1 THOMSON REUTERS WORLD-CHECK ONE FREQUENTLY ASKED S WORLD-CHECK ONE FEATURES Where can I find more about World-Check Data and Research? Can I screen for a name without leaving any persistent audit trail? Please contact your representative or please visit us online on: The Zero Footprint Screening feature ensures that there is no record of screening activity kept on the Thomson Reuters servers. Refer to Zero Footprint User Guide for further information. Can I set up groups with different settings/configurations? Yes. Any new group retains the settings and configuration of the parent group, but these can be changed as required. Refer to Screening and Case Manager User Guide for further information. Are there different subscription levels for? Are there any additional services available? Yes. The following levels are available for your choice: standard, premium and premium plus. also includes the offering for Screening Resolution Service as well as Enhanced Due Diligence (EDD) Reports. EDD reports can be requested directly using the related feature in. If you would like to find out more please visit us on: SCREENING AND CASE MANAGEMENT What does Unspecified mean on the Screening page? How do I know that a case has been assigned to me by another user, e.g. my team leader? How can I check that a case has been set for Ongoing Screening (OGS)? Unspecified entity could be an Individual, organization or Vessel name (also used for Country, Port and Airport), against the data sources provided by World Check data. You will receive an notification and you access the Case Manager page and use the Assignee filter, you will see the list of cases assigned to you. You can use the Case Manager page and use the Ongoing Screening filter (Yes) to see the list of all cases that have been set on Ongoing Screening. If you know either the case name or ID, then you can search for it on the Case Manager page and look at the OGS column value (it

2 will need to be = Yes). Do I receive any notification of new matches found for cases set for Ongoing Screening? How do I find cases that have new matches or needing review after OGS in the case manager? Yes. will trigger an notification for any case that you have created or have been assigned if any new match is found by the OGS process. Once the daily OGS process is completed, any case with new matches or needing review will also appear on the Case Manager page with a Mandatory action (red exclamation mark). In Case Manager, use the filter Ongoing Screening set to YES and Mandatory Actions set to YES. How can I get back to the World-Check Result grid if I am reviewing a specific World-Check profile on the Case page? Simply click on the World-Check button on the left pane. Can I screen last name and first name for an individual? Can I screen Vessels? Can screen multiples names at once? Can I delete a Case? What reports are available? Yes you can enter Last Name then comma and First Name. For example: John Smith = Smith, John Yes. The system allows you to screen search for vessels against the World-Check dataset. Yes you can but only with Batch functionality (only one entity name per case). Please contact your Administrator or Thomson Reuters Sales representative to find out more about this. Currently you can archive one or multiple cases. The case delete feature will be available in the future. The reports in can be generated as PDF or a CSV file using the Export feature on the Case Page, World-Check profile, Case manager or Audit. For exporting reports refer to Screening and Case Manager User Guide (section on Exports). 2

