1 GCSS-Army Transaction Guide Business Purpose Use this transaction to create, display, and print an Operators Permit Ledger report. It lists all operators within any force element (FE) or organizational structure who hold Operators Permit IDs with expiration dates that fall within a specified period. This report has "drill down" capability, allowing you to immediately view the Qualification Profile of any individual on the report. Business Trigger Use this transaction as needed to create and maintain a ledger of all operators permits issued within your unit. Navigating to the Transaction To navigate to the initial screen of the ZoPLR transaction, click the ZoPLR link in the GCSS-Army portal or type ZoPLR in the SAP Easy Access screen Command field and press Enter.

3 Page: 3 of 25 Operators Permit Ledger (1/2) The Ledger can be created for one force element (FE) or several. (Force elements are referred to here as Organizational Units). Critical: If you choose to report on a unit, such as a Battalion, that has subordinate FEs, then all the subordinate FEs will be included in the report. Only FEs that have no subordinate FEs can be reported on individually. In this example, you first create a ledger for a unit with subordinate FEs. You then create one that displays the subordinate FEs individually. Operator permits must be recorded in GCSS-Army to be included in the report. 1. Search Term field. 2. Enter a Unit Identification Code (UIC), or other unique search term, into the Search Term field (for example: WH53A0). 3. Press Enter. If an FE matches your search term, then that unit's FE number appears in the Organizational Unit field when you press Enter. If no matches are found, the status bar displays the message Organizational Unit [search term] not found, and you should try again.
4 Page: 4 of 25 Operators Permit Ledger (2/2) You must also specify a Reporting Period. This is defined as the period between a specific Start Date and End Date. The report displays only those Operators Permits with expiration dates occurring within the reporting period. For general use, leave the Start Date set to its default (the current date) and change the End Date to 12/31/9999. This ensures that you do not accidentally exclude any permits with expiration dates in the distant future. 4. End Date field. 5. Type your entry in the End Date field (for example, 12/31/9999). 6. Save as Variant button. Whenever you create an initial report screen that you are likely to need again, save it as a variant for future use. Once a variant is saved, you can easily re-apply the same settings every time you run the report.
5 Page: 5 of 25 Variant Attributes The Variant Attributes screen looks complicated at first, but there are only two required fields: Variant Name, and Meaning. It is also recommended that you select two check boxes, Protect Variant and Start Date - Save field without values, as shown. 7. Variant Name field. 8. Type your entry in the Variant Name field (for example, WH53A0). Select a name for your variant that makes sense to you. The specified UIC or unit abbreviation is a good choice. 9. Type your entry in the Meaning field (for example, S&T CO, SPT BN, HVY SEP B). Enter a brief description of the variant. The full name of the specified UIC is a good choice. 10. Protect Variant check box. For any given transaction, all users can see and access all variants. Selecting the Protect Variant check box is recommended because it prevents other users from changing your variant.
6 Page: 6 of 25 In the Save field without values column, click the check box in the Start Date row, selecting it. This allows the current date to default into the Start Date field. Save button. 7 Page: 7 of 25 Operators Permit Ledger The status bar displays the message Variant [variant name] saved. In addition, the application tool bar displays the Get Variants... button. This button only appears when one or more variants are available for use. 13. Execute button.
8 Page: 8 of 25 Operators Permit Ledger (Report) You have generated a unit's Operators Permit Ledger showing all Operators Permits with expirations that fall within the specified period. By default, the operators are sorted in ascending order by personnel number (Pers. no.). Even though the operators are assigned to various subordinate FEs, the Unit column displays only the name of the unit you specified. In the next example, you will learn how to create a Ledger that displays each individual FE. You can display the details of individual profiles by double-clicking any name on the report. 14. Double-click an operator's name to view their Qualifications Profile (for example, TY YERSHUZE).

