4 4 Dashboards Administrator's Guide FAQs Q: Why does my browser tell me Microsoft Silverlight is required when I am trying to view a Visualization? A: The Dashboards Module uses the Microsoft Silverlight plug-in to render visualizations. This plug-in will need to be downloaded, installed, and enabled on any PC wishing to view visualizations. Q: Why do my visualizations look differently in Chrome than they do in Internet Explorer? A: Chrome has recently discontinued the support for Microsoft Silverlight. Because of this, Passageways has implemented a different rendering tool for Chrome so that the visualizations will still appear. These visualizations will just look slightly different when viewing them from different browsers. Q: Why do my gauges only show three decimal places? Even though I set more decimal places when I created the gauge? A: Gauges have a limit of three decimal places in order to properly display gauge data. This means that if I enter 12 decimal places when setting up my gauge, the current value will show with twelve, but the gauge itself will only show three. Q: When using the data source templates; what do the entries inside of the chevron brackets mean? (i.e. <Series Name>, <value>, <X coordinate>, <High Value>, etc.) A: These entries are placed in the templates as a guide help provide details as to the type of data that should be entered into that row or column. For example, <Series Name> is meant to tell you that the data in that row should be the series names. This could be Salesperson s names (Jack, John, Mary), branch names (North, South, Downtown), or any other identifier for the data you are displaying. Page 4

5 5 Dashboards Administrator's Guide Introduction The Dashboards Module allows you to create charts and gauges that pull the data into a visual format, thus providing a "snapshot" of performance. Gauges are used as indicators for a particular piece of information, a combination of Key Performance Indicators, or overall performance. Dashboards is a transparent and efficient way for all managers and staff to visualize goals, as well as monitor progress. For the Dashboards to be displayed on a portal page, Microsoft Silverlight must be installed on every end-user s computer. If the software is not installed, the user will be prompted to install it when then try to view a Visualization. Dashboards Module Core Concepts There are some core concepts and terms that you should be familiar with when dealing with the Dashboards Module. These terms will give you a fundamental understanding of several of the terms used in the module and how they relate to the functionality of the module. Key Terms The terms below cover the important items in the dashboards module. Each of these components are used to manage your dashboards and describe items you will work with in the module. Visualization A visualization is the term used to describe the visual representation of data (i.e. the dashboard itself). This could be a chart, gauge or graph. Visualizations in the Dashboards module are managed by Visualization editors who can change the details, layout, and appearance of the visualization. Gauge A Gauge is a type of visualization available in the dashboards module that are used to display a single data value representing a single point in time. Gauges often are styled after real-world gauges such as speedometers, odometers, and thermometers. Chart A charts are a style of visualization that displays multiple data points over a period of time or for a single point of time. The charts that are available in the Dashboards Module are; Pie, Line, Bar, or Candlestick. Data Source The data source is the where the data comes from to supply the visualization with values to display. In the Dashboards Module there are three available types of data sources manual input, Microsoft Excel, and Microsoft SQL server. It is often important that the data within the data source be formatted correctly based on which visualization the data will be used to display to data. Page 5

6 6 Dashboards Administrator's Guide Data Source: Microsoft Excel The Microsoft Excel data source allows you to pull data from a Microsoft Excel sheet. The Microsoft Excel sheet must be stored in the portal s Document Repository and you must have read or view access to the file in order to select it as a data source. Data Source: Microsoft SQL Server The Microsoft SQL Server data source allows you to pull data directly from an SQL database. This is done by entering in a SQL query statement when setting up the data source. You will need to have the login information to the SQL server you are accessing and have an understanding of SQL statements in order to set up this data source type. Data Source: Manual Input The simplest of the three data source options, manual input gives you access to an empty table that you can manually enter data into. You can also update this data any time by editing the data source. Page 6

7 7 Dashboards Administrator's Guide Key People This section describes the types of users that can manage components of the Dashboards module. Data Source Administrators Data source administrators are users that have the ability to manage permissions for and edit details of the specific data source(s) they have been given permission to. This includes the ability to edit the actual data in the case of Manual input data sources; queries in the case of SQL sources, and excel sheets in the case of MS Excel files. These individuals can also make other users data source administrators and data source users. Data Source Users Data Source Users have the ability to select data sources to tie to a visualization that they are a data source user of. This does not allow them to edit the data but instead to simply use the data for creating visualizations. It is important to note that Data Source Users have the ability to see the data that is in the table they have access to. Visualization Administrators Visualization Administrators can change the details, layout, and appearance of the visualizations they are an editor of. This does not allow them to modify the data within a data source but instead allows the editor the ability to modify how the visualization looks and how the data is displayed. Visualization Users Visualization User have the ability to add visualizations to workgroup pages. They do not have the ability to edit the visualization details, layout, appearance, or the data source. Page 7

