listing You can view each edit by clicking the View link next to the edit Once you have located the edit to revert to, click the Revert to this Edit link The reverted edit will be approved automatically

30 Web Pages The standard HTML WYSIWYG editor (What You See Is What You Get) allows you to easily style the content on your page, including adding emphasis, links, and bulleted lists. You should be familiar with most of the icons in the editor, as they are similar to Word editors. However, hovering over an item will give you a description or name of the functionality. Because of the breadth of options, please contact us with specific HTML styling questions. Once your changes are complete, click save (the icon is a diskette) on the toolbar, and then click approve. Your changes will be made immediately visible on your publisher page. To cancel changes, click the cancel (the icon is a red X)
31 Web Pages - Advertisements To add an advertisement or image to your publisher page(s): Beginning in the editing environment of your publisher page, click on the red box in the left-hand column. This is your advertisement/image space. With your cursor in the ad box, then click on the Insert/edit image link from the toolbar (the icon is a painting). Click Browse to select the image/ad from your computer, and then Upload. The image will appear in the preview box. The width that can be used is approximately 260 pixels; the image will be rejected if it is too big. The area can be used to post a variety of different things, such as commercial ads, call for papers, an upcoming meeting/conference or any other item that will fit in the space.
32 Web Pages Please Note: This is a very feature-rich tool and due to that it can be complicated. Feel free contact us with any questions or to troubleshoot. Never approve edits unless you have confirmed that they are displaying correctly and always double-check your edits on the site after you have approved them Note that the maximum width for the advertising space is roughly 260 pixels; images placed in that area should be sized appropriately or the page will be malformed We highly recommend doing all editing with Mozilla Firefox and not IE7 Due to some conversion issues with copying directly out of Word, if you want to copy and paste text, please make sure that it is out of a plain text editor (i.e. TextPad, Notepad) rather than Word, which embeds styles in the text
33 Stories Stories are an easy way to quickly publish news-related content (press releases, announcements, etc). The main difference between this and a normal webpage is the archival nature of stories. This content is assigned a publication date and older story content is accessible through a datesorted listing. The two most recent postings are listed on the publisher page, and older items are on a subpage (accessible by clicking More > in the Stories area on the publisher page. Publisher stories utilize the same functionality as BioOne News & Events, viewable from the homepage. On the Stories screen you can: Create new stories (defined below) Manage existing stories Approve a new story posting

35 Stories To add a story to your publisher page(s): Enter a title for your story in the Title entry field Click Create New Story On the page that comes up there are several entry boxes for inputting various information: Publisher (should only have one entry unless you are administering multiple societies) Full title Summary Publication Date (this is required to drive the display) Location Description Contact information After inputting your desired information, click on Submit Note that the story is not viewable on the site until you approve it via the Manage Stories area

38 Files The Files screen allows you to upload files into the BioOne system. This is mainly used for hosting various downloadable content for users. By uploading a file and then referring to the file on one of the editable pages you can add extra content to the site, such as newsletters, author guidelines, etc., for users to download. To upload a new file: Click the Browse button and select a file on your computer Click the Upload New File button Once the file is uploaded a URL for accessing that file is displayed To update a file: Click the Browse button and select a file on your computer Click the Upload button To delete a file: Click the Delete link next to the file