The qualifications are maintained in six tab pages: Equipment Qualifications Utilization Qualifications Restrictions Violations Licenses Delegated Authority (not used at this time) In this scenario, you will view four tabs, including the Equipment Qualifications tab displayed here. 15. Utilization Qualifications tab.
10 Page: 10 of 25 Person: Display Profile (xx/xx/xxxx - xx/xx/xxxx) (Utilization) The Utilization Training tab contains the operator's mandatory, equipment-related, and missionrelated qualifications. 16. Violations tab.
11 Page: 11 of 25 Person: Display Profile (xx/xx/xxxx - xx/xx/xxxx) (Violations) The Violations tab shows traffic violations if the following conditions are met: 1. The operator has been convicted of the violation by the appropriate military or civil authority. 2. A GCSS-Army user with the correct user role has entered the violation into the operator's Profile. 17. Licenses tab.
12 Page: 12 of 25 Person: Display Profile (xx/xx/xxxx - xx/xx/xxxx) (Licenses) The Licenses tab contains the operator's current Operators Permit (driver's license). You will only see multiple permits listed here when the operator holds a Learner permit and a Standard permit concurrently. Note: The license proficiencies Expired and Reissued are optional and, if used, must be updated manually. Expired is defined by the Exp Date and Reissued is defined by the new Issue Date. 18. Back button to return to the Operators Permit Ledger.
13 Page: 13 of 25 Operators Permit Ledger You can change the report's display layout, such as column arrangements, filtering by permit type, or sorting by date. You can also save your new layouts for future use. Any saved layout can be set as your default so that each time you run the report, it is arranged and sorted the way you prefer it. In this example, you sort the permits so that those issued most recently are at the top of the ledger Date Issue column header. Sort in Descending Order button.
14 Page: 14 of 25 Operators Permit Ledger (Sorted) The report is sorted by Date Issue, with the most recent issue dates at the top of the list. The following steps demonstrate how to name the layout, save it, and set it as your new default. 21. Save layout button. If your screen settings prevent you from seeing the Change layout button, then click the More... button and select Change layout from the drop-down list.
15 Page: 15 of 25 Save layout (Dialog Box) When saving a display layout, you must enter a title in the Save layout field and a description in the Name: field. 22. Type your entry in the Save layout field (for example, ISSUE DATE). Be sure to only create User-specific layouts. To do so, the title in the Save layout field must begin with an alpha-numeric character (not a slash). 23. Type your entry in the Name field (for example, Sorted). Enter a brief description of the layout. 24. User-specific check box. User-specific layouts cannot be seen or used by other users. 25. Default setting check box. Selecting this layout as your Default setting applies the layout automatically every time you run the report. 26. Continue button or press Enter.

17 Page: 17 of 25 Operators Permit Ledger In the next scenario, a month has passed and you want to create a new Ledger using a preconfigured variant to simplify the process. For the purposes of this example, you will begin with a fresh screen. 28. Enter button.

19 Page: 19 of 25 ABAP: Variant Directory of Program ZHR_PA_R_XOPER_PERMIT_LEDGER (Dialog Box) The variant used in this example was created by clicking the Multiple Selection button, then listing each individual FE assigned to the Battalion demonstrated earlier. Once the list was complete, the End Date was set to 12/31/9999 and the screen was saved as a new variant. Because the FEs are listed individually, the system will not display all operators as if assigned to a single unit, but will separate them into their respective FEs. Although the process of creating this variant is not illustrated here, instructions for creating a similar variant can be found in GCSS-Army's Web-Based Training (WBT) lesson on the GCSSArmy website at intended variant list item (for example, WH53A0 BRK_OUT). The system validates your entry. Choose button or press Enter.
20 Page: 20 of 25 Operators Permit Ledger The green indicator on the Multiple Selection button indicates that multiple FEs have been specified. Each of the specified FEs will be listed in the report's header. Note: If the Start Date was saved as part of the variant, then you should reset it manually to the current date. 32. Execute button.
21 Page: 21 of 25 Operators Permit Ledger (Report) The Ledger displays in the default layout and includes all operators who: 1. Belong to one of the specified FEs, and 2. Hold an Operators Permit that will expire sometime within the specified reporting period. 33. Print button.
22 Page: 22 of 25 Print ALV List (Dialog Box) On this dialog box, Output Device refers to your printer. The setting LOCL directs the report output to your local Windows printer. Time of Print is set to Print out immediately. Note: If they are not already, the Properties button can be used to make these or other preferences your default settings. 34. Continue button or press Enter.