3 Can I screen a name and see results which contain all possible entity types matching my screening? Why can t I find an entity in, when I know it has a history of fraud etc? If, on the Screening page, you select Entity Type= Unspecified, the system will return all the profiles matching the name you have entered regardless of the entity type (e.g. Individual, Organization and Vessel). It could be one of the following reasons: The matching profile is for a name variation of the name that you are screening and Minimum Score Threshold set too high on the group you are using to screen (please refer to the Group Admin in your company). The sources that the entity appears in have been deselected in the group you are using to screen (please refer to the Group Admin in your company). The individual has not yet been updated in the World-Check database (contact the World-Check Research team, via the Contact Us page). You may have entered incorrect secondary identifiers on the screening page and the auto-resolution process has autoresolved the profile as false, or has removed it from your results (please refer to the Group Admin in your company). What happens when you edit a case in World- Check One? For example, the user screens for name: Jane Doe, Case (case id: case123) is created and there are 15 matches (result set A). The user decides to Edit that case (case id: case123) by changing the name from Jane Doe to Jane Smith and then the user clicks Screen on the Edit Screen Details page. After editing and screening the case, there are 64 matches These 64 matches include the 15 matches (result set A) that were initially returned after screening Jane Doe. There are 49 matches from screening Jane Smith (result set B). Please note sometimes the result sets overlap. So the case (case id: case123) now includes result set A prior edit and result set B after edit; results set B did not overwrite set A. Why are two set of results displayed after a user edits a case? Both sets are there for audit purposes. Similarly, if the case is edited again and again, then the matches will be added on top of the existing results. You are recommended to do the following before editing the case: Resolve the matches (result set A) first before you proceed to edit the case. This will then allow you to clearly identify and work on the new matches (result set B) as most of those matches will be unresolved. Should there be any matches from result set A that would be returned with screening the edited name, then those matches would clearly be flagged by Review Required. Why is the Case Manager showing a Mandatory Action (red exclamation mark) on a case I have previously resolved and there are no new The case must be on Ongoing Screening (OGS) and the OGS process has found that one (or more) of the previously resolved World-Check profile has changed in the World-Check profile. 4 unresolved matches? Mandatory Action (red exclamation mark) the system will show you the number of profile needing review. If you then select the case by clicking on the Case Name, on the Case page and then on the World-Check folder. The system will flag on the filter pane where the profile(s) is located and need reviewing e.g. Possible. If you then click on the filter, you will see the changed profile needing review highlighted on the World-Check Profile grid. Once you reviewed the updated profiles by using the Review feature in the resolution toolkit, the Mandatory Action indicator will be reset on the case Will I be informed if a profile is deleted from one of my cases? When a profile is deleted from the World-Check database, if that profile is already a match within a case marked for OGS, the user will receive a New and/or updated matches found notification at their scheduled delivery time. In Case Manager, the Actions column will show there is a review required against the relevant case. When the user clicks through to the case results page, the match in question will be highlighted in green (in the same way that other profiles requiring a review are highlighted - regardless of its resolution status - whether it is a positive match, unresolved, false etc.) The profile will show the status as Deleted. Note: This only applies to cases marked for OGS. When a profile is deleted and that match is part of a case which has been put through initial screening, there is no review flagged (only OGS cases highlight matches for review), but if user opens a profile that has been deleted, it will have a deleted note on it. The deleted profile stays in the case forever. The profile is not physically deleted from the database but will always display status as deleted. In the case profile you can add a Reason note on Resolution tab and a review note on Review tab. You can also enter an Audit note, in the Audit page. How do I remove aliases from my results? Can I search for a World-Check Unique ID? Is there a character limit for the Case ID? Are there any characters that cannot be included in the Case ID? Use the Alias filter option on the Case Results page to view matches without Aliases. The Search field next to the A icon on the top most bar allows you to search for known User UIDs. Yes. Max length for Case ID is 50 characters. There are no special characters exclusion applicable. 4

5 MATCHING OVERVIEW What is the recommended order for entering Individuals names on the Screening page or Batch file? What happens to punctuation if entered on a name to be screened? What happens to honorifics if entered on a name to be screened? What is meant by the term fuzzy matching? In order to get the best out of the matching engine it is recommended that names are provided in the order of Given name(s) followed by Family name(s), example: John Smith. If more than one given name is available they should be typed in order, for example: John Jacob Paul Smith Punctuation is stripped out of the screening term. For example; for a name that carries a hyphen - the name will be matched with the hyphen, without it and without it with the hyphenated words concatenated. Statistical preference will be given to matches that are an exact match (i.e. with the hyphen present and in the right place if returned). Honorifics are removed from both sides of the matching process in order to create a level baseline for matching honorific s such as Mr., Mrs., The Right Honorable, Lord, Lady etc are removed from both the screening term and the results, to ensure the match strength is calculated on name match only. It is therefore safe to include honorifics in your screening if you want to. Fuzzy matching is a technology assisted method of identifying names across two data sets where there may be differences in the names but similarities are still required to be returned in order to capture similar names within the data to account for the unknown differences. Fuzzy matching may account for a lot of variations, examples of which may be: Missing name components e.g. John Smith to John Jacob Robert Smith Translation of names e.g. Jack to Jaques Colloquial variations e.g. Thomas to Tom Phonetic variations e.g. Dixon to Dickson If I use fuzzy matching wont I get a lot of false positives? How should I decide whether to set the minimum score threshold as fuzzy or more exact for my screening? I get a lot of matches against alias of a single word i.e. bird how can I avoid this? Is the matching technology case sensitive? How to screen names as Last Name First Name? (Relevant to some Asian languages) Minor spelling variations e.g. John Simth to John Smith Using a fuzzy matching setting will certainly produce more results than screening for an exact match. As there will be more names with a weaker match to the desired profile, the lower the threshold, the more matches will be returned. There are a number of different factors one needs to evaluate when choosing an optimum setting. It all depends on your company s policy /guidelines in terms of assessing risk. Another factor would be the quality of the data you are supplying for screening. If the data is good and there is confidence that all name elements have been captured, then a more exact match setting would be more appropriate. Moving the minimum score threshold towards Exact will remove some of these matches but a match still may occur when there is a strong match to the single word i.e. Richard Bird matching Bird. This can be avoided by using World-Check premium data that enables you to remove low quality aliases from your screening. No Typically in some Asian countries such as China, the norm is to use the Last Name first and then the Given Name(s) for Individual entity type only. In you can enter Last Name followed by comma and 5

