3 AT&T BusinessDirect AT&T BusinessDirect Managed Services 3 Accessing the Manage Profile window in AT&T BusinessDirect All capabilities you will need as the Company Administrator are available from the AT&T BusinessDirect Manage Profile window. 1. Log in to the AT&T BusinessDirect portal using your Company Administrator ID. The AT&T BusinessDirect home page displays. 2. Click Edit Profile. The Profile Options list displays. 3. Click Manage Profile. The Manage Profile Options list displays. Table 1 Creating a new user ID As a Company Administrator, you decide who in your organization has access to AT&T BusinessDirect. For each user, you create a new user profile, which determines specifically which accounts and which tools that user will be able to access on AT&T BusinessDirect. 1. From the Manage Profile window, click Create User Profile. The Create User Profile window displays. 2. Enter data as indicated in the various fields. For more information on each field, click Profile Help. TIPS: Each user ID must be 6 to 12 lowercase characters. Generally, the following format is used: If the company is Brookstone and the user is John Doe, the password would be brookstonejd. Required fields are denoted by red asterisks (*). For AT&T Managed Services, you must select MSP and Other from Available Offers. 3. Select the applications that this user should be authorized to access, and click Submit. NOTE: The applications will not become active until the Service Manager or Advanced Client Support System (ACSS) information is added later in the process. 4. From the Manage Profile menu, click Set Up Applications. Upon clicking Submit, a welcome letter will be generated and sent to the new user s inbox. The welcome letter contains the user ID information that the new user will need to access AT&T BusinessDirect. Depending on your configuration, you may or may not receive one of the following messages: Application is not ready because it

4 AT&T BusinessDirect AT&T BusinessDirect Managed Services 4 requires Service Manager Account and User ID. For Service Manager questions, please contact your Life Cycle Manager. Application is not ready because it requires ACSS information. AT&T will complete the provisioning for this request. Step Action 5. NOTE: You need to add the new user ID to the company profile before you can add the Service Manager User ID information, which is required at this point. If you have the information being asked for (i.e., Service Manager or ACSS Account/ID), see the next section, Displaying a User s Profile, Setup Status and ACSS/SM Information. If you do not have the necessary information as may be the case for Service Manager IDs for BIS, RAS, RAS on AVTS, and GMIS Services send a request to rm-register@ems.att.com. For ACSS, assume that the AT&T Provisioning Team will set this up. The ACSS OU will default to the BusinessDirect Company ID and does not need to be changed. Table 2 Displaying a user s profile, setup status, and ACSS/SM information On AT&T BusinessDirect, you can quickly determine the tools for which each user is registered and the setup status for each user. You can also update the user s personal profile and enter ACSS/Service Manager information. 1. From the Manage Profile window, click View User Profiles. 2. To view the user s profile, select the radio button next to the user s name, and click Update. clicking Query User Profiles from the menu at left. 3. To enter Service Manager and/or ACSS information, select the radio button next to the user s name and click Service Manager and ACSS Information. 4. Enter the ACSS ID and Service Manager ID (SM ID), and click Submit. A list of company users displays. On the page that is displayed, you can change the ACSS ID. The ACSS ID will default to the user s BusinessDirect login. Only those individuals who are using our Ultra Available Network service would need to change this. The ACSS ID will default to the user s login. If a user needs access to any of the managed services applications that are supported by the SM ID, those applications will stay red

SM IDs are created when the service is purchased and the SM Account is created. The SM IDs are mapped to the Service Manager Account. Additional SM IDs can be obtained by accessing the tool: Administration Tools for SM (Service Manager). Only users with an authority level of 6 will have the ability to create new ID s. When necessary, you as Company Administrator can authorize existing users to access additional Managed Services tools on AT&T BusinessDirect. 1. From the Manage Profile window, click View A list of company users displays. User Profiles. clicking Query User Profiles from the menu at left. 3. Select the radio button next to the user s name The first page of the user profile is shown. and click Update. 4. Since this is an existing user, scroll to the The second page of the user profile is shown. bottom and click Continue. 5. For Managed Services, from Available Offers, you must select MSP and Other. 6. Select the applications you need and click The User Application Setup window appears. Submit. 7. Click Set Up Applications. Depending on your configuration, you may or may not receive one of the following messages: Application is not ready because it requires Service Manager Account and User ID. For Service Manager questions, please contact your Life Cycle Manager. Application is not ready because it requires ACSS information. AT&T will complete the provisioning for this request.