8 8 Dashboards Administrator's Guide Islands The Dashboards module has two islands that users can access and manage visualization with; the Visualization and the My Visualizations islands. Visualization The Visualization Island is the island that is used to display a visualization. It can only display one visualization at a time and can be configured to display the visualization in an array of sizes. My Visualizations The My Visualizations island is an island that shows users all of the Visualizations that they are an editor of. It only displays those visualizations that you are a Visualization Administrator of. Page 8

9 9 Dashboards Administrator's Guide Recommended Steps for Setting Up a New Dashboard This section of the guide provides the step by step process of creating and setting up a new dashboard for your portal. Part One: Creating the Data Source The first part of creating a dashboard is to set up a data source so your visualization has something to display. This is a three part process. You can find more detailed information under the Managing Data Sources section of this guide. The next three steps are performed using the Manage Data Sources module tool from here you can create and manage data sources. Step One: Select the Data Type You will need to determine which of the three data types you would like to use to pull data for your visualization. Step Two: Select or Enter the Data The second step is based up on the data type selected. This means selection of the Excel File and sheet for the Microsoft Excel option; selecting the database and entering the query for Microsoft SQL option; or manually entering the data for Manual Input option. Step Three: Set Data Source Administrators and Users The last step is to select and assign Data Administrators and Data users for the created data source. You will want to ensure that those users that you make Administrators should have the ability to edit the data and the data source. All other users who will be configuring dashboards should be assigned as Data Source Users so they have the ability to select the data source as an option. Page 9

10 10 Dashboards Administrator's Guide Part Two: Creating the Visualization The second part of creating a dashboard is creating a visualization to display the data from your data source. This is done from the Manage Visualizations Module tool. Step One: Select the Visualization Type The first step is to select if you want a chart or gauge for you visualization. Gauges are good for showing a single data point while charts a good for showing multiple data points and showing them over a period of time. Step Two: Enter Details Once you have selected either a chart or a gauge it is then time to enter the details of the visualization. This is where you will create a name and description for the visualization; select the data source that you will use in conjunction with this visualization and the specific data points you will use. Step Three: Choose Layout The layout allows you to choose additional display options to customize how your visualization appears. This includes the kind of gauge or chart (i.e. Thermometer style), how many decimal points will display, and the style of the chart or gauge. Step Four: Set Range(Gauges only) If you have selected to use a gauge to display your data you have the option to assign colors to different numeric ranges of your gauge (think of the red zone on your car s tachometer). Step Five: Set Administrators and Users The last step of creating the visualization is to assign the Visualization Administrators and Users. This will allow the selected users to either be able to edit the visualization and/or be able to add the visualization to the Visualizations Island. Page 10

11 11 Dashboards Administrator's Guide Part Three: Adding the Visualization to a Workgroup Page Now that you have created your data source and tied it to a visualization you are now ready to put that visualization on a workgroup page for users to see. Step One: Select the Workgroup Page The first step is to determine which workgroup page is best suited to display your visualization. This is often a high visibility page such as your portal s landing page or a department s public page. Which workgroup page you select will be completely dependent on the data you are trying to share. Make sure the visualization will be relevant to those that will be seeing it. It is also important to consider the sensitivity of the data as well. Make sure those individuals that have access to the workgroup page should be seeing the data of the visualization. Once the visualization has been added to the page, any user who has permission to see that workgroup page will be able to see the dashboard Step Two: Select and Add the Visualization Island to the Page Next, add the Visualization Island to the workgroup page. In order to do this, you must be either the workgroup s manager or an assistant manager for the workgroup. Step Three: Configure the Visualization Island with your newly Created Visualization Once the visualization island has been added to the page you will then want to configure the island by going to the island s action menu and selecting the Select Visualization option. This allows you to select any visualization you have access to and to also select how large you want the visualization to be. In order to do this, you must be either the workgroup s manager or an assistant manager for the workgroup. Page 11

