3 Revision History Every change to this document, subsequent to initial sign-off, must be recorded in the Revision History Chart below. There are no exceptions. 4 1. How do I get started? To begin with you must have an account in the Application Portal located at Once you have an account created you will be approved for access by being added to role in the Application Portal. After you have successfully logged into the Portal you will see the tile on the Application Portal main page. Your application home page may look something like this. Click the Tile: 3
5 The page should appear like this: Notice the School Year, Collection and System is pre-populated based on your Education Directory profile. The Schedule tab is selected. 4
6 2. Selecting a Schedule? Select School Year by clicking the downward arrow button to the right to display all available years then click on the school year. 5
7 Select Collection Cycle by clicking the downward arrow button to the right to display all available cycles. Click on the collection you want to view. There are three official collections cycles to choose: Fall 20 days after Labor Day Collection (available late Oct); Mid-Year N/A, this cycle is no longer being collected (available only for previous year); End of Year is collected on the Last Day of School (available late June); Nightly is valid for the current school year. No data will be displayed if the school year chosen is anything other than the current school year. 6
8 Select System by clicking the downward arrow button to the right to display all available Systems Codes and System Names within the State. Click on the system that you want to view: Select the School by clicking the downward arrow button to the right to display all available School Codes and School Names within the System. Click the school that you want to see: 7
9 Select a tab by clicking the tab heading. The options are: Schedule (the default), Financial, and Students Without. Before submitting make sure the appropriate tab is selected. Click the button to return the results for the selected tabs. 8
10 3. Viewing the selected results After submitting the selected data the program will return results in both grid and chart form. The example below shows the Schedule for all teachers that are in-field and out-of-field during the school year s nightly collection cycle for 0015; Autaugaville School in 001; Autauga County. 9
11 4. CHARTS The two charts on the Application displays the In-Field Teachers and In-Field Classes. These charts will show a detail listing of teachers that are not In-field and a detail of classes scheduled by teachers not In-field. 12 In-Field Teachers (this chart selection will pull back a grid only) Click the In-Field Teachers chart to display the Teacher Out-of- Field Detail grid. The example below shows the number of teacher at 0015; Autaugaville School that are out-of-field. 11
13 Click the Export Data button at the bottom of the grid to save or open the selected data in one of the following formats: PDF - An Adobe Acrobat Reader XLS - Microsoft Excel Spreadsheet CSV - A List of Comma-Separated Values, viewed in Excel RTF - A rich text file, viewable in Microsoft Word or Windows WordPad XML - A generic, text-based, human-readable relational data format Click one of the formats. An orange rectangular box will appear across the bottom of the page; click Open, Save or Cancel. 12
14 In-Field Classes (this chart selection will pull back pie charts only) Click the In-Field Classes chart to display the Subject Area Out-of-Field Details grid. The example below shows a pie chart of details broken into subject areas of the number of classes being taught by teachers that are out-of-field at 0015; Autaugaville School. 13
15 5. Tabs and Grids Functionality Selected data can be viewed in three categories by selecting the following tabs: the Schedule tab, the Financial tab or the Students Without tab. The functionality of the grids in the tabs are the same. The tab grid displays selected school year, collection and school schedules data and qualifications of the teachers. The Financial tab grid displays information of employment for the selected school system and year. The Students Without grid displays students in the selected system and school with no active schedule. These grids allows altering of the view of data and the ability to add and remove columns. Click the Select Fields button located on the top left side of the grid to display a list of available columns. Columns can be clicked on and dragged out of drop down list box and onto the grid. Columns can be clicked, dragged, and dropped from the grid back into the drop down list box. 14
16 Click Hide Fields or the (x) button to remove the column listing box. Click any column titles to sort the grid s data. An arrow will be displayed next to the column name indicating sorting by ascending or descending order. 15
17 6. Filtering Data Selected data can be filtered within the tabs a number of ways. All filtered data can be saved or opened by clicking the export data button at the bottom right corner of the grids. Filter grid data by entering the text into the text boxes at the top of the each column. One or more columns can be filtered at a time. Type into the field and press enter to apply the filter. To clear the filters click Clear in the bottom right corner of the grid or Delete the text in the filter box. 16
18 Filter grid data by clicking the Filter Symbol in the column box. A drop down box will appear with a list of data you can filter; click the data you want to view. Filter grid data by entering the text into the text boxes at the top of the each column then click the Filter Symbol next to the text box. A drop down box will appear with options for filtering data you want to view. 17
19 Filter grid data by clicking the Create Filter button at the bottom left corner of the grid. A filter builder box will appear in the middle of the screen with options for building a custom filter. Click the word And in the filter builder box to display additional options for filtering data. 18
20 Click the (+) sign in the filter builder box to display additional options for viewing data. Click the SSN to view all available fields to filter on. 19
21 Click the Begins with to view additional functions to build a customized filter. Click one of the functions. Click the <enter a value> then enter the text you want to view. Click OK to view the data selected in the customize filter. 20
22 Click to check the small white box at the bottom left corner of the grid to display only the filtered data. 21
23 Uncheck the box the show all the data on the grid with the filtered data displaying at the top of the grid. 22
24 7. Grouping Data Selecting and dragging a column to the top bar of the grid indicated by Drag a column header here will allow for grouping the grids data. One or two or all columns can be dragged to the group bar to group the data in the grid. 23
25 Click the Hide Fields button to drag and drop columns on the grouping bar or click and drag one of the columns already displayed to the grouping bar. Once the grid is grouped, click the arrow button on the left side of the grid to expand the group(s). If the group is already expanded, click on the arrow button again on the left side to collapse the group. The data on this grid can be saved or opened by clicking the Export Data at the bottom right side of the grid. 24
26 8. Viewing Teacher Certification View teacher s certification by clicking the Icon table of Certification(s) on file for the teacher. on the left side of the grid to display a grid 25
27 9. Page Control Navigate the pages of the grid using the page control bar located at the bottom of the grid. This bar displays the page information and the total number of items within the database. Here you will have the ability to choose the page you will like to view. Click the numbers for the next page you wish to view Or click the left or right arrow buttons to move to the previous or next page. 26
28 10. Reports There are two reports generated in the Application the Teacher Shortage report and the In-Field Report. Click the button: Click Teacher Shortage: 27
29 Click the School Year and then Submit to view the subject area categories. Click Collapse All to view less data for a category within the subject area or click the small box to the right of the category field. Click Expand All to view all the data within the category in the subject area or click the small box to the right of the category field. 28

33 Click the downward arrows to the right to select the School Year, the Collection Type, the System, and the School you wish to view. Click to view the selected data. 32
34 The View as Combined School Systems box will allow selected data to be viewed two different ways. Leaving the small box empty will allow you to view the In-Field Summary Report which is of a single school within a system; o Select Fields for this report/grid is not available. o Field on this grid can be filtered, dragged or dropped. o Click the Export Data button to save the report as a PDF, XLS, CSV, RTP or XML file. 33
