5 2. Introduction You can use Street Works Mobile to synchronise data between your mobile device and TMA. 3. System Requirements This document requires Street Works Mobile and TMA Street Works Mobile for Tablet has been designed to operate using Microsoft Windows. Whilst specific hardware devices cannot be recommended, the following platforms are supported: Windows XP Professional or Tablet Windows Vista Windows 7 Minimum: Intel Pentium GHz or AMD Athlon XP 1500+, 512 MB RAM (1GB for Vista users), 500 Mb free disk space Recommended: Dual-core processor, such as the Intel Pentium D or AMD Athlon 64 X2, 1 GB RAM (2 GB for Vista / Windows 7 users), 500 Mb free disk space Note 1: All platforms require Microsoft.NET Framework (version 1.0 SP3 or higher). Note 2: If you wish to use the wireless Send & Receive feature then your device must be equipped with WiFi, GPRS or 3G and you might also require a mobile airtime contract. Note 3: It is strongly recommended that any mobile device that you are considering should be tested thoroughly prior to purchase for compatibility with Street Works Mobile. Page 4

Running Street Works Mobile After installing Street Works Mobile for Tablet (refer to the Street Works Mobile for Tablet User Installation Guide) use either the Street Works Mobile icon on your desktop or the icon located in your Start > Programs > Bentley Street Works Mobile folder to start Street Works Mobile: Page 5
7 5. Main Screen The main screen of Street Works Mobile displays a list of batched inspections downloaded from your TMA system as well as Ad Hoc Inspections created on your device. Two columns indicate how many Inspections are left 'To Do' or 'Done'. Note the two drop-down menus along the top of the screen: the drop-down to the left is your 'Filter' control and the drop-down to the right is your 'Group By' control. 5.1 Group and Filter The 'Group By' drop-down control allows you to arrange the inspections on your front screen either by Date, Locality, Town or County. 8 You can also use the 'Filter' control to display either: 'Show All' inspections; inspections for 'Today Only' (inspection date is the current day's date); 'Today/Older' inspections (inspection date is today or earlier) or 'Sent Only' inspections. From the main screen, you can click on an item in the list to display the individual inspections for the selected Date, Locality, Town or County. Page 7
9 5.2 Open / Delete From the main screen, you can right-click an item to display a menu which will allow you to either Delete or Open the item you have just selected. If you select 'Delete' you will be prompted to delete all the inspections for the selected Date, Locality, Town or County. Page 8
10 Selecting 'Open' performs the same action as clicking on the item in the list - all the inspections for the selected Date, Locality, Town or County will be displayed. Show Inspections / Search Works Finally, note that clicking the Show Inspections / Search Works buttons switches view between displaying Inspections and the screen for Searching Works. For more information on Searching Works refer to Section 7. Search Works. Page 9
11 6. Inspections From the main screen, you can click on an item in the list to display the individual inspections for the selected Date, Locality, Town or County. Select an individual inspection and click the Open button to display the inspection. Page 10
12 You can also right-click to display a menu. Selecting 'Delete' will prompt you whether you want to delete the selected inspection. Page 11
13 Selecting 'Open' will open the inspection (note that this is the same as simply clicking the selected item). 6.1 Inspection Details: The final screen will display seven tabs: Works, Site, Dates/Types, Items, Summary, Photos and Defect. You can navigate between the tabs to complete the Inspection. Page 12
14 6.2 Items Select an item and use the buttons at the bottom of the screen to change the Item Status. You can also enter Details for each item and use the Set All Items menu at the bottom of the screen to set the status for all items. 6.3 Summary Select an Outcome for the Inspection. Page 13
15 6.4 Photos You can add one or more photos to an inspection. Click the OK button to add the selected photos to the inspection. Click on a photo to see a thumbnail preview. Page 14
16 Tick a photo and click the Remove button to remove it. 6.5 Defect Failed Inspections may require further details on this tab. 6.6 Completion When you have completed an Inspection click the OK button in the top-right corner to close and save the Inspection. Page 15
17 7. Search Works From the main screen, click the Search Works button to display the Search screen. From here you can search for works information synchronised to your device from TMA by entering part, or all, of the street name. To begin, enter the street name you are searching for and click the Search button to display a list of matching streets. Page 16
18 Click on any street to see a preview of the works for that street. You can now click on a Works item and use the New Ad Hoc Inspection button to create a new inspection based on the works you have just selected from the list. For further information refer to Section 6. Inspections. Page 17
19 8. Ad Hoc Batching From the main screen, click the Ad Hoc Batching button to display the Ad Hoc Batching Search screen. From here you can query the works data downloaded to your device and then generate batches of Ad Hoc inspections ready to be inspected. To begin, enter the Works criteria you want to search for. In this example we are going to search for all Works from a single Undertaker. Note: You will probably need to add further criteria to your own searches to reduce the number of records returned. Page 18