6 BATCH UPLOAD AND SCREENING then First Name when screening. With the example of Bo Xilai that if screened as Bo Xilai it returns a medium match to Xilai Bo, but if Screened as Bo, Xilai, then it returns an exact match. What is the Batch Upload and Screening feature? This feature gives you the ability to bulk upload batches of names to be screened rather than screening them individually which is useful for high volumes of names to be screened. Refer to Batch Specification Guide. How to perform Batch Screening? Refer to Screening & Case Manager User Guide (section on Batch). Refer to Batch Specification Guide. How do I create a Batch name (as a Screener)? Can the auto-resolution rules be enforced in the Batch Upload and Screening process? Where can I find the Batch file template specifications? Is there any limitation on the number of records that could be submitted on a batch file? What is the difference between Screening and Screening & OGS? As a Screener you cannot create a Batch name, you must refer to your Group Administrator, who will have to create one via Admin page, for the group you are assigned to. The Batch Screening process will consider and apply any auto-resolution rules (Auto-resolve as False or Exclude from Results) defined for the Group. Currently uploads and screens records submitted in a CSV file and the template of the file can be found directly on the Batch Screening Page where you can download the Batch File Format. On the Help page you can also find a document dedicated to the batch file format/specifications. Currently the limit for the batch file is 30 MB which corresponds to roughly 250,000 records, including secondary identifier and custom fields. Screening uploads the batch file and performs the initial screening. Screening & OGS uploads the batch file and performs the initial screening; in addition it places the cases ON for OGS. PASSPORT CHECK What is Passport-Check? Passport-Check is a functionality that is designed to help verify the authenticity of passports and travel documents. Refer to Screening and Case Manager User Guide (section on Passport Check) for further information How does Passport-Check work? The Passport-Check feature uses a built-in algorithm to help verify Machine Readable (MRZ) passports and travel documents printed in accordance with the standards established by the International Civil Aviation Organization (ICAO) against an international list. 6

7 Refer to Screening and Case Manager User Guide (section on Passport Check) for further information. DATASOURCES Is the IEI (Iran Economic Interest) Data List available in? Is the USSAM (US System for Award Management) List available in World-Check One? If my organization does not need to screen against PEP data, can we exclude PEP from the screening process? Is the PEP definition in the same one as the FATF (Financial Action task Force) definition? Why SIE (State Invested Enterprise) are not a subcategory of PEP? IEI is available as a Special Source in. You can find out more about it by contacting your Sales representative. Once it has been made available on your account the list can then be selectively turned OFF/ON on any of your Group(s) as required by your organizational needs. USSAM is available as a Special free of charge Source in World-Check One. You opt in by contacting Thomson Reuters Client Services and the source will be made available to you. The list can then be selectively turned OFF/ON on any of your Group(s) as required by your organizational needs. Yes you can. allows you to select what sources you would like to screen against. You can disable entire source types for your group(s) (e.g. PEP or Regulatory Enforcement) or individual sources such as PEP-National and/or bank EU sources like EU EBRD, ECC, etc. uses World-Check data whereby the PEP classification by FATF is the starting point. Please refer to PEP and SOE inclusion Criteria document for further details, located on the World- Check One Help page PEP is a Politically Exposed Person, while a SIE is a State-Invested Enterprise. The classification of PEP is defined by the FATF (Financial Action Task Force) as follows: A politically exposed person (PEP) is defined by the Financial Action Task Force (FATF) as an individual who is or has been entrusted with a prominent public function (click Here). MEDIA SEARCH Why should I use Media Search in World-Check One? During the screening process, for those individuals or companies that do not appear on a global sanction or enforcement list, or in the World- Check database, it is often prudent to review potential adverse media references to determine whether there are other reasons for not engaging with them. Media Search in provides access to 12,000 sources at no extra cost, whilst other providers may charge users to view the same articles. Some articles could be available via Media Search before they are published elsewhere. Which news sources are used for Media Search? Thomson Reuters Newsroom sources are used for Media Search. This is a collection of over 12,000 sources from specific countries, regions and industries from over 20 years of content including wires, blogs and breaking news. An average of new titles are added each year. 7

