7 What is Virtual Front Office (VFO)? Gateway between service/network providers Accessible via a web-based GUI Allows ordering of local and access service requests and trouble ticket reporting with local exchange carriers Performs automatic validation of service requests Stores and maintains all service requests submitted and subsequent notifications received (i.e. FOC, Clarification, DLR) 7

8 VFO Overview Exchange Link is a hosted system made of two major components, and two minor components. FairPoint Systems 8

10 Login Browse to VFO URL. name>:<port number> Enter User Name. Enter Password. Select LOCAL Module. Click Change Password. Click Login. 10

11 Change Password Enter Old Password. Enter New Password. (May not exceed 16 characters) Reenter New Password. Click Update Password. 11

13 Turn Off Pop-Up Blocker Click internet menu Tools > Internet Options 13

16 Using Menu Options Click HOME when you want to return to the ORDER tab. Click ABOUT when you want to know what version of VFO you are using. 16

19 Review Select Local module for LSR transactions. Passwords are case sensitive but user names are not. Turn off Popup Blocker before working with the application. Home Page is the Order List. Use the Help System for application assistance. 19

25 Performing a Preorder Search Select Preorder > Search. Input fields. Indicate if Public Search. Click Go. Results appear below. 25

26 Printing a Preorder from the Preorder Search Select Preorder > Search. Click TXNUM. Print. 26

27 Review To create a preorder query, hover the Preorder tab then click new. Click Change if you need to modify the preorder or to send it again. If you want to print the preorder transaction, do not click save until after it is printed. Preorders are not saved unless you click Save. 27

Create and submit but do not save the following Address Validation transaction (CC=323C; TXTYP=A; TXACT=A) for location: Place Train in front of TXNUM generated by the application AFT= N SANO= 1442 SASN= MAIN SATH= ST CITY= GRAFTON STATE= NH ZIP = Change the SANO to 1441 in the address above, then resubmit and save it. 3. Find PreOrder transaction with TXNUM 31. What is the customer s name? 4. What do you need to remember to populate when searching for the PreOrder transaction above? 28

31 Creating New Orders Cont d Enter a new Order Number Select: Trading Partner Service Center Guideline Version Service Activity Template (Only if you have one to use) Tracking is not supported by FairPoint. Do NOT check this box. Click Initiate 31

34 Creating New Orders Cont d The form displayed appears with a red border. Enter the number to add and then click Add to get a blank form, or Copy to repeat the data on this form or section to the new form or section added. If you add too many sections, click Remove section. 34

35 Saving Orders Click either the Save icon or Save Order menu option to retain the information entered. 35

36 Validating Orders Click either the Validate icon or Validate menu option to verify the accuracy of the order. 36

37 Validating Orders Cont d If there are any issues, an error code list box opens. Click the error to move to the form and field. After clicking the Error Message, the field with errors appears in red and the cursor moves to the field. 37

38 Validating Orders Cont d When no issues exist, the Status changes to Validated. 38

39 Submitting Orders Click either the submit icon or Validate and Submit menu option to transmit the order to the Service Provider. 39

40 Submitting Orders Cont d Submitted Order statuses: Submitted Order reached Exchange Path and is being processed. Sent Order has been transmitted to the trading partner. Errored Order failed the business rule validation and was not submitted. Pending Submission Exchange Path application is down, order is in queue waiting for submission. System Errored Order failed to transmit. Click the status link to view reason for the error and then submit again. 40

41 Printing Orders Click either the print icon or Print menu option to view and then print the order. 41

42 Review You can provide your own PON value by replacing the system generated one. Tooltips provide field definitions and examples of valid values. For repeating sections, you can click to add or copy the existing data to the new section. The system will validate your order before it submits it. If validation errors are displayed, click the error text to move your cursor to the field violating the rule. View the status field to verify an order validates, is submitted, etc. 42

45 Working with the Order List Click the links to view the order in different formats. PON opens the order in read/write format Version opens the order in read only format Status opens the response or most recent version if no response received 45

48 Filtering Orders Click the Funnel icon to filter the order list. Click Exclude check box and then the status you want to exclude in the list. If Exclude is unchecked then the statuses selected will appear on the Order List. 48

49 Search for Orders Hover over the Order tab and select Search. Select the type of search. Enter the search value. Click Search. (% is the wild card) 49

50 Viewing the Order History Click the radio button next to the Order and click the book icon to view the order history. History Icons Download XML Print Return to Order 50

51 Viewing Response Summary Reports Click the radio button next to the Order and click the clipboard icon to view the Summary Report. 51

52 Review You can filter the Order List to only show your orders by unselecting Public check box. To search for orders that have a zero in the PON, enter %0%. Click the status to view the entire message from the trading partner or use the summary icon to view the highlights. The history shows all the saves, validates, and submissions of the order as well as all trading partner responses. Click the PON next to the function to view the order data or trading partner response. 52

53 Exercise D 1. Filter the Work List to just show your orders. How many do you see? 2. Search for Orders with PONs starting with OR. How many were returned? How did you enter this in the search criteria? 3. View the History of PON OR-JBN-01-C. When was version 3 submitted? 4. View the Summary of OR-EBN-01-REJ. What is the error code and message returned on this order? 53

55 Reassigning Orders Click the radio button next to the Order and hover over the Order tab, then select Reassign Order. 55

57 Supplementing Orders To create a supplement, click the supplement icon or use the Order > Supplement menu option. 57

59 Voiding Orders To void an order, hover over the Order tab and click the Void menu option. Can only void orders, not supplemented, that have not been submitted and those submitted but rejected by the Trading Partner. 59

60 Saving Orders As New Orders Click the radio button next to the Order and hover over the Order tab, then select Save As Order. 60

61 Saving Orders As New Orders Cont d Enter a new Purchase Order Number (PON) and click Save. 61

62 Review Reassign function is displayed in the history to show who did the reassignment and the new owner of the order. Remember to enter Supplement Type after selecting the supplement command. Icon 3 is used to start a Supplement. Revert to Last Submitted is used to back out a supplement before it is submitted. Void can only be used on the initial order request before it is submitted or when the trading partner rejects it. Save As is used to copy orders. 62

63 Exercise E 1. Find Resale Order OR-EBN-01-REJ, copy and submit it. Name the PON TRAIN + Your Initials + E1. What values are not carried over from the copied PON? 2. If the order you created in step 1 above was rejected, view the summary and supplement to fix the issue (i.e., wrong state was selected from drop down.) 3. If you didn t want to fix the order, what other function could you do? 4. Copy the Number Port order you created previously and instead of submitting, void the copied order. 63

73 Applying a Template To apply a template to a new order, select the Template on the Order Initiation screen. To apply a template to an order in progress, select the Apply Template menu option. 73

74 Review There are three ways to create a template: Template tab New Save as Template from Order List Save as Template from inside the order. There are two ways to apply a template: On the Order Initiation page Inside the Order using the Apply Template command Only the owner of the template can modify or delete it. To search for a template populate the blank fields beneath the column headings and click Go. 74

75 Exercise F 1. Create a new template with Service Type = JB and Act = N, and populate your information in the INIT Name and INIT Telephone Number fields. Save the Template with your name. 2. Find PON OR-JBN-01-C and save this as a template. Name the template by combining your initials, the Service Type, and Activity (e.g.. JLG-JB-N). 3. Search for the template you created in step 2 and remove the Init Name and Telephone Number values. 4. Create a new order, name the PON Train + your initials + F4 and use the 2 templates you created above to populate the order. 5. What values are not populated after applying the two templates that are required? 75