12 12 Dashboards Administrator's Guide Managing Data Sources The Manage Data Sources module tool is where Administrators can create, edit, and delete data sources in the Passageways Dashboards module. This tool displays data sources within the portal that you have permissions to manage and shows creation details along with update and data refresh information. Data Source Templates In order to help ensure that your data is set up properly within your data source, Passageways has provided three templates for common styles of charts. Simply click on the View Templates button to get access to the three templates: Bar/Line, Financial, and Pie. Selecting any of these will download an excel file that you can use as an example for structuring your data. A screenshot of each is shown below for reference. Page 12

13 13 Dashboards Administrator's Guide Creating a New Data Source Administrators with access to the Manage Data Sources module tool can create Excel, SQL, or Manual Input data sources by clicking the New Data Source button in the Manage Data Sources Module tool. Creating an Excel Data Source Excel Data sources are a convent way to tie excel file data to your visualizations. It is important to note that any excel file you wish to use will have to be uploaded into the Passageways Document Repository (aka Portal Documents) and you will have to have read permission to the document in order to access it as a data source. Step One: Name and Description The first step in the creation of any data source is to create a name and a description for the data source. Ensure that the name and description makes it clear to other users what the nature and purpose of the data source is. Step Two: Selecting the Excel File Next you will want to select which excel file you want to pull data from. Only excel files that are inside of portal documents can be used this way. Page 13

14 14 Dashboards Administrator's Guide Step Three: Selecting the Worksheet Once you have selected the excel file you will then need to select which worksheet you will want to pull the data from. You can only select one worksheet at a time. You can use the Preview button to see the data in the worksheet to ensure you are selecting the correct one. Page 14

15 15 Dashboards Administrator's Guide Step Four: Determine Refresh Options After you have selected the worksheet you will then need to determine the how frequently the data will be refreshed in order to update any visualizations tied to the data. This is typically done in Real-Time so that viewers have the most current data but there are daily, weekly, or monthly options as well. You will also need to select what viewers will see if the data source happens to be unavailable when they are viewing the visualization. If the message option is selected, viewers will see a message that informs them that the data source is currently not avaible when they view the visualziation while the data source is unavailable. Step Five: Select Data Source Users and Administrators The last step is to determine which users, roles, and workgroups will be Data Source Users and Data Source Admins. See the Key People section of this guide for more information on Data Source Users and Data Source Admins. Page 15

16 16 Dashboards Administrator's Guide Creating a SQL Data Source The Dashboards module allows you to connect an SQL database directly to visualizations. Special Note: It is highly recommended that if you are not familiar with Microsoft SQL that you contact your organization s Information technology team before creating SQL data sources. Step One: Name and Description The first step in the creation of any data source is to create a name and a description for the data source. Ensure that the name and description makes it clear to other users what the nature and purpose of the data source is. Step Two: Selecting and Authenticating to a SQL Server After you have created your name and description you will then need to select which SQL server you would like to connect to by using the available dropdown. This dropdown will show you a list of SQL servers that have been made available on your network. Select the Server that contains the database you wish to connect to and then you will need to determine how you will authenticate to that server. This can either be by using Windows Authentication (aka. your Windows credentials) or SQL Server Authentication (aka username and password for the SQL server). Once you have made your selections make sure to use the Test Connection button to ensure that you are properly connected to the server. Page 16

17 17 Dashboards Administrator's Guide Step Three: Selecting Database and Entering a Query Now that you are connected to the SQL server you can enter a query to any of the databases that are on that server. You can use the dropdown to see a list of available databases. Once you have determined which database you would like to pull from you are then ready to assemble your SQL query and enter it in the Query field. You can preview the data pulled from your query by using the Preview Data button to ensure that it is correct. There are two optional check boxes that allow you to display the column names or to transpose the results. Transposing the results will rearrange the data from a vertical format to a horizontal format in order to improve how the data works with some visualization types. See the Data Source Templates section of this guide for more details. Special Note: Check out the Passageways Support Center at to find several example queries that can be used to pull a variety of data from Passageways databases. Page 17

19 19 Dashboards Administrator's Guide Creating a Manual Input Data Source The simplest and easiest way of creating data sources, the Manual Input data source gives you complete control over what data is entered, how it appears, and how it is updated. Step One: Name and Description The first step in the creation of any data source is to create a name and a description for the data source. Ensure that the name and description makes it clear to other users what the nature and purpose of the data source is. Step Two: Enter Values Once you have created the name and description for your data source, you are then ready to begin entering the data into the spreadsheet. Simply type your data into the spreadsheet. See the Data Source Templates section of this guide for more details on how your data should be arranged based on the type of visualization you are trying to display. (In order to change the data after creation see the Editing Manual Data Sources section of this guide.) Page 19