NOTE: The selected applications will be activated only if the Service Manager account and user ID have the correct authorizations. For example, if the Direct Registration Facility (DRF) is not activated on the Service Manager account and user ID, it will not appear under the Tools section in AT&T BusinessDirect for this user. Table 4 Changing access permissions for a user As a Company Administrator, you can modify a user s access permissions. 1. From the Manage Profile window, click View A list of company users displays. User Profiles. clicking Query User Profiles from the menu at left. 3. Select the radio button next to the user s name and click Update. 4. In the user profile, you can authorize a user to become a Company Administrator by selecting Company Administrator or Company Administrator (AT&T) from the User Type dropdown list. (In a similar way, you can change a Company Administrator to a regular user.) Upon completing your updates, click Submit. Table 5 Resetting a user s password user-initiated The user s profile displays. The access permissions for the user will be updated. If a user forgets his or her password, or believes that password has been compromised in some way, the user can create a new one by answering a security question. The user should follow the three steps given below. NOTE: AT&T BusinessDirect will automatically lock (i.e., stop accepting) a temporary password after 21 days of nonuse. In addition, users will be prompted to change their passwords every 180 days. 1. From the AT&T BusinessDirect login window, The Forgot Your Password window displays. click Forget or Need to Reset Your Password? 2. Enter your user login ID and click Continue. The Security Question and Password fields display.

7 AT&T BusinessDirect AT&T BusinessDirect Managed Services 7 3. Enter the answer to your security question in the Security Answer field, and then enter and confirm a new password. Click Submit. Valid passwords must: Be a minimum of eight but no more than 16 characters. Contain at least two alphabetic characters. Contain at least two numeric characters (0-9). Not be the same as the login ID nor include the login ID. Be different by at least three characters from the old password. Not be a reverse of the old password. Consist of more than changing the case or position of a single alphabetic character. Valid passwords may include one of the following special characters: ~ # $ % ^ & * ( ) _ -+ =,. / \{ } [ ] < >? " ' ; : A temporary password will be sent to your i.e., the user s inbox and needs to be changed within 24 hours. Table 6 Resetting a user s password administrator-initiated If a user forgets his or her password, or believes that password has been compromised in some way, you have the ability to cancel the existing password and create a new one. You can also unlock a password. 1. From the Manage Profile window, click View A list of company users displays. User Profiles. clicking Query User Profiles from the menu at left. 3. Select the radio button next to the user s name, and click Update. 4. If the Locked radio button is selected, click the Unlocked radio button. Then generate a new temporary password by clicking selecting Password. Click Submit. Table 7 The user s profile displays. The user s access will be unlocked, and a temporary password will be generated and sent to the user s inbox.

8 AT&T BusinessDirect AT&T BusinessDirect Managed Services 8 Blocking/unblocking a user s access As a Company Administrator, you can block or unblock access to a user s account as needed. Blocked accounts remain viable, but are temporarily deactivated to prevent unauthorized people from using the accounts. This may be helpful when staffers leave on vacation or are away from the company for extended periods of time. 1. From the Manage Profile window, click View User A list of company users displays. Profiles. clicking Query User Profiles from the menu at left. 3. Select the radio button next to the user s name, and click Update. 4. Click the Locked radio button, and then click Submit. Table 8 Denying a user s access The user s profile displays. The user s access will be blocked. When employees leave your company or no longer need access to AT&T BusinessDirect, you can delete their accounts and thereby prevent them from accessing AT&T BusinessDirect. NOTE: If you need to deny access to someone in your company, you should get permission from that person s manager. In the meantime, you can block the AT&T BusinessDirect user ID rather than deleting that user s account. (See the previous section, Blocking/Unblocking a User s Access.) 1. From the Manage Profile window, click View User A list of company users displays. Profiles. clicking Query User Profiles from the menu at left. 3. Select the radio button next to the user s name, A prompt displays. and click Remove User. 4. Click OK. The user will be removed from the list. Table 9