8 NewsRoom sources include: All News Plus wires with Reuters Reuters Key News Stories US/UK News with Reuters 98 of top 100 US Newspapers 66 of top 100 Global Newspapers UK Broadsheets European News with Reuters Middle Eastern News with Reuters Finance and Banking News with Reuters Company and financial sources Trade and industry sources Is this the first time News content has been included in? Do all users of have access to Media Search? How can I access Media Search? No. As part of their research process, the World-Check global research team currently includes intelligence collected from global media sources based on the World-Check inclusion criteria; Media Search extends the current reach to include NewsRoom content. Yes whether you have subscribed to Zero Footprint Screening (ZFS) or to Case Manager & Audit (CMA), you will have access to this feature. After screening a name, on the case results page you will see a Media Search icon on the toolbar in the top right-hand corner of the screen. Click on this and select Case Name and then click Search. You can also access Media Search on a profile page via the same icon. Select World-Check Profile Primary Name to run a media search on the name of the specific individual or other entity in the profile. For CMA only, on existing cases, you can select the Case in Case Manager and then access Media Search on the Case Page toolbar. The same is available on Case Summary, Passport Check and Case Audit page. Can I filter the results in Media Search? Yes. You can use the subject filters to refine the results of your search. All Newsroom articles are tagged with standardized subject according to the topics they cover, using a sophisticated taxonomy of hundreds of subjects. We have selected 6 of the most Risk relevant parent level subjects: Business Management Crime Global Politics Government Legal and Social Issues The above encompasses other levels (for example second or even third level subject) that can be individually selected to provide targeted results? For example, a user can filter results by Crime, or drill down to Fraud at a second level or even further to Financial Fraud to receive more precise results on that subject. How frequently are the NewsRoom sources updated? Why do some of the articles in my results contain dates of publication in the future? Newsroom sources are continually updated, depending on the publication frequency and online availability of each source. To check these details, please go to the following page and select World-Check One from the products list, click on Start Search and search for a particular source or view lists of sources by language, country, publication type, industry and other criteria. Click here. Some news articles have publication dates in the future, while the date added information is current. This is because some publications send us their articles ahead of their publication date. For example, an article has a publication date of December 2015 but was sent to Thomson Reuters in July The Date Added column indicates when the article was provided to Thomson Reuters by the publication. Some articles are 8

9 available via Media Search before they are published elsewhere. How much does Media Search cost? Can I export the results of Media Search? Does Media Search provide an audit trail? Do the results only include risk relevant results (i.e. will we also get any good news hits) Is there a translation option for the articles Which media sources are included in the database Media Search is a complimentary search available to all users. Yes. An article can be exported into pdf for printing or saving. No. There is no permanent audit record of Media search retained on Thomson Reuter s servers. Media search returns all media related articles without making any inference on whether the news are adverse or not. The impact of the news on the determination of the risk on the entity screened varies greatly between different organization and their due diligence guidelines and risk appetite. Any article returned by Media Search is presented in the language that is stored in NewsRoom as it was originally published by the related publication. The language filter allows the user to find articles that are sorted only in the selected language. The list of languages in the Filter is the list of languages that are sourced by NewsRoom. Some articles may appear in different languages e.g. English and French if they published in different languages. You can find detail of content (publications included, languages etc. by using the url provided for NewsRoom publication directory below and selecting from the list. Click here. TECHNOLOGY What browsers are supported? Does Support Java? What is the optimal screen resolution for World- Check One users? is a cloud-based application supported by the latest publicly available versions of Google Chrome, Firefox and Safari (with auto-updates turned on, currently not actively tested). It supports three concurrent versions of Internet Explorer (IE) at any one point in time. Currently we support the latest IE. runs on Apple desktops and on ipad (even though not optimized). Yes. is developed on the latest Java version. However, in order to connect and use you do not really have to install anything on your desktops or laptops (you only require a browser). 1280x1080 is recommended. ONEPASS What is OnePass? Where can I find details about OnePass access and registration? A OnePass Profile is a username and password that is used as the user authentication method by. 10 What can I do if I experience login Issues, prompted with error messages such as you are unauthorized, please login and try again? Log out by clicking on the A icon and then Logout: If not resolved then clear cache/restart the PC or try to login again. ADMIN What can I do if I am getting an un-authorised Error message when I login? Please contact your client or group administrator to check that you are an active user. All User documentation, including User Guides, Quick Start Guides and Reference documentation can be found in the Help section of World- Check One.