20 20 Dashboards Administrator's Guide Step Three: Determine Refresh Options After you have entered all of your data, you will then need to select what viewers will see if the data source happens to be unavailable when they are viewing the visualization. If the message option is selected, viewers will see a message that informs them that the data source is currently not avaible when they view the visualziation while the data source is unavailable. You will not be able to select a refresh frequency as manual data sources are always considered on a Real-Time refresh rate since data in the data source is changed manually. Step Four: Select Data Source Users and Administrators The last step is to determine which users, roles, and workgroups will be Data Source Users and Data Source Admins. See the Key People section of this guide for more information on Data Source Users and Data Source Admins. Page 20

21 21 Dashboards Administrator's Guide Editing or Deleting Data Sources The Manage Data Sources module tool also allows you edit or delete any of the data sources that you are a data source administrator for. In order to edit or delete a data source simply click the drop down near the data source s name and select either option. Editing SQL Data Sources When you select to edit a Manual Data Source you will find a special button called the Edit Query button. This button is where you can edit the SQL query in order to change the data you would like to pull for this data source. Edit Query Editing Manual Data Sources When you select to edit a Manual Data Source you will find a special button called the Edit Cached Data button. This button is where you can open the spreadsheet and modify the data therein. This is the only way that data in a manual data source can be modified. Edit Cached Data Page 21

22 22 Dashboards Administrator's Guide Managing Visualizations The Manage Visualizations module tool is where administrators can go to create, edit, copy, and delete visualizations. This tool displays all visualizations that you have permissions to access within the portal and shows creation details along with update and refresh information. Creating a new Visualization With the Manage Visualizations Module tool you can create new Charts or Gauges by clicking the New Visualization button and selecting either option. Once you are on the new visualization page there will be three tabs for charts or four tabs for gauges along the top. You will use these tabs to create your visualization Configuration Tabs Page 22

23 23 Dashboards Administrator's Guide Creating Charts Charts are a handy way to share multiple data points and multiple data points over time. Step One: Enter Details The first step in the creation of any visualization is to create a name and a description for the visualization. Ensure that the name and description makes it clear to other users what the nature and purpose of the visualization is. The description of a visualization can be made visible to people viewing the visualization as an option. So, make sure that the description makes sense and is free of grammatical errors. The text in the description field can be stylized using the Portal Text Editor. Name & Description Show Description Page 23

24 24 Dashboards Administrator's Guide Step Two: Select Data Source and Data The second step to creating a chart is to select which data source you want to pull data from in order to create the visualization. This is done from the dropdown beneath the description. You will only see data sources that you are a Data Source User of in this list. Once you have selected a data source you can then use the selection tool to pick which pieces of data you would like use for your visualization. If you would like to see your selected data source in a table format you can click the Preview Data Source button for details. Set Y-Axis Select Data Source Select Data View Data Source Page 24

25 25 Dashboards Administrator's Guide Step Three: Select layout and Color After you have set up the visualization s details and data you are now ready to determine how the visualization will appear. The Layout tab gives you four different kinds of charts to select from Pie, Line, Bar, or Candlestick. Use the Refresh Preview button to see an example of what you data looks like visualized. If you need to make changes to your selected data you can always go back to the details tab at any time. You can also select from a variety of color schemes in order to help match the colors that best represent your data. Page 25

26 26 Dashboards Administrator's Guide Step Four: Choose Editors The last step in creating a visualization is to determine who can edit the visualization. This is done by using the Editors tab and selecting which users, roles, or workgroups you want to assign as Visualization Editors for this visualization. Keep in mind that in order for a user to be able to add your visualization to a workgroup page they will need to be a visualization editor. Once you have made your selections make sure to hit the Finish button at the bottom of the page to save your visualization. Page 26

27 27 Dashboards Administrator's Guide Creating Gauges Gauges are a handy way to share a single data point in a simple and understandable way. Step One: Enter Details The first step in the creation of any visualization is to create a name and a description for the visualization. Ensure that the name and description makes it clear to other users what the nature and purpose of the visualization is. The description of a visualization can be made visible to people viewing the visualization as an option. So, make sure that the description makes sense and is free of grammatical errors. Page 27