20 Once you have selected your search criteria, you can use the Count button to carry out a quick count of the number of works that will be returned by your Preview. Tip: Using the Count button before you use the Preview button is a good idea in case your search is going to return too many records. Now click the Preview button to see a list of the Works you have decided to search for. You can view additional data columns using the scroll bar at the bottom of the screen. Page 19
21 And you can drag the side of a column to increase its width. Tick or Untick the works you will require batching. Tip: You can use the Untick All or Tick All buttons to quickly select or deselect all your works at once. Once you have selected your works for batching, use the Batch! button to create your Ad Hoc inspections. Page 20
22 You will be prompted whether to batch your inspections. Click Yes to continue. Once you have finished, return to the main screen to see your new inspections. You can now complete these new inspections just like any other batched or Ad Hoc inspection (see Section 6. Inspections). Page 21
23 9. Creating a New Ad Hoc Inspection You can create an Ad Hoc Inspection using either of the following methods: From Search Works From Ad Hoc Batching 9.1 From Search Works Search by street and then select a works from the list. Then use the New Ad Hoc Inspection button at the bottom of the screen to create a new Ad Hoc Inspection. See Section 7. Search Works for further details. 9.2 From Ad Hoc Batching Generate a list of works then use the Batch! button to create one or more Ad Hoc inspections. See Section 8. Ad Hoc Batching for further details. Page 22
24 10. Send & Receive Before you perform a Send & Receive you must either have a wireless connection to the Internet (using GPRS, 3G or WiFi) or a wired connection. From the main screen, click the Send & Receive button to synchronise your device with your FTP Server. Completed inspections will be sent to your server and new inspections, as well as streets and works updates, will be downloaded from your server. Note: If your mobile device doesn't have a connection to an FTP Server use the 'Export Completed' and various 'Load' menu options instead of Send & Receive. Page 23
25 11. Loading Inspections, Streets and Works The Load menu option includes the following options: Load > Inspections Load > Streets Load > Works Load > Metadata These options are detailed below. Note: You only need to use the various Load options if you are not using Send/Receive Load Inspections Clicking this option will automatically load inspections.txt files if they have been copied to the default data files folder (C:\DCD Files\SWM\Batches). 26 11.2 Load Streets Clicking this option will automatically load Streets.XML files if they have been copied to the default data files folder (C:\DCD Files\SWM\Streets) Load Works Clicking this option will automatically load works.csv files if they have been copied to the default data files folder (C:\DCD Files\SWM\Works). 27 11.4 Load Metadata Clicking this option will automatically load the metadata.xml file from the C:\Program Files\Exor Street Works Mobile folder on your device. Page 26
28 12. Removing Inspections, Streets & Works The Remove menu option includes the following options: Remove > All Inspections Remove > Old Inspections Remove > Sent Inspections Remove > Streets Remove > Works Remove > Metadata These options are detailed below. Note: Under normal operating conditions you shouldn't need to use any of the Remove options Remove All Inspections Clicking this option will prompt you to delete all inspections from the device. 29 12.2 Remove Old Inspections Clicking this option will prompt you to delete all inspections with an inspection date previous to today's date (note that the date must be correctly set on the device) Remove Sent Inspections Clicking this option will prompt you to delete any inspections that have been previously completed and sent. 30 12.4 Remove Streets Clicking this option will prompt you to delete all streets from the device Remove Works Clicking this option will prompt you to delete all works from the device. Page 29
31 12.6 Remove Metadata Clicking this option will prompt you to delete all metadata from the device. Page 30
32 13. Archiving Files, Compacting/Deleting Your Database 13.1 Archiving Data Files As you continue to use Street Works Mobile the number of files in your C:\DCD Files folder will continue to increase. You should occasionally use the Archive Data Files option to remove old data files from your device. Note: The age of files that will be deleted in set on your Settings screen (see Section 16. Settings) Compacting the Database As you continue to use Street Works Mobile the database will continue to increase in size. You should occasionally use the Compact Database option to remove waste space from your database. Note: There must be enough free disk space to allow a copy of the database file (.sdf) to be created. 33 13.3 Deleting the Database Sometimes you might decide that you want to remove your device database and start with a new one. If you are sure you want to do this, use the Delete Database option. Warning: Deleting your device database will remove all of your data. Make sure you want to do this before you proceed. Page 32
