1 1) On the TNSSAR website ( click on "Site Links" in the menu. Then click on "Restricted Access" to go to the State & Chapter Officer Entry page ( is the direct link). 2) A login screen will appear. Enter the User name and Password and click on OK. You will need to contact the TNSSAR Secretary for this information if you do not have it. 3) Click on Access under Application Database. 4) The database will open, showing the status of TNSSAR applications that have been received by the TNSSAR Membership Secretary in the last approximately six months. Please note that if a recent application does not show up in the log, the TNSSAR Membership Secretary has not Page 1 of 5 Rev

2 received it yet. The initial sort is on the Tracking Number. You will note the total number of records in the upper right corner (in this case Rows: 139 ). 5) From here, there are a number of ways you can look at specific data. a. Search for an individual If you put a name (or other information) in the Search box in the upper left corner and click the magnifying glass to the right of the search box, records containing that data will be displayed. To remove that search, clear the information in the search box and click the magnifying glass. b. Search by Chapter (or anything else) If you click on the Filter (towards the middle of the screen from the Search box), lines associated with the filter are opened. Data can be put into any data column you want to filter on. In the image below, the filter is based on the Chapter Contains (as in it contains what is typed below anywhere in that field). When you click on the Apply button, the filter is applied. You will notice the number of records on the right hand side. Page 2 of 5 Rev

3 In addition to Contains, there are a number of other options available to filter the data. You can also apply multiple filters, such as adding N to the App Type (Application Type) column. The Application Type codes are: D Dual (from another state) J Junior M Memorial N New Member R Reinstatement RT Reinstatement/Transfer In S Supplemental T Transfer In Y J Youth to Junior Y R Youth to Regular To remove the filter, click the Clear to the right of the Apply button and then click the Apply button. 6) The data can be exported into a number of formats. Click on the Export button and the options are a) Export to CSV (comma separated values), b) Export to XLS (Microsoft Excel), c) Export to PDF (Adobe Acrobat), and d) Export to HTML (a webpage). Each export type will have a set of parameters for the type of export it is. Here is an example of the XLS export: Page 3 of 5 Rev

4 Here is an example of the PDF export: 7) There are several ways to sort the data. There is a Sort button next to the Filter button. This allows you to sort data in ascending or descending order. You must first click on the data field you want sorted. For instance, if you click on one of the fields in the Chapter column (such as Joseph Greer Chapter) and then use the Sort button, the data will sort on the Chapter Name field. Page 4 of 5 Rev

5 If you put the mouse in a column header, such as Chapter, a small triangle will appear. If you click in that area, that column will sort each time you click in that area first ascending and then descending. To clear the sort, click on the Sort button and select Clear Sort. 8) The More Actions button will allow you to Show/Hide Columns and to Freeze Columns. The Show/Hide Column is useful if you are exporting data and only want certain columns in that export. This also affects the screen, so if you want to only see certain columns on the screen, use the Show/Hide Columns. It also lets you change the order of the columns you see on the screen. 9) When looking using the scroll bar on the right side of the screen, if there is a large amount of data being displayed, there will be a dialog open that states More Data Present Goto Last Scroll Down.