28 28 Dashboards Administrator's Guide Step Two: Select Data Source and Data The second step in creating a gauge is to select which data source you want to pull data from in order to create the visualization. This is done from the dropdown beneath the description. You will only see data sources that you are a Data Source User of in this list. Once you have selected a data source you can then use the selection tool to pick which point of data you would like use for your visualization. If you would like to see your selected data source in a table format you can click the Preview Data Source button for details. Optional: Selecting Columns or Rows Instead of picking an individual cell s value you can also choose to select a column or row instead. Using this option will then automatically update the visualization when a new value is added into a larger cell number. For example cell L3 is larger than cell L2 just as cell M1 is larger than cell L1. Page 28

29 29 Dashboards Administrator's Guide Step Three: Select Layout and Style After you have set up the visualization s details and data you are now ready to determine how the visualization will appear. The Layout tab gives you four different kinds of gauges to select from; half-moon, line, odometer, and speedometer. Select the type that you like and then use the Refresh Preview button to see an example of what your data looks like visualized. If you need to make changes to your selected data, you can always go back to the details tab at any time. Some gauge types have special customization options. These options will appear underneath the gauge options after the gauge is selected. For example, in the screenshot below the Speedometer gauge has an option to use a Half Circle style instead of the traditional round speedometer style. You also have control over how values are displayed on the gauge by using the Value Display dropdown to select from different value types. You also can optionally use commas for large dollar amounts and control the number of decimal places that are shown. You also have three options for how the Ticks display on the graph. Ticks are the progress indicators on the gauge the have a number value next to them. These ticks help provide a frame of reference for the numeric value of the gauge. You can also select from a variety of styles in that allow you to customize the appearance of your gauge. Page 29

30 30 Dashboards Administrator's Guide Step Four: Set Range The Range tab gives Gauges an option that allows you to color code different value ranges that appear on your gauge. You also can control the minimum and maximum values for your gauge from this tab. The Use Gradient checkbox is also available if you desire less defined color breaks. Page 30

31 31 Dashboards Administrator's Guide Step Five: Choose Editors The last step in creating a visualization is to determine who can edit the visualization. This is done by using the Editors tab and selecting which users, roles, or workgroups you want to assign as Visualization Editors for this visualization. Keep in mind that in order for a user to be able to add your visualization to a workgroup page they will need to be a visualization editor. Once you have made your selections make sure to hit the Finish button at the bottom of the page to save your visualization. Page 31

32 32 Dashboards Administrator's Guide Editing, Copying or Deleting Visualizations The Manage Visualizations module tool also allows you edit, copy or delete any of the visualizations that you are a Visualization Editor for. In order to edit, copy or delete a visualization simply click the drop down near the visualization s and select the desired option. Page 32

33 33 Dashboards Administrator's Guide Displaying Visualizations Once you have set up a visualization you are now ready to display that visualization on a workgroup page. This is accomplished by adding the Visualization island to a workgroup page. Keep in mind, in order to add an island to a workgroup page you must be either the workgroup s manager or an assistant manager with proper permissions. Setting up a Visualization Island Once the Visualization island has been added to a workgroup page you can set up the island with any visualization that you are an Visualization editor of. This is done by clicking the Actions button in the upper right hand corner of the Visualization island and then clicking the Select Visualization option. From here, select the visualization you would like from the drop down list on the left. Once selected, a preview automatically fill the center of the page and will also allow you to enter a height and width size for your visualization on the page. Once you have make your selections click the Ok button to confirm your options. Page 33

34 34 Dashboards Administrator's Guide Placing a Visualization within a Carousel Island Frame In addition to placing a visualization directly on a page with the Visualization Island, visualizations can also be placed within a Frame of the rotating Carousel Island. To do this, simply add the Carousel island to the page, then use the Actions button in the top corner of the island to Manage the content of the Carousel Island. In the Timer field, set how many seconds you wish to delay between each Frame. Click Add New Frame and select Visualization. To continue configuring the Visualization Frame, click the No Visualization Set text, then click Edit Frame. The rest of the process will be identical to setting up a normal Visualization island. Just chooe the desired visualization from the dropdown menu, set the desired size, then click OK. The process can then be repeated for as many frames you d like to appear within the rotating content of the Carousel island. 35 35 Dashboards Administrator's Guide Working with the My Visualizations Island The My Visualizations island displays all of the Visualizations that you are an administrator of. It only displays those visualizations that you can edit and allows you to edit those visualizations directly from the island. This island is a great way for users to be able to manage their visualizations without having to have access to the Manage Visualizations Module tool. Editing Visualizations The My Visualizations island allows you to edit your visualizations directly from the island. To edit your visualization, simply click the drop down next to the visualization s name and click the edit option. This will then allow you to make any changes that you like to the visualization s details, layout, range and editors. Page 35