34 14. Exporting Completed Inspections 14.1 Export Completed Inspections Select the Export > Completed Inspections option to export completed inspections from the database as.txt files in your default data files folder (by default, C:\DCD Files\SWM \Exports). You can now use Windows Explorer to manually copy the files from your device. Note: If your mobile device has a connection to an FTP Server, use Send & Receive instead of Export Completed. Page 33
35 15. My Text Street Works Mobile includes a feature called My Text which allows you to maintain a list of commonly used words or phrases which you can then enter when completing data fields instead of manually typing out words one character at a time. To start entering some text into My Text, navigate to Tools > Options > Edit My Text from the main screen. Use the New and Delete buttons at the bottom to add or remove new My Text words or phrases. Tip: Your My Text phrases are stored in a TXT file on your device (C:\Program Files\Exor Street Works Mobile\MyText.txt). You could manually edit this if you want. Page 34
36 You can add as many phrase to My Text as you like. Once you ve created your My Text you can access it whenever you want to enter text into a data field. Page 35
37 Just click into the field where you want to enter your My Text then click the My Text menu at the bottom of your screen and click the text you want to enter. Note: You can select multiple items from My Text, mixing and matching with text you manually enter yourself. Page 36
38 16. Settings A number of options are available for you to configure Street Works Mobile: User settings Files settings FTP Download and Upload settings These options are detailed below User Settings Organisation Ref (mandatory): A 4-digit number must be entered to specify your Organisation Reference (to allow Send & Receive). District Ref (mandatory): A 3-digit number must be entered into this field to specify your District Reference. Inspector s Name (mandatory): Enter your name in this field to uniquely identify your inspections. Receive Every: You may select this option if your Street Works Mobile solution is enabled for a wireless network and you wish to automatically check for new inspections at regular intervals. Font Size: You can use this option to control the size of fonts throughout Street Works Mobile. Only download Inspector s Works/Streets: You should only select this option if Streets Groups have been enabled on your TMA server. Only download Inspector s Inspections: You should only select this option if Streets Groups have been enabled on your TMA server. Page 37
39 16.2 Files Settings Data Files Folder: You may change this location if you wish to store your database file and other data files (Inspections, Streets and Works) in an alternate location. If you change this value you may be prompted to re-create a new data files folder and database. Database Name: You may change this option if you wish to use a database with a different name. If you change this value you may be prompted to re-create a new database. Warn downloading files larger than...: You may change this option to alter the default (100 kb) size that Street Works Mobile will warn about downloading. Archive Files Older than... This option controls the age of files that are deleted by the Tools > Options > Archive Files menu option. Page 38
40 16.3 Download Settings (Download) Server Address: Enter the URL address of the Download FTP server you wish to use. e.g. ftp.exor.co.uk Download Folder: Enter the folder on the FTP server where your download files (new Inspections, Streets and Works) will be made available to download. e.g. download\john (Download) Username and Password: If your FTP server requires a username and password for full access, enter them here. Show: Tick this option to temporarily display your Password. Use Active mode: Only select this option if instructed to do so by your technical support department. Page 39
41 16.4 Upload Settings (Upload) Server Address: Enter the URL address of the Upload FTP server you wish to use. e.g. ftp.exor.co.uk Upload Folder: Enter the folder on the FTP server where your uploaded files (completed Inspections) will be sent. e.g. upload\john Photo Folder: Enter the folder on the FTP server where your uploaded photos (completed Inspections) will be sent. e.g. upload\john\photos (Upload) Username and Password: If your FTP server requires a username and password for full access, enter them here. Show: Tick this option to temporarily display your Password. Use Active mode: Only select this option if instructed to do so by your technical support department. Page 40
42 17. Tips and Tricks 17.1 Take a Regular Backup Copy of Your Device Database It's a good idea to take occasional backups of your device database. Simply copy your database file (SWM.SDF) to a safe location such as a network server or a memory stick Improve Performance by Removing Sent Items If you have been using Street Works Mobile for some time and you notice that performance is deteriorating try removing Sent Items Street Groups If you have Street Groups enabled on your TMA solution then you should enable the options 'Only Download Inspector s Works/Streets' and Only Download Inspector s Inspections. You should also make sure that the 'Inspector's Name' is set according to the value as defined in your TMA system (refer to your TMA product documentation): Page 41
